T1 General

General Ledger Accounting: Our Analysis

Compilation engagements now follow CSRS 4200, which sets out the basis-of-accounting note every lender expects to see attached to the statements. Because the fee is fixed and economical, the economics stay predictable whether your file is simple or messy.

Reading Between the Lines on General Ledger Accounting

Before you hand general ledger accounting to anyone, it is worth knowing what the work actually turns on.

The first thing we verify on every engagement: An expense is deductible where it was incurred to earn income and is reasonable in the circumstances. The business-use portion must be supported, which for vehicles means a logbook. The CRA rarely argues that an expense category is wrong; it argues that the proportion claimed was never substantiated.

That rule rarely travels alone; alongside it sits another: Inventory is valued at the lower of cost and net realisable value, applied consistently. Changing method without CRA consent reopens prior years. Obsolete stock carried at cost overstates income, and the write-down is usually taken years after it was justified. Where clients most often get hurt is not the calculation but the follow-through, and the rule reads plainly. A small corporation still carries the full compliance set: T2, GST/HST, payroll, and the annual return with the incorporating jurisdiction. The annual corporate return is separate from the T2 and is the one most often forgotten, which can lead to administrative dissolution.

What this means for you: the value in general ledger accounting is not the filing itself, it is having an income tax specialist apply these rules to your numbers before anything is submitted. A productive general ledger accounting engagement starts with paperwork, and the list below covers what to gather.

The fee is fixed and agreed before any work starts, you review every figure, and payment happens only after the work is done.

General Ledger Accounting Tax & Accounting Case Studies

See how our expert General Ledger Accounting tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

$135,000 Late-Filing Penalty Cancelled On Relief Application — Subscription Box Retailer, Windsor

A subscription box retailer in Windsor, Ontario had already been penalised. The issue was eighteen months of unreconciled transactions and a shoebox of receipts. A relief application cancelled $135,000 of that penalty.

A subscription box retailer in Windsor, Ontario had already missed one deadline and was about to miss a second. Behind it sat eighteen months of unreconciled transactions and a shoebox of receipts. A penalty of $135,000 was accruing. We split the work into what had to happen before the deadline and what could follow it. Then we rebuilt the ledger from bank and card statements and matched every receipt to a transaction. We removed duplicated input tax credits before they became a review. The outstanding return was accepted as filed, and the taxpayer relief application cancelled $135,000 of the penalty already assessed on the earlier year.

Case Study 2

$144,000 Of Working Capital Freed From The Tax Cycle — Courier Subcontractor, London

A courier subcontractor paid by the drop in London, Ontario was profitable and permanently short of cash. Behind the gap sat input tax credits claimed on receipts that had already been claimed once. Restructuring the tax cycle freed $144,000.

A courier subcontractor paid by the drop in London, Ontario was profitable on paper and short of cash every month. Input tax credits claimed on receipts that had already been claimed once explained most of the gap. We reconciled receivables and payables to source documents and wrote off the balances that were genuinely uncollectible, with support. We also built a thirteen-week cash view so tax payments stopped competing with payroll for the same dollars. $144,000 was released back into working capital. Remittances have been on time every period since, and the forecast shows the tax outflow before it lands.

Case Study 3

Second-Province Expansion Handled, $33,500 Of Cash Released — Specialty Coffee Roaster, Edmonton

A specialty coffee roaster in Edmonton, Alberta expanded into a second province. The file already carried a bookkeeping file where owner draws, payroll and supplier payments all landed in the same account. Every obligation was set up in advance and $33,500 of cash released.

Revenue at a specialty coffee roaster in Edmonton, Alberta was up sharply and cash was tighter than ever. Underneath it sat a bookkeeping file where owner draws, payroll and supplier payments all landed in the same account. We converted the foreign-currency purchases at transaction-date rates and recorded the exchange difference at settlement instead of burying it in cost of sales. Every new obligation was set up before it was triggered, not after. That covered registration, remittance frequency and provincial filing. $33,500 of cash was released from the working capital cycle. The expansion completed with every registration and filing obligation covered from day one.

