Import and Export GST Accounting: Our Analysis

Input tax credits can generally be claimed up to four years back for smaller registrants, but the documentation the CRA demands scales with invoice size. Our import and export gst accounting engagement is priced as a cheap flat fee, so the cost is known before the work starts.

Reading Between the Lines on Import and Export GST Accounting

These notes are written the way an accounting firm would explain Import and Export GST Accounting across a desk: no theory, just the points that decide real files.

One rule does more work than the rest combined, so it goes first. Input tax credits generally have a four-year claim window for smaller registrants, but the documentation the CRA requires scales with the invoice amount.

The second point is quieter but costs more when missed. A business making both taxable and exempt supplies can only recover input tax on the taxable side. The allocation method has to be reasonable and applied consistently. One more, because it surfaces in reviews constantly: Zero-rated exports carry a 0% rate but still require proof the goods left Canada. Without export documentation the CRA reassesses the sale at the domestic rate.

None of this requires you to become an expert — that is what engaging an accountant is for. What it does require is recognizing that import and export gst accounting will reward preparation over improvisation. To move quickly, have your ledger exports, bank statements and prior filings ready when we start.

No surprises is the operating principle: the fee is agreed and fixed before we start, you review everything before it is filed, and payment comes after the work, not before.

Import and Export GST Accounting Tax & Accounting Case Studies

See how our expert Import and Export GST Accounting tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

Notice Of Objection Allowed In Full, $93,000 Reversed — Used-Equipment Dealer, Mississauga

A $93,000 reassessment landed at a used-equipment dealer in Mississauga, Ontario. It rested on a registration threshold crossed nine months before anyone registered. The objection was allowed in full.

A used-equipment dealer in Mississauga, Ontario had been reassessed for $93,000. 13 days were left on the objection deadline. The reassessment rested on a registration threshold crossed nine months before anyone registered. We filed the objection inside the deadline with a complete submission rather than a placeholder. Alongside it, we backdated the registration to the date the business stopped being a small supplier, remitted the tax owing, and applied for relief on the penalty portion. The appeals officer allowed the objection in full. $93,000 was reversed and the account returned to a nil balance.

Case Study 2

$28,000 Of Arbitrary Assessments Vacated After 6 Years — Mixed-Supply Practice, Edmonton

The CRA had assessed a professional practice with exempt and taxable supplies in Edmonton, Alberta on estimates across 6 unfiled years. Real filings vacated $28,000 of that tax.

6 years of unfiled returns had turned into notional assessments at a professional practice with exempt and taxable supplies in Edmonton, Alberta. Underneath lay management fees between two related registrants carrying tax that only ever went out and came back. Collections had already started. We tested the quick method against the account’s actual input tax credit history and stayed on the regular method where the credits were worth more. We then filed every outstanding year in chronological order so the CRA could vacate the notional assessments cleanly. All 6 years were accepted as filed. $28,000 of arbitrarily assessed tax was vacated, collections action stopped, and the account is current for the first time in 6 years.

Case Study 3

$56,000 In Credits Claimed That Prior Filings Had Missed — Digital Platform Seller, Ottawa

7 years of filings at a platform seller collecting tax at checkout in Ottawa, Ontario had never claimed the incentives the work qualified for. The review recovered $56,000.

A platform seller collecting tax at checkout in Ottawa, Ontario had been filing for 7 years. In that time, the incentives its activity qualified for were never claimed. Behind that sat nil periods left unfiled, which held up the refund on the one period that mattered. We tested each activity against the eligibility criteria rather than the description on the invoice. Then we self-assessed the tax on the real property acquisition in the correct reporting period and claimed the offsetting input tax credit in the same return. $56,000 in credits claimed, with the open prior years adjusted as well. The claim passed review without adjustment.

Case Study 4

Growth Handled Without A Missed Filing, $149,000 Freed — Wholesale Food Distributor, Winnipeg

A wholesale food distributor in Winnipeg, Manitoba was scaling. The growth exposed a commercial property purchase closed on the assumption no tax applied because the vendor was not registered. The back office was rebuilt to match, freeing $149,000.

