Outsourced Finance Department Services: Our Analysis

Outsourcing the function replaces a salary, benefits and software stack with one fixed monthly fee that scales with volume. Compilation engagements now follow CSRS 4200, which sets out the basis-of-accounting note every lender expects to see attached to the statements. We quote outsourced finance department services as one budget-friendly fixed price — the budget-friendly alternative to hourly billing.

Things We've Learned Doing Outsourced Finance Department Services Work

Every week brings another round of outsourced finance department services work, and every week the same few issues account for most of the friction. Consider this a working income tax specialist's short list for Outsourced Finance Department Services.

One rule does more work than the rest combined, so it goes first. Shareholder loan balances must be repaid within one year of the corporation’s following year-end. If they are not, the amount is included in the shareholder’s personal income under subsection 15(2).

Right behind it comes a rule owners rarely hear about until it bites: Accrued but unbilled revenue belongs in income in the year the work was performed. Deferring it to the invoice date understates taxable income and is a standard reassessment adjustment. The documentation side matters just as much. The CRA expects the trial balance behind a T2 to reconcile to the GIFI schedules filed with it. A statement set that does not tie to the return is the first thing a reviewer notices.

What this means for you depends entirely on facts we have not seen yet — which is the honest answer, and the reason an income tax specialist starts every outsourced finance department services engagement with questions rather than conclusions. Think of this list as the raw material an income tax specialist works from on outsourced finance department services.

Every outsourced finance department services engagement carries the same commitments: a fixed fee settled before we begin, your sign-off before anything is filed, and payment only after the service is complete.

Case Study 1

Remittance Schedule Corrected, $123,000 Refunded — Quarterly-Close Practice, Windsor

Remittances at a professional practice that closes its books quarterly in Windsor, Ontario were chronically late. It came down to year-end statements that arrived four months late and never tied to the bank. Fixing the schedule refunded $123,000.

Remittances at a professional practice that closes its books quarterly in Windsor, Ontario were consistently late by a few days. That was enough to trigger penalties every quarter. Behind it sat year-end statements that arrived four months late and never tied to the bank. We rebuilt the trial balance from source documents, reconciled every bank and credit-card account, and issued a CSRS 4200 compilation with a proper basis-of-accounting note. Then we moved the remittance dates into a scheduled process rather than a monthly decision. Penalties stopped from the following remittance onwards, and $123,000 of overpaid instalments was refunded.

Case Study 2

Desk-Review Assessment Of $93,000 Vacated — Specialty Food Importer, Kelowna

A desk review assessed a specialty food importer in Kelowna, British Columbia $93,000. The dispute was over inter-company balances between two related corporations that had never been reconciled. Producing the records vacated the assessment.

A specialty food importer in Kelowna, British Columbia was carrying $93,000 of penalties and interest. The charges arose from inter-company balances between two related corporations that had never been reconciled. Much of that amount accumulated during a period the CRA itself had delayed. We reconciled the general ledger to the GIFI schedules filed for each open year and corrected the two years where they disagreed. We framed the relief application on the specific grounds the CRA guidelines recognise rather than on general hardship. The assessment was vacated. $93,000 came off the account, and the documentation now on file makes the same position straightforward to defend next time.

Case Study 3

Share Sale Restructured, $360,000 Less Tax On Closing — Off-Calendar Year-End Supplier, Toronto

Due diligence at a supplier with an off-calendar fiscal year-end in Toronto, Ontario surfaced retained cash well above what the business needed to operate. Restructuring the sale saved $360,000 against the original terms.

A supplier with an off-calendar fiscal year-end in Toronto, Ontario was preparing to sell. Due diligence surfaced retained cash well above what the business needed to operate. That would have reduced the price or killed the deal outright. We cleaned up the historical file. We built a fixed-asset continuity schedule from the purchase invoices. We set the capital cost allowance claim class by class rather than claiming the maximum by default. Then we prepared the due-diligence package the buyer's advisers actually asked for. The deal closed at the agreed price. $360,000 of tax was saved against the structure originally proposed, with no post-closing adjustment.

