Bookkeeping Review Services: Our Analysis

CRA reviews are won on documentation: every figure filed should trace to a source document, and deadlines — 90 days for an objection — are unforgiving. The CRA requires business records to be kept for six years from the end of the last tax year they relate to. We quote bookkeeping review services as one economical fixed price — the budget-friendly alternative to hourly billing.

Things We've Learned Doing Bookkeeping Review Services Work

There is a version of bookkeeping review services that runs smoothly and a version that turns into correspondence. The difference is rarely luck; it comes down to details any tax expert handling these files weekly learns to check first.

One rule does more work than the rest combined, so it goes first. An input tax credit is only claimable where the supporting invoice carries the supplier’s GST/HST number — above $150 the invoice also needs the recipient’s name and a description of the supply.

Right behind it comes a rule owners rarely hear about until it bites: Bank feeds are not a bookkeeping system. Auto-categorised transactions still need reconciliation to statements, because a duplicated feed entry is indistinguishable from a real expense on the face of the ledger. One more rule deserves attention, mostly because ignoring it is expensive in ways that only show up later. Cash-basis records are not acceptable for a corporation. Income must be reported on the accrual basis, with receivables and payables recognised when they arise rather than when the money moves.

What this means for you depends entirely on facts we have not seen yet — which is the honest answer, and the reason a tax expert starts every bookkeeping review services engagement with questions rather than conclusions. Think of this list as the raw material a tax expert works from on bookkeeping review services.

Start whenever suits you; the structure is already set. You will know the fixed fee before work begins, approve the file before it is filed, and pay only once the service is delivered.

Bookkeeping Review Services Tax & Accounting Case Studies

See how our expert Bookkeeping Review Services tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

$30,000 Of Arbitrary Assessments Vacated After 6 Years — Specialty Coffee Roaster, Windsor

The CRA had assessed a specialty coffee roaster in Windsor, Ontario on estimates across 6 unfiled years. Real filings vacated $30,000 of that tax.

Case Study 2

Desk-Review Assessment Of $60,000 Vacated — Mobile Pet-Grooming Company, Kitchener

A desk review assessed a mobile pet-grooming company in Kitchener, Ontario $60,000 over a payroll clearing account that had never been brought to zero, carrying a balance nobody could explain. Producing the records vacated it.

Case Study 3

Books Rebuilt From Source, $3,400 In Unclaimed Input Tax Found — Courier Subcontractor, Burnaby

The ledger at a courier subcontractor paid by the drop in Burnaby, British Columbia could not support its own filings because of meals and entertainment coded at full cost with the input tax credit claimed on the whole amount. Rebuilding it surfaced $3,400 in unclaimed input tax.

Case Study 4

$64,000 Cut From The Annual Tax Bill — Wedding Photography Studio, Halifax

A wedding photography studio in Halifax, Nova Scotia was filing correctly and still overpaying because of sales recorded from bank deposits, so processor fees, chargebacks and refunds appeared nowhere in the ledger. Restructuring the position cut $64,000 from the annual bill.

Case Study 5

Audit Defence Closed In 9 Weeks, $29,000 Cleared — Subscription Box Retailer, Winnipeg

A subscription box retailer in Winnipeg, Manitoba was under review over a receivables list that included invoices collected eleven months earlier. The file closed in 9 weeks with $29,000 of proposed tax cleared.

Case Study 6

$325,000 Sheltered By The Lifetime Capital Gains Exemption — Dental Hygiene Clinic, Mississauga

A dental hygiene clinic in Mississauga, Ontario was preparing to sell, but a single shareholder holding every share, with no room to multiply the exemption disqualified the shares. Purification sheltered $325,000 under the exemption.

Your Bookkeeping Review Services Questions, Answered

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Bookkeeping Review Services cost in Canada?

Bookkeeping Review Services starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Bookkeeping Review Services?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Bookkeeping Review Services take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We are a cloud-based practice serving every province and territory, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Bookkeeping Review Services?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Bookkeeping Review Services different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Bookkeeping Review Services?

Our bookkeeping review services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Bookkeeping Review Services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What should I look for when choosing a provider for bookkeeping review services?

Here is what the rules actually say, stripped of the folklore: An input tax credit is only claimable where the supporting invoice carries the supplier’s GST/HST number — above $150 the invoice also needs the recipient’s name and a description of the supply. Our role as your accounting firm is to apply that cleanly to your situation rather than to a hypothetical one.

How do I know if my business actually needs bookkeeping review services?