A wholesale food distributor in Winnipeg, Manitoba was opening in a second province. That meant different filing obligations and a different payroll regime. A commercial property purchase closed on the assumption no tax applied because the vendor was not registered already sat in the file. We assembled the export documentation, restored zero-rating on the qualifying sales, and reduced the proposed assessment. We then put monthly reporting in place. That let the owner see the cash effect of growth while there was still time to act on it. Growth was absorbed without a compliance failure. $149,000 of cash was released, and the monthly reporting now flags a problem while it is still small.

Case Study 5

Remittance Schedule Corrected, $121,000 Refunded — Freight Brokerage, Hamilton

Remittances at a freight brokerage in Hamilton, Ontario were chronically late. It came down to export sales zero-rated with no shipping documentation behind them. Fixing the schedule refunded $121,000.

Remittances at a freight brokerage in Hamilton, Ontario were consistently late by a few days. That was enough to trigger penalties every quarter. Behind it sat export sales zero-rated with no shipping documentation behind them. We set a defensible input tax credit allocation between taxable and exempt supplies and documented the method for future filings. Then we moved the remittance dates into a scheduled process rather than a monthly decision. Penalties stopped from the following remittance onwards, and $121,000 of overpaid instalments was refunded.

Case Study 6

Filed On Time From A Standing Start, $29,500 Penalty Avoided — Late GST/HST Registrant, Surrey

A seller who crossed the registration threshold before registering in Surrey, British Columbia was 5 weeks from a deadline. The file also carried nil periods left unfiled, which held up the refund on the one period that mattered. Filing complete and on time avoided roughly $29,500 in penalties.

A seller who crossed the registration threshold before registering in Surrey, British Columbia came to us 5 weeks before its filing deadline. The file came with nil periods left unfiled, which held up the refund on the one period that mattered. A late filing would have triggered a penalty of roughly $29,500 before interest. We worked backwards from the deadline. We rebuilt the sales ledger by customer province and applied the correct place-of-supply rate to each stream. We filed corrected returns before the CRA opened a review. We prioritised the items that actually gated the filing and deferred everything that did not. The return was filed on time and complete. The $29,500 penalty never arose, and the compliance calendar we set means the next deadline is scheduled rather than discovered.

Questions Owners Ask About Import and Export GST Accounting

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Import and Export GST Accounting cost in Canada?

Import and Export GST Accounting starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Import and Export GST Accounting?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Import and Export GST Accounting take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Import and Export GST Accounting?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Import and Export GST Accounting different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Import and Export GST Accounting services?

Our import and export gst accounting services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Import and Export GST Accounting services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

Is import and export gst accounting something I can catch up on if I have fallen behind?

The short answer comes straight from our working notes: Registration becomes mandatory once taxable supplies exceed $30,000 in a single calendar quarter or over four consecutive quarters. Exceeding it in one quarter makes the sale that crossed it taxable. Over four quarters, you stop being a small supplier at the end of the month after the fourth quarter. How that plays out on your file depends on the specifics, which is exactly what the engagement is for.

What information will you ask me for once the import and export gst accounting work is underway?

In our files, this is the deciding factor: British Columbia, Saskatchewan and Manitoba run their own sales taxes alongside GST, filed separately, and unlike GST they are generally not recoverable as input credits. Businesses expanding into a PST province routinely register late, and the province assesses from the date the obligation started, not the date of registration. A tax advisor applies it to your numbers before submission.

More Import and Export GST Accounting Questions Canadians Ask

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

You can pay through CRA My Business Account or My Payment, through your own financial institution's online banking by adding the CRA GST/HST payment as a payee under your business number, or by pre-authorised debit arranged in My Business Account. Third-party providers accept credit cards for a fee. Payment is due by the deadline for your reporting period, and filing the return does not by itself move the money, so schedule the two separately.

