Words That Come Up in Trial Balance Preparation and Review Work

T1 General

T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Trial Balance Preparation and Review: Our Analysis

CRA reviews are won on documentation: every figure filed should trace to a source document, and deadlines — 90 days for an objection — are unforgiving. Compilation engagements now follow CSRS 4200, which sets out the basis-of-accounting note every lender expects to see attached to the statements. We quote trial balance preparation and review as one budget-friendly fixed price — the budget-friendly alternative to hourly billing.

Reading Between the Lines on Trial Balance Preparation and Review

Before you hand trial balance preparation and review to anyone, it is worth knowing what the work actually turns on.

The foundation is simple to state and easy to trip over: Capital cost allowance is permissive, not mandatory. A corporation can claim less than the maximum in a low-income year. It can leave the undepreciated capital cost in the pool for a year when the deduction is worth more, provided the schedule carries that decision forward consistently.

There is a companion rule that changes how the first one plays out in practice: A fiscal year-end cannot be changed by simply closing the books on a new date. Subsection 249.1(7) requires the CRA’s concurrence. The short transitional period is a tax year in its own right and needs its own return and its own statements. And on timing: The CRA requires business records to be kept for six years from the end of the tax year they relate to, in a form that allows the return to be verified. Where records cannot support the return, the CRA is entitled to assess on its own estimate — and the burden of disproving that estimate falls on the taxpayer.

Reading rules is one thing; knowing which of them your file actually triggers is another. A tax services provider closes that gap, and for trial balance preparation and review the gap is often wider than it looks. Nothing slows a file like missing records, so for trial balance preparation and review begin with.

You will see the finished work before it goes anywhere — review-before-filing is standard here, not an add-on. The fee is fixed up front, and nothing is payable until the service is done.

Trial Balance Preparation and Review Tax & Accounting Case Studies

See how our expert Trial Balance Preparation and Review tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

Month-End Close Cut From 5 Weeks To 9 Days — Independent Pharmacy, Saskatoon

Closing the books at an independent pharmacy in Saskatoon, Saskatchewan took 5 weeks. The cause was year-end statements that arrived four months late and never tied to the bank. It now takes 9 days.

The accounting file at an independent pharmacy in Saskatoon, Saskatchewan had a weak foundation. It was built on year-end statements that arrived four months late and never tied to the bank. The year-end had taken 5 weeks each of the last three years. We rebuilt the trial balance from source documents, reconciled every bank and credit-card account, and issued a CSRS 4200 compilation with a proper basis-of-accounting note. We also moved the reconciliations into the monthly cycle, so the year-end stopped being a rebuild. The file reconciles. Month-end closes in 9 days instead of 5 weeks, and the year-end is a review rather than a reconstruction.

Case Study 2

Remittance Schedule Corrected, $56,000 Refunded — Quarterly-Close Practice, Toronto

Remittances at a professional practice that closes its books quarterly in Toronto, Ontario were chronically late. It came down to a shareholder loan account that had drifted for three years with no supporting entries. Fixing the schedule refunded $56,000.

Remittances at a professional practice that closes its books quarterly in Toronto, Ontario were consistently late by a few days. That was enough to trigger penalties every quarter. Behind it sat a shareholder loan account that had drifted for three years with no supporting entries. We valued work in progress on one consistent basis and documented the method, so the comparative year could be relied on. Then we moved the remittance dates into a scheduled process rather than a monthly decision. Penalties stopped from the following remittance onwards, and $56,000 of overpaid instalments was refunded.

Case Study 3

Remuneration Review Saved $62,000 Across Corporate And Personal Returns — Regional Courier Operator, Regina

A remuneration review at a regional courier operator in Regina, Saskatchewan saved $62,000 across the corporate and personal returns. It found work in progress carried at billing value one year and at cost the next, so neither year was comparable.

Nothing was wrong at a regional courier operator in Regina, Saskatchewan. The filings were on time and accurate. What they were not was planned. Work in progress carried at billing value one year and at cost the next, so neither year was comparable had never been reviewed. We set a monthly close calendar with a fixed cut-off, so the year-end became a review of work already done rather than a twelve-month rebuild. We ran the numbers across both the corporate and personal returns, so the saving was real rather than deferred into someone else's hands. $62,000 came off the combined corporate and personal tax bill, and the structure holds for future years without further work.

