The CRA permits electronic records, but they must be readable and retained in an acceptable format, and records kept only in a foreign-hosted system can require permission to store outside Canada. The practical advantage of a cloud ledger is bank-feed reconciliation, which closes the gap between the transaction date and the day it is categorized, the delay that causes most year-end cleanup work.

Observations From Our Virtual Bookkeeping Files

A few notes from the files we actually work on, because virtual bookkeeping is decided by details that never make it into a brochure.

First, the rule that sorts straightforward files from complicated ones: An expense is deductible where it was incurred to earn income and is reasonable in the circumstances. The business-use portion must be supported, which for vehicles means a logbook. The CRA rarely argues that an expense category is wrong; it argues that the proportion claimed was never substantiated.

Layer a second constraint on top and the picture sharpens: The CRA requires business records to be kept for six years from the end of the tax year they relate to, in a form that allows the return to be verified. Where records cannot support the return, the CRA is entitled to assess on its own estimate — and the burden of disproving that estimate falls on the taxpayer. The last of the major rules is about when, not what. Foreign-currency amounts have to be converted at the exchange rate for the day the transaction occurred. Applying one year-end rate to twelve months of purchases distorts the recorded cost and hides the exchange gain or loss on settlement.

The common thread in these rules is that they punish assumptions and reward verification. Income up to the basic personal amount is effectively untaxed, because that credit offsets the federal tax on it, and each province and territory has its own equivalent amount. Both figures change every year with indexation, so look up the amount for the tax year in question. Other credits, such as the age amount, tuition, or the disability amount, lift the point where tax actually starts. Tax withheld at source below that point comes back as a refund.

Car insurance is claimable only for the business or employment use of a vehicle, never for personal driving. Keep a log of business kilometres and total kilometres for the year, then claim that share of insurance along with fuel, repairs, licence fees and loan interest. Employees need their employer to certify in writing that the vehicle was required for the job. Driving between home and a regular workplace counts as personal use.

Check My Account, which shows your current balance, any instalment requirement and the assessment for every year. The notice of assessment for your last filed return also states the balance, and the CRA's individual enquiries line can confirm it once you verify your identity. If returns are missing, the balance is not final until those years are filed. A representative can review it for you once authorised through Represent a Client or form AUT-01.

Yes, and usually you should. A return with no income is how the CRA works out the GST/HST credit, the Canada child benefit and provincial credits, all of which depend on a filed return. It also keeps carryforward amounts such as unused tuition on record and gets back any tax withheld. Skipping a year can pause benefit payments until you file, and there is no penalty for filing a nil return.

Make it routine rather than an April scramble. Record income and expenses monthly, keep receipts and statements for six years from the end of the tax year they relate to, and check CRA My Account for slips, notices, balances and instalment reminders. Pay instalments when the CRA asks for them. Set aside a share of self-employment income as it arrives, and register for direct deposit. A mid-year review is when planning can still change the result.

Because GST/HST follows the place of supply, not the seller's address. For goods, the rate is set by the province they are delivered to; for most services, by the customer's address on file. So an Ontario business billing Halifax charges 14% in 2026, Moncton 15%, and Calgary 5%. Getting it wrong means under-collecting or over-collecting, and the Canada Revenue Agency assesses any shortfall against the seller.

The CRA charges compound daily interest on any balance still unpaid after the payment deadline, and it keeps accruing until the balance is cleared. Where the return itself was filed on time there is no separate late-payment penalty, only interest. For the 2025 personal tax year the payment deadline was 30 April 2026, including for self-employed filers who had until 15 June 2026 to file. Municipal property tax is a different system, with charges set by your municipality.

Most issuers no longer mail T5 information returns. The CRA expects them to be filed electronically through its internet filing service, and electronic filing is required once you are over the CRA's slip-count threshold. If you are still filing on paper, send the summary and slips to the information returns processing address shown on the CRA's T5 page, since the destination centre changes from time to time. Keep a copy for six years.

The fee follows the work in the return. A salaried return with a few slips sits at the low end, while self-employment, rental property, investments, foreign reporting or a corporate return take longer and cost more. Ask for the price in writing before anything starts so nothing is open-ended. Track it in CRA My Account. A change requested through Change my return, or on a paper T1-ADJ, sits in process until a notice of reassessment is issued, and any extra refund follows that notice rather than arriving before it. Adjustments are handled separately from the original assessment: a routine change requested online runs on the same short CRA service standard as an online-filed return, while a complex change, or one sent on paper, takes considerably longer. The CRA calculates any refund interest owed to you automatically.

Yes, if the loan is in default. The federal government can apply an income tax refund against amounts you owe it, including a defaulted Canada Student Loan, through a refund set-off. The CRA carries out the offset, so it happens before the refund reaches your bank account and you receive a notice explaining what was applied. Bringing the loan back into good standing, or agreeing a repayment arrangement with the loan service centre, stops future refunds being taken.

Yes, in part. The rate applied to the lowest federal bracket was cut part-way through 2025, so the 2025 return uses a blended rate for that bracket and the full reduction applies from 2026 onward. Bracket thresholds and most credit amounts were also indexed. Separately, the proposed increase to the capital gains inclusion rate was never enacted, so one-half remains the inclusion rate for the 2025 and 2026 tax years. CRA's federal tax rates page gives the exact percentages per year.
