The Vocabulary Behind Ottawa Tax Filing

T1 General
The personal income tax return individuals file with the CRA each year.
T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Ottawa: Our Analysis

Ottawa's economy is unusually weighted toward independent consultants contracting to the federal government and to a small number of large technology employers. That concentration creates a specific and expensive risk most Ottawa incorporations underestimate: the personal services business (PSB) rules. A one-person corporation that works substantially like an employee of a single client can be reassessed as a PSB, which removes the small business deduction and denies most ordinary business expense deductions. Structuring the contract, client mix and corporate substance correctly matters far more in Ottawa than in most Canadian cities.

Things We've Learned Doing Ottawa Work

We file for Ottawa businesses week in, week out, and the same handful of questions keeps arriving in our inbox. What follows are the working notes an income tax specialist keeps for exactly those questions.

Every Ontario engagement starts with the same confirmation. Ontario uses a single 13% HST administered by the CRA, so you file one combined return rather than separate federal and provincial ones. Once a Ottawa client's collection and remittance are set up to match, the rest of the file tends to behave.

If you incorporate in Ontario, this is the fact to keep taped above the desk. Ontario applies a 3.2% small business rate on the first $500,000 of active business income, giving a 12.2% combined federal-provincial rate. It quietly directs the remuneration mix, purchase timing, and retained-earnings decisions that make up real year-end planning. It shapes how we scope every Ottawa file.

The payroll question we field most from growing Ottawa companies is not about deductions — it is about the provincial levy. Employer Health Tax (EHT) applies above a $1,000,000 annual payroll exemption for eligible employers. Where your headcount and payroll are heading decides how soon this matters to you.

Provincial credits are the most commonly unclaimed money we see: Ontario Innovation Tax Credit, Ontario Made Manufacturing Investment Tax Credit, Ontario Regional Opportunities Investment Tax Credit are all worth a look in an eligible year. Ottawa clients feel this one directly on the first return we file together.

The Ottawa roster a tax preparation specialist carries reads like the local economy: finance, professional services, manufacturing, technology and healthcare. That concentration is useful — it means the judgment calls on your file have been made many times before, on files that look like yours.

You do not need an office visit to get any of this done. Files move securely, the fixed fee is the same whether you are in Ottawa or on the other side of the country, and you see the completed return before a dollar changes hands.

Corporate tax and accounting in Ottawa

Ottawa's economy runs on federal government contracting, a deep technology sector, and the bilingual professional-services firms that support both. The tax profile here is less about inventory and more about credits and deadlines.

Ottawa's software and hardware companies frequently perform work that qualifies for Scientific Research and Experimental Development (SR&ED) tax credits, but the claim has a hard deadline of twelve months after the T2 due date, with no relief for a late filing. We document eligible work contemporaneously so the claim survives a CRA review rather than being reconstructed a year later.

Government contractors scaling their headcount are the other common file: as payroll grows, the source-deduction remittance frequency changes, and missing the new deadline draws penalties. As an Ontario business you file the federal T2 with no separate provincial return, but EHT and WSIB still apply. We keep the SR&ED, instalment and remittance dates on one calendar so nothing slips.

What Clients Ask Us About Ottawa Tax Filing

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does a tax accountant in Ottawa cost?

Corporate tax filing starts at $90 and monthly bookkeeping at $10, the same fixed rates we charge nationally. Ottawa businesses pay no location premium, and the quote is agreed before work starts. See the full pricing breakdown.

Do I need to meet my Ottawa accountant in person?

No. Everything runs through a secure portal with e-signatures, so documents never travel by mail and nothing is lost in transit. Clients across Ottawa complete an entire filing without a single in-person meeting, though calls are always available.

Which tax deadlines apply to Ottawa businesses?

Corporate T2 returns are due six months after your fiscal year-end, with any balance owing payable within two or three months depending on your CCPC status. Personal T1 returns are due April 30, and June 15 for the self-employed. GST/HST depends on your filing frequency.

Can you handle both my corporate and personal returns?

Yes, and doing both together is where most of the planning value sits. Salary-versus-dividend mix, shareholder loans and RRSP room interact across the two returns, and treating them separately is how owners overpay. Explore all our services.

What if my books are behind by several years?

That is routine work for us. We rebuild the ledger year by year, file the outstanding returns in sequence, and where eligible apply to the CRA's Voluntary Disclosures Program to reduce penalties and interest.

Are you taking on new clients in Ottawa?

Yes, we are actively taking on new corporate and personal clients in Ottawa, including mid-season transfers from another accountant. Transferring is straightforward and we request the prior files on your behalf.

What industries do you serve in Ottawa?

Construction, healthcare and medical practices, restaurants, e-commerce, real estate, transportation, professional services, technology startups and registered non-profits. Each carries a distinct deduction profile. See our industry specialisms.

How do I switch to your firm from my current accountant?

Tell us who currently holds your files and we handle the professional handover, including requesting working papers and prior-year returns. There is no gap in your compliance and no awkward conversation required on your side.

What is the deadline for filing corporate taxes in Ottawa?

In Ottawa, corporate tax returns (T2) are due within six months of the corporation's fiscal year-end. If you owe tax, the balance must be paid within 2 or 3 months of the year-end.

How much do tax accountants in Ottawa charge?

