Audit Working-Paper Preparation: Our Analysis

CRA reviews are won on documentation: every figure filed should trace to a source document, and deadlines — 90 days for an objection — are unforgiving. A notice of objection is generally due 90 days from the notice of assessment, and individuals have a further year to apply for an extension. We quote audit working-paper preparation as one budget-friendly fixed price — the budget-friendly alternative to hourly billing.

Working Notes From Our Audit Working-Paper Preparation Files

Every week brings another round of audit working-paper preparation work, and every week the same few issues account for most of the friction. Consider this a working tax advisor's short list for Audit Working-Paper Preparation.

Start with the rule that decides most files: The normal reassessment period runs three years from the original notice of assessment for an individual or a CCPC and four years for other corporations. A waiver signed at an auditor’s request removes that limit for the issue it describes. It stays open until it is revoked.

Right behind it comes a rule owners rarely hear about until it bites: Once the CRA confirms an assessment or reassesses following an objection, the next step is an appeal to the Tax Court of Canada within 90 days. An extension has to be applied for rather than assumed, and the merits of the position do not extend the deadline. And on timing: A review is won on documentation created at the time, not on explanations offered afterwards. The CRA asks for the source records behind a figure, and an unsupported claim is simply disallowed. Most reassessments we reverse are not the result of a wrong position — they are the result of a correct position with no contemporaneous paper trail behind it.

The common thread in these rules is that they punish assumptions and reward verification. Engaging a tax advisor for audit working-paper preparation is, at bottom, a way of replacing assumptions with checked answers. To keep the engagement efficient, assemble these records before we begin.

Every file we prepare is reviewed with you before anything is filed, the fee is fixed and agreed up front, and you pay only after the service is delivered. If audit working-paper preparation is on your list, the conversation costs nothing to start.

Audit Working-Paper Preparation Tax & Accounting Case Studies

See how our expert Audit Working-Paper Preparation tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

$695,000 Sheltered By The Lifetime Capital Gains Exemption — Assessed Shareholder, Winnipeg

A shareholder assessed on a taxable benefit in Winnipeg, Manitoba was preparing to sell. However, a shareholder loan balance that would have been picked up as income on closing disqualified the shares. Purification sheltered $695,000 under the exemption.

A shareholder assessed on a taxable benefit in Winnipeg, Manitoba had an offer on the table and 28 months to close. The shares did not qualify for the capital gains exemption. A shareholder loan balance that would have been picked up as income on closing was part of the reason. We purified the corporation so the shares met the qualifying tests. We answered each query in writing with an indexed document package, so the file showed exactly what the auditor had received and on what date. All of it was done well ahead of the closing date. The sale closed on schedule with $695,000 sheltered by the lifetime capital gains exemption across the shareholders.

Case Study 2

Instalments Rebased, $69,000 Of Cash Returned To The Business — Taxpayer Facing Collections, Kitchener

A taxpayer with frozen bank accounts in Kitchener, Ontario was overpaying instalments. The cause was a proposal letter with a 30-day response window and no supporting records assembled. Rebasing them returned $69,000 to the business.

A taxpayer with frozen bank accounts in Kitchener, Ontario was paying instalments calculated on a prior year. That year no longer reflected the business. A proposal letter with a 30-day response window and no supporting records assembled was tying up $69,000 of cash. We rebased the instalments on the current-year estimate rather than the prior-year default. Alongside that, we traced each unexplained deposit to its source — loans, transfers between accounts, an insurance settlement — and reduced the net-worth assessment accordingly. $69,000 of cash stayed in the business, the penalty cycle ended, and the instalment position is reviewed each quarter against actual results.

Case Study 3

$130,000 Of Arbitrary Assessments Vacated After 5 Years — Long-Term Non-Filer, Toronto

The CRA had assessed a taxpayer with eight years of unfiled returns in Toronto, Ontario on estimates across 5 unfiled years. Real filings vacated $130,000 of that tax.

