A Short Glossary for Bank Reconciliation Services Clients

T1 General

T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Bank Reconciliation Services: Our Analysis

Clean, reconciled books are what turn a T2 filing into a review rather than a scramble — and what stands up when the CRA asks for support. Because the fee is fixed and pocket-friendly, the economics stay predictable whether your file is simple or messy.

From the Desk of Your Tax Services Provider

Bank Reconciliation Services can look routine from the outside. Sit on the practitioner's side of the desk for a while and you learn which parts genuinely are routine — and which parts reward a tax services provider's full attention.

Ask any tax services provider where bank reconciliation services files go sideways, and the answer usually traces back to this: Cash-basis records are not acceptable for a corporation. Income must be reported on the accrual basis, with receivables and payables recognised when they arise rather than when the money moves.

There is a second layer to this. Personal expenses run through a corporate account are shareholder benefits, taxable to the shareholder personally whether or not they were ever labelled as such. Calendars matter more than most people expect in bank reconciliation services, and this is the rule that proves it: Meals and entertainment are deductible at 50 percent of the lesser of the amount paid and a reasonable amount under subsection 67.1(1). The recoverable share of the GST/HST on those costs is restricted in the same proportion, with the excess recaptured. Coding them at full value overstates both the deduction and the credit.

Taken together, these rules explain why bank reconciliation services can rarely be treated as a do-it-once-and-forget exercise. A tax services provider watches how they interact across your specific facts, which is something no checklist can do. To keep the engagement efficient, assemble these records before we begin.

When you are ready, the process is straightforward — we agree a fixed fee up front, prepare the work, walk you through it before filing, and you pay once the service is delivered.

Bank Reconciliation Services Tax & Accounting Case Studies

See how our expert Bank Reconciliation Services tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

$78,000 Credit Claim Filed And Accepted Without Adjustment — Multi-Processor Online Seller, Brampton

An online seller reconciling three payment processors in Brampton, Ontario had never tested its work against the eligibility rules. The resulting $78,000 claim was accepted without adjustment.

An online seller reconciling three payment processors in Brampton, Ontario assumed the credits did not apply to a business its size. A payroll clearing account that had never been brought to zero, carrying a balance nobody could explain meant they had applied all along. We identified the qualifying activity and built the documentation to support it. Then we reconciled receivables and payables to source documents and wrote off the balances that were genuinely uncollectible, with support. $78,000 recovered. Because the eligibility analysis is on file, the same claim can be repeated each year with a fraction of the effort.

Case Study 2

Reorganisation Completed Tax-Deferred, $53,000 Saved Each Year — Equipment Rental Yard, Edmonton

An equipment rental yard in Edmonton, Alberta had outgrown its structure. The visible cost was eighteen months of unreconciled transactions and a shoebox of receipts. The reorganisation completed tax-deferred and saves $53,000 a year.

An equipment rental yard in Edmonton, Alberta had outgrown the structure it started with. Eighteen months of unreconciled transactions and a shoebox of receipts was the immediate problem. The longer-term one was that the structure blocked the next step. We mapped the current structure and modelled the target. Then we separated the owner’s personal spending out of the corporate accounts and cleared the resulting shareholder loan properly. The tax-deferred elections were filed on time and the supporting valuations documented. The reorganisation completed without triggering tax, and the new structure saves approximately $53,000 a year while removing the exposure the old one carried.

Case Study 3

9 Months Reconciled And $18,500 Of Input Tax Recovered — Two-Location Cafe, Moncton

9 months of records at a two-location cafe in Moncton, New Brunswick had never been reconciled. That left sales recorded from bank deposits, so processor fees, chargebacks and refunds appeared nowhere in the ledger. Rebuilding recovered $18,500.

Nothing reconciled at a two-location cafe in Moncton, New Brunswick. Every filing started with 9 months of cleanup. The file was carrying sales recorded from bank deposits, so processor fees, chargebacks and refunds appeared nowhere in the ledger. We rebuilt from source rather than correcting on top of the existing file. We set up a documented chart of accounts, a receipt-capture workflow and a monthly reconciliation that closes within ten days of month-end. Then we set the routine that keeps it clean. 9 months reconciled to the bank. The close now takes 8 days, and $18,500 of previously unclaimable input tax was recovered in the process.

