Employee Payroll Setup: Our Analysis

Late payroll remittances draw penalties of 3% to 10%, doubling to 20% for a repeat failure with gross negligence in the same calendar year. Because the fee is fixed and economical, the economics stay predictable whether your file is simple or messy.

Field Notes: Employee Payroll Setup

There is a version of employee payroll setup that runs smoothly and a version that turns into correspondence. The difference is rarely luck; it comes down to details any tax professional handling these files weekly learns to check first.

The foundation is simple to state and easy to trip over: Each employer withholds CPP and EI up to the annual maximum on its own account. An employee who changes employers mid-year, including a move between two related payroll accounts, is over-deducted, and the excess comes back only through the personal return.

Right behind it comes a rule owners rarely hear about until it bites: Taxable benefits including employer-paid parking, personal use of a company vehicle and most gift cards must be reported on the T4 and carry CPP and, in some cases, EI. Calendars matter more than most people expect in employee payroll setup, and this is the rule that proves it: A worker’s status as employee or contractor turns on control, ownership of tools, chance of profit and risk of loss — not on what the contract calls them.

Reading rules is one thing; knowing which of them your file actually triggers is another. An accounting firm closes that gap, and for employee payroll setup the gap is often wider than it looks. Here is what to have on hand so the employee payroll setup work starts moving on day one.

No surprises is the operating principle: the fee is agreed and fixed before we start, you review everything before it is filed, and payment comes after the work, not before.

Answers to Frequent Employee Payroll Setup Questions

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Employee Payroll Setup cost in Canada?

Employee Payroll Setup starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Employee Payroll Setup?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Employee Payroll Setup take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We are a cloud-based practice serving every province and territory, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Employee Payroll Setup?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Employee Payroll Setup different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Employee Payroll Setup services?

Our employee payroll setup services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Employee Payroll Setup services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What records should I gather before starting employee payroll setup?

In our files, this is the deciding factor: Remitter frequency follows average monthly withholding. A business that grows into the accelerated threshold keeps remitting monthly at its peril — the deadline moves before the CRA writes to say so. An accounting firm applies it to your numbers before submission.

What does an accounting firm actually check during employee payroll setup?

The honest answer comes down to one rule. Source deductions are held in trust for the Crown. Directors can be assessed personally for unremitted amounts, and that liability survives the corporation. That is the part we verify before anything is filed.

What Canadians Search About Employee Payroll Setup

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Yes. Canada's value-added tax is GST/HST. GST is 5% federally in 2025 and 2026. In participating provinces it is combined into HST: 13% in Ontario, 15% in New Brunswick, Newfoundland and Labrador and Prince Edward Island, and 14% in Nova Scotia since 1 April 2025. Registered businesses charge it on taxable sales and claim input tax credits on what they pay, so the tax lands on the final consumer.

Start with the basic personal amount, which is already printed on the form, then add only the credits you genuinely expect to claim, such as tuition you will pay this year, an eligible dependant, the age amount or an amount transferred from a spouse. Total them, sign and date, and give the form to your employer rather than the CRA. With two jobs, claim the amounts at one only. You can also ask for extra tax to be withheld.

Three different calculations go by that name. For sales tax, multiply the price by the harmonised rate that applies to the province of supply. For income tax, apply the federal brackets and then the Ontario brackets to taxable income and subtract your credits. For payroll, the CRA payroll deductions calculator handles income tax withholding along with CPP and EI for each pay period. Look up the rates and brackets published for the year you are calculating, since they change annually.

Usually because the pay for that period is low enough that the basic personal amount covers it. Payroll annualises each cheque, so part-time or irregular hours can produce zero income tax while CPP and EI still come off. Other causes are a TD1 claiming large credits, a claim of exemption from withholding, or being paid as a contractor rather than an employee, in which case nothing is withheld and the tax is yours to set aside and remit.

Those are American terms. The Canadian equivalent is the personal tax credits return you complete for an employer, claiming the federal and provincial basic personal amount plus any other credits you qualify for, such as tuition or the disability amount. Your employer uses it to set the tax withheld from each paycheque. The federal basic personal amount for 2026 is $16,452, tapering to $14,829 as net income runs from $181,440 to $258,482.

Yes. Tips are income and belong on your T1, whether they come as cash from a customer, on a card, or out of a pooled arrangement. Tips the employer controls and pays out are run through payroll, appear on your T4 and have CPP and EI withheld. Tips handed to you directly are not on any slip, so you report the total yourself. A daily record makes that figure defensible.

Often yes. A non-resident business making taxable supplies in Canada must register and charge GST/HST once it passes $30,000 of taxable revenue over four consecutive calendar quarters or within a single quarter, using the rate for the customer's province: 5% GST, 13% in Ontario, 14% in Nova Scotia from 1 April 2025. Simplified registration rules apply to digital products and platform sales to Canadian consumers. A US supplier also pays GST/HST on its own Canadian purchases.

E-books are taxable. GST at 5% applies, with HST or provincial sales tax added according to the buyer's province, and non-resident digital sellers must register and charge tax on sales to Canadian consumers. The point-of-sale rebate that removes the provincial part of the HST on printed books does not extend to digital editions, so an e-book can carry more tax than the paperback. Check the CRA's guidance on books and digital products before pricing.

No tax is payable on nothing, but the return is still required. A corporation must file a T2 for every fiscal year even with zero revenue, due six months after year end, and gaps in filing cause problems later. A sole proprietor reports the business on a T2125 with the personal return. Filing a loss year is worth doing: it creates losses you can carry forward against future profits.

All income must be reported, no matter how small, because there is no minimum. Employment, self-employment, tips, side-gig and investment income all go on your T1 even if no slip was issued. The basic personal amount may mean you owe nothing, but that is a tax calculation, not a reporting exemption. Filing also protects benefit payments, which the CRA recalculates from your reported income each year.

The total claim amount is the sum of every credit you entered on the TD1, and your employer uses it to pick the claim code that drives how much tax comes off each cheque. A larger total means less tax withheld; the basic personal amount on its own means more. Claim only credits you genuinely expect to qualify for, because over-claiming leaves you with a balance owing when you file.

Start with the spouse or common-law partner amount, which is at its largest when your partner's net income for the year is nil. There is still no joint return, and your partner should file anyway: filing keeps benefit payments such as the GST/HST credit and the Canada child benefit flowing, and it creates the record needed to transfer unused credits like tuition or the disability amount to you. Donations and medical expenses can sit on your return.
