The Vocabulary Behind Credit Card Reconciliation Services

T1 General
The personal income tax return individuals file with the CRA each year.
T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Credit Card Reconciliation Services: Our Analysis

Clean, reconciled books are what turn a T2 filing into a review rather than a scramble — and what stands up when the CRA asks for support. Our credit card reconciliation services engagement is priced as a pocket-friendly flat fee, so the cost is known before the work starts.

Working Notes From Our Credit Card Reconciliation Services Files

Most write-ups of credit card reconciliation services describe the form. These notes describe the file — what a tax practitioner checks first and why.

Here is where every serious conversation about Credit Card Reconciliation Services begins: Personal expenses run through a corporate account are shareholder benefits, taxable to the shareholder personally whether or not they were ever labelled as such.

Once that is settled, the next question answers itself less often than clients expect. Meals and entertainment are deductible at 50 percent of the lesser of the amount paid and a reasonable amount under subsection 67.1(1). The recoverable share of the GST/HST on those costs is restricted in the same proportion, with the excess recaptured. Coding them at full value overstates both the deduction and the credit. Calendars matter more than most people expect in credit card reconciliation services, and this is the rule that proves it: Foreign-currency amounts have to be converted at the exchange rate for the day the transaction occurred. Applying one year-end rate to twelve months of purchases distorts the recorded cost and hides the exchange gain or loss on settlement.

So where does that leave you? In most cases, with a decision about whether to work through credit card reconciliation services alone or hand the moving parts to a tax expert who tracks them for a living. To keep the engagement efficient, assemble these records before we begin.

Every credit card reconciliation services engagement carries the same commitments: a fixed fee settled before we begin, your sign-off before anything is filed, and payment only after the service is complete.

Credit Card Reconciliation Services Tax & Accounting Case Studies

Case Study 1

$109,000 Reassessment Reduced To Nil On Review — Dental Hygiene Clinic, Lethbridge

A $109,000 reassessment was proposed against a dental hygiene clinic in Lethbridge, Alberta. It followed sales recorded from bank deposits, so processor fees, chargebacks and refunds appeared nowhere in the ledger. The documented response reduced it to nil.

A review notice arrived at a dental hygiene clinic in Lethbridge, Alberta, covering credit card reconciliation services for two tax years. The auditor's working position was an adjustment of $109,000. It was driven by sales recorded from bank deposits, so processor fees, chargebacks and refunds appeared nowhere in the ledger. Rather than negotiate, we rebuilt the record. We recoded the meals and entertainment accounts to the statutory limit and reversed the over-claimed input tax credits before the next return went in. We then submitted a point-by-point response that answered each proposed adjustment with the document behind it. The auditor accepted the documented position and closed the review without adjustment, protecting $109,000 and leaving the prior filings undisturbed.

Case Study 2

Growth Handled Without A Missed Filing, $136,000 Freed — Specialty Coffee Roaster, Kitchener

A specialty coffee roaster in Kitchener, Ontario was scaling. The growth exposed eighteen months of unreconciled transactions and a shoebox of receipts. The back office was rebuilt to match, freeing $136,000.

A specialty coffee roaster in Kitchener, Ontario was opening in a second province. That meant different filing obligations and a different payroll regime. Eighteen months of unreconciled transactions and a shoebox of receipts already sat in the file. We separated the owner’s personal spending out of the corporate accounts and cleared the resulting shareholder loan properly. We then put monthly reporting in place. That let the owner see the cash effect of growth while there was still time to act on it. Growth was absorbed without a compliance failure. $136,000 of cash was released, and the monthly reporting now flags a problem while it is still small.

Case Study 3

Remuneration Review Saved $31,500 Across Corporate And Personal Returns — Residential Cleaning Franchise, Hamilton

A remuneration review at a residential cleaning franchise in Hamilton, Ontario saved $31,500 across the corporate and personal returns. It found three years of returns filed off numbers nobody could trace back to a bank statement.

