Accounting Services for Medium-Sized Businesses: Our Analysis

Clean, reconciled books are what turn a T2 filing into a review rather than a scramble — and what stands up when the CRA asks for support. We quote accounting services for medium-sized businesses as one cheap fixed price — the budget-friendly alternative to hourly billing.

Working Notes From Our Accounting Services for Medium-Sized Businesses Files

Most write-ups of accounting services for medium-sized businesses describe the form. These notes describe the file — what an accounting firm checks first and why.

First, the rule that sorts straightforward files from complicated ones: Compilation engagements follow CSRS 4200, which requires a basis-of-accounting note describing exactly how the statements were prepared. Lenders read that note, and an omitted one is the fastest way to have a financing package sent back.

The next point is the one an accounting firm checks before quoting any timeline: The CRA expects the trial balance behind a T2 to reconcile to the GIFI schedules filed with it. A statement set that does not tie to the return is the first thing a reviewer notices. One more rule deserves attention, mostly because ignoring it is expensive in ways that only show up later. Accrued but unbilled revenue belongs in income in the year the work was performed. Deferring it to the invoice date understates taxable income and is a standard reassessment adjustment.

Think of these rules as the fixed terrain; your circumstances decide the route through it. Mapping that route is the work an accounting firm takes off your plate for accounting services for medium-sized businesses. The engagement goes fastest when last year’s filings and the current ledger arrive together.

You will see the finished work before it goes anywhere — review-before-filing is standard here, not an add-on. The fee is fixed up front, and nothing is payable until the service is done.

Case Study 1

Desk-Review Assessment Of $126,000 Vacated — Family Wholesale Distributor, Kelowna

A desk review assessed a family-owned wholesale distributor in Kelowna, British Columbia $126,000. The dispute was over a shareholder loan account that had drifted for three years with no supporting entries. Producing the records vacated the assessment.

A family-owned wholesale distributor in Kelowna, British Columbia was carrying $126,000 of penalties and interest. The charges arose from a shareholder loan account that had drifted for three years with no supporting entries. Much of that amount accumulated during a period the CRA itself had delayed. We reconciled the inter-company accounts, papered the arrangement with a written agreement, and aligned both corporations’ year-ends. We framed the relief application on the specific grounds the CRA guidelines recognise rather than on general hardship. The assessment was vacated. $126,000 came off the account, and the documentation now on file makes the same position straightforward to defend next time.

Case Study 2

$143,000 Of Working Capital Freed From The Tax Cycle — Commercial Cleaning Contractor, Moncton

A commercial cleaning contractor in Moncton, New Brunswick was profitable and permanently short of cash. Behind the gap sat two sets of numbers — one in the accounting file, one the owner actually ran the business on. Restructuring the tax cycle freed $143,000.

A commercial cleaning contractor in Moncton, New Brunswick was profitable on paper and short of cash every month. Two sets of numbers — one in the accounting file, one the owner actually ran the business on explained most of the gap. We valued work in progress on one consistent basis and documented the method, so the comparative year could be relied on. We also built a thirteen-week cash view so tax payments stopped competing with payroll for the same dollars. $143,000 was released back into working capital. Remittances have been on time every period since, and the forecast shows the tax outflow before it lands.

Case Study 3

$19,500 Reassessment Reduced To Nil On Review — Two-Partner Engineering Firm, Victoria

A $19,500 reassessment was proposed against a two-partner engineering firm in Victoria, British Columbia. It followed a bank that refused to renew an operating line without compliant statements. The documented response reduced it to nil.

A review notice arrived at a two-partner engineering firm in Victoria, British Columbia, covering accounting services for medium-sized businesses for two tax years. The auditor's working position was an adjustment of $19,500. It was driven by a bank that refused to renew an operating line without compliant statements. Rather than negotiate, we rebuilt the record. We moved accruals, prepaids and depreciation into a documented month-end checklist, so they stopped being year-end discoveries. We then submitted a point-by-point response that answered each proposed adjustment with the document behind it. The auditor accepted the documented position and closed the review without adjustment, protecting $19,500 and leaving the prior filings undisturbed.

