Finance Department Outsourcing: Our Analysis

A fractional CFO typically costs a fraction of a $200,000-plus full-time hire while still covering forecasting, banking and pricing decisions. We quote finance department outsourcing as one economical fixed price — the budget-friendly alternative to hourly billing.

Reading Between the Lines on Finance Department Outsourcing

A few notes from the files we actually work on, because finance department outsourcing is decided by details that never make it into a brochure.

Here is where every serious conversation about Finance Department Outsourcing begins: A small corporation still carries the full compliance set: T2, GST/HST, payroll, and the annual return with the incorporating jurisdiction. The annual corporate return is separate from the T2 and is the one most often forgotten, which can lead to administrative dissolution.

There is a companion rule that changes how the first one plays out in practice: Planning has to be in place before the transaction. The salary-versus-dividend mix, the timing of a capital purchase and the choice of year-end all change the outcome, but only prospectively. Almost every planning opportunity we see missed was available and simply not taken in time; very few are recoverable after year-end. The documentation side matters just as much. Interest is deductible where the borrowed money is used to earn income from a business or property. The test is what the money actually funded. The paper trail linking each borrowing to its use is what supports the deduction when the loan and the spending sit years apart.

So where does that leave you? In most cases, with a decision about whether to work through finance department outsourcing alone or hand the moving parts to a tax preparation specialist who tracks them for a living. Gathering the following ahead of time turns the first finance department outsourcing conversation from fact-finding into decision-making.

The fee is fixed and agreed before any work starts, you review every figure, and payment happens only after the work is done.

Finance Department Outsourcing Tax & Accounting Case Studies

See how our expert Finance Department Outsourcing tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

Share Sale Restructured, $745,000 Less Tax On Closing — Fast-Growing E-Commerce Brand, Edmonton

Due diligence at a fast-growing e-commerce brand in Edmonton, Alberta surfaced passive assets sitting inside the operating company, disqualifying the shares. Restructuring the sale saved $745,000 against the original terms.

A fast-growing e-commerce brand in Edmonton, Alberta was preparing to sell. Due diligence surfaced passive assets sitting inside the operating company, disqualifying the shares. That would have reduced the price or killed the deal outright. We cleaned up the historical file. We modelled the covenant ratios monthly and restructured the debt before the next test date rather than after it. Then we prepared the due-diligence package the buyer's advisers actually asked for. The deal closed at the agreed price. $745,000 of tax was saved against the structure originally proposed, with no post-closing adjustment.

Case Study 2

Remuneration Review Saved $42,000 Across Corporate And Personal Returns — Multi-Line Service Business, Guelph

A remuneration review at a business whose margin varies by service line in Guelph, Ontario saved $42,000 across the corporate and personal returns. It found an owner making hiring decisions on last quarter’s bank balance.

Nothing was wrong at a business whose margin varies by service line in Guelph, Ontario. The filings were on time and accurate. What they were not was planned. An owner making hiring decisions on last quarter’s bank balance had never been reviewed. We traced each borrowing to what it actually funded and kept the interest deduction on the portion used to earn business income. We ran the numbers across both the corporate and personal returns, so the saving was real rather than deferred into someone else's hands. $42,000 came off the combined corporate and personal tax bill, and the structure holds for future years without further work.

Case Study 3

$65,000 Of Penalties And Interest Cancelled On Relief — Second-Province Distributor, Red Deer

A distributor entering a second province in Red Deer, Alberta was carrying $65,000 of penalties and interest. The charges arose from a growth plan with no forecast behind it and no financing lined up. A relief application cancelled that amount.

An assessment of $65,000 landed at a distributor entering a second province in Red Deer, Alberta following a desk review. It turned on a growth plan with no forecast behind it and no financing lined up. The auditor had not seen the records behind it. We built a rolling thirteen-week cash-flow model, tightened collections, and renegotiated supplier terms so the growth stopped consuming the bank balance. We then set out the legislative basis for the position alongside the documents supporting it. $65,000 of penalties and interest was cancelled under the taxpayer relief provisions, and the underlying assessment was adjusted to match the filed position.