Restaurant meals are taxable across Canada. In HST provinces a single combined rate applies to the bill; where the province levies its own separate sales tax, GST applies and the province decides whether prepared meals and alcohol carry provincial tax as well. A tip you choose to add is not taxed. The rate turns on the province of supply, so check the combined rate for the province the restaurant operates in.

Divide the total by one plus the rate. At Ontario's 13% in 2026, a $113 tax-included total is $113 divided by 1.13, or $100 before tax and $13 of HST. Use 1.14 in Nova Scotia, 1.15 in New Brunswick, Newfoundland and Labrador and Prince Edward Island, and 1.05 where only the 5% GST applies. Multiplying the total by 13 over 113 gives the Ontario tax directly.

Yes, in substance. The GST is a value-added tax: registrants charge 5% on taxable sales and recover the GST/HST paid on business inputs, so tax lands only on the value added at each stage. In participating provinces it is blended into the HST, at 13% in Ontario, 14% in Nova Scotia since 1 April 2025, and 15% in New Brunswick, Newfoundland and Labrador and Prince Edward Island. Quebec runs its own QST of 9.975% alongside the 5% GST.

Alberta is the only province with no provincial sales tax, and the Northwest Territories, Nunavut and Yukon have none either. In all four you pay just the 5% federal GST in 2026. Everywhere else adds something, all at 2026 rates: HST of 13% in Ontario, 14% in Nova Scotia and 15% in New Brunswick, Newfoundland and Labrador and Prince Edward Island; a separate PST of 7% in British Columbia and 6% in Saskatchewan; Manitoba's retail sales tax (RST) of 7%; and QST of 9.975% in Quebec.

An exemption trust is an American estate planning structure that preserves a deceased spouse's federal estate tax exemption, so there is no direct Canadian equivalent. Canada levies no estate or inheritance tax. Instead, capital property is treated as sold at fair market value on death and the resulting gains are reported on the final return, while a qualifying transfer or spousal trust can defer that tax until the surviving spouse dies. Families with United States ties need advice on both systems.

The realistic options are CRA-certified software you run yourself, a seasonal walk-in preparer, a free volunteer clinic if your income is modest and the return is simple, or an accounting firm. A firm earns its fee once there is self-employment, rental, investment or cross-border income, or a CRA letter to answer. We agree the fee before work starts, and you pay after the service. The first 15-minute consultation is free.

Not everyone owes income tax, though almost everyone touches the system. Income tax starts once taxable income passes your personal credits; the federal basic personal amount for 2026 is $16,452, tapering to $14,829 at higher net income. Filing still matters with nothing owing, because benefits and credits are calculated from the return. Sales tax, payroll contributions and fuel or tobacco taxes reach people who pay no income tax at all.

All of it. Tips are fully taxable, so there is no percentage a server is allowed to declare instead of the full amount, whether it arrived by card, in cash, or through a tip pool. There is no special rate either: tips are added to your other income and taxed at your marginal rate. Controlled tips paid out by the employer appear on your T4; direct and pooled tips usually do not, so keep a daily record.

Restaurant meals are taxable, unlike basic groceries, so GST/HST applies at your province's rate: 13% in Ontario for 2026, or 5% GST plus any provincial sales tax elsewhere. Some provinces relieve part of the tax on inexpensive prepared food through a point-of-sale rebate, and alcohol can carry extra provincial charges. A tip you choose to add is not taxed, while a mandatory service charge set by the restaurant forms part of the taxable amount.

No. Canada has no joint return. Each spouse or common-law partner files a separate T1 reporting only their own income. What changes is the identification page: you tick married or common-law and give your partner's name, social insurance number and net income, which opens up couple-level credits and sets the income used for benefits. Most couples still prepare the two returns side by side so donations, medical expenses and pension splitting land on the better return.

Yes. The CRA runs a leads programme for reporting suspected tax cheating, and you can submit online, by phone or by mail, anonymously if you prefer. Give facts, names, dates and amounts where you have them, because the CRA cannot come back with questions if you stay anonymous. It will never tell you the outcome, since confidentiality rules cover the other taxpayer. A separate offshore informant programme can pay an award on large international cases.