It depends less on opinion than owners assume. Business records must be kept for six years from the end of the last tax year they relate to, and the CRA can require them in electronic form that it can actually read. Once you know that, the practical question becomes timing and documentation — both of which we handle inside the engagement.

What Canadians Search About Bookkeeping Review Services

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

The refund is normally released with the assessment itself, so a direct deposit follows soon after the notice appears in My Account, and a cheque takes longer because it travels by post. If nothing arrives, read the notice: the CRA may have applied the refund against an outstanding balance, family support arrears or another government debt, or held it while the return is reviewed or an earlier year remains unfiled. My Account shows the payment date once it is issued.

GST or HST is calculated on the selling price of a taxable supply and shown separately on the invoice. Place-of-supply rules decide which province's rate applies, and that is usually where the customer receives the goods or service rather than where you operate. A registrant remits the tax collected less input tax credits for GST or HST paid on business purchases, so the amount sent to the CRA with each return is the net figure, not everything collected.

A refund liability is the amount a business expects to pay back to customers for returns, rebates, price adjustments or unused credits, recognised when the sale is recorded rather than when the money goes out. Revenue is reported net of that estimate, and a separate asset is set up for goods expected to come back. Revisit the estimate each period end against actual return rates, and adjust the sales tax reported on refunded sales as well.

Yes. GST and HST are one federal tax, so a registrant claims tax paid anywhere in Canada on the same return, at whatever rate applied where the supply was made. An Alberta business billed 13% HST on an Ontario hotel stay recovers the full 13%, as long as the expense relates to commercial activity and the invoice shows the tax. Provincial retail taxes are different: British Columbia PST, Saskatchewan PST and Manitoba RST are costs, not credits.

Use your marginal rate for decisions about the next dollar: an RRSP contribution, a bonus, extra self-employed work, or realising a capital gain. It is the combined federal and provincial rate on income in your top bracket. Use your effective, or average, rate to understand your overall burden, which is total tax divided by total income. Federal brackets for 2026 start at 14% and rise through 20.5%, 26% and 29% to 33%.

A write-off is an expense deducted from income so that tax applies to a smaller amount. It is not a refund of what you spent: the saving equals the expense multiplied by your marginal rate. Employees may deduct very little, while a business or self-employed person can deduct reasonable costs incurred to earn income, though categories such as meals and entertainment, vehicles and home office are restricted. Keep receipts, because the CRA can ask for them years later.

Most bank service charges are exempt financial services, so no GST/HST is added to them. Monthly account fees, overdraft interest, transfer fees and transaction charges normally carry no tax at all. Some items billed by a bank are taxable, such as safe deposit box rental or certain administrative and safekeeping services. Your statement itemises any tax charged, and only tax actually shown there can be claimed as an input tax credit on a GST/HST return.

There is no age or milestone at which refunds stop. A refund only means more tax was withheld or paid by instalments during the year than the return finally calculates, so it turns on your income mix each year. Retirees often stop seeing refunds because pension, RRIF and investment income tends to be under-withheld, which produces a balance owing instead. You can ask a payer to withhold more, or pay instalments, to change that.

Sign in to CRA My Account and open the statement of account. It shows any balance owing by tax year, the interest charged and the payments applied. Businesses see the same for GST/HST, payroll and corporate accounts in My Business Account. The notice of assessment for each year also states the amount. With no online access, phone the CRA or have an authorised representative check. Unfiled years can hide a balance, so confirm every year has been filed.

For the 2025 tax year the filing and payment deadline is 30 April 2026. If you or your spouse were self-employed, filing moves to 15 June 2026, but any balance is still due 30 April 2026. Online filing for 2025 opened 23 February 2026 and closes 29 January 2027. You can still file after the deadline, and you should, though interest and a late-filing penalty apply once you owe.

Workers' compensation benefits are not taxed. The provincial board issues a slip, you report the amount on your return, and an offsetting deduction takes it out of taxable income. It still counts in net income, so it can reduce income-tested credits and benefits. Wage-loss payments from a private disability plan your employer paid for are different and are employment income. An employer top-up of board payments is also taxable and appears on your T4.

Yes. Dividends and most other investment income are taxable in the year received, but interest is reported as it accrues each year, so a compound GIC or strip bond produces taxable interest annually even though nothing is paid out until maturity; the amounts usually appear on a T5 slip, and income below the slip-issuing threshold still has to be reported. A share's rise in value is taxed only when you sell, and only part of the resulting capital gain is included in income.
