Plumbers Terms Worth Knowing

T1 General

T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Plumbers: Our Analysis

Plumbing contractors carry a mixed cost base of parts and labour, and the GST/HST treatment is uniform for both: installation and repair to residential property is taxable, unlike the housing sale itself. The deductions most often lost are the mundane ones. Vehicle costs need a logbook to support the business-use share, and tools are capital assets depreciated through capital cost allowance rather than expensed outright, which changes the timing of the deduction.

What the Paperwork Teaches Us About Plumbers

Working plumbers engagements week in and week out changes how you read a file. You stop asking what the numbers are and start asking what the sector's rules will make of them.

First, the rule that sorts straightforward files from complicated ones: Compilation engagements follow CSRS 4200, which requires a basis-of-accounting note describing exactly how the statements were prepared. Lenders read that note, and an omitted one is the fastest way to have a financing package sent back.

There is a second layer to this. An expense is deductible where it was incurred to earn income and is reasonable in the circumstances. The business-use portion must be supported, which for vehicles means a logbook. The CRA rarely argues that an expense category is wrong; it argues that the proportion claimed was never substantiated.

Every Plumbers engagement we take shares the same constants: a fixed fee quoted before we start, your review of the completed work before any payment, and a preparer who has worked this sector long enough to know where it bites.

Plumbers: the tax rules that actually apply

What Plumbers need from an accountant is not what a generic small business needs. The construction sector carries its own CRA scrutiny, its own deduction profile and its own filing calendar, and a file prepared without that context leaves money and defensibility on the table.

What the CRA looks at

A contractor treating crew as subcontractors without written agreements, their own tools and genuine business risk is the classic worker-classification reassessment in this sector.

T5018 subcontractor slips are matched by the CRA against what those subcontractors report, which makes accurate payment records a defence rather than paperwork.

What you can actually claim

Travel between the shop and a job site is business travel; travel from home to a regular site is generally personal, and the logbook is what separates the two.

Heavy equipment generally falls in Class 38 or Class 10, while small tools under the prescribed threshold can be expensed outright in the year purchased.

The filing calendar that applies

T5018 information returns are due six months after the reporting period the contractor elects, and the election between calendar and fiscal basis should be made deliberately.

Progress billings follow the percentage-of-completion method for accounting, and the tax treatment tracks it, so month-end job costing feeds directly into the return.

The Benefits of Professional Construction Accounting

Bonding capacity depends on the financial statements a lender or surety sees, which is why the year-end presentation matters as much as the tax number.

Incorporating the equipment side separately from the contracting side limits liability and can move depreciation to where the income is, but the associated-corporation rules share one small business limit.

None of this is charged as extra advice. It is simply what a properly prepared file for Plumbers includes, at the fixed fee agreed up front.

Case Study 1

$68,000 Of Working Capital Freed From The Tax Cycle — Drywall Subcontractor, Barrie

A drywall subcontractor in Barrie, Ontario was profitable and permanently short of cash. Behind the gap sat industry-specific reporting obligations nobody had flagged. Restructuring the tax cycle freed $68,000.

A drywall subcontractor in Barrie, Ontario was profitable on paper and short of cash every month. Industry-specific reporting obligations nobody had flagged explained most of the gap. We rebuilt the chart of accounts around how a plumbers business actually earns and spends. We also built a thirteen-week cash view so tax payments stopped competing with payroll for the same dollars. $68,000 was released back into working capital. Remittances have been on time every period since, and the forecast shows the tax outflow before it lands.

Case Study 2

Second-Province Expansion Handled, $79,000 Of Cash Released — Commercial General Contractor, Burnaby

A commercial general contractor in Burnaby, British Columbia expanded into a second province. The file already carried seasonal revenue reported without matching the costs that produced it. Every obligation was set up in advance and $79,000 of cash released.

Revenue at a commercial general contractor in Burnaby, British Columbia was up sharply and cash was tighter than ever. Underneath it sat seasonal revenue reported without matching the costs that produced it. We aligned the reporting calendar with the sector’s own seasonal cycle rather than a generic year-end. Every new obligation was set up before it was triggered, not after. That covered registration, remittance frequency and provincial filing. $79,000 of cash was released from the working capital cycle. The expansion completed with every registration and filing obligation covered from day one.