Nothing was wrong at a residential cleaning franchise in Hamilton, Ontario. The filings were on time and accurate. What they were not was planned. Three years of returns filed off numbers nobody could trace back to a bank statement had never been reviewed. We cleared the payroll and sales tax clearing accounts every month and tied each remittance to the liability it settled. We ran the numbers across both the corporate and personal returns, so the saving was real rather than deferred into someone else's hands. $31,500 came off the combined corporate and personal tax bill, and the structure holds for future years without further work.

Case Study 4

Remittance Schedule Corrected, $143,000 Refunded — Subscription Box Retailer, Toronto

Remittances at a subscription box retailer in Toronto, Ontario were chronically late. It came down to meals and entertainment coded at full cost with the input tax credit claimed on the whole amount. Fixing the schedule refunded $143,000.

Remittances at a subscription box retailer in Toronto, Ontario were consistently late by a few days. That was enough to trigger penalties every quarter. Behind it sat meals and entertainment coded at full cost with the input tax credit claimed on the whole amount. We rebuilt sales from the processor settlement reports so gross sales, fees and refunds each landed in an account of their own. Then we moved the remittance dates into a scheduled process rather than a monthly decision. Penalties stopped from the following remittance onwards, and $143,000 of overpaid instalments was refunded.

Case Study 5

Month-End Close Cut From 12 Weeks To 7 Days — Multi-Processor Online Seller, Red Deer

Closing the books at an online seller reconciling three payment processors in Red Deer, Alberta took 12 weeks. The cause was input tax credits claimed on receipts that had already been claimed once. It now takes 7 days.

The accounting file at an online seller reconciling three payment processors in Red Deer, Alberta had a weak foundation. It was built on input tax credits claimed on receipts that had already been claimed once. The year-end had taken 12 weeks each of the last three years. We set up a documented chart of accounts, a receipt-capture workflow and a monthly reconciliation that closes within ten days of month-end. We also moved the reconciliations into the monthly cycle, so the year-end stopped being a rebuild. The file reconciles. Month-end closes in 7 days instead of 12 weeks, and the year-end is a review rather than a reconstruction.

Case Study 6

Filed On Time From A Standing Start, $122,000 Penalty Avoided — Seasonal Food-Truck Operator, Surrey

A food-truck operator running two seasonal units in Surrey, British Columbia was 4 weeks from a deadline. The file also carried a receivables list that included invoices collected eleven months earlier. Filing complete and on time avoided roughly $122,000 in penalties.

A food-truck operator running two seasonal units in Surrey, British Columbia came to us 4 weeks before its filing deadline. The file came with a receivables list that included invoices collected eleven months earlier. A late filing would have triggered a penalty of roughly $122,000 before interest. We worked backwards from the deadline. We converted the foreign-currency purchases at transaction-date rates and recorded the exchange difference at settlement instead of burying it in cost of sales. We prioritised the items that actually gated the filing and deferred everything that did not. The return was filed on time and complete. The $122,000 penalty never arose, and the compliance calendar we set means the next deadline is scheduled rather than discovered.

Your Credit Card Reconciliation Services Questions, Answered

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Credit Card Reconciliation Services cost in Canada?

Credit Card Reconciliation Services starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Credit Card Reconciliation Services?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Credit Card Reconciliation Services take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Credit Card Reconciliation Services?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Credit Card Reconciliation Services different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Credit Card Reconciliation Services?

Our credit card reconciliation services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Credit Card Reconciliation Services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

How is your approach to credit card reconciliation services different from doing it through software?

A tax advisor answers this differently than a search engine, because the rule has edges. For the 2025 tax year, an invoice of $100 or more must show the supplier’s GST/HST registration number to support an input tax credit. From $500 it also needs the buyer’s name, a description of the supply and the payment terms. Where your business sits relative to those edges is what we establish in the first meeting.

Is credit card reconciliation services something I can catch up on if I have fallen behind?

Let us give you the substance first and the caveats second. Business records must be kept for six years from the end of the last tax year they relate to. The CRA can require them in electronic form that it can actually read. The caveat is simply that facts on your file can shift the outcome, so treat this as the baseline rather than the final word.

