Words That Come Up in Accounts Payable Bookkeeping Work

T1 General

T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Accounts Payable Bookkeeping: Our Analysis

The CRA requires business records to be kept for six years from the end of the last tax year they relate to. We quote accounts payable bookkeeping as one budget-friendly fixed price — the budget-friendly alternative to hourly billing.

Field Notes: Accounts Payable Bookkeeping

If you handle Accounts Payable Bookkeeping once a year, everything looks equally important. Handle it weekly, as a tax expert does, and a clear hierarchy emerges; these notes follow that hierarchy.

The foundation is simple to state and easy to trip over: A small corporation still carries the full compliance set: T2, GST/HST, payroll, and the annual return with the incorporating jurisdiction. The annual corporate return is separate from the T2 and is the one most often forgotten, which can lead to administrative dissolution.

Just as important, though far less discussed: Business records must be kept for six years from the end of the last tax year they relate to. The CRA can require them in electronic form that it can actually read. Calendars matter more than most people expect in accounts payable bookkeeping, and this is the rule that proves it: For the 2025 tax year, an invoice of $100 or more must show the supplier’s GST/HST registration number to support an input tax credit. From $500 it also needs the buyer’s name, a description of the supply and the payment terms.

Reading rules is one thing; knowing which of them your file actually triggers is another. A tax practitioner closes that gap, and for accounts payable bookkeeping the gap is often wider than it looks. Every accounts payable bookkeeping file rests on documentation, so start by collecting.

No surprises is the operating principle: the fee is agreed and fixed before we start, you review everything before it is filed, and payment comes after the work, not before.

Accounts Payable Bookkeeping Tax & Accounting Case Studies

See how our expert Accounts Payable Bookkeeping tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

$46,000 Saved By Correcting What Prior Filings Had Missed — Equipment Rental Yard, Winnipeg

A second opinion for an equipment rental yard in Winnipeg, Manitoba recovered $46,000 a year. It found a receivables list that included invoices collected eleven months earlier in prior filings.

An equipment rental yard in Winnipeg, Manitoba asked for a second opinion on accounts payable bookkeeping. That followed three years of rising tax. The review found a receivables list that included invoices collected eleven months earlier. We built the comparison first: current structure against two alternatives. Then we rebuilt sales from the processor settlement reports so gross sales, fees and refunds each landed in an account of their own. First-year saving of $46,000, with the same benefit recurring. Every position taken is documented and supported in the file.

Case Study 2

Reorganisation Completed Tax-Deferred, $55,000 Saved Each Year — Two-Location Cafe, Mississauga

A two-location cafe in Mississauga, Ontario had outgrown its structure. The visible cost was input tax credits claimed on receipts that had already been claimed once. The reorganisation completed tax-deferred and saves $55,000 a year.

A two-location cafe in Mississauga, Ontario had outgrown the structure it started with. Input tax credits claimed on receipts that had already been claimed once was the immediate problem. The longer-term one was that the structure blocked the next step. We mapped the current structure and modelled the target. Then we reconciled receivables and payables to source documents and wrote off the balances that were genuinely uncollectible, with support. The tax-deferred elections were filed on time and the supporting valuations documented. The reorganisation completed without triggering tax, and the new structure saves approximately $55,000 a year while removing the exposure the old one carried.

Case Study 3

Scaled To 58 Staff With $64,000 Of Working Capital Freed — Specialty Coffee Roaster, Toronto

Growth at a specialty coffee roaster in Toronto, Ontario had outrun the back office. Meals and entertainment coded at full cost with the input tax credit claimed on the whole amount broke first. Headcount reached 58 with $64,000 of cash freed.

A specialty coffee roaster in Toronto, Ontario was growing fast, with headcount reaching 58 in eighteen months. The back office had not kept up. Meals and entertainment coded at full cost with the input tax credit claimed on the whole amount was the first thing to break. We separated the owner’s personal spending out of the corporate accounts and cleared the resulting shareholder loan properly. We built the compliance calendar for the size the business was becoming rather than the size it had been. The business reached 58 staff with no missed remittance and no late filing. $64,000 of working capital was freed in the process.