Case Study 4

Growth Handled Without A Missed Filing, $29,500 Freed — Design Agency, Edmonton

A 14-person design agency in Edmonton, Alberta was scaling. The growth exposed a bank that refused to renew an operating line without compliant statements. The back office was rebuilt to match, freeing $29,500.

A 14-person design agency in Edmonton, Alberta was opening in a second province. That meant different filing obligations and a different payroll regime. A bank that refused to renew an operating line without compliant statements already sat in the file. We moved accruals, prepaids and depreciation into a documented month-end checklist, so they stopped being year-end discoveries. We then put monthly reporting in place. That let the owner see the cash effect of growth while there was still time to act on it. Growth was absorbed without a compliance failure. $29,500 of cash was released, and the monthly reporting now flags a problem while it is still small.

Case Study 5

$54,000 Proposed Adjustment Withdrawn In Full — Commercial Cleaning Contractor, Windsor

A commercial cleaning contractor in Windsor, Ontario faced a $54,000 proposed reassessment. It came after inter-company balances between two related corporations that had never been reconciled. We rebuilt the documentation and the adjustment was withdrawn in full.

A commercial cleaning contractor in Windsor, Ontario received a proposal letter opening a review of trial balance preparation and review. The CRA had identified inter-company balances between two related corporations that had never been reconciled. It proposed an adjustment of $54,000, with 30 days to respond. We treated the response as an evidence exercise rather than an argument. We built a fixed-asset continuity schedule from the purchase invoices. We set the capital cost allowance claim class by class rather than claiming the maximum by default. We then indexed every supporting document against the specific line the auditor had questioned. The proposed adjustment was withdrawn in full — all $54,000 of it. The file closed in 7 weeks with no change to the assessed amounts and no penalty.

Case Study 6

$70,000 In Credits Claimed That Prior Filings Had Missed — Two-Partner Engineering Firm, Surrey

6 years of filings at a two-partner engineering firm in Surrey, British Columbia had never claimed the incentives the work qualified for. The review recovered $70,000.

A two-partner engineering firm in Surrey, British Columbia had been filing for 6 years. In that time, the incentives its activity qualified for were never claimed. Behind that sat a year-end moved informally, leaving twelve months of trading reported as though nothing had changed. We tested each activity against the eligibility criteria rather than the description on the invoice. Then we separated personal and corporate spending, cleared the shareholder loan through a documented salary and dividend mix, and restated the comparative year. $70,000 in credits claimed, with the open prior years adjusted as well. The claim passed review without adjustment.

Frequently Asked Questions on Trial Balance Preparation and Review Filing

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Trial Balance Preparation and Review cost in Canada?

Trial Balance Preparation and Review starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Trial Balance Preparation and Review?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Trial Balance Preparation and Review take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Trial Balance Preparation and Review?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Trial Balance Preparation and Review different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Trial Balance Preparation and Review services?

Our trial balance preparation and review services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Trial Balance Preparation and Review services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

Is trial balance preparation and review something I can catch up on if I have fallen behind?

The CRA expects the trial balance behind a T2 to reconcile to the GIFI schedules filed with it. A statement set that does not tie to the return is the first thing a reviewer notices. That is the part most owners have not heard before they sit down with us, and it usually changes what they do next.

How is your approach to trial balance preparation and review different from doing it through software?

The short answer comes straight from our working notes: Accrued but unbilled revenue belongs in income in the year the work was performed. Deferring it to the invoice date understates taxable income and is a standard reassessment adjustment. How that plays out on your file depends on the specifics, which is exactly what the engagement is for.

Commonly Searched Trial Balance Preparation and Review Questions

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

By the last day of February following the calendar year the pay relates to. The same date applies to giving employees their copy and to filing the T4 information return with the CRA, and filing late brings a penalty that scales with the number of slips. Filed slips usually appear in CRA My Account within a few weeks. If yours has not arrived, ask your employer first, then fall back on My Account or your own pay records.