Case Study 4

Growth Handled Without A Missed Filing, $18,500 Freed — Regional Courier Operator, Mississauga

A regional courier operator in Mississauga, Ontario was scaling. The growth exposed capital assets written off in full in the year of purchase, with no fixed-asset schedule behind the deduction. The back office was rebuilt to match, freeing $18,500.

A regional courier operator in Mississauga, Ontario was opening in a second province. That meant different filing obligations and a different payroll regime. Capital assets written off in full in the year of purchase, with no fixed-asset schedule behind the deduction already sat in the file. We set a monthly close calendar with a fixed cut-off, so the year-end became a review of work already done rather than a twelve-month rebuild. We then put monthly reporting in place. That let the owner see the cash effect of growth while there was still time to act on it. Growth was absorbed without a compliance failure. $18,500 of cash was released, and the monthly reporting now flags a problem while it is still small.

Case Study 5

26 Months Reconciled And $16,500 Of Input Tax Recovered — Design Agency, Winnipeg

26 months of records at a 14-person design agency in Winnipeg, Manitoba had never been reconciled. That left two sets of numbers — one in the accounting file, one the owner actually ran the business on. Rebuilding recovered $16,500.

Nothing reconciled at a 14-person design agency in Winnipeg, Manitoba. Every filing started with 26 months of cleanup. The file was carrying two sets of numbers — one in the accounting file, one the owner actually ran the business on. We rebuilt from source rather than correcting on top of the existing file. We separated personal and corporate spending, cleared the shareholder loan through a documented salary and dividend mix, and restated the comparative year. Then we set the routine that keeps it clean. 26 months reconciled to the bank. The close now takes 6 days, and $16,500 of previously unclaimable input tax was recovered in the process.

Case Study 6

Reorganisation Completed Tax-Deferred, $66,000 Saved Each Year — Fitness Studio Group, Halifax

A boutique fitness studio group in Halifax, Nova Scotia had outgrown its structure. The visible cost was work in progress carried at billing value one year and at cost the next, so neither year was comparable. The reorganisation completed tax-deferred and saves $66,000 a year.

A boutique fitness studio group in Halifax, Nova Scotia had outgrown the structure it started with. Work in progress carried at billing value one year and at cost the next, so neither year was comparable was the immediate problem. The longer-term one was that the structure blocked the next step. We mapped the current structure and modelled the target. Then we moved accruals, prepaids and depreciation into a documented month-end checklist, so they stopped being year-end discoveries. The tax-deferred elections were filed on time and the supporting valuations documented. The reorganisation completed without triggering tax, and the new structure saves approximately $66,000 a year while removing the exposure the old one carried.

Questions Owners Ask About Outsourced Finance Department Services

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Outsourced Finance Department Services cost in Canada?

Outsourced Finance Department Services starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Outsourced Finance Department Services?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Outsourced Finance Department Services take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Outsourced Finance Department Services?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Outsourced Finance Department Services different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Outsourced Finance Department Services?

Our outsourced finance department services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Outsourced Finance Department Services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

How long does outsourced finance department services usually take from start to finish?

In our files, this is the deciding factor: The CRA requires business records to be kept for six years from the end of the tax year they relate to, in a form that allows the return to be verified. Where records cannot support the return, the CRA is entitled to assess on its own estimate — and the burden of disproving that estimate falls on the taxpayer. A tax specialist applies it to your numbers before submission.

Can I switch to your firm for outsourced finance department services partway through the year?

The honest answer comes down to one rule. A small corporation still carries the full compliance set: T2, GST/HST, payroll, and the annual return with the incorporating jurisdiction. The annual corporate return is separate from the T2 and is the one most often forgotten, which can lead to administrative dissolution. That is the part we verify before anything is filed.

