Key Terms in Subcontractors Filing

T1 General
The personal income tax return individuals file with the CRA each year.
T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Subcontractors: Our Analysis

Subcontractors are the reported party rather than the reporter, and that is the whole risk. General contractors file T5018 slips showing what they paid you, and the CRA matches those slips to your reported revenue, so under-reporting is detected by cross-reference rather than by audit. Once your taxable revenue passes $30,000 over four consecutive quarters you must register for GST/HST and charge it; failing to means paying the tax you never collected out of your own margin.

Reading Between the Lines on Subcontractors

Think of these notes as the briefing a tax practitioner would give a colleague taking over a subcontractors file: not the rules themselves, which you can look up, but where the sector hides its traps and its openings.

The foundation is simple to state and easy to trip over: A small corporation still carries the full compliance set: T2, GST/HST, payroll, and the annual return with the incorporating jurisdiction. The annual corporate return is separate from the T2 and is the one most often forgotten, which can lead to administrative dissolution.

The next point is the one a tax practitioner checks before quoting any timeline: An expense is deductible where it was incurred to earn income and is reasonable in the circumstances. The business-use portion must be supported, which for vehicles means a logbook. The CRA rarely argues that an expense category is wrong; it argues that the proportion claimed was never substantiated.

Fixed fee agreed up front, sector-experienced preparation, and you pay after the work is reviewed.

Subcontractors: the tax rules that actually apply

Accounting for Subcontractors is a specialist job because the CRA treats this part of the construction sector differently. These are the rules that actually change the number at the bottom of the return.

What the CRA looks at

Holdbacks are not income until they become receivable under the applicable lien legislation, a timing rule that moves real tax between years when applied correctly.

A contractor treating crew as subcontractors without written agreements, their own tools and genuine business risk is the classic worker-classification reassessment in this sector.

What you can actually claim

GST/HST on materials is recoverable through input tax credits, but a contractor building residential housing for rental faces the self-supply rules and owes tax on fair market value at first occupancy.

Travel between the shop and a job site is business travel; travel from home to a regular site is generally personal, and the logbook is what separates the two.

The filing calendar that applies

T5018 information returns are due six months after the reporting period the contractor elects, and the election between calendar and fiscal basis should be made deliberately.

Progress billings follow the percentage-of-completion method for accounting, and the tax treatment tracks it, so month-end job costing feeds directly into the return.

The Benefits of Professional Construction Accounting

Bonding capacity depends on the financial statements a lender or surety sees, which is why the year-end presentation matters as much as the tax number.

Incorporating the equipment side separately from the contracting side limits liability and can move depreciation to where the income is, but the associated-corporation rules share one small business limit.

We apply all of this as part of the standard engagement for Subcontractors — there is no separate advisory fee, and the quote is fixed before any work begins.

Subcontractors: Straight Answers to Common Questions

Direct answers to what Canadian business owners actually ask before hiring an accountant.

Do subcontractors businesses need to register for GST/HST?

Registration is mandatory once taxable revenue exceeds $30,000 over four consecutive quarters. Registering voluntarily below that threshold is often worthwhile, because it lets you recover input tax credits on startup and equipment purchases.

Should I incorporate my subcontractors business?

Incorporation usually pays off once profit consistently exceeds what you draw personally, because retained earnings are taxed at the small business rate rather than your marginal rate. Below that point the added compliance cost often outweighs the benefit. We model both before you decide.

What records do subcontractors businesses need to keep?

The CRA requires six years of books and records from the end of the tax year they relate to: invoices, receipts, bank statements, payroll records and contracts. Digital copies are acceptable provided they are legible and complete.

How do you handle payroll for subcontractors businesses?

We run the cycle, remit source deductions on schedule, and issue T4s ahead of the February deadline. Late remittances draw a penalty of up to 10% and repeat lateness raises it to 20%, so timing is the whole game. See our payroll service.

Can you work with my existing bookkeeping software?

Yes. We work in QuickBooks, Xero, Wave, Sage, spreadsheets, and plain scanned documents. You are not required to migrate systems to become a client, and we never charge a conversion fee.

What if my subcontractors business operates in more than one province?

