Words That Come Up in Professional Services Work

T1 General

T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Professional Services: Our Analysis

Professional firms face a risk that scales with how few clients they have. A corporation providing services that would otherwise look like employment to a single client can be caught by the personal services business rules, which strip the small business deduction and deny most expense deductions other than salary. The other recurring issue is work in progress: unbilled time is an asset, and the elimination of the old election to exclude WIP means professionals recognize it earlier than many practices are set up to track.

Observations From Our Professional Services Files

What does a tax services provider actually look for when a professional services file lands on the desk? Not the totals first — the structure. The sector shapes the return before a single figure is entered.

The first thing worth pinning down is this: Accrued but unbilled revenue belongs in income in the year the work was performed. Deferring it to the invoice date understates taxable income and is a standard reassessment adjustment.

A related rule tends to get overlooked precisely because the first one draws all the attention: Shareholder loan balances must be repaid within one year of the corporation’s following year-end or the amount is included in the shareholder’s personal income under subsection 15(2).

Every Professional Services engagement we take shares the same constants: a fixed fee quoted before we start, your review of the completed work before any payment, and a preparer who has worked this sector long enough to know where it bites.

Common Questions Before Starting Professional Services Work

Direct answers to what Canadian business owners actually ask before hiring an accountant.

Should a professional services business incorporate?

Incorporation usually pays once profit consistently exceeds what the owner draws personally, because the retained amount is taxed at small business rates rather than personal rates. Where the entire profit is withdrawn each year, incorporation often costs more in filing and compliance than it saves.

What triggers a CRA audit for a professional services business?

Ratios that sit outside sector norms, repeated losses, large or round-numbered expense claims, and mismatches between filed slips and reported income. Most reviews are resolved on documentation alone, which is why contemporaneous records matter more than the size of any single claim.

How are employees and subcontractors treated differently for a professional services business?

The CRA looks at control, ownership of tools, chance of profit and risk of loss rather than what the contract is titled. Where a worker is reclassified as an employee, the unremitted CPP, EI and withholding land on the payer, together with penalties and interest.

What instalments does a professional services business have to pay?

Individuals pay quarterly instalments once net tax owing passes $3,000 in the current year and either of the two preceding years. Corporations generally pay monthly, with many small CCPCs eligible for quarterly instalments instead. Basing them on a current-year estimate avoids overpaying after a strong year.

What tax deductions are professional services businesses most likely to miss?

The recurring ones are capital cost allowance on equipment placed in service late in the year, the business-use portion of vehicle and home-office costs, and professional development. Each is defensible when documented at the time and difficult to defend when reconstructed later.

How much does accounting for professional services businesses cost?

Corporate tax filing starts at $90 and bookkeeping at $10 per month, quoted as a fixed fee before work begins. Sector complexity does not trigger a surcharge. Review the full price list.

Do professional services businesses need to register for GST/HST?

Registration is mandatory once taxable revenue exceeds $30,000 over four consecutive quarters. Registering voluntarily below that threshold is often worthwhile, because it lets you recover input tax credits on startup and equipment purchases.

Should I incorporate my professional services business?

Incorporation usually pays off once profit consistently exceeds what you draw personally, because retained earnings are taxed at the small business rate rather than your marginal rate. Below that point the added compliance cost often outweighs the benefit. We model both before you decide.

When are tax returns due in Canada for Professional Services businesses?

For corporations in the professional services sector, T2 tax filings are due within 6 months of the fiscal year-end. Personal returns for sole proprietors are due June 15, with balances payable by April 30.

What tax deductions are available for Professional Services companies?

Common write-offs include operating expenses, inventory costs, technology software licenses, marketing, employee wages, home workspace allocation, and capital assets depreciation.

Why choose Tax Filings Canada for Professional Services accounting?

We provide specialized bookkeeping, corporate compliance, and strategic planning with a 100% Satisfaction Guarantee and Pay After Service model.

What tax issues come up most often in the professional services sector?

We get this one a lot, and the answer is more concrete than people expect. A fiscal year-end cannot be changed by simply closing the books on a new date; subsection 249.1(7) requires the CRA’s concurrence. The short transitional period is a tax year in its own right and needs its own return and its own statements. Bring your documents and we will show you where it lands in your numbers.

Do businesses in professional services need a different kind of bookkeeping setup?