Case Study 3

$141,000 In Credits Claimed That Prior Filings Had Missed — Roofing Company, Edmonton

5 years of filings at a roofing company in Edmonton, Alberta had never claimed the incentives the work qualified for. The review recovered $141,000.

A roofing company in Edmonton, Alberta had been filing for 5 years. In that time, the incentives its activity qualified for were never claimed. Behind that sat development and improvement work written off as ordinary overhead. We tested each activity against the eligibility criteria rather than the description on the invoice. Then we reviewed every sector-specific deduction against the current rules and claimed the ones that had been missed. $141,000 in credits claimed, with the open prior years adjusted as well. The claim passed review without adjustment.

Case Study 4

6 Years Filed, $106,000 Removed From The Assessed Balance — Concrete and Forming Crew, Kelowna

6 years of returns were outstanding at a concrete and forming crew in Kelowna, British Columbia. That came on top of sector deductions claimed on a general-business basis rather than the plumbers rules. Filing on real numbers removed $106,000 of assessed tax.

A concrete and forming crew in Kelowna, British Columbia had not filed for 6 years. The CRA had issued arbitrary assessments. The business was carrying sector deductions claimed on a general-business basis rather than the plumbers rules. That came on top of a growing interest balance. We started with the oldest year and worked forward so each year's closing balances fed the next. We reassigned the asset classes on the CCA schedule and corrected the opening balances. We filed the years in sequence rather than all at once. Every year is now filed and assessed on actual figures. The notional assessments were vacated and $106,000 of the estimated balance came off, with a payment arrangement covering the rest.

Case Study 5

$36,500 Of Penalties And Interest Cancelled On Relief — Residential Framing Contractor, Brampton

A residential framing contractor in Brampton, Ontario was carrying $36,500 of penalties and interest. The charges arose from a chart of accounts that told the owner nothing about plumbers margin. A relief application cancelled that amount.

An assessment of $36,500 landed at a residential framing contractor in Brampton, Ontario following a desk review. It turned on a chart of accounts that told the owner nothing about plumbers margin. The auditor had not seen the records behind it. We documented the positions to the standard the CRA applies to this sector specifically. We then set out the legislative basis for the position alongside the documents supporting it. $36,500 of penalties and interest was cancelled under the taxpayer relief provisions, and the underlying assessment was adjusted to match the filed position.

Case Study 6

Books Rebuilt From Source, $19,500 In Unclaimed Input Tax Found — Mechanical and HVAC Contractor, Ottawa

The ledger at a mechanical and HVAC contractor in Ottawa, Ontario could not support its own filings. The reason was equipment and asset classes assigned by guesswork rather than the CCA schedule. Rebuilding it surfaced $19,500 in unclaimed input tax.

A mechanical and HVAC contractor in Ottawa, Ontario could not answer basic questions about its own numbers. Equipment and asset classes assigned by guesswork rather than the CCA schedule sat between the bank statements and the ledger. We rebuilt the chart of accounts around how a plumbers business actually earns and spends. We then documented the process so the work does not depend on any one person remembering how it was done. Records rebuilt and reconciled, $19,500 recovered in input tax credits that the old file could not support, and a documented monthly process now in place.

Frequently Asked Questions on Plumbers Filing

Direct answers to what Canadian business owners actually ask before hiring an accountant.

When should a plumbers business register for GST/HST?

Registration becomes mandatory once taxable supplies pass $30,000 over four consecutive calendar quarters, and the obligation starts almost immediately rather than at the next year-end. Registering voluntarily below that threshold is often worthwhile when you are buying equipment, because it makes the tax on those purchases recoverable.

How long does the CRA expect a plumbers business to keep records?

Six years from the end of the tax year the records relate to. That covers invoices, receipts, bank statements, payroll records and the working papers behind the return. Records supporting the purchase of a capital asset must be kept six years past the year the asset is finally sold.

What happens if a plumbers business files late?

The late-filing penalty is 5% of the balance owing plus 1% for each full month the return is late, to a maximum of twelve months. A second late filing within three years doubles those figures. Interest compounds daily from the balance-due date regardless of when the return is filed.

Can a plumbers business deduct vehicle costs?