Case Study 4

Growth Handled Without A Missed Filing, $56,000 Freed — Wedding Photography Studio, Saskatoon

A wedding photography studio in Saskatoon, Saskatchewan was scaling. The growth exposed a bookkeeping file where owner draws, payroll and supplier payments all landed in the same account. The back office was rebuilt to match, freeing $56,000.

A wedding photography studio in Saskatoon, Saskatchewan was opening in a second province. That meant different filing obligations and a different payroll regime. A bookkeeping file where owner draws, payroll and supplier payments all landed in the same account already sat in the file. We rebuilt the ledger from bank and card statements and matched every receipt to a transaction. We removed duplicated input tax credits before they became a review. We then put monthly reporting in place. That let the owner see the cash effect of growth while there was still time to act on it. Growth was absorbed without a compliance failure. $56,000 of cash was released, and the monthly reporting now flags a problem while it is still small.

Case Study 5

$610,000 Sheltered By The Lifetime Capital Gains Exemption — Owner-Operated Trades Business, Calgary

An owner-operated trades business in Calgary, Alberta was preparing to sell. However, a shareholder loan balance that would have been picked up as income on closing disqualified the shares. Purification sheltered $610,000 under the exemption.

An owner-operated trades business in Calgary, Alberta had an offer on the table and 33 months to close. The shares did not qualify for the capital gains exemption. A shareholder loan balance that would have been picked up as income on closing was part of the reason. We purified the corporation so the shares met the qualifying tests. We cleared the payroll and sales tax clearing accounts every month and tied each remittance to the liability it settled. All of it was done well ahead of the closing date. The sale closed on schedule with $610,000 sheltered by the lifetime capital gains exemption across the shareholders.

Case Study 6

Desk-Review Assessment Of $119,000 Vacated — Specialty Coffee Roaster, Red Deer

A desk review assessed a specialty coffee roaster in Red Deer, Alberta $119,000. The dispute was over a receivables list that included invoices collected eleven months earlier. Producing the records vacated the assessment.

A specialty coffee roaster in Red Deer, Alberta was carrying $119,000 of penalties and interest. The charges arose from a receivables list that included invoices collected eleven months earlier. Much of that amount accumulated during a period the CRA itself had delayed. We converted the foreign-currency purchases at transaction-date rates and recorded the exchange difference at settlement instead of burying it in cost of sales. We framed the relief application on the specific grounds the CRA guidelines recognise rather than on general hardship. The assessment was vacated. $119,000 came off the account, and the documentation now on file makes the same position straightforward to defend next time.

Common Questions Before Starting Bank Reconciliation Services Work

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Bank Reconciliation Services cost in Canada?

Bank Reconciliation Services starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Bank Reconciliation Services?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Bank Reconciliation Services take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Bank Reconciliation Services?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Bank Reconciliation Services different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Bank Reconciliation Services?

Our bank reconciliation services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Bank Reconciliation Services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What will you need from me to get bank reconciliation services started?

The honest answer comes down to one rule. Business records must be kept for six years from the end of the last tax year they relate to. The CRA can require them in electronic form that it can actually read. That is the part we verify before anything is filed.

How do I know if my business actually needs bank reconciliation services?

Our answer starts where the legislation starts. For the 2025 tax year, an invoice of $100 or more must show the supplier’s GST/HST registration number to support an input tax credit. From $500 it also needs the buyer’s name, a description of the supply and the payment terms. From there it is a matter of applying it to your year — and that application, not the rule itself, is where a tax practitioner earns the fee.

More Bank Reconciliation Services Questions Canadians Ask

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

The basic personal amount is a non-refundable credit that shelters a base level of income from federal tax, so income below it carries no federal tax. The amount is indexed every year, and the enhanced portion is phased out across the second-highest federal bracket, so taxpayers in the top bracket receive only the base amount. Each province and territory sets its own version. On Form TD1 you claim it so your employer withholds less; claim it with one employer only, or too little tax is withheld.

