The Language of Import & Export Businesses Filing, Explained

T1 General
The personal income tax return individuals file with the CRA each year.
T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Import & Export Businesses: Our Analysis

The tax file of import & export businesses looks nothing like a generic small business return. Manufacturing and processing equipment earns accelerated capital cost allowance, and several provinces layer investment tax credits on top. Our sector team files import & export businesses at economical flat rates with pay-after-service.

Field Notes: Import & Export Businesses

There is a version of import & export businesses accounting that treats the sector like any other business. It files on time and misses everything that matters. These notes are about the other version.

If a client remembers only one point from this page, it should be this one: The CRA expects the trial balance behind a T2 to reconcile to the GIFI schedules filed with it. A statement set that does not tie to the return is the first thing a reviewer notices.

It would be simpler if the story ended there, but a second rule enters almost immediately. Compilation engagements follow CSRS 4200, which requires a basis-of-accounting note describing exactly how the statements were prepared. Lenders read that note, and an omitted one is the fastest way to have a financing package sent back.

We would rather earn the Import & Export Businesses engagement than pitch it. So the structure removes your risk: the fixed fee is settled first, the review is yours before payment, and the sector experience shows up in the work itself.

Import & Export Businesses: the tax rules that actually apply

Every engagement we run for Import & Export Businesses starts from the same question: which manufacturing rules apply to this file, and which of them is the client currently getting wrong? These are the ones that come up most.

What the CRA looks at

Manufacturing and processing profits qualify for a reduced rate, but the allocation between M&P and other income must be computed on Schedule 27 rather than assumed.

Scrap and by-product sales are taxable revenue the CRA looks for when reconciling material purchases against finished output.

What you can actually claim

Manufacturing equipment falls in Class 53 with accelerated treatment, and several provinces add their own investment tax credit on qualifying purchases.

Energy retrofits and clean-technology equipment can access separate accelerated classes and federal investment credits worth a material share of the cost.

The filing calendar that applies

Exporters zero-rate their sales but still recover input tax credits, which usually produces a recurring GST/HST refund position worth filing monthly to collect.

Where the planning value sits

Immediate expensing rules let a CCPC write off qualifying property in the year available for use, subject to an annual limit shared across associated corporations.

This is the level of sector detail built into every fixed-fee engagement we run for Import & Export Businesses, with payment due only after you have approved the work.

Case Study 1

$43,000 Of Penalties And Interest Cancelled On Relief — Millwork Shop, Halifax

A millwork shop in Halifax, Nova Scotia was carrying $43,000 of penalties and interest. The charges arose from equipment and asset classes assigned by guesswork rather than the CCA schedule. A relief application cancelled that amount.

An assessment of $43,000 landed at a millwork shop in Halifax, Nova Scotia following a desk review. It turned on equipment and asset classes assigned by guesswork rather than the CCA schedule. The auditor had not seen the records behind it. We reassigned the asset classes on the CCA schedule and corrected the opening balances. We then set out the legislative basis for the position alongside the documents supporting it. $43,000 of penalties and interest was cancelled under the taxpayer relief provisions, and the underlying assessment was adjusted to match the filed position.

Case Study 2

Holding Structure Added, $17,000 Saved Annually — Furniture Manufacturer, Regina

A furniture manufacturer in Regina, Saskatchewan needed a holding structure. It had to deal with seasonal revenue reported without matching the costs that produced it. The reorganisation was tax-neutral and removed $17,000 of annual exposure.

The structure at a furniture manufacturer in Regina, Saskatchewan needed fixing. The file was carrying seasonal revenue reported without matching the costs that produced it. Every option for fixing it ran through a reorganisation that had to be done without triggering tax. We worked with the client's lawyer. Together, we aligned the reporting calendar with the sector’s own seasonal cycle rather than a generic year-end. We also prepared the elections, resolutions and valuations the structure needed to stand up. The structure now matches the business. Annual saving of $17,000, and the reorganisation itself was tax-neutral.

