Words That Come Up in Cloud Bookkeeping Setup Work

T1 General
The personal income tax return individuals file with the CRA each year.
T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Cloud Bookkeeping Setup: Our Analysis

Everything runs through a secure client portal with e-signatures, so the engagement works identically from any province or time zone. The CRA requires business records to be kept for six years from the end of the last tax year they relate to. Because the fee is fixed and economical, the economics stay predictable whether your file is simple or messy.

What a Tax Advisor Checks First in Cloud Bookkeeping Setup

Every week brings another round of cloud bookkeeping setup work, and every week the same few issues account for most of the friction. Consider this a working tax advisor's short list for Cloud Bookkeeping Setup.

First, the rule that sorts straightforward files from complicated ones: Inventory is valued at the lower of cost and net realisable value, applied consistently. Changing method without CRA consent reopens prior years. Obsolete stock carried at cost overstates income, and the write-down is usually taken years after it was justified.

Just as important, though far less discussed: A small corporation still carries the full compliance set: T2, GST/HST, payroll, and the annual return with the incorporating jurisdiction. The annual corporate return is separate from the T2 and is the one most often forgotten, which can lead to administrative dissolution. The final point is less about opportunity and more about what happens when a file is challenged: Business records must be kept for six years from the end of the last tax year they relate to, and the CRA can require them in electronic form that it can actually read.

Think of these rules as the fixed terrain; your circumstances decide the route through it. Mapping that route is the work a tax advisor takes off your plate for cloud bookkeeping setup. The smoothest files are the ones where the client arrives with these records already assembled.

Every cloud bookkeeping setup engagement carries the same commitments: a fixed fee settled before we begin, your sign-off before anything is filed, and payment only after the service is complete.

$33,000 Cut From The Annual Tax Bill — Equipment Rental Yard, Vancouver

Case Study 2

Second-Province Expansion Handled, $75,000 Of Cash Released — Small Law Practice, Guelph

A small law practice in Guelph, Ontario expanded into a second province carrying sales recorded from bank deposits, so processor fees, chargebacks and refunds appeared nowhere in the ledger. Every obligation was set up in advance and $75,000 of cash released.

Case Study 3

$73,000 Proposed Adjustment Withdrawn In Full — Subscription Box Retailer, Windsor

A subscription box retailer in Windsor, Ontario faced a $73,000 proposed reassessment after a bookkeeping file where owner draws, payroll and supplier payments all landed in the same account. We rebuilt the documentation and the adjustment was withdrawn in full.

Case Study 4

$65,000 In Credits Claimed That Prior Filings Had Missed — Two-Location Cafe, Regina

6 years of filings at a two-location cafe in Regina, Saskatchewan had never claimed the incentives the work qualified for. The review recovered $65,000.

Case Study 5

$815,000 Sheltered By The Lifetime Capital Gains Exemption — Courier Subcontractor, Saskatoon

A courier subcontractor paid by the drop in Saskatoon, Saskatchewan was preparing to sell, but a single shareholder holding every share, with no room to multiply the exemption disqualified the shares. Purification sheltered $815,000 under the exemption.

Case Study 6

$44,000 Of Arbitrary Assessments Vacated After 3 Years — Seasonal Food-Truck Operator, Winnipeg

The CRA had assessed a food-truck operator running two seasonal units in Winnipeg, Manitoba on estimates across 3 unfiled years. Real filings vacated $44,000 of that tax.

Answers to Frequent Cloud Bookkeeping Setup Questions

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Cloud Bookkeeping Setup cost in Canada?

Cloud Bookkeeping Setup starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Cloud Bookkeeping Setup?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Cloud Bookkeeping Setup take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We are a cloud-based practice serving every province and territory, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Cloud Bookkeeping Setup?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Cloud Bookkeeping Setup different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Cloud Bookkeeping Setup services?

Our cloud bookkeeping setup services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Cloud Bookkeeping Setup services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What happens during the first meeting about cloud bookkeeping setup?