5 years of unfiled returns had turned into notional assessments at a taxpayer with eight years of unfiled returns in Toronto, Ontario. Underneath lay a waiver signed at the counter that kept an otherwise closed year open with no end date. Collections had already started. We assembled the contemporaneous records, filed a structured response to each proposed adjustment with the supporting documents indexed, and had the proposal withdrawn. We then filed every outstanding year in chronological order so the CRA could vacate the notional assessments cleanly. All 5 years were accepted as filed. $130,000 of arbitrarily assessed tax was vacated, collections action stopped, and the account is current for the first time in 5 years.

Case Study 4

$32,000 Saved By Correcting What Prior Filings Had Missed — Voluntary Disclosure Applicant, Halifax

A second opinion for a business owner considering a voluntary disclosure in Halifax, Nova Scotia recovered $32,000 a year. It found six years of unfiled corporate and personal returns and an active collections file in prior filings.

A business owner considering a voluntary disclosure in Halifax, Nova Scotia asked for a second opinion on audit working-paper preparation. That followed three years of rising tax. The review found six years of unfiled corporate and personal returns and an active collections file. We built the comparison first: current structure against two alternatives. Then we filed the Tax Court appeal inside the window and resolved the remaining adjustments before a hearing date was needed. First-year saving of $32,000, with the same benefit recurring. Every position taken is documented and supported in the file.

Case Study 5

Reorganisation Completed Tax-Deferred, $20,500 Saved Each Year — Employer Under Payroll Review, Windsor

A company facing a payroll trust examination in Windsor, Ontario had outgrown its structure. The visible cost was an audit conducted over the phone, with nothing on file showing what had been provided or when. The reorganisation completed tax-deferred and saves $20,500 a year.

A company facing a payroll trust examination in Windsor, Ontario had outgrown the structure it started with. An audit conducted over the phone, with nothing on file showing what had been provided or when was the immediate problem. The longer-term one was that the structure blocked the next step. We mapped the current structure and modelled the target. Then we kept the waiver narrowed to the issue actually under review and let the remaining years close on the normal reassessment period. The tax-deferred elections were filed on time and the supporting valuations documented. The reorganisation completed without triggering tax, and the new structure saves approximately $20,500 a year while removing the exposure the old one carried.

Case Study 6

Growth Handled Without A Missed Filing, $56,000 Freed — Contractor Facing Reassessment, Mississauga

A contractor facing a proposed reassessment in Mississauga, Ontario was scaling. The growth exposed a net-worth assessment built on unexplained deposits that were actually loan proceeds. The back office was rebuilt to match, freeing $56,000.

A contractor facing a proposed reassessment in Mississauga, Ontario was opening in a second province. That meant different filing obligations and a different payroll regime. A net-worth assessment built on unexplained deposits that were actually loan proceeds already sat in the file. We filed the disclosure through the Voluntary Disclosures Program before contact, which removed the gross-negligence penalty entirely. We then put monthly reporting in place. That let the owner see the cash effect of growth while there was still time to act on it. Growth was absorbed without a compliance failure. $56,000 of cash was released, and the monthly reporting now flags a problem while it is still small.

Answers to Frequent Audit Working-Paper Preparation Questions

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Audit Working-Paper Preparation cost in Canada?

Audit Working-Paper Preparation starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Audit Working-Paper Preparation?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Audit Working-Paper Preparation take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Audit Working-Paper Preparation?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Audit Working-Paper Preparation different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Audit Working-Paper Preparation services?

Our audit working-paper preparation services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Audit Working-Paper Preparation services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What records do I need before starting audit working-paper preparation?

Our answer starts where the legislation starts. The Voluntary Disclosures Program can waive gross-negligence penalties and part of the interest. That relief is available only while the CRA has not yet contacted the taxpayer about the issue. From there it is a matter of applying it to your year — and that application, not the rule itself, is where an income tax specialist earns the fee.

How long does audit working-paper preparation usually take from start to finish?

The honest answer comes down to one rule. A review is won on documentation created at the time, not explanations offered afterwards. An unsupported claim is simply disallowed, however correct it was. That is the part we verify before anything is filed.