Case Study 3

Collections Halted And $44,000 Cut From A 5-Year Backlog — Food Processing Plant, Moncton

Collections had begun against a food processing plant in Moncton, New Brunswick over 5 years of unfiled returns. Bringing them current cut $44,000 from the balance.

By the time a food processing plant in Moncton, New Brunswick called, 5 years were outstanding. The CRA had assessed on estimates. Underneath it sat sector deductions claimed on a general-business basis rather than the import & export businesses rules. We reconstructed the records year by year. We documented the positions to the standard the CRA applies to this sector specifically. Each filing replaced an arbitrary assessment with a real one. The account is current. Filing on real numbers rather than CRA estimates reduced the balance by $44,000, and a relief application addressed part of the accumulated interest.

Case Study 4

Intergenerational Transfer Completed With $700,000 Deferred — Specialty Chemicals Producer, Toronto

A family transfer at a specialty chemicals producer in Toronto, Ontario would have been fully taxable. The reason was a shareholder loan balance that would have been picked up as income on closing. Restructuring deferred $700,000.

A generational transfer at a specialty chemicals producer in Toronto, Ontario had been discussed for years without a plan. A shareholder loan balance that would have been picked up as income on closing meant the transfer as contemplated would have been fully taxable. We reviewed every sector-specific deduction against the current rules and claimed the ones that had been missed. We sequenced the steps so each one was complete and documented before the next depended on it. $700,000 of tax was deferred through the transfer, and the successor generation took over a corporation whose records stood up to review.

Case Study 5

$63,000 In Credits Claimed That Prior Filings Had Missed — Packaging Producer, Ottawa

3 years of filings at a packaging producer in Ottawa, Ontario had never claimed the incentives the work qualified for. The review recovered $63,000.

A packaging producer in Ottawa, Ontario had been filing for 3 years. In that time, the incentives its activity qualified for were never claimed. Behind that sat provincial credits left unclaimed alongside every federal filing. We tested each activity against the eligibility criteria rather than the description on the invoice. Then we rebuilt the chart of accounts around how an import & export businesses business actually earns and spends. $63,000 in credits claimed, with the open prior years adjusted as well. The claim passed review without adjustment.

Case Study 6

$115,000 Reassessment Reduced To Nil On Review — Plastics Moulder, Saskatoon

A $115,000 reassessment was proposed against a plastics moulder in Saskatoon, Saskatchewan. It followed a previous accountant with no experience of this sector. The documented response reduced it to nil.

A review notice arrived at a plastics moulder in Saskatoon, Saskatchewan, covering import & export businesses accounting and tax for two tax years. The auditor's working position was an adjustment of $115,000. It was driven by a previous accountant with no experience of this sector. Rather than negotiate, we rebuilt the record. We reassigned the asset classes on the CCA schedule and corrected the opening balances. We then submitted a point-by-point response that answered each proposed adjustment with the document behind it. The auditor accepted the documented position and closed the review without adjustment, protecting $115,000 and leaving the prior filings undisturbed.

What Clients Ask Us About Import & Export Businesses

Direct answers to what Canadian business owners actually ask before hiring an accountant.

What instalments does a import & export businesses business have to pay?

Individuals pay quarterly instalments once net tax owing passes $3,000 in the current year and either of the two preceding years. Corporations generally pay monthly, with many small CCPCs eligible for quarterly instalments instead. Basing them on a current-year estimate avoids overpaying after a strong year.

What tax deductions are import & export businesses most likely to miss?

The recurring ones are capital cost allowance on equipment placed in service late in the year, the business-use portion of vehicle and home-office costs, and professional development. Each is defensible when documented at the time and difficult to defend when reconstructed later.

How much does accounting for import & export businesses cost?

Corporate tax filing starts at $90 and bookkeeping at $10 per month, quoted as a fixed fee before work begins. Sector complexity does not trigger a surcharge. Review the full price list.

Do import & export businesses need to register for GST/HST?

Registration is mandatory once taxable revenue exceeds $30,000 over four consecutive quarters. Registering voluntarily below that threshold is often worthwhile, because it lets you recover input tax credits on startup and equipment purchases.

