Non-Profit Accounting Services: Our Analysis

Public service bodies can usually recover a meaningful share of GST/HST through rebates even without being registrants. Our non-profit accounting services engagement is priced as a pocket-friendly flat fee, so the cost is known before the work starts.

From the Desk of Your Tax Services Provider

No two non-profit accounting services files are identical, but the rules that govern them are stable. A tax services provider who works with Non-Profit Accounting Services weekly keeps returning to the same anchors, and they are set out below.

The first thing we verify on every engagement: Public service bodies can recover a meaningful share of GST/HST through the PSB rebate even when they are not registrants. The rebate percentage varies by activity and province.

The detail that surprises most owners comes next. Donation receipts must contain every element prescribed by the regulations. A receipt missing the registration number or the CRA website address is invalid, and the CRA can penalise the charity for issuing it. On the record-keeping side, one rule governs what must be kept and what must be shown: A charity must meet its disbursement quota each year based on the value of property not used in charitable activities. A shortfall has to be made up or explained.

What this means for you: the value in non-profit accounting services is not the filing itself, it is having a tax services provider apply these rules to your numbers before anything is submitted. To move quickly, have your ledger exports, bank statements and prior filings ready when we start.

The last note is about how we work rather than the rules: every engagement comes with a fixed fee agreed up front, a review with you before filing, and payment after — not before — the service.

Non-Profit Accounting Services Tax & Accounting Case Studies

See how our expert Non-Profit Accounting Services tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

Books Rebuilt From Source, $20,000 In Unclaimed Input Tax Found — Community Sports Association, Mississauga

The ledger at a community sports association in Mississauga, Ontario could not support its own filings. The reason was GST/HST paid on everything with no public service body rebate ever claimed. Rebuilding it surfaced $20,000 in unclaimed input tax.

A community sports association in Mississauga, Ontario could not answer basic questions about its own numbers. GST/HST paid on everything with no public service body rebate ever claimed sat between the bank statements and the ledger. We calculated and claimed the public service body rebate for every open period, recovering tax the organisation had been absorbing. We then documented the process so the work does not depend on any one person remembering how it was done. Records rebuilt and reconciled, $20,000 recovered in input tax credits that the old file could not support, and a documented monthly process now in place.

Case Study 2

$74,000 Of Penalties And Interest Cancelled On Relief — Receipting Charity, London

A charity issuing donation receipts to individual donors in London, Ontario was carrying $74,000 of penalties and interest. The charges arose from a T3010 filed eleven months after year-end for the third year running. A relief application cancelled that amount.

An assessment of $74,000 landed at a charity issuing donation receipts to individual donors in London, Ontario following a desk review. It turned on a T3010 filed eleven months after year-end for the third year running. The auditor had not seen the records behind it. We reclassified restricted contributions under the deferral method so revenue matched the year the funds were actually spent. We then set out the legislative basis for the position alongside the documents supporting it. $74,000 of penalties and interest was cancelled under the taxpayer relief provisions, and the underlying assessment was adjusted to match the filed position.

Case Study 3

$103,000 Reassessment Reduced To Nil On Review — Member Association, Moncton

A $103,000 reassessment was proposed against a professional member association in Moncton, New Brunswick. It followed surplus accumulating year after year with no resolution recording what it was being held for. The documented response reduced it to nil.

A review notice arrived at a professional member association in Moncton, New Brunswick, covering non-profit accounting services for two tax years. The auditor's working position was an adjustment of $103,000. It was driven by surplus accumulating year after year with no resolution recording what it was being held for. Rather than negotiate, we rebuilt the record. We papered the grant with written accountability terms, reporting milestones and a right to recover anything unspent. We then submitted a point-by-point response that answered each proposed adjustment with the document behind it. The auditor accepted the documented position and closed the review without adjustment, protecting $103,000 and leaving the prior filings undisturbed.