Searched Questions About Credit Card Reconciliation Services

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Multiply the pre-tax price by the rate for the province of supply. On a $100 purchase in 2026 that is $13.00 in Ontario (13%), $14.00 in Nova Scotia (14%), and $15.00 in New Brunswick, Newfoundland and Labrador or Prince Edward Island (15%). In the non-participating provinces and the three territories only the 5% GST applies, so $5.00, plus any provincial sales tax billed separately.

Sign in to CRA My Account and read the balance on the account overview, or check the notice of assessment issued after your return is processed. It states the balance owing or the refund and any interest charged. Until the return is prepared there is no figure to check, so an estimate means adding up your slips and deductions. Interest runs on an unpaid balance from the payment deadline, and the CRA will consider a payment arrangement.

A tip the customer chooses to leave is not payment for the meal, so no GST or HST applies to it. A service charge the business adds to the bill is different: it forms part of the price of what was supplied and is taxed like the rest of the bill. Set your point-of-sale system so voluntary tips sit outside the taxable sale, otherwise you remit tax you never actually collected.

No. Borrowed money is not income because you have to repay it, so a personal or business loan is not reported as income on your return. Interest you pay may be deductible if the money earns business or investment income. Two situations do bite: a debt that is forgiven can create income or reduce a cost base, and an interest-free or low-interest loan from your own corporation can produce a taxable benefit. Get advice before lending to yourself.

Because GST/HST follows the place of supply, not the seller's address. For goods, the rate is set by the province they are delivered to; for most services, by the customer's address on file. So an Ontario business billing Halifax charges 14% in 2026, Moncton 15%, and Calgary 5%. Getting it wrong means under-collecting or over-collecting, and the Canada Revenue Agency assesses any shortfall against the seller.

No. GST/HST you collect is not revenue: you hold it on the CRA's behalf and remit it. Report sales net of the tax on your T2125 or corporate financial statements, and post the tax collected to a liability account rather than income. Including it overstates both revenue and profit. If you are not registered and charge no tax, gross sales are simply the amounts you billed your customers.

Claim everything you are entitled to, and file on time so nothing is clawed back by penalties. Gather every slip, then look at RRSP contributions, childcare and moving costs, medical expenses, tuition, donations, employment or home office expenses and the disability amount. Couples should pool medical and donation claims on one return and split eligible pension income. Carry unused amounts forward instead of losing them, and adjust an earlier return if you missed something.

The CRA will not hand your return to a former spouse. Your tax information is confidential, and only you or a representative you have authorised can obtain it. Family law is separate: for support or property matters you can be required, by agreement or court order, to disclose returns and notices of assessment. Tell the CRA when your marital status changes, since benefits and credits are then recalculated on your own income.

You cannot write off the income itself, but you deduct the costs of earning it. Common current expenses are mortgage interest (not principal), property tax, insurance, utilities you pay, condo fees, advertising, property management, and repairs that maintain the property. Improvements that better the property are capital and depreciated instead. Only the rented portion counts where you also live there. Keep invoices for six years from the end of the tax year they relate to.

Employees pay as they earn, through tax withheld from each pay and remitted by the employer. Everyone else pays by instalments during the year or as a single balance payment with the return. For the 2025 tax year the filing and payment deadline is 30 April 2026; self-employed filers have until 15 June 2026 to file, but the payment is still due 30 April 2026. Interest runs daily on anything unpaid after that.

There is no federal renters credit. Several provinces give rent-based relief through the provincial credits filed with your T1, including Ontario's energy and property tax credit, Manitoba's renters tax credit and Quebec's solidarity tax credit. Eligibility generally turns on residing in that province at the end of the year, having paid rent on a principal residence, and income below a phase-out level. Keep receipts and your landlord's details, and claim it each year you qualify.

That figure is your payroll deduction rate, not a tax bracket. Canada's federal rates for 2026 start at 14% and rise through 20.5%, 26% and 29% to 33%, and what leaves your cheque blends federal and provincial tax with CPP at 5.95% and EI at $1.63 per $100 of insurable earnings for 2026. Payroll also annualises each cheque, so a bonus or overtime period is taxed as if every period looked the same. Filing squares it up.