Case Study 4

$129,000 In Credits Claimed That Prior Filings Had Missed — Expanding Manufacturer, Saskatoon

6 years of filings at a manufacturer planning a plant expansion in Saskatoon, Saskatchewan had never claimed the incentives the work qualified for. The review recovered $129,000.

A manufacturer planning a plant expansion in Saskatoon, Saskatchewan had been filing for 6 years. In that time, the incentives its activity qualified for were never claimed. Behind that sat a healthy bank balance made up almost entirely of deposits for work not yet performed. We tested each activity against the eligibility criteria rather than the description on the invoice. Then we produced a board-ready monthly package — cash, margin, pipeline and covenant headroom — that replaced a spreadsheet nobody trusted. $129,000 in credits claimed, with the open prior years adjusted as well. The claim passed review without adjustment.

Case Study 5

Instalments Rebased, $20,500 Of Cash Returned To The Business — Owner Without a Forecast, Ottawa

An owner running the business without a cash-flow forecast in Ottawa, Ontario was overpaying instalments. The cause was a borrowing drawn for an unrelated personal purchase with the interest claimed against the business. Rebasing them returned $20,500 to the business.

An owner running the business without a cash-flow forecast in Ottawa, Ontario was paying instalments calculated on a prior year. That year no longer reflected the business. A borrowing drawn for an unrelated personal purchase with the interest claimed against the business was tying up $20,500 of cash. We rebased the instalments on the current-year estimate rather than the prior-year default. Alongside that, we added the balance sheet and a cash view to the monthly package, so the owner saw working capital move rather than only profit. $20,500 of cash stayed in the business, the penalty cycle ended, and the instalment position is reviewed each quarter against actual results.

Case Study 6

Corporate Structure Rebuilt For $13,500 Of Annual Savings — Subscription Business, Lethbridge

The structure at a subscription business tracking churn in Lethbridge, Alberta no longer fitted the business. A monthly report that stopped at the income statement, with no balance sheet and no cash view showed it. Rebuilding it saves $13,500 a year.

The structure at a subscription business tracking churn in Lethbridge, Alberta dated from years earlier. It had been set up for a business that no longer existed. A monthly report that stopped at the income statement, with no balance sheet and no cash view had become expensive. We rebuilt the reporting around gross margin by service line, which showed two of five offerings were losing money at the current price. The reorganisation used the rollover provisions rather than a taxable transfer, so no tax fell due on the restructuring itself. $13,500 of annual saving, achieved on a tax-deferred basis. The minute book, elections and valuations are all in the file.

What Clients Ask Us About Finance Department Outsourcing

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Finance Department Outsourcing cost in Canada?

Finance Department Outsourcing starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Finance Department Outsourcing?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Finance Department Outsourcing take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Finance Department Outsourcing?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Finance Department Outsourcing different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Finance Department Outsourcing services?

Our finance department outsourcing services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Finance Department Outsourcing services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

How long does finance department outsourcing usually take from start to finish?

Our answer starts where the legislation starts. Interest is deductible where the borrowed money is used to earn income from a business or property. The test is what the money actually funded. The paper trail linking each borrowing to its use is what supports the deduction when the loan and the spending sit years apart. From there it is a matter of applying it to your year — and that application, not the rule itself, is where a tax advisor earns the fee.

What records do I need before starting finance department outsourcing?

The honest answer comes down to one rule. Amounts received for services not yet performed are included in income when received, with a reserve available only where the statutory conditions are met. A cash balance built out of customer prepayments can carry a tax liability inside it. That is why deferred revenue is not a financing source. That is the part we verify before anything is filed.

For the 2025 tax year the filing and payment deadline is 30 April 2026. If you or your spouse carried on a business, the return itself is due 15 June 2026, but any balance owing is still due 30 April 2026. Interest runs on unpaid amounts after the payment deadline, and a late-filed return with a balance owing also attracts a late-filing penalty. Filing on time keeps benefit and credit payments flowing.

