QuickBooks Online Bookkeeping: Our Analysis

Everything runs through a secure client portal with e-signatures, so the engagement works identically from any province or time zone. The CRA requires business records to be kept for six years from the end of the last tax year they relate to. We quote quickbooks online bookkeeping as one economical fixed price — the budget-friendly alternative to hourly billing.

Field Notes: QuickBooks Online Bookkeeping

There is a version of quickbooks online bookkeeping that runs smoothly and a version that turns into correspondence. The difference is rarely luck; it comes down to details any tax professional handling these files weekly learns to check first.

Start with the rule that decides most files: For the 2025 tax year, an invoice of $100 or more must show the supplier’s GST/HST registration number to support an input tax credit. From $500 it also needs the buyer’s name, a description of the supply and the payment terms.

Right behind it comes a rule owners rarely hear about until it bites: Business records must be kept for six years from the end of the last tax year they relate to. The CRA can require them in electronic form that it can actually read. One more, because it surfaces in reviews constantly: A small corporation still carries the full compliance set: T2, GST/HST, payroll, and the annual return with the incorporating jurisdiction. The annual corporate return is separate from the T2 and is the one most often forgotten, which can lead to administrative dissolution.

The common thread in these rules is that they punish assumptions and reward verification. Engaging a tax professional for quickbooks online bookkeeping is, at bottom, a way of replacing assumptions with checked answers. Think of this list as the raw material a tax professional works from on quickbooks online bookkeeping.

No surprises is the operating principle: the fee is agreed and fixed before we start, you review everything before it is filed, and payment comes after the work, not before.

Case Study 1

$144,000 Reassessment Reduced To Nil On Review — Specialty Coffee Roaster, Saskatoon

A $144,000 reassessment was proposed against a specialty coffee roaster in Saskatoon, Saskatchewan. It followed eighteen months of unreconciled transactions and a shoebox of receipts. The documented response reduced it to nil.

A review notice arrived at a specialty coffee roaster in Saskatoon, Saskatchewan, covering QuickBooks Online bookkeeping for two tax years. The auditor's working position was an adjustment of $144,000. It was driven by eighteen months of unreconciled transactions and a shoebox of receipts. Rather than negotiate, we rebuilt the record. We rebuilt the ledger from bank and card statements and matched every receipt to a transaction. We removed duplicated input tax credits before they became a review. We then submitted a point-by-point response that answered each proposed adjustment with the document behind it. The auditor accepted the documented position and closed the review without adjustment, protecting $144,000 and leaving the prior filings undisturbed.

Case Study 2

Instalments Rebased, $28,000 Of Cash Returned To The Business — Courier Subcontractor, Guelph

A courier subcontractor paid by the drop in Guelph, Ontario was overpaying instalments. The cause was a payroll clearing account that had never been brought to zero, carrying a balance nobody could explain. Rebasing them returned $28,000 to the business.

A courier subcontractor paid by the drop in Guelph, Ontario was paying instalments calculated on a prior year. That year no longer reflected the business. A payroll clearing account that had never been brought to zero, carrying a balance nobody could explain was tying up $28,000 of cash. We rebased the instalments on the current-year estimate rather than the prior-year default. Alongside that, we separated the owner’s personal spending out of the corporate accounts and cleared the resulting shareholder loan properly. $28,000 of cash stayed in the business, the penalty cycle ended, and the instalment position is reviewed each quarter against actual results.

Case Study 3

Desk-Review Assessment Of $73,000 Vacated — Subscription Box Retailer, London

A desk review assessed a subscription box retailer in London, Ontario $73,000. The dispute was over meals and entertainment coded at full cost with the input tax credit claimed on the whole amount. Producing the records vacated the assessment.

A subscription box retailer in London, Ontario was carrying $73,000 of penalties and interest. The charges arose from meals and entertainment coded at full cost with the input tax credit claimed on the whole amount. Much of that amount accumulated during a period the CRA itself had delayed. We rebuilt sales from the processor settlement reports so gross sales, fees and refunds each landed in an account of their own. We framed the relief application on the specific grounds the CRA guidelines recognise rather than on general hardship. The assessment was vacated. $73,000 came off the account, and the documentation now on file makes the same position straightforward to defend next time.