Case Study 4

11-Week Turnaround Beat The Deadline And Saved $98,000 — Two-Program Charity, Edmonton

An 11-week rebuild at a registered charity with two program streams in Edmonton, Alberta got the filing in with 21 days to spare. That avoided $98,000 in penalties.

A registered charity with two program streams in Edmonton, Alberta was weeks away from the deadline for non-profit accounting services. Behind that sat program funds granted to a group that was not a qualified donee, with nothing on file about how the money was to be used. The exposure if the date slipped was around $98,000. We separated the charitable program activity from the revenue-generating activity in the accounts, so each was reported on the schedule it belonged in. The filing went in complete rather than provisional, so there was no amended return to follow. Filed with 21 days to spare. $98,000 in late-filing penalties avoided, and the working papers are ready for the following year.

Case Study 5

Incentive Review Recovered $16,000 Across 6 Open Years — Restricted-Fund Charity, Burnaby

An incentive review at an environmental charity with restricted funds in Burnaby, British Columbia recovered $16,000 across 6 open years. It found surplus accumulating year after year with no resolution recording what it was being held for.

An incentive review at an environmental charity with restricted funds in Burnaby, British Columbia started from a simple question: what has never been claimed? The answer ran to 6 years. It was driven by surplus accumulating year after year with no resolution recording what it was being held for. We reissued compliant donation receipts and rebuilt the receipting template against the regulation requirements. We documented eligibility to the standard a reviewer would apply rather than the standard a claim form requires. The credits produced $16,000 across the open years. The tracking now in place means the following year's claim is documented as the work happens rather than reconstructed afterwards.

Case Study 6

Scaled To 15 Staff With $92,000 Of Working Capital Freed — Religious Congregation, Barrie

Growth at a religious congregation in Barrie, Ontario had outrun the back office. A disbursement quota shortfall discovered during a CRA charity audit broke first. Headcount reached 15 with $92,000 of cash freed.

A religious congregation in Barrie, Ontario was growing fast, with headcount reaching 15 in eighteen months. The back office had not kept up. A disbursement quota shortfall discovered during a CRA charity audit was the first thing to break. We stopped the receipting immediately and wrote to donors setting out which contributions were and were not eligible for a credit. We built the compliance calendar for the size the business was becoming rather than the size it had been. The business reached 15 staff with no missed remittance and no late filing. $92,000 of working capital was freed in the process.

Questions Non-Profit Accounting Services Clients Ask, With Our Answers

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Non-Profit Accounting Services cost in Canada?

Non-Profit Accounting Services starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Non-Profit Accounting Services?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Non-Profit Accounting Services take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Non-Profit Accounting Services?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Non-Profit Accounting Services different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Non-Profit Accounting Services?

Our non-profit accounting services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Non-Profit Accounting Services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What records should I gather before starting non-profit accounting services?

A tax advisor answers this differently than a search engine, because the rule has edges. The CRA requires business records to be kept for six years from the end of the tax year they relate to, in a form that allows the return to be verified. Where records cannot support the return, the CRA is entitled to assess on its own estimate — and the burden of disproving that estimate falls on the taxpayer. Where your business sits relative to those edges is what we establish in the first meeting.

How is your approach to non-profit accounting services different from doing it through software?

Let us give you the substance first and the caveats second. The late-filing penalty is 5% of the balance owing plus 1% for each full month late, to a maximum of twelve months. A second late filing within three years doubles both figures. The penalty is calculated on the balance owing, so a late return with nothing owing costs nothing — which is why filing on time matters even when you cannot pay. The caveat is simply that facts on your file can shift the outcome, so treat this as the baseline rather than the final word.

Searched Questions About Non-Profit Accounting Services

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Multiply the pre-tax price by the rate for the province of supply. On a $100 purchase in 2026 that is $13.00 in Ontario (13%), $14.00 in Nova Scotia (14%), and $15.00 in New Brunswick, Newfoundland and Labrador or Prince Edward Island (15%). In the non-participating provinces and the three territories only the 5% GST applies, so $5.00, plus any provincial sales tax billed separately.