For 2025 returns filed in 2026, most online returns are processed in about two weeks, and a non-resident return can take up to sixteen weeks. A paper return runs on a considerably longer standard because it is handled manually. Those timeframes assume a complete return that is not pulled for review. Register direct deposit and track progress in CRA My Account rather than waiting on a posted cheque.

For the 2026 tax year, federal rates are 14% on the first $58,523 of taxable income, 20.5% from there to $117,045, 26% to $181,440, 29% to $258,482, and 33% above that. Each rate applies only to the income inside its own band, so moving into a higher bracket does not raise the tax on the income below it. Provincial or territorial tax is added on top.

The basic personal amount is a non-refundable credit that shelters a base level of income from federal tax, so income below it carries no federal tax. The amount is indexed every year, and the enhanced portion is phased out across the second-highest federal bracket, so taxpayers in the top bracket receive only the base amount. Each province and territory sets its own version. On Form TD1 you claim it so your employer withholds less; claim it with one employer only, or too little tax is withheld.

Service Canada issues the T4E, not your employer. The quickest route is My Service Canada Account, where the slip sits under tax information and can be printed. A paper copy also goes to the address on file, and the slip is loaded into CRA My Account, so tax software using Auto-fill my return can pull it in directly. If nothing appears, call Service Canada, and report the benefits on your return even while waiting for the slip.

The CRA opens online filing in late February and begins processing returns then. For the 2025 tax year, online filing opened on 23 February 2026 and closes on 29 January 2027. Filing early does not usually get you a refund sooner than the two-week online processing window, but it does confirm benefit and credit payments that depend on your assessed return. Slips from employers and payers are generally available by then.

Long-term residential rent is exempt, so no GST/HST is charged on it in 2026. Exempt is different from zero-rated: because the rent is exempt, the landlord also cannot claim input tax credits on repairs, utilities or management fees, and that tax becomes a real cost. Short-term accommodation — a stay of less than one month of continuous occupancy — is taxable at the province's rate in 2026 unless the charge is $20 or less for each day of occupancy, in which case it is exempt no matter how short the stay, and commercial rent is taxable, and a mixed-use property needs its input tax credits apportioned.

The tax-free savings account began in the 2009 calendar year, so an adult resident of Canada has been accumulating room every year since then, and unused room carries forward indefinitely. Cumulative room reached $102,000 at 1 January 2025 and $109,000 at 1 January 2026, with the annual limit $7,000 for both 2025 and 2026. Check My Account for your own number, since it also reflects past contributions and withdrawals.

Not for 2025 or any later year. Bill C-15, which received Royal Assent on 26 March 2026, did not repeal the Underused Housing Tax Act — the Act remains in force, but the amendments mean no tax is payable and no return is required for 2025 and later calendar years. Returns for the 2022, 2023 and 2024 calendar years were still required, so any unfiled return or outstanding penalty for those years remains live.

Cost tracks the entity and the state of the records. A sole proprietor filing a T2125 with a personal return is a smaller job than a corporation needing a T2, financial statements, payroll filings and GST/HST returns. Bookkeeping that has to be rebuilt first is the usual reason a quote rises, so a clean set of books keeps the fee down. Our fees are fixed and agreed before work starts, and you pay after the service.

An allowance is taxable employment income unless the CRA accepts it as reasonable and a specific exception applies. A per-kilometre motor vehicle allowance is not taxable where the rate is reasonable, it is based only on kilometres driven for work, and no other payment covers the same use. The CRA publishes each year the per-kilometre amount it accepts as reasonable, at a lower rate above the first tranche of kilometres and a higher one in the territories, so check canada.ca for the current amount. Flat monthly car allowances are taxable.

Take the net income line from your partner's completed return for the same year, or the net income shown on their notice of assessment. Where you hold authorised access, it also appears in CRA My Account. If their return is not finished, prepare both returns together so the figure is settled before either is filed. A reasonable estimate is accepted, but a wrong number usually shows up later as a benefit recalculation.