Usually because the pay for that period is low enough that the basic personal amount covers it. Payroll annualises each cheque, so part-time or irregular hours can produce zero income tax while CPP and EI still come off. Other causes are a TD1 claiming large credits, a claim of exemption from withholding, or being paid as a contractor rather than an employee, in which case nothing is withheld and the tax is yours to set aside and remit.

Options range from free community volunteer clinics for simple returns on a modest income, through NETFILE-certified software you use yourself, to a tax preparer or accounting firm that files on your behalf. Choose based on complexity: a single T4 is straightforward, while self-employment, rental property, investments or a corporation usually warrant professional help. Our fees are fixed and agreed before we start, and you pay after the service.

No. Capital is the owner's stake in the business, so it sits in equity, not liabilities. On a balance sheet, assets equal liabilities plus equity, and the capital account belongs on the equity side alongside retained earnings. Money the owner lends the business is different, because the business owes it back, and that is a liability. Keeping owner capital, owner loans and drawings in separate accounts prevents a messy reconciliation at year end.

A Canadian business can face corporate income tax federally and provincially, GST/HST or provincial sales tax on what it sells, payroll withholding with employer CPP and EI, property tax on premises it owns, and payroll or health levies in some provinces. An unincorporated business reports its profit on a T2125 with the owner's T1 instead of paying corporate tax. Which ones apply depends on structure, where you operate, and whether you have employees.

No. Revenue is income you have earned and belongs on the income statement, not among liabilities. Money taken before you deliver the goods or service is different: unearned or deferred revenue is a liability until you perform the work. Sales tax you collect is also a liability rather than revenue. Booking customer deposits straight to sales is a common error that overstates profit and distorts the figures on your GST/HST return.

Insurance premiums are generally an exempt financial service, so no GST/HST is charged and the insurer cannot claim input tax credits on costs tied to that supply. Exempt is not the same as zero-rated: a zero-rated supply is taxed at 0% and still supports input tax credit recovery. Some related charges, such as certain administrative or brokerage services billed separately, can be taxable. Check the CRA's guidance on financial services for a specific product.

Federal excise duty on cigarettes is charged per thousand cigarettes on tobacco packaged for the Canadian duty-paid market, which is why packages carry an excise stamp. The rate is adjusted each year, and most provinces levy their own tobacco tax on top, so the shelf price carries both. Manufacturers and importers remit the duty, not retail buyers. Check the CRA's excise duty rates page for the current amount before pricing or costing stock.

Payroll withholding is only an estimate. Your employer taxes each pay period as though the year continues unchanged, using nothing but the credits on your TD1. Anything payroll cannot take into account — RRSP contributions, donations, medical costs, a second job, a mid-year job change — settles only when you file, and a bonus can leave a gap as well, because the tax withheld on it is only an estimate of what the extra income will ultimately attract. Over-withholding gives you a refund; under-withholding leaves a balance owing. A refund is your own money coming back.

Tax liability is the total tax you owe for a period, worked out before any payments are credited against it. Subtract tax withheld at source and any instalments paid and you are left with the balance owing or the refund. In accounting terms it is a liability on the balance sheet until it is paid, which is why a corporation carries income tax payable, GST/HST collected and payroll source deductions as amounts held for the government.

Both sides do. The employee pays income tax, CPP contributions and EI premiums, all withheld from each pay and remitted by the employer. The employer pays its own share on top: for 2026, CPP of 5.95% matching the employee's up to the $74,600 ceiling with a $3,500 basic exemption, plus EI at 1.4 times the employee's rate of $1.63 per $100 of insurable earnings. The employer remits everything and reports it on a T4.

Payments arrive monthly on a scheduled date, by direct deposit or cheque, and the dates for the whole year are published on canada.ca and shown in CRA My Account. If your total annual entitlement is small, the CRA may pay it in one lump sum instead of monthly instalments. The benefit year runs from July to June and amounts are recalculated each July from the prior year returns, so a late return interrupts the deposits.