Case Study 4

$395,000 Sheltered By The Lifetime Capital Gains Exemption — Equipment Rental Yard, Lethbridge

An equipment rental yard in Lethbridge, Alberta was preparing to sell. However, no valuation on file to support the price the parties had agreed disqualified the shares. Purification sheltered $395,000 under the exemption.

An equipment rental yard in Lethbridge, Alberta had an offer on the table and 11 months to close. The shares did not qualify for the capital gains exemption. No valuation on file to support the price the parties had agreed was part of the reason. We purified the corporation so the shares met the qualifying tests. We converted the foreign-currency purchases at transaction-date rates and recorded the exchange difference at settlement instead of burying it in cost of sales. All of it was done well ahead of the closing date. The sale closed on schedule with $395,000 sheltered by the lifetime capital gains exemption across the shareholders.

Case Study 5

Second-Province Expansion Handled, $138,000 Of Cash Released — Seasonal Food-Truck Operator, Burnaby

A food-truck operator running two seasonal units in Burnaby, British Columbia expanded into a second province. The file already carried a receivables list that included invoices collected eleven months earlier. Every obligation was set up in advance and $138,000 of cash released.

Revenue at a food-truck operator running two seasonal units in Burnaby, British Columbia was up sharply and cash was tighter than ever. Underneath it sat a receivables list that included invoices collected eleven months earlier. We set up a documented chart of accounts, a receipt-capture workflow and a monthly reconciliation that closes within ten days of month-end. Every new obligation was set up before it was triggered, not after. That covered registration, remittance frequency and provincial filing. $138,000 of cash was released from the working capital cycle. The expansion completed with every registration and filing obligation covered from day one.

Case Study 6

23 Months Reconciled And $19,500 Of Input Tax Recovered — Two-Location Cafe, Toronto

23 months of records at a two-location cafe in Toronto, Ontario had never been reconciled. That left three years of returns filed off numbers nobody could trace back to a bank statement. Rebuilding recovered $19,500.

Nothing reconciled at a two-location cafe in Toronto, Ontario. Every filing started with 23 months of cleanup. The file was carrying three years of returns filed off numbers nobody could trace back to a bank statement. We rebuilt from source rather than correcting on top of the existing file. We reconciled receivables and payables to source documents and wrote off the balances that were genuinely uncollectible, with support. Then we set the routine that keeps it clean. 23 months reconciled to the bank. The close now takes 6 days, and $19,500 of previously unclaimable input tax was recovered in the process.

Straight Answers on QuickBooks Online Bookkeeping

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does QuickBooks Online Bookkeeping cost in Canada?

QuickBooks Online Bookkeeping starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for QuickBooks Online Bookkeeping?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does QuickBooks Online Bookkeeping take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for QuickBooks Online Bookkeeping?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes QuickBooks Online Bookkeeping different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in QuickBooks Online Bookkeeping services?

Our quickbooks online bookkeeping services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with QuickBooks Online Bookkeeping services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What happens during the first meeting about quickbooks online bookkeeping?

In our files, this is the deciding factor: Foreign-currency amounts have to be converted at the exchange rate for the day the transaction occurred. Applying one year-end rate to twelve months of purchases distorts the recorded cost and hides the exchange gain or loss on settlement. A tax practitioner applies it to your numbers before submission.

How do you price quickbooks online bookkeeping for a small business?

The short answer comes straight from our working notes: The CRA requires business records to be kept for six years from the end of the tax year they relate to, in a form that allows the return to be verified. Where records cannot support the return, the CRA is entitled to assess on its own estimate — and the burden of disproving that estimate falls on the taxpayer. How that plays out on your file depends on the specifics, which is exactly what the engagement is for.

Divide the total by one plus the tax rate expressed as a decimal. That gives the amount before tax, and subtracting it from the total leaves the tax portion. Going the other direction, multiply the pre-tax amount by the rate to get the tax and add the two together. Use the combined rate for the province of supply, and avoid rounding at each step so the tax you report matches the figures on your invoices.