Here is what the rules actually say, stripped of the folklore: The CRA requires business records to be kept for six years from the end of the tax year they relate to, in a form that allows the return to be verified. Where records cannot support the return, the CRA is entitled to assess on its own estimate — and the burden of disproving that estimate falls on the taxpayer. Our role as your tax filing specialist is to apply that cleanly to your situation rather than to a hypothetical one.

More Professional Services Questions Canadians Ask

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

EI benefits are taxable income. Service Canada withholds income tax before each payment reaches you, and the total benefits plus the tax withheld appear on your T4E for the year. That withholding follows a basic calculation rather than your full marginal rate, so people who also worked during the year often end up with a balance owing at filing. Asking Service Canada to withhold more, or setting money aside yourself, avoids a surprise. Higher-income claimants can also have to repay part of their regular benefits through the return.

Payroll treats each cheque as though you earned that amount every period, so a bonus, overtime, retroactive raise or an extra shift makes the cheque look like a higher annual income and more tax comes off it. A change in pay frequency, a new TD1, or a taxable benefit added mid-year does the same. CPP and EI stop for the year once their maximums are reached, so take-home often rises later on. Your return reconciles the total.

Only if you are authorised first. The CRA will not discuss an account with anyone who is not on file as a representative, even a spouse or adult child. The taxpayer can add you online through My Account, or you can submit an AUT-01 with their signature. For someone who cannot sign, the CRA needs legal documents such as a power of attorney or estate paperwork. Authorisation can be limited to view-only access.

The CRA does use text and email for limited purposes: one-time passcodes when you sign in, and notifications telling you that mail is waiting in your account. It does not text you a refund offer, a payment demand or a link asking for banking details, a SIN or a card number. Never tap a link in an unexpected message; open canada.ca yourself and sign in to My Account to see whether anything is actually outstanding.

Realty tax is another name for property tax, the annual charge a municipality levies on real estate using an assessed value and a rate set in the municipal budget. It funds local services and education levies, and it is billed by the municipality, not the CRA. Owners of rental or business property deduct it against that income, while property tax on a personal residence is not deductible. Arrears follow the property, so buyers check them on closing.

No. The fuel charge applies to fuels, not tobacco. Cigarettes carry federal excise duty, a provincial or territorial tobacco tax, and GST or HST on the shelf price, which is why tax makes up most of what you pay. Duty and tobacco tax rates move with budgets and some federal rates are adjusted annually, so check the CRA excise duty rates page and your province's tobacco tax page rather than an older figure.

Several taxes stack on a litre: a federal excise tax on gasoline, a provincial fuel tax that varies by province, a local transit levy in some regions, any carbon levy that applies there, and GST or HST charged on the total, so sales tax is calculated on the other taxes as well. The share of the pump price that is tax therefore depends on your province and on the day's crude and refining costs. Each province publishes its own fuel tax rate.

An employer does not pay the employee income tax, it withholds and remits it. What the employer bears on top of wages is its matching share of Canada Pension Plan or Quebec Pension Plan contributions and its share of Employment Insurance, which is a set multiple of the employee premium. Provincial employer levies can apply as well, such as the Ontario employer health tax or the Quebec health services fund. Everything withheld and matched goes in with the payroll remittance.

The buyer pays, and the money changes hands on closing through the lawyer or notary handling the transfer. Land transfer tax is provincial, so the name and the calculation differ: a Toronto buyer pays a municipal land transfer tax on top of the Ontario one, while Alberta and Saskatchewan charge registration fees instead of a transfer tax. Several provinces offer first-time buyer relief. The seller carries their own costs, including commission.

Basic groceries are zero-rated, meaning no GST or HST applies to staples such as bread, milk, eggs, produce, meat and unprepared ingredients. Tax applies once a food falls outside that category: candy, snack foods, carbonated and sweetened drinks, bakery items sold in small quantities, and anything prepared or heated for immediate eating. Provincial rules can add or remove tax on top of the federal treatment, so the province of supply matters.

Yes. When wait times are long the CRA phone system offers an automated callback: you enter a number, hang up, and an agent calls when your place in the queue comes up. The option only appears while the queue is long, so a quiet line will simply connect you. An agent working an open file can also arrange a return call. Keep the number you gave free, and expect the call from a CRA line rather than the one you dialled.

Keep anything that supports a figure on your return: slips, deduction and credit receipts, and for a business every purchase invoice, sales record, bank and credit card statement and mileage log. Records must be kept six years from the end of the last tax year they relate to, so the records behind a 2025 return are kept until the end of 2031. Digital copies are acceptable provided they are legible and complete. Destroying records earlier needs written permission from the CRA.
