GST/HST Account Setup: Our Analysis

Registration becomes mandatory once taxable supplies pass $30,000 over four consecutive calendar quarters. Because the fee is fixed and budget-friendly, the economics stay predictable whether your file is simple or messy.

GST/HST Account Setup: Notes From Our Practice

Good gst/hst account setup work is mostly about sequencing: which questions to settle before which. These notes lay out the sequence an accountant follows on GST/HST Account Setup engagements.

Start with the rule that decides most files: Registration is mandatory once taxable supplies pass $30,000 over four consecutive calendar quarters. Input tax credits require documentation that scales with invoice size. Unmatched input tax credits are the first thing disallowed in a sales-tax review, and the assessment covers every period reviewed.

It would be simpler if the story ended there, but a second rule enters almost immediately. The rate charged follows the customer's province, not the seller's: 13% into Ontario, 15% into New Brunswick, Newfoundland and Labrador and PEI, 14% into Nova Scotia (since 1 April 2025), 5% plus provincial tax elsewhere. A seller charging its own province's rate nationally is under-collecting on some sales and over-collecting on others, and owes the difference on the under-collected ones. One more rule deserves attention, mostly because ignoring it is expensive in ways that only show up later. British Columbia, Saskatchewan and Manitoba run their own sales taxes alongside GST, filed separately, and unlike GST they are generally not recoverable as input credits. Businesses expanding into a PST province routinely register late, and the province assesses from the date the obligation started, not the date of registration.

None of this is exotic — but each point has to be applied to your facts, which is exactly what you are paying an accounting firm to do. To move quickly, have your ledger exports, bank statements and prior filings ready when we start.

The fee is fixed and agreed before any work starts, you review every figure, and payment happens only after the work is done.

Case Study 1

Reorganisation Completed Tax-Deferred, $19,000 Saved Each Year — Exempt-Supply Clinic, Saskatoon

A health clinic making exempt supplies in Saskatoon, Saskatchewan had outgrown its structure. The visible cost was HST charged at the home-province rate on sales into four different provinces. The reorganisation completed tax-deferred and saves $19,000 a year.

A health clinic making exempt supplies in Saskatoon, Saskatchewan had outgrown the structure it started with. HST charged at the home-province rate on sales into four different provinces was the immediate problem. The longer-term one was that the structure blocked the next step. We mapped the current structure and modelled the target. Then we rebuilt the sales ledger by customer province and applied the correct place-of-supply rate to each stream. We filed corrected returns before the CRA opened a review. The tax-deferred elections were filed on time and the supporting valuations documented. The reorganisation completed without triggering tax, and the new structure saves approximately $19,000 a year while removing the exposure the old one carried.

Case Study 2

Filed On Time From A Standing Start, $64,000 Penalty Avoided — Late GST/HST Registrant, Windsor

A seller who crossed the registration threshold before registering in Windsor, Ontario was 4 weeks from a deadline. The file also carried a sales tax account filed annually while the CRA had moved the business to quarterly. Filing complete and on time avoided roughly $64,000 in penalties.

A seller who crossed the registration threshold before registering in Windsor, Ontario came to us 4 weeks before its filing deadline. The file came with a sales tax account filed annually while the CRA had moved the business to quarterly. A late filing would have triggered a penalty of roughly $64,000 before interest. We worked backwards from the deadline. We brought the nil and missing periods current so the account was clean before the refund claim was filed. We prioritised the items that actually gated the filing and deferred everything that did not. The return was filed on time and complete. The $64,000 penalty never arose, and the compliance calendar we set means the next deadline is scheduled rather than discovered.

Case Study 3

Remittance Schedule Corrected, $19,000 Refunded — Mixed-Use Landlord, Vancouver

Remittances at a residential landlord also renting commercial space in Vancouver, British Columbia were chronically late. It came down to a registration threshold crossed nine months before anyone registered. Fixing the schedule refunded $19,000.