Case Study 4

$46,000 Credit Claim Filed And Accepted Without Adjustment — Small Law Practice, Kelowna

A small law practice in Kelowna, British Columbia had never tested its work against the eligibility rules. The resulting $46,000 claim was accepted without adjustment.

A small law practice in Kelowna, British Columbia assumed the credits did not apply to a business its size. Three years of returns filed off numbers nobody could trace back to a bank statement meant they had applied all along. We identified the qualifying activity and built the documentation to support it. Then we set up a documented chart of accounts, a receipt-capture workflow and a monthly reconciliation that closes within ten days of month-end. $46,000 recovered. Because the eligibility analysis is on file, the same claim can be repeated each year with a fraction of the effort.

Case Study 5

4 Years Filed, $62,000 Removed From The Assessed Balance — Two-Location Cafe, Regina

4 years of returns were outstanding at a two-location cafe in Regina, Saskatchewan. That came on top of a receivables list that included invoices collected eleven months earlier. Filing on real numbers removed $62,000 of assessed tax.

A two-location cafe in Regina, Saskatchewan had not filed for 4 years. The CRA had issued arbitrary assessments. The business was carrying a receivables list that included invoices collected eleven months earlier. That came on top of a growing interest balance. We started with the oldest year and worked forward so each year's closing balances fed the next. We rebuilt sales from the processor settlement reports so gross sales, fees and refunds each landed in an account of their own. We filed the years in sequence rather than all at once. Every year is now filed and assessed on actual figures. The notional assessments were vacated and $62,000 of the estimated balance came off, with a payment arrangement covering the rest.

Case Study 6

$25,000 Of Penalties And Interest Cancelled On Relief — Seasonal Food-Truck Operator, Hamilton

A food-truck operator running two seasonal units in Hamilton, Ontario was carrying $25,000 of penalties and interest. The charges arose from sales recorded from bank deposits, so processor fees, chargebacks and refunds appeared nowhere in the ledger. A relief application cancelled that amount.

An assessment of $25,000 landed at a food-truck operator running two seasonal units in Hamilton, Ontario following a desk review. It turned on sales recorded from bank deposits, so processor fees, chargebacks and refunds appeared nowhere in the ledger. The auditor had not seen the records behind it. We cleared the payroll and sales tax clearing accounts every month and tied each remittance to the liability it settled. We then set out the legislative basis for the position alongside the documents supporting it. $25,000 of penalties and interest was cancelled under the taxpayer relief provisions, and the underlying assessment was adjusted to match the filed position.

General Ledger Accounting Frequently Asked Questions

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does General Ledger Accounting cost in Canada?

General Ledger Accounting starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for General Ledger Accounting?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does General Ledger Accounting take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for General Ledger Accounting?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes General Ledger Accounting different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in General Ledger Accounting services?

Our general ledger accounting services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with General Ledger Accounting services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What will you need from me to get general ledger accounting started?

Bank feeds are not a bookkeeping system. Auto-categorised transactions still need reconciliation to statements, because a duplicated feed entry is indistinguishable from a real expense on the face of the ledger. That is the part most owners have not heard before they sit down with us, and it usually changes what they do next.

How do I know if my business actually needs general ledger accounting?

We get this one a lot, and the answer is more concrete than people expect. Cash-basis records are not acceptable for a corporation. Income must be reported on the accrual basis, with receivables and payables recognised when they arise rather than when the money moves. Bring your documents and we will show you where it lands in your numbers.

Still have questions? View our FAQ page or contact us.

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Multiply the pre-tax price by the combined rate for the province where the supply is made, then add that amount to the price. If the price already includes tax, divide the total by one plus the rate to get the pre-tax amount, and the difference is the tax. The rate depends on the province of supply rather than where your business sits, so verify the current rate for that province and confirm the item is not zero-rated or exempt.