Multi-province operations allocate taxable income by permanent establishment and payroll, and sales tax rules differ by jurisdiction. We handle the allocation schedules and the differing GST, HST, PST and QST obligations in one engagement.

When should a subcontractors business register for GST/HST?

Registration becomes mandatory once taxable supplies pass $30,000 over four consecutive calendar quarters, and the obligation starts almost immediately rather than at the next year-end. Registering voluntarily below that threshold is often worthwhile when you are buying equipment, because it makes the tax on those purchases recoverable.

How long does the CRA expect a subcontractors business to keep records?

Six years from the end of the tax year the records relate to. That covers invoices, receipts, bank statements, payroll records and the working papers behind the return. Records supporting the purchase of a capital asset must be kept six years past the year the asset is finally sold.

What does "Pay After Service" mean?

Our Pay After Service model means you review and approve all deliverables before making any payment. We prepare your returns or financial files, you review them, and only then do you pay. This ensures 100% satisfaction.

How does price matching work?

If you find a lower verified quote from another Accounting Firm in Canada for the same scope of services, we will match it immediately. Simply provide a verified quote.

How do I submit my tax documents?

We support completely secure digital uploads via our client portal, or you can email them to us. We support files from QuickBooks, Xero, Excel, and scan/photo documents.

How is preparing a return for a subcontractors business different from a general business return?

The honest answer comes down to one rule. A fiscal year-end cannot be changed by simply closing the books on a new date; subsection 249.1(7) requires the CRA’s concurrence. The short transitional period is a tax year in its own right and needs its own return and its own statements. That is the part we verify before anything is filed.

Do businesses in subcontractors need a different kind of bookkeeping setup?

In our files, this is the deciding factor: Capital cost allowance is permissive, not mandatory. A corporation can claim less than the maximum in a low-income year and leave the undepreciated capital cost in the pool for a year when the deduction is worth more, provided the schedule carries that decision forward consistently. An income tax specialist applies it to your numbers before submission.

Commonly Searched Subcontractors Questions

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

EI benefits are taxable income. Service Canada withholds income tax before each payment reaches you, and the total benefits plus the tax withheld appear on your T4E for the year. That withholding follows a basic calculation rather than your full marginal rate, so people who also worked during the year often end up with a balance owing at filing. Asking Service Canada to withhold more, or setting money aside yourself, avoids a surprise. Higher-income claimants can also have to repay part of their regular benefits through the return.

Most municipalities do not take credit cards for property tax directly. They accept pre-authorised debit, online or telephone banking, cheque, and in-person payment. Third-party payment processors will charge a property tax bill to a card for a service fee, which normally costs more than the rewards earned. The CRA works the same way for income tax and GST/HST: no direct card payment, but authorised third-party providers accept cards for a fee.

Property tax is an annual charge a municipality levies on real estate to fund local services such as roads, water, policing, fire and schools. A provincial assessment authority values the property, council sets a tax rate in its budget, and the bill is the assessed value multiplied by the rate for your property class. Unpaid amounts stay attached to the property itself. It is separate from income tax, so the city bills it, not the CRA.

No. The fuel charge applies to fuels, not tobacco. Cigarettes carry federal excise duty, a provincial or territorial tobacco tax, and GST or HST on the shelf price, which is why tax makes up most of what you pay. Duty and tobacco tax rates move with budgets and some federal rates are adjusted annually, so check the CRA excise duty rates page and your province's tobacco tax page rather than an older figure.

Zoning matters because assessment and taxation follow a property's classification and actual use. Residential, multi-residential, commercial, industrial and farm classes carry different municipal rates, so rezoning or a genuine change of use can move a property into a class taxed differently. Assessed value can also reflect development potential permitted by the zoning. Ask your municipality and your provincial assessment authority what a rezoning would do to the class and the bill before you apply.

Selling a home is not automatically taxable, but every sale must be reported on your return. If it was your principal residence for all the years you owned it, the gain is usually fully exempt; otherwise the taxable portion is a capital gain, included at one-half (50%) for 2025 and 2026. What you do with the proceeds does not change the tax on the sale itself, though moving cash into a TFSA, RRSP or FHSA shelters future growth within your available room.