Case Study 4

5 Years Filed, $98,000 Removed From The Assessed Balance — Machine-Shop Owner-Operator, Kitchener

5 years of returns were outstanding at a machine-shop owner-operator in Kitchener, Ontario. That came on top of year-end statements that arrived four months late and never tied to the bank. Filing on real numbers removed $98,000 of assessed tax.

A machine-shop owner-operator in Kitchener, Ontario had not filed for 5 years. The CRA had issued arbitrary assessments. The business was carrying year-end statements that arrived four months late and never tied to the bank. That came on top of a growing interest balance. We started with the oldest year and worked forward so each year's closing balances fed the next. We separated personal and corporate spending, cleared the shareholder loan through a documented salary and dividend mix, and restated the comparative year. We filed the years in sequence rather than all at once. Every year is now filed and assessed on actual figures. The notional assessments were vacated and $98,000 of the estimated balance came off, with a payment arrangement covering the rest.

Case Study 5

Filed On Time From A Standing Start, $33,000 Penalty Avoided — Landscaping Company, Brampton

A growing landscaping company in Brampton, Ontario was 7 weeks from a deadline. The file also carried a year-end moved informally, leaving twelve months of trading reported as though nothing had changed. Filing complete and on time avoided roughly $33,000 in penalties.

A growing landscaping company in Brampton, Ontario came to us 7 weeks before its filing deadline. The file came with a year-end moved informally, leaving twelve months of trading reported as though nothing had changed. A late filing would have triggered a penalty of roughly $33,000 before interest. We worked backwards from the deadline. We built a fixed-asset continuity schedule from the purchase invoices. We set the capital cost allowance claim class by class rather than claiming the maximum by default. We prioritised the items that actually gated the filing and deferred everything that did not. The return was filed on time and complete. The $33,000 penalty never arose, and the compliance calendar we set means the next deadline is scheduled rather than discovered.

Case Study 6

$11,500 Cut From The Annual Tax Bill — Related-Company Pair, London

A corporation sharing administration with a related company in London, Ontario was filing correctly and still overpaying. The reason was work in progress carried at billing value one year and at cost the next, so neither year was comparable. Restructuring the position cut $11,500 from the annual bill.

A corporation sharing administration with a related company in London, Ontario was compliant but paying more than it needed to. The prior year had been filed correctly. It still left work in progress carried at billing value one year and at cost the next, so neither year was comparable on the table. We modelled the current position against the alternatives before changing anything. Then we reconciled the general ledger to the GIFI schedules filed for each open year and corrected the two years where they disagreed. The change saved $11,500 in the first year and repeats annually. Nothing about the filings became more aggressive. The position is simply the one the rules already allowed.

Answers to Frequent Accounting Services for Medium-Sized Businesses Questions

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Accounting Services for Medium-Sized Businesses cost in Canada?

Accounting Services for Medium-Sized Businesses starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Accounting Services for Medium-Sized Businesses?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Accounting Services for Medium-Sized Businesses take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Accounting Services for Medium-Sized Businesses?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Accounting Services for Medium-Sized Businesses different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Accounting Services for Medium-Sized Businesses services?

Our accounting services for medium-sized businesses services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Accounting Services for Medium-Sized Businesses services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

How do you price accounting services for medium-sized businesses for a small business?

The short answer comes straight from our working notes: Related-party transactions have to be recorded at fair market value. A below-market charge between connected companies invites an adjustment on both sides of the transaction. How that plays out on your file depends on the specifics, which is exactly what the engagement is for.

What happens during the first meeting about accounting services for medium-sized businesses?

In our files, this is the deciding factor: Shareholder loan balances must be repaid within one year of the corporation’s following year-end. If they are not, the amount is included in the shareholder’s personal income under subsection 15(2). A tax filing specialist applies it to your numbers before submission.