Case Study 4

$107,000 Of Penalties And Interest Cancelled On Relief — Subscription Box Retailer, Kelowna

A subscription box retailer in Kelowna, British Columbia was carrying $107,000 of penalties and interest. The charges arose from three years of returns filed off numbers nobody could trace back to a bank statement. A relief application cancelled that amount.

An assessment of $107,000 landed at a subscription box retailer in Kelowna, British Columbia following a desk review. It turned on three years of returns filed off numbers nobody could trace back to a bank statement. The auditor had not seen the records behind it. We set up a documented chart of accounts, a receipt-capture workflow and a monthly reconciliation that closes within ten days of month-end. We then set out the legislative basis for the position alongside the documents supporting it. $107,000 of penalties and interest was cancelled under the taxpayer relief provisions, and the underlying assessment was adjusted to match the filed position.

Case Study 5

$135,000 Reassessment Reduced To Nil On Review — Seasonal Food-Truck Operator, Windsor

A $135,000 reassessment was proposed against a food-truck operator running two seasonal units in Windsor, Ontario. It followed eighteen months of unreconciled transactions and a shoebox of receipts. The documented response reduced it to nil.

A review notice arrived at a food-truck operator running two seasonal units in Windsor, Ontario, covering accounts payable bookkeeping for two tax years. The auditor's working position was an adjustment of $135,000. It was driven by eighteen months of unreconciled transactions and a shoebox of receipts. Rather than negotiate, we rebuilt the record. We rebuilt the ledger from bank and card statements and matched every receipt to a transaction. We removed duplicated input tax credits before they became a review. We then submitted a point-by-point response that answered each proposed adjustment with the document behind it. The auditor accepted the documented position and closed the review without adjustment, protecting $135,000 and leaving the prior filings undisturbed.

Case Study 6

6-Week Turnaround Beat The Deadline And Saved $71,000 — Small Law Practice, Kitchener

A 6-week rebuild at a small law practice in Kitchener, Ontario got the filing in with 19 days to spare. That avoided $71,000 in penalties.

A small law practice in Kitchener, Ontario was weeks away from the deadline for accounts payable bookkeeping. Behind that sat sales recorded from bank deposits, so processor fees, chargebacks and refunds appeared nowhere in the ledger. The exposure if the date slipped was around $71,000. We cleared the payroll and sales tax clearing accounts every month and tied each remittance to the liability it settled. The filing went in complete rather than provisional, so there was no amended return to follow. Filed with 19 days to spare. $71,000 in late-filing penalties avoided, and the working papers are ready for the following year.

Answers to Frequent Accounts Payable Bookkeeping Questions

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Accounts Payable Bookkeeping cost in Canada?

Accounts Payable Bookkeeping starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Accounts Payable Bookkeeping?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Accounts Payable Bookkeeping take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Accounts Payable Bookkeeping?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Accounts Payable Bookkeeping different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Accounts Payable Bookkeeping services?

Our accounts payable bookkeeping services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Accounts Payable Bookkeeping services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What goes wrong most often with accounts payable bookkeeping?

The honest starting point is this: The CRA requires business records to be kept for six years from the end of the tax year they relate to, in a form that allows the return to be verified. Where records cannot support the return, the CRA is entitled to assess on its own estimate — and the burden of disproving that estimate falls on the taxpayer. Everything else we would tell you is tailoring, and tailoring requires seeing your file.

What does a tax preparation specialist actually check during accounts payable bookkeeping?

Foreign-currency amounts have to be converted at the exchange rate for the day the transaction occurred. Applying one year-end rate to twelve months of purchases distorts the recorded cost and hides the exchange gain or loss on settlement. We flag this early with every client it touches, because finding it out at filing time leaves you far fewer options than finding it out now.