What Canadians Search About Outsourced Finance Department Services

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

For the 2026 tax year, federal rates are 14% on the first $58,523 of taxable income, 20.5% from there to $117,045, 26% to $181,440, 29% to $258,482, and 33% above that. Each rate applies only to the income inside its own band, so moving into a higher bracket does not raise the tax on the income below it. Provincial or territorial tax is added on top.

Pay through your bank's online banking by adding the CRA as a payee and choosing the right account and year, through My Payment with a debit card, by pre-authorised debit scheduled in My Account, by credit card through a third-party provider that charges its own fee, or at a bank counter with a remittance voucher. For 2025 personal returns the payment deadline was 30 April 2026, including for the self-employed, and interest runs daily on anything unpaid after that.

The refund is normally released with the assessment itself, so a direct deposit follows soon after the notice appears in My Account, and a cheque takes longer because it travels by post. If nothing arrives, read the notice: the CRA may have applied the refund against an outstanding balance, family support arrears or another government debt, or held it while the return is reviewed or an earlier year remains unfiled. My Account shows the payment date once it is issued.

Filing is required once tax is owed, and also in several situations regardless of income, including selling property, repaying benefits, splitting pension income, or receiving a request to file from the CRA. Below the basic personal amount most people owe nothing, yet filing still pays: the Canada Child Benefit, the GST/HST credit and provincial credits are all calculated from a filed return. Check the basic personal amount for the year you are filing.

You can pay through CRA My Business Account or My Payment, through your own financial institution's online banking by adding the CRA GST/HST payment as a payee under your business number, or by pre-authorised debit arranged in My Business Account. Third-party providers accept credit cards for a fee. Payment is due by the deadline for your reporting period, and filing the return does not by itself move the money, so schedule the two separately.

Yes. A mortgage is a liability on the balance sheet, carried at the outstanding principal and normally split between the portion due within twelve months and the long-term remainder. The property sits on the other side as an asset. Only interest is an expense; principal repayments reduce the liability and never reach the income statement. For a rental or business property, that same interest-versus-principal split is what determines the deductible amount on the tax return.

Long-term residential rent is exempt, so no GST/HST is charged on it in 2026. Exempt is different from zero-rated: because the rent is exempt, the landlord also cannot claim input tax credits on repairs, utilities or management fees, and that tax becomes a real cost. Short-term accommodation — a stay of less than one month of continuous occupancy — is taxable at the province's rate in 2026 unless the charge is $20 or less for each day of occupancy, in which case it is exempt no matter how short the stay, and commercial rent is taxable, and a mixed-use property needs its input tax credits apportioned.

Federal excise duty on cigarettes is charged per thousand cigarettes on tobacco packaged for the Canadian duty-paid market, which is why packages carry an excise stamp. The rate is adjusted each year, and most provinces levy their own tobacco tax on top, so the shelf price carries both. Manufacturers and importers remit the duty, not retail buyers. Check the CRA's excise duty rates page for the current amount before pricing or costing stock.

About two weeks for a return filed online, once the CRA has processed it. Direct deposit is the fastest way to receive it. A non-resident return can take up to 16 weeks. Your refund can also be held if the CRA reviews a claim, asks for receipts, or applies it against another balance you owe, including support or student-loan amounts. Track the status in My Account.

A refund is not taxable. It returns tax you already overpaid through withholding or instalments, so it never goes back on a return as income. Interest the CRA pays on a delayed refund is different: that interest is taxable and belongs on the return for the year you receive it. A refund also has no effect on the credits or benefits you claim.

A T5 reports investment income such as interest or dividends paid out to a recipient. Prepare a slip for each recipient plus the summary, file the set electronically through the CRA's internet file transfer or web forms service using your business number and web access code, and give every recipient their copy. The deadline falls early in the year after the income was paid, so confirm the exact date on canada.ca before filing.