You can file a Canadian personal return at no cost using CRA-certified free tax software, which sends the return through NETFILE. Volunteer clinics run by community organisations also prepare simple returns free of charge for people with modest income. Paper filing costs only postage. Free software suits straightforward employment and pension income; self-employment, rental or foreign property usually needs a preparer. CRA online filing for 2025 returns opened 23 February 2026 and closes 29 January 2027.

Revenue Canada is the former name of the Canada Revenue Agency. The CRA is the federal body that administers income tax, GST/HST, payroll deductions and benefit payments such as the Canada child benefit, and it collects provincial income tax for every province except Quebec, which runs its own personal system through Revenu Québec. The old name is still in everyday use, so paying Revenue Canada means paying the CRA, and a letter from either is the same agency.

No. The GST, HST, PST or QST you charge is not your revenue. You collect it as an agent and remit it, so it belongs in a liability account and revenue is recorded net of tax. Including it overstates sales and distorts every margin you calculate. Input tax credits work the same way in reverse, against that liability rather than as an expense. Payment processors deposit tax-included amounts, which is why bank totals never equal revenue.

Usually yes. Digital services, subscriptions and downloads sold to Canadian customers are taxable supplies, so GST/HST applies at the customer’s provincial rate — 5% GST alone in Alberta, or 13% in Ontario, for instance. Non-resident vendors and platforms selling to Canadian consumers generally have to register and charge tax under the simplified regime. If you sell online, the rate follows where your customer is, not where you are. Some provinces add their own sales tax.

Box 14 is gross employment income, not net. It shows total pay before income tax, CPP and EI were withheld, and it already includes most taxable benefits and any tips the employer controlled and paid out. The amounts withheld sit in their own boxes further along the slip. Net income is something you calculate on the T1 after deductions such as RRSP contributions and union dues, so it will not match box 14.

Yes, where the underlying expense is deductible for the business. A tip on a client meal follows the meals and entertainment rule, so only a portion of the total, tip included, is deductible. A tip on a deductible taxi, delivery or hotel charge is deductible in full as part of that cost. Keep the receipt showing the amount and note the business purpose, since cash tips with no record are the first thing a reviewer removes.

Because GST/HST follows the place of supply, not the seller's address. For goods, the rate is set by the province they are delivered to; for most services, by the customer's address on file. So an Ontario business billing Halifax charges 14% in 2026, Moncton 15%, and Calgary 5%. Getting it wrong means under-collecting or over-collecting, and the Canada Revenue Agency assesses any shortfall against the seller.

You cannot write off the income itself, but you deduct the costs of earning it. Common current expenses are mortgage interest (not principal), property tax, insurance, utilities you pay, condo fees, advertising, property management, and repairs that maintain the property. Improvements that better the property are capital and depreciated instead. Only the rented portion counts where you also live there. Keep invoices for six years from the end of the tax year they relate to.

Chargeable income is the term other countries use for the amount actually subject to tax. Canada uses taxable income instead: you total your income from all sources, subtract permitted deductions such as RRSP contributions and eligible employment or business expenses, and the rates apply to what is left. Credits, including the federal basic personal amount, then reduce the tax itself rather than the income. If a foreign form asks for chargeable income, your Canadian taxable income is the closest match.

There is no federal renters credit. Several provinces give rent-based relief through the provincial credits filed with your T1, including Ontario's energy and property tax credit, Manitoba's renters tax credit and Quebec's solidarity tax credit. Eligibility generally turns on residing in that province at the end of the year, having paid rent on a principal residence, and income below a phase-out level. Keep receipts and your landlord's details, and claim it each year you qualify.

Child care is a federal deduction, not a credit. Eligible fees paid so you can work, run a business, or study are deducted from income, normally by the spouse with the lower net income, subject to an annual limit per child that depends on the child age and disability status. Keep receipts showing the provider name and social insurance number or business number. Quebec adds a refundable provincial credit for child care, and several provinces subsidise fees directly.