Yes, in proportion to business use, and the logbook is what supports it. The CRA accepts a full-year log, or a three-month sample backed by a complete prior-year log. Travel between home and a regular place of work is personal; travel between work locations is business.

Should a plumbers business incorporate?

Incorporation usually pays once profit consistently exceeds what the owner draws personally, because the retained amount is taxed at small business rates rather than personal rates. Where the entire profit is withdrawn each year, incorporation often costs more in filing and compliance than it saves.

What triggers a CRA audit for a plumbers business?

Ratios that sit outside sector norms, repeated losses, large or round-numbered expense claims, and mismatches between filed slips and reported income. Most reviews are resolved on documentation alone, which is why contemporaneous records matter more than the size of any single claim.

How are employees and subcontractors treated differently for a plumbers business?

The CRA looks at control, ownership of tools, chance of profit and risk of loss rather than what the contract is titled. Where a worker is reclassified as an employee, the unremitted CPP, EI and withholding land on the payer, together with penalties and interest.

What instalments does a plumbers business have to pay?

Individuals pay quarterly instalments once net tax owing passes $3,000 in the current year and either of the two preceding years. Corporations generally pay monthly, with many small CCPCs eligible for quarterly instalments instead. Basing them on a current-year estimate avoids overpaying after a strong year.

What does "Pay After Service" mean?

Our Pay After Service model means you review and approve all deliverables before making any payment. We prepare your returns or financial files, you review them, and only then do you pay. This ensures 100% satisfaction.

How does price matching work?

If you find a lower verified quote from another accounting firm in Canada for the same scope of services, we will match it immediately. Simply provide a verified quote.

How do I submit my tax documents?

We support completely secure digital uploads via our client portal, or you can email them to us. We support files from QuickBooks, Xero, Excel, and scan/photo documents.

How much of your work is with plumbers clients specifically?

Compilation engagements follow CSRS 4200, which requires a basis-of-accounting note describing exactly how the statements were prepared. Lenders read that note, and an omitted one is the fastest way to have a financing package sent back. We flag this early with every client it touches, because finding it out at filing time leaves you far fewer options than finding it out now.

What do new plumbers owners tend to get wrong in their first year?

There is a widespread assumption here, and the actual position is worth stating plainly. An expense is deductible where it was incurred to earn income and is reasonable in the circumstances. The business-use portion must be supported, which for vehicles means a logbook. The CRA rarely argues that an expense category is wrong; it argues that the proportion claimed was never substantiated. If your current setup was built on the assumption instead of the rule, that is fixable — but sooner is better than later.

Income tax starts once taxable income passes the basic personal amount, and a separate provincial or territorial amount applies on top, so the break-even point shifts every year with indexation and differs by where you live. Look up the current amounts on the CRA site or in the year's return package. Credits for tuition, disability, pension income or dependants push the point higher. Filing can still be worthwhile or required with no tax owing, for benefits and credits.

Start in My Account, My Business Account or Represent a Client, where balances, slips, returns, mail and secure messages already sit. For anything the portals cannot do, use the enquiries lines on the CRA's Contact the CRA page, which are toll-free within Canada, or write to the tax centre named on your notice. When the lines are busy the phone system sometimes offers an automated call-back instead of holding.

Different deductions, not different rules. Withholding follows the TD1 forms you filed, so a colleague claiming more credits, tuition or a disability amount has less tax taken off. Other causes are a different province of employment, a second job where each employer applies the basic personal amount, taxable benefits added to your pay, a higher salary reaching the next bracket, and pay-period timing. CPP and EI also stop at their annual maximums, which higher earners reach sooner.

A ratepayer is someone who pays municipal rates, meaning property taxes and local utility charges, on property they own or occupy. The municipality sets a rate against assessed value, bills the ratepayer, and funds local services from what it collects; ratepayer associations speak for owners in an area. Property tax is municipal and quite separate from income tax, though on a rental or business property it is generally deductible against that income.

Your purchase price does not set your property tax directly, but it becomes part of the sales evidence assessment authorities use to value comparable homes, so paying well above market can pull your assessment up at the next valuation. A private appraisal done for a mortgage or refinancing is not shared with the assessor and changes nothing on its own. The assessed value on your notice, times the municipal rate, is what drives the bill.