Multiply the pre-tax price by the rate for the province of supply. On a $100 purchase in 2026 that is $13.00 in Ontario (13%), $14.00 in Nova Scotia (14%), and $15.00 in New Brunswick, Newfoundland and Labrador or Prince Edward Island (15%). In the non-participating provinces and the three territories only the 5% GST applies, so $5.00, plus any provincial sales tax billed separately.

Make it routine rather than an April scramble. Record income and expenses monthly, keep receipts and statements for six years from the end of the tax year they relate to, and check CRA My Account for slips, notices, balances and instalment reminders. Pay instalments when the CRA asks for them. Set aside a share of self-employment income as it arrives, and register for direct deposit. A mid-year review is when planning can still change the result.

Call the CRA's individual or business enquiries line, both listed on the Contact the CRA page at canada.ca. Have your social insurance number or business number, your date of birth, and a line amount from a recent return ready, because the agent verifies you before discussing anything. Lines are quietest early in the morning and outside filing season. You can also authorise someone to call on your behalf using form AUT-01.

Fees for financial planning and for preparing a personal financial plan are not deductible. What can be deductible are investment counsel fees paid to someone whose principal business is advising on buying and selling securities, where the account is non-registered; those are claimed as a carrying charge. Fees charged inside an RRSP, TFSA or other registered account are never deductible, and commissions on a trade adjust the cost base instead. Ask your adviser to split the invoice by service.

No. Filing and paying are legal obligations, not choices. What is voluntary is the self-assessment design: you report your own income and calculate the tax, and the CRA verifies afterwards. Ignoring the obligation leads to penalties, compounding interest, an assessment raised without your figures, and collection action such as garnishing wages. Arguments that income tax does not apply to individuals have failed in court every time. If you have unfiled years, ask about the CRA's voluntary disclosure route before it contacts you.

Employment, business and investment income of a status Indian is exempt where the income is situated on a reserve. The CRA applies connecting-factor tests: for employment, usually whether the duties were performed on reserve; for business income, where the activities take place; for interest, where the account and the debtor are located. Employment income earned off reserve is generally taxable. See the CRA's Indian Act Exemption for Employment Income Guidelines before deciding.

No. Interest and late-payment charges on an overdue account are not payment for a separate supply, so no GST/HST is added, even though the original invoice carried tax. A charge that is really payment for something you actually supply, such as a re-delivery, a restocking service or an administrative service, is taxable on its own terms. Where the amount is purely a penalty for paying late, bill it without tax.

A write-off is an expense deducted from income so that tax applies to a smaller amount. It is not a refund of what you spent: the saving equals the expense multiplied by your marginal rate. Employees may deduct very little, while a business or self-employed person can deduct reasonable costs incurred to earn income, though categories such as meals and entertainment, vehicles and home office are restricted. Keep receipts, because the CRA can ask for them years later.

Three deductions dominate. Income tax, federal and provincial, withheld against the credits you claimed. CPP at 5.95% in 2026 on pensionable pay above the $3,500 exemption up to the $74,600 ceiling, plus CPP2 at 4% on earnings to $85,000. EI at $1.63 per $100 of insurable earnings in 2026, to maximum insurable earnings of $68,900. Employers match CPP and pay 1.4 times your EI. Quebec runs its own pension and parental plans.

Largely no. PST in British Columbia and Saskatchewan and RST in Manitoba are retail sales taxes, not value-added taxes, so PST paid on business purchases is generally a cost rather than a credit. Relief comes from claiming an exemption at the time of purchase, such as goods bought for resale or certain production equipment, not from a return. Quebec's QST, 9.975% for 2025 and 2026, is different and is recoverable through input tax refunds, Quebec's equivalent of input tax credits.

Marital status does not change your tax rates, but it changes what you claim and what you receive. Once you are married or living common-law, the CRA treats you as a couple for income-tested amounts, so the GST/HST credit, the Canada child benefit and similar payments are calculated on combined income. In return, couples may claim the spouse or common-law partner amount, transfer certain unused credits, split eligible pension income, and pool donations and medical expenses.