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

There is no single rate. Federal personal income tax for 2026 runs through five brackets: 14%, then 20.5%, 26%, 29% and 33% on the highest band, and your province's brackets stack on top, so your combined marginal rate is the federal rate plus the provincial one. The 2026 federal basic personal amount is $16,452, tapering to $14,829 as net income rises from $181,440 to $258,482. Capital gains and Canadian dividends are taxed on a different basis.

Car insurance is claimable only for the business or employment use of a vehicle, never for personal driving. Keep a log of business kilometres and total kilometres for the year, then claim that share of insurance along with fuel, repairs, licence fees and loan interest. Employees need their employer to certify in writing that the vehicle was required for the job. Driving between home and a regular workplace counts as personal use.

Most bank charges are exempt rather than zero rated. Financial services such as account fees, interest, loan arrangement and most transfers fall in the exempt category, so no GST or HST is charged and there is no input tax credit to recover. Some bank services are taxable, including safety deposit boxes and certain administrative or advisory fees, and those do carry tax and an input tax credit. Check each statement line instead of assuming.

Zero-rated sales are taxable supplies that carry GST/HST at 0%. Basic groceries, prescription drugs, most medical devices, agricultural products and many exports are the common examples. The difference from exempt sales matters: on zero-rated sales you charge no tax but can still claim input tax credits on the GST/HST you paid on related costs, and those sales count toward the $30,000 small-supplier threshold for 2026. Exempt sales give you no input tax credits.

The parent who paid the child care and had the child living with them claims it for that period. If you separated during the year, each parent claims what they paid while the child was in their care. Where parents live apart for the whole year and share the child, each claims their own payments, and the usual rule that the lower-income spouse must claim does not apply. Keep receipts showing the caregiver's name and social insurance number.

Usually not. Most financial services, including account maintenance, interest, loan arrangement and transfers of money, are exempt supplies, so no GST/HST is charged and the bank claims no credits on them. Some charges billed on the same statement are taxable: safety deposit box rental, certain administrative or advisory services, equipment rental and merchant processing hardware. Read the statement, since taxable lines show the tax separately, and claim input tax credits only on those.

A transmitter number identifies whoever sends information returns, such as T4 or T5 slips, to the CRA electronically. Many filers never need one, because internet file transfer accepts a web access code tied to the business number on the return. If you transmit for several businesses or use software that demands the identifier, request it through the CRA's electronic services helpdesk. Start from the CRA's pages on filing information returns electronically, which set out what each return type requires.

The First Home Savings Account allows $8,000 a year up to a $40,000 lifetime maximum, the same limits that have applied since the account launched in 2023 and still apply for 2026. Unused annual room carries forward, but only up to $8,000, so the most you can contribute in a single year is $16,000. Contributions are deductible, and qualifying withdrawals to buy a first home are tax-free.

There is no general exemption an individual can apply for. Minors file and are taxed the same way as anyone else, with the same personal credits. Organizations are different: a registered charity must apply to CRA and be approved, and a non-profit organization qualifies only while it is not operated for profit and no income is payable to its members. Most trusts, and all ordinary corporations including banks, stay taxable. Some museums qualify as registered charities.

Yes, if the loan is in default. The federal government can apply an income tax refund against amounts you owe it, including a defaulted Canada Student Loan, through a refund set-off. The CRA carries out the offset, so it happens before the refund reaches your bank account and you receive a notice explaining what was applied. Bringing the loan back into good standing, or agreeing a repayment arrangement with the loan service centre, stops future refunds being taken.

Day camp fees qualify as child care expenses where the camp lets a parent work, run a business or study, and they are claimed in the same way as daycare. Overnight and boarding camps also qualify, but the claim is capped per week of attendance, with the limit set by the child's age and whether a disability applies. Fees that are really tuition, private coaching or a family holiday do not qualify. Keep the camp receipt.

Basic groceries are zero-rated for GST/HST, so no tax is charged on items such as milk, bread, fresh produce, meat and eggs. Restaurant meals, most snack foods, carbonated drinks, candy and prepared or catered food are taxable at the combined rate that applies in your province. Zero-rated is not the same as exempt: a grocer still registers for GST/HST and recovers the tax paid on its own purchases through input tax credits.