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Most enquiries are settled without a phone call in My Account, My Business Account or Represent a Client, where assessments, balances, slips and CRA mail all sit. When you need a person, use the enquiries line for your programme from the contact page on canada.ca, and have your social insurance or business number plus a figure from a recent return ready for identity checks. Written enquiries go to the tax centre named on your notice of assessment.

Current and prior-year forms and publications are free to download from canada.ca, and tax software builds most of them for you as you enter your information. You can also order a paper package by phone or pick one up at participating postal and service outlets during filing season. Which forms apply depends on your situation: a T1 with your slips for employment income, T2125 for self-employment, a T2 for a corporation, T1-ADJ to change a return already filed.

Check My Account, which shows your current balance, any instalment requirement and the assessment for every year. The notice of assessment for your last filed return also states the balance, and the CRA's individual enquiries line can confirm it once you verify your identity. If returns are missing, the balance is not final until those years are filed. A representative can review it for you once authorised through Represent a Client or form AUT-01.

No. If you cannot pay the full balance, file on time anyway and then ask the CRA for a payment arrangement - instalments over a period you can manage, set up in My Account or by phone. Interest keeps accruing on the unpaid amount, but filing on time avoids the separate late-filing penalty. If your income is largely untaxed at source, the CRA may also ask you to pay next year's tax by quarterly instalments.

Call the CRA's individual enquiries line and ask to have the account unlocked; the number is on the Contact the Canada Revenue Agency page. Accounts lock after repeated failed sign-ins, and the CRA also revokes access itself when it suspects credentials were compromised. The agent verifies you with your social insurance number, date of birth, address and a figure from a recently filed return, so have a copy of it in front of you.

A tax debt is not reported to the credit bureaus, so owing the CRA does not by itself move your score. It can still reach your credit indirectly. The CRA may register the debt with the court and secure it against property, and that registration is public, so a lender doing a search can find it. Interest compounds daily in the meantime. If you cannot pay in full, ask about a payment arrangement before collection begins.

CRA My Account shows a status for each tax year, so a year marked received, in process or assessed has reached the CRA. A notice of assessment for that year is the other proof. If a preparer filed for you, ask for the confirmation number produced when the return was transmitted. A year with nothing showing at all has not been filed and should be, even if it is late.

No. A tip is payment for service, not a gift, so it is taxable even when it is voluntary, paid in cash, and recorded by nobody. Genuine personal gifts from family or friends are not taxable in Canada, but money a customer leaves because of work you performed does not qualify. Report tips with your employment or self-employment income; if you were paid in cash, your own daily log is the record.

The loan portion of OSAP is not income and is not reported. Grant and bursary portions are, and they come to you on a T4A that you enter on your T1. For a qualifying full-time program the scholarship exemption often reduces or removes the tax on that grant amount. Interest you pay on the government portion of a student loan can give you a credit once repayment begins. Keep every T4A the province issues.

There is no federal credit for children's sport, arts or activity fees, and Ontario's own children's activity credit ended years ago, so hockey, dance and camp registration is not deductible on your return. A few provinces still run their own activity credit, so check your province's information on canada.ca. Day camps and after-school care that let you work may instead qualify as child care expenses, which are normally claimed by the lower-income spouse.

A GST/HST registrant can claim an input tax credit on a vehicle bought for commercial use, but a passenger vehicle is restricted: the credit follows the capital cost ceiling for that class, and a corporation claims it in the reporting period of purchase. A dealer charges GST/HST at your province's rate, which for 2026 is 13% in Ontario. In Ontario, private sales of used vehicles and trailers carry no HST but are taxed at registration on the greater of the price and the wholesale value.

Yes. Old Age Security is taxable income, reported on the annual slip Service Canada issues and included on your return with your other income. No tax is withheld unless you ask Service Canada to withhold it, so OAS on its own can create a balance owing each spring. Higher-income recipients also face the recovery tax, which claws back part or all of the pension once net income passes a threshold that is indexed annually, with monthly payments reduced afterwards.