People Also Ask About Accounting Services for Medium-Sized Businesses

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

HST stands for harmonized sales tax: the federal 5% GST blended with a participating province's sales tax into one rate the CRA administers. For 2026 that is 13% in Ontario, 14% in Nova Scotia since 1 April 2025, and 15% in New Brunswick, Newfoundland and Labrador, and Prince Edward Island. Provinces that did not harmonise keep a separate provincial tax on top of the 5% GST, and Alberta, Yukon, the Northwest Territories and Nunavut charge 5% only.

Not on a Canadian personal return. Net income there is total income minus deductions such as RRSP contributions and union dues, worked out before any tax is applied, and it is the figure used to test income-tested benefits and credits. In everyday payroll language, net pay does mean what reaches your account after tax and other withholdings. For a corporation it depends on the statement: accounting net income is normally after tax, while the return starts from income before tax.

No. Revenue is income you have earned and belongs on the income statement, not among liabilities. Money taken before you deliver the goods or service is different: unearned or deferred revenue is a liability until you perform the work. Sales tax you collect is also a liability rather than revenue. Booking customer deposits straight to sales is a common error that overstates profit and distorts the figures on your GST/HST return.

A return filed online is usually assessed within about two weeks, and the notice of assessment appears in My Account as soon as that happens. Some returns are held for a review of slips, receipts or credits, which adds time without meaning anything is wrong. A non-resident return can take up to sixteen weeks. Register for My Account and email notifications so you see the notice the day it issues.

T1 is the personal income tax and benefit return, so the T1 program is the CRA's handling of individual returns: intake, assessment, the notice of assessment, refunds or balances owing, reviews and later adjustments. Corporations sit in the T2 program and trusts in the T3 program instead. When T1 appears on a CRA letter or in My Account, it points at your personal return for the tax year named on that notice.

Yes. If the property is rented out to earn income, a net rental loss reduces your other income for the year, employment income included, and anything left over becomes a non-capital loss you can carry back or forward. Unpaid rent is different: rent is reported when received, so you cannot deduct rent you never collected unless you had already included it in income. A loss on a property rented to family below cost is normally denied as a personal expense.

Reportable income is every amount you have to show on your return, which is wider than the amount you finally pay tax on. It takes in employment income, self-employment and side income, tips, interest, dividends, capital gains, rent, pensions and most benefits, slip or no slip. Foreign income is reportable too, even where tax was already paid abroad. Report everything first, then claim the deductions and credits that reduce what is taxable and what you owe.

The main ones are income tax on individuals, corporations and trusts; sales tax charged as GST, HST, PST or QST depending on the province of supply; payroll contributions for CPP or QPP and employment insurance; property tax and land transfer tax charged municipally or provincially; excise duty and customs on goods such as fuel, alcohol and tobacco; and provincial payroll or health levies in some provinces. Capital gains and dividends are taxed inside income tax, not separately.

Tax liability is the total tax you owe for a period, worked out before any payments are credited against it. Subtract tax withheld at source and any instalments paid and you are left with the balance owing or the refund. In accounting terms it is a liability on the balance sheet until it is paid, which is why a corporation carries income tax payable, GST/HST collected and payroll source deductions as amounts held for the government.

No. Care for your own children is a personal cost, so it cannot be deducted on a business statement or through a corporation, even if you work from home or the care is what lets you take on more work. Claim it instead as a child care expense deduction on the personal return of the lower-income spouse. If a corporation pays the bill, the amount is normally treated as a taxable benefit to the employee or shareholder.

You can file your own return without waiting for your spouse to file theirs, but you must still report their name, social insurance number and net income for the year, because income-tested credits and benefits are worked out on combined income. You may also prepare and send your spouse's return for them, provided they authorise it and review it first. Where their income is not final, use a careful estimate and correct it afterwards with a T1-ADJ.

Generally no for a salaried employee, because preparing a straightforward personal return is a personal expense. Accounting and bookkeeping fees are deductible when they are incurred to earn income, so fees tied to self-employment, a rental property or professional income go against that income. Fees paid to object to or appeal an assessment are also deductible. Split invoices between personal and income-earning work, and check the CRA guidance on carrying charges and interest expenses.