Divide the total by one plus the tax rate expressed as a decimal. That gives the amount before tax, and subtracting it from the total leaves the tax portion. Going the other direction, multiply the pre-tax amount by the rate to get the tax and add the two together. Use the combined rate for the province of supply, and avoid rounding at each step so the tax you report matches the figures on your invoices.

Most bank charges are exempt rather than zero rated. Financial services such as account fees, interest, loan arrangement and most transfers fall in the exempt category, so no GST or HST is charged and there is no input tax credit to recover. Some bank services are taxable, including safety deposit boxes and certain administrative or advisory fees, and those do carry tax and an input tax credit. Check each statement line instead of assuming.

No. GST/HST you collect is not revenue: you hold it on the CRA's behalf and remit it. Report sales net of the tax on your T2125 or corporate financial statements, and post the tax collected to a liability account rather than income. Including it overstates both revenue and profit. If you are not registered and charge no tax, gross sales are simply the amounts you billed your customers.

No. Insurance premiums are an exempt financial service, so no GST/HST appears on them and there is no input tax credit to claim. Provinces levy their own taxes on certain premiums, and Ontario applies retail sales tax to some group benefit and insurance premiums, which is why an invoice can still show a tax line. The premium itself stays deductible as a business expense where the coverage relates to earning income.

Start from gross pensionable and insurable earnings for the pay period. Take off Canada Pension Plan contributions and Employment Insurance premiums at the prescribed rates up to the annual maximums, then apply the federal and provincial income tax tables to taxable pay after registered pension and other authorised deductions, using the claim code from the employee's TD1 forms; for an employee in Quebec you instead withhold Quebec Pension Plan contributions, the reduced Quebec EI rate and Quebec Parental Insurance Plan premiums, take federal tax under the CRA's Quebec tables and provincial tax under Revenu Québec's own tables against the provincial source-deduction form, and remit the Quebec portion to Revenu Québec. Add the employer share of CPP and EI, and remit the total by your remittance due date.

Your EI slip comes from Service Canada, not from an employer, and it is a T4E rather than a T4. The quickest route is My Service Canada Account, where the slip is posted early in the year and can be viewed, printed or saved. It also flows into CRA My Account once processed, so Auto-fill my return pulls it into most tax software. A paper copy is mailed unless you chose online delivery only.

No fixed multiplier works, because income tax is progressive and CPP and EI stop at annual ceilings, so the deduction rate changes as pay rises. The practical method is iterative: pick a gross figure, run it through the CRA's payroll deductions online calculator, compare the net to your target and adjust until they meet. Payroll software runs the same loop automatically. Where an employer guarantees a fixed net amount, the employer absorbs the tax and the calculation is redone each period.

Employment income is everything your employer pays or provides for your work: salary or wages, overtime, bonuses, commissions, employer-controlled tips, and the value of taxable benefits such as a company vehicle or certain allowances. It shows in box 14 of your T4, before deductions. Add every T4 you receive, plus tips the employer did not report, then subtract only the limited employment deductions you qualify for, such as union dues or approved work-space costs.

No. Public transit fares are exempt from GST and HST, so GO Train and GO Bus tickets, Presto loads, monthly passes and municipal transit fares carry no tax. The exemption covers scheduled local and commuter service, not charter buses, sightseeing tours or intercity coach and rail tickets, which are taxable. Taxi and airport shuttle trips are taxable as well. An employer-paid transit pass has its own treatment as a taxable benefit on a T4.

The basic personal amount is the credit nearly every resident taxpayer can claim, and it sits on the first line of both the federal and the provincial TD1. It is already printed on the current year's form, and the federal amount is reduced for higher-income earners, so use the figure and worksheet on the form you were handed rather than a prior-year copy. If you hold two jobs at once, claim it on only one TD1.

A bonus is employment income and is taxed at your marginal rate, the same as salary. Your employer withholds tax when it is paid, and that withholding can be more or less than the tax actually owing, so the difference settles on your return. The usual way to cut the tax legally is to have the bonus paid straight into your RRSP where you have room, which lets the employer reduce the withholding. Form T1213 can also lower withholding; the CRA takes several weeks to process one, so file it in the autumn before the year you want it to apply to.