A TD1 Personal Tax Credits Return tells your employer which personal credits to build into your income tax withholding, so the right amount comes off each pay. You normally complete a federal TD1 and a provincial or territorial TD1 when you start a job. File a fresh pair whenever your situation changes, for instance a new dependant, tuition, or a second employer, where you should not claim the basic personal amount twice.

Canada uses a basic personal amount rather than an exemption. For 2026 it is $16,452, tapering to $14,829 as net income runs from $181,440 to $258,482. It works as a non-refundable credit, so income up to that level attracts no federal tax, and each province sets its own equivalent amount. Separately, CPP contributions for 2026 ignore the first $3,500 of pensionable earnings; that basic exemption belongs to payroll, not to income tax.

Divide the total by one plus the rate. At Ontario's 13% in 2026, a $113 tax-included total is $113 divided by 1.13, or $100 before tax and $13 of HST. Use 1.14 in Nova Scotia, 1.15 in New Brunswick, Newfoundland and Labrador and Prince Edward Island, and 1.05 where only the 5% GST applies. Multiplying the total by 13 over 113 gives the Ontario tax directly.

Exemptions come from specific rules, never from status alone. Registered charities and qualifying non-profits are exempt from income tax on their activities because Parliament chose to support that work. Income earned on a reserve by a person registered under the Indian Act is exempt. Diplomats get relief under international agreements. Most people who pay nothing are not exempt at all: their credits, starting with the basic personal amount, simply cover their income, and they still have to file.

Line 43500 is your total payable. Add net federal tax from line 42000, your provincial or territorial tax, CPP contributions payable on self-employment and other earnings, any EI premiums on self-employment income, and any social benefits repayment. That total is what you owe before credits for tax already paid; subtracting your total credits gives the refund or balance owing at the end of the return.

The CRA does not usually move a due date, but you can ask for a payment arrangement that spreads the balance over time. Interest keeps running while you pay. Apply through My Account, My Business Account, or the CRA's debt management call centre. Where interest or penalties arose from circumstances beyond your control, ask for relief using form RC4288. British Columbia's property tax deferment program is a separate provincial scheme with its own application.

Usually yes, if you are not registered. Non-resident digital suppliers such as ad networks and software subscriptions must register under CRA's digital economy rules and charge GST/HST to Canadian customers who are not registered themselves. If you give the platform a valid GST/HST number, it generally stops charging the tax and you account for it yourself where the rules require. Tax charged on genuine business purchases is normally recoverable as an input tax credit once you are registered.

Charge HST only once you are registered. Show the subtotal, then the tax on its own line, then the total; in Ontario that line is 13% of the subtotal for 2026. The invoice must carry your GST/HST registration number, the date, and enough description for the customer to claim an input tax credit. Bill at the rate of the province where the customer receives the supply, not where you happen to be based.

A T4A reports amounts that are not employment income, such as pension or annuity payments, certain benefits and fees paid for services to someone who is not your employee. Payroll slips for a calendar year are due to the recipient and to CRA by the end of February following that year. Employment income belongs on a T4 instead, where controlled tips paid through the business are included; tips a customer hands directly to staff are not, but the employee still reports them.

Non-profits pay GST/HST on most of what they buy, and many also have to charge it on what they sell. Being a non-profit is not a GST/HST exemption in itself. Registration turns on whether the organisation makes taxable supplies above the small-supplier threshold that applies to public service bodies, and several kinds of supply made by non-profits are exempt, which keeps them outside that test. Some non-profits also qualify for a public service body rebate of tax they cannot otherwise recover.

Not by default. Property tax is governed by provincial legislation and municipal bylaws rather than by the CRA, so any exemption depends on where the property sits and how it is used. Places of worship, certain charitable and educational uses and some seniors housing commonly qualify, and many municipalities offer partial rebates to registered charities that lease space. Exemption is rarely automatic: you usually have to apply, and reapply, with evidence of use and status.