Remittances at a residential landlord also renting commercial space in Vancouver, British Columbia were consistently late by a few days. That was enough to trigger penalties every quarter. Behind it sat a registration threshold crossed nine months before anyone registered. We filed the section 156 election for the related registrants, so supplies between them stopped carrying tax that served no purpose but cash-flow drag. Then we moved the remittance dates into a scheduled process rather than a monthly decision. Penalties stopped from the following remittance onwards, and $19,000 of overpaid instalments was refunded.

Case Study 4

Growth Handled Without A Missed Filing, $56,000 Freed — Mixed-Supply Practice, London

A professional practice with exempt and taxable supplies in London, Ontario was scaling. The growth exposed management fees between two related registrants carrying tax that only ever went out and came back. The back office was rebuilt to match, freeing $56,000.

A professional practice with exempt and taxable supplies in London, Ontario was opening in a second province. That meant different filing obligations and a different payroll regime. Management fees between two related registrants carrying tax that only ever went out and came back already sat in the file. We set a defensible input tax credit allocation between taxable and exempt supplies and documented the method for future filings. We then put monthly reporting in place. That let the owner see the cash effect of growth while there was still time to act on it. Growth was absorbed without a compliance failure. $56,000 of cash was released, and the monthly reporting now flags a problem while it is still small.

Case Study 5

$48,000 Credit Claim Filed And Accepted Without Adjustment — US-Bound Exporter, Moncton

A manufacturer exporting to the US in Moncton, New Brunswick had never tested its work against the eligibility rules. The resulting $48,000 claim was accepted without adjustment.

A manufacturer exporting to the US in Moncton, New Brunswick assumed the credits did not apply to a business its size. HST charged at the home-province rate on sales into four different provinces meant they had applied all along. We identified the qualifying activity and built the documentation to support it. Then we backdated the registration to the date the business stopped being a small supplier, remitted the tax owing, and applied for relief on the penalty portion. $48,000 recovered. Because the eligibility analysis is on file, the same claim can be repeated each year with a fraction of the effort.

Case Study 6

7 Years Filed, $91,000 Removed From The Assessed Balance — Freight Brokerage, Mississauga

7 years of returns were outstanding at a freight brokerage in Mississauga, Ontario. That came on top of a commercial property purchase closed on the assumption no tax applied because the vendor was not registered. Filing on real numbers removed $91,000 of assessed tax.

A freight brokerage in Mississauga, Ontario had not filed for 7 years. The CRA had issued arbitrary assessments. The business was carrying a commercial property purchase closed on the assumption no tax applied because the vendor was not registered. That came on top of a growing interest balance. We started with the oldest year and worked forward so each year's closing balances fed the next. We tested the quick method against the account’s actual input tax credit history and stayed on the regular method where the credits were worth more. We filed the years in sequence rather than all at once. Every year is now filed and assessed on actual figures. The notional assessments were vacated and $91,000 of the estimated balance came off, with a payment arrangement covering the rest.

Common Questions Before Starting GST/HST Account Setup Work

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does GST/HST Account Setup cost in Canada?

GST/HST Account Setup starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for GST/HST Account Setup?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does GST/HST Account Setup take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for GST/HST Account Setup?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes GST/HST Account Setup different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in GST/HST Account Setup services?

Our gst/hst account setup services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with GST/HST Account Setup services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

How is your approach to gst/hst account setup different from doing it through software?

Place-of-supply rules decide the rate: for most services it follows the customer’s address on file. A supplier in a 5% GST province can therefore owe 15% HST on a sale to Atlantic Canada. That is the part most owners have not heard before they sit down with us, and it usually changes what they do next.

Is gst/hst account setup something I can catch up on if I have fallen behind?

We get this one a lot, and the answer is more concrete than people expect. Registration becomes mandatory once taxable supplies exceed $30,000 in a single calendar quarter or over four consecutive quarters. Exceeding it in one quarter makes the sale that crossed it taxable. Over four quarters, you stop being a small supplier at the end of the month after the fourth quarter. Bring your documents and we will show you where it lands in your numbers.

Sales tax in British Columbia totals 12% for 2026: the 5% federal GST plus 7% provincial sales tax. BC is not harmonised, so the two run separately, with GST registered and filed with the CRA and PST with the province. A $100 taxable sale carries $5 GST and $7 PST. PST has its own exemptions, including most food for human consumption, so some sales take the 5% GST only.