Should I incorporate my import & export businesses business?

Incorporation usually pays off once profit consistently exceeds what you draw personally, because retained earnings are taxed at the small business rate rather than your marginal rate. Below that point the added compliance cost often outweighs the benefit. We model both before you decide.

What records do import & export businesses need to keep?

The CRA requires six years of books and records from the end of the tax year they relate to: invoices, receipts, bank statements, payroll records and contracts. Digital copies are acceptable provided they are legible and complete.

How do you handle payroll for import & export businesses?

We run the cycle, remit source deductions on schedule, and issue T4s ahead of the February deadline. Late remittances draw a penalty of up to 10% and repeat lateness raises it to 20%, so timing is the whole game. See our payroll service.

Can you work with my existing bookkeeping software?

Yes. We work in QuickBooks, Xero, Wave, Sage, spreadsheets, and plain scanned documents. You are not required to migrate systems to become a client, and we never charge a conversion fee.

What does "Pay After Service" mean?

Our Pay After Service model means you review and approve all deliverables before making any payment. We prepare your returns or financial files, you review them, and only then do you pay. This ensures 100% satisfaction.

How does price matching work?

If you find a lower verified quote from another accounting firm in Canada for the same scope of services, we will match it immediately. Simply provide a verified quote.

How do I submit my tax documents?

Are there deductions or credits that import & export businesses commonly overlook?

Our answer starts where the legislation starts. The CRA expects the trial balance behind a T2 to reconcile to the GIFI schedules filed with it. A statement set that does not tie to the return is the first thing a reviewer notices. From there it is a matter of applying it to your year — and that application, not the rule itself, is where an income tax specialist earns the fee.

When should a import & export businesses business bring in a specialist instead of a generalist?

You are asking the right question, and it has a real answer. Accrued but unbilled revenue belongs in income in the year the work was performed. Deferring it to the invoice date understates taxable income and is a standard reassessment adjustment. What we add on top of that is the paperwork discipline that makes the answer stand up if anyone ever asks you to prove it.

Yes. Rent you receive is taxable income. You report the gross rents, subtract deductible expenses such as mortgage interest, property tax, insurance, utilities you pay, repairs, condominium fees and advertising, and the net rental profit is added to your other income and taxed at your marginal rate. There is no separate rental tax rate. A rental loss can generally offset other income where the property is genuinely rented at fair market value.

A write-off is simply a deductible expense. You subtract it from the income it helped earn, so the saving equals the expense multiplied by your marginal tax rate, not the full amount spent. To qualify, the cost must be incurred to earn business or employment income, be reasonable in amount, and be backed by a receipt. Purely personal costs never qualify, and mixed-use items such as a vehicle or a home office are split by business-use proportion.

Payroll treats each cheque as though you earned that amount every period, so a bonus, overtime, retroactive raise or an extra shift makes the cheque look like a higher annual income and more tax comes off it. A change in pay frequency, a new TD1, or a taxable benefit added mid-year does the same. CPP and EI stop for the year once their maximums are reached, so take-home often rises later on. Your return reconciles the total.

The CRA does use text and email for limited purposes: one-time passcodes when you sign in, and notifications telling you that mail is waiting in your account. It does not text you a refund offer, a payment demand or a link asking for banking details, a SIN or a card number. Never tap a link in an unexpected message; open canada.ca yourself and sign in to My Account to see whether anything is actually outstanding.

The CRA does not offer a general public chat line for tax advice. Account-specific service runs through its telephone lines, My Account or My Business Account, and mail, and the Contact the CRA page on canada.ca lists what each option covers, including automated lines for balances and benefit dates. Treat any chat window on a site that is not canada.ca as a phishing risk and never type your social insurance number into one.

Open the forms and publications section of canada.ca, search by form number or title, and choose the PDF for the tax year you need, because forms change from year to year and prior-year versions stay available in the same place. Most personal filers need no printed forms at all, since software approved for NETFILE builds the T1 and transmits it. Paper filers should print the version for their province or territory of residence.