Our personal tax filing services in Ottawa start from $25, and corporate tax returns start from $90, offered under our 100% Risk-Free price match guarantee.

Does your accounting firm handle CRA audits for clients in Ottawa?

Yes! We provide direct CRA audit defense and representation services for businesses and individuals throughout Ontario and across Canada.

Where is your Ottawa office located?

Our Ottawa office is at 150 Elgin St, Ottawa, ON K2P 1L4. Documents can also be exchanged on secure cloud software and signed electronically, so a visit is never required to get your filing done.

What do Ottawa businesses need to know about sales tax?

Ontario uses a single 13% HST administered by the CRA, so you file one combined return rather than separate federal and provincial ones. That is the backdrop for every Ottawa engagement we take on.

How is an incorporated business taxed in Ontario?

Ontario applies a 3.2% small business rate on the first $500,000 of active business income, giving a 12.2% combined federal-provincial rate. It is the first thing we walk Ottawa owners through.

Commonly Searched Ottawa Questions

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

An Ontario resident pays federal tax of 14% to 33% for 2026 plus a separate Ontario calculation on the same taxable income, so your combined marginal rate is the federal rate for your band added to the Ontario rate for its band. Ontario also layers surtaxes onto the provincial portion at higher incomes and collects the Ontario Health Premium through the return. Take the current Ontario bracket, surtax and premium figures from the CRA's Ontario tax page.

13%. Toronto levies no sales tax of its own, so a purchase in the city carries Ontario's 13% HST for 2026, made up of the 5% federal GST and 8% provincial share, with no municipal add-on. The city does charge a municipal land transfer tax on real estate, on top of the provincial one, and an accommodation levy on hotel and short-term stays, but neither touches everyday shopping. Zero-rated and exempt supplies can leave a receipt showing less.

The Ontario Trillium Benefit is issued monthly on a schedule the CRA publishes in advance, unless your yearly entitlement is small enough that it is paid as a single amount instead. The Canada child benefit and the GST/HST credit run on their own dates. Check the CRA benefit payment dates page or My Account for the next deposit. Payments can pause if your return for the prior year has not been filed and assessed, so file on time.

A deposit labelled Canada Pro in Ontario is normally the Ontario Trillium Benefit, which bundles the Ontario energy and property tax credit, the Northern Ontario energy credit and the Ontario sales tax credit. One labelled Canada FED is a federal payment such as the GST/HST credit or the Canada workers benefit. Both are calculated from your filed T1, so file every year even with no income. Sign in to CRA My Account to see exactly what was paid and why.

Unpaid municipal property taxes attach to the property itself, not to the former owner, so the municipality can pursue whoever holds title and ultimately sell for arrears. That is why a tax certificate is ordered before closing and any arrears are settled through the statement of adjustments. Income tax the seller owes personally does not transfer, though buying from a non-resident brings withholding duties for the buyer. Raise both points with your real estate lawyer.

Ontario applies 13% HST to mobile service, so a $60 plan bills at $67.80. The tax covers the monthly fee, overage, roaming within Canada, device instalment charges and most add-ons, and a handset bought outright carries 13% as well. Regulatory and service fees on the invoice are generally taxed the same way. A business registered for GST/HST can claim input tax credits on the share of the bill used for commercial activity, so keep the itemised invoice.

Multiply the pre-tax price by the rate for the province where the customer receives the goods or service, then add that to the price. Ontario is 13%; New Brunswick, Newfoundland and Labrador and Prince Edward Island are 15%; Nova Scotia is 14% from 1 April 2025. So a $100 Ontario sale is billed at $113. Show the tax separately with your registration number so a registered customer can claim it back.

Tolls for the use of a road or bridge are not charged GST/HST, so the toll portion of a 407 statement carries no tax. Other charges on the same statement can be taxable, including transponder rental, account and administration fees, and the statement itemises any tax that was applied. A business claiming an input tax credit can only claim tax actually shown on the invoice, so read the statement rather than estimating.

Property tax is an annual charge a municipality levies on real estate to fund local services such as roads, water, policing, fire and schools. A provincial assessment authority values the property, council sets a tax rate in its budget, and the bill is the assessed value multiplied by the rate for your property class. Unpaid amounts stay attached to the property itself. It is separate from income tax, so the city bills it, not the CRA.

If you owe nothing, there is no late-filing penalty, but benefits and credits can be delayed. If you owe, the penalty is 5% of the unpaid balance plus 1% for each full month the return is late, to a maximum of 12 months. Interest also runs on the balance from the day after it was due. Repeat late filers who receive a formal demand face a higher penalty. File as soon as you can, even if you cannot pay.

Only if you are authorised first. The CRA will not discuss an account with anyone who is not on file as a representative, even a spouse or adult child. The taxpayer can add you online through My Account, or you can submit an AUT-01 with their signature. For someone who cannot sign, the CRA needs legal documents such as a power of attorney or estate paperwork. Authorisation can be limited to view-only access.

Start with the notice itself and match each line to your slips, to confirm the error is the CRA's and not a slip you missed. Straightforward corrections can be handled by phone or through change my return in My Account. If you disagree with the assessment itself, file a notice of objection by the deadline printed on the notice. Service problems, such as wrong information or long delays, go to the CRA's service feedback process instead.