Sales tax in British Columbia totals 12% for 2026: the 5% federal GST plus 7% provincial sales tax. Both are calculated on the pre-tax price, so they do not compound. PST has a wider list of exemptions than GST, so many receipts show only 5%, while a few items go the other way and carry a PST rate above the general 7%, liquor and passenger vehicles among them, so check the BC rate that applies to the item. Income tax is separate.

GST in British Columbia is 5% for 2026, the same federal rate as everywhere in Canada and unchanged since 1 January 2008. BC also charges a separate 7% provincial sales tax, so most taxable sales come to 12% in total. The two are separate systems: GST is registered and filed with the CRA, PST with the province, and some goods and services are exempt from PST while the 5% GST still applies.

Multiply the price by the tax rate written as a decimal, then add that result to the price. The quicker version is to multiply the price by one plus the rate in decimal form, which produces the total in a single step. Use the combined rate for the province where the sale takes place, because the place of supply is what sets the rate. Look the current rate up first, since the provincial portion is not the same across the country.

For the 2025 personal tax year the balance is due 30 April 2026, even if you are self-employed and file by 15 June 2026. Employees pay through payroll deductions across the year, while the self-employed and people with investment income may owe quarterly instalments. A corporation's balance is due two months after year end, or three months for an eligible CCPC claiming the small business deduction. Interest runs from the day after the due date.

It asks which kind of tax identifier you are giving. An individual normally uses a social insurance number, while a non-resident without one uses an individual tax number. A business or corporation uses its business number, with a programme account added for payroll, GST/HST or corporate tax. A trust uses its trust account number. Choose the type that matches the taxpayer named on the form, because the CRA matches filings and payments on that number.

Use your marginal rate for decisions about the next dollar: an RRSP contribution, a bonus, extra self-employed work, or realising a capital gain. It is the combined federal and provincial rate on income in your top bracket. Use your effective, or average, rate to understand your overall burden, which is total tax divided by total income. Federal brackets for 2026 start at 14% and rise through 20.5%, 26% and 29% to 33%.

No. British Columbia exempts books from PST, so a printed book normally carries only the 5% GST. The exemption is aimed at printed books carrying an International Standard Book Number, and newspapers and qualifying magazines get similar treatment. Audiobooks, e-books and digital subscriptions are handled differently, so check the province's PST exemption bulletin for those. The GST still applies either way, and no provincial tax is added at the till.

Telecommunications services are taxable, so the bill carries 5% GST plus whatever provincial tax applies where the service is supplied: 7% PST in British Columbia, 6% in Saskatchewan, or the provincial part folded into HST at 13% in Ontario and 14% in Nova Scotia since 1 April 2025. Alberta and the territories see only the 5% GST. A business can recover the GST or HST portion as an input tax credit; PST is not recoverable.

There is no general rebate cheque. The closest thing is refundable credits, and you only get them by filing. The GST/HST credit, the Canada child benefit, the Canada workers benefit and provincial credits are all calculated from your assessed return. One-off relief payments are announced from time to time, so check the CRA's benefits and credits page for what applies to the current year. Filing on time keeps payments from being interrupted.

File a normal T1. EI benefits are taxable and arrive on their own slip, so report them with any employment income earned before the job ended, severance, and any RRSP withdrawals you made. Tax withheld on EI is often less than the tax due, so a balance can be owing. Moving expenses may be claimable if you relocated for work. Filing also keeps credits and benefit payments flowing, so file even for a low-income year.

Yes. Candy and confectionery sit outside the basic groceries rules, so chocolate bars, boxed chocolates, candy and chocolate-coated snacks are taxable at your province's GST or HST rate. Baking ingredients are treated differently: unsweetened cocoa powder and baking chocolate sold as ingredients are generally zero-rated. Portion size also matters, because snack foods sold as single servings are taxed where a larger pre-packaged multi-pack may not be. The CRA's basic groceries guidance lists each category.