Our answer starts where the legislation starts. Foreign-currency amounts have to be converted at the exchange rate for the day the transaction occurred. Applying one year-end rate to twelve months of purchases distorts the recorded cost and hides the exchange gain or loss on settlement. From there it is a matter of applying it to your year — and that application, not the rule itself, is where a tax advisor earns the fee.

How do you price cloud bookkeeping setup for a small business?

You are asking the right question, and it has a real answer. The CRA requires business records to be kept for six years from the end of the tax year they relate to, in a form that allows the return to be verified. Where records cannot support the return, the CRA is entitled to assess on its own estimate — and the burden of disproving that estimate falls on the taxpayer. What we add on top of that is the paperwork discipline that makes the answer stand up if anyone ever asks you to prove it.

Cloud Bookkeeping Setup: The Questions People Search

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Sign in to CRA My Account, or use the CRA's mobile app, where the return shows as received, in process or assessed, and the refund amount and payment date appear once it has been assessed. The CRA also runs an automated telephone service giving the same information. A representative you have authorised through Represent a Client can check it for you. If the status has not moved past the published processing time, the return is probably under review.

No. Capital is the owner's stake in the business, so it sits in equity, not liabilities. On a balance sheet, assets equal liabilities plus equity, and the capital account belongs on the equity side alongside retained earnings. Money the owner lends the business is different, because the business owes it back, and that is a liability. Keeping owner capital, owner loans and drawings in separate accounts prevents a messy reconciliation at year end.

A refund liability is the amount a business expects to pay back to customers for returns, rebates, price adjustments or unused credits, recognised when the sale is recorded rather than when the money goes out. Revenue is reported net of that estimate, and a separate asset is set up for goods expected to come back. Revisit the estimate each period end against actual return rates, and adjust the sales tax reported on refunded sales as well.

No. QST is a separate Quebec tax administered by Revenu Quebec, and it cannot be recovered on your federal GST/HST return. Only a business registered for QST can claim input tax refunds for the 9.975% QST it pays, and registration normally follows from making taxable supplies in Quebec. An Ontario business with no QST registration treats the QST on a Quebec invoice as part of the cost of the expense. Check Revenu Quebec for the registration rules.

No. GST/HST you collect is not revenue: you hold it on the CRA's behalf and remit it. Report sales net of the tax on your T2125 or corporate financial statements, and post the tax collected to a liability account rather than income. Including it overstates both revenue and profit. If you are not registered and charge no tax, gross sales are simply the amounts you billed your customers.

Usually not. Most financial services, including account maintenance, interest, loan arrangement and transfers of money, are exempt supplies, so no GST/HST is charged and the bank claims no credits on them. Some charges billed on the same statement are taxable: safety deposit box rental, certain administrative or advisory services, equipment rental and merchant processing hardware. Read the statement, since taxable lines show the tax separately, and claim input tax credits only on those.

You cannot write off the income itself, but you deduct the costs of earning it. Common current expenses are mortgage interest (not principal), property tax, insurance, utilities you pay, condo fees, advertising, property management, and repairs that maintain the property. Improvements that better the property are capital and depreciated instead. Only the rented portion counts where you also live there. Keep invoices for six years from the end of the tax year they relate to.

Basic groceries are zero-rated, meaning no GST or HST applies to staples such as bread, milk, eggs, produce, meat and unprepared ingredients. Tax applies once a food falls outside that category: candy, snack foods, carbonated and sweetened drinks, bakery items sold in small quantities, and anything prepared or heated for immediate eating. Provincial rules can add or remove tax on top of the federal treatment, so the province of supply matters.

There is no application for most people. File your T1 each year and CRA works the credit out automatically from your adjusted family net income, then pays it quarterly by direct deposit, showing as Canada FPT. Both spouses must file, and only one of you receives the payment for the household. Newcomers to Canada apply once using CRA's benefit application for new residents. Eligibility turns on residency, age and family income, and the current amounts are on CRA's GST/HST credit page.

Bank charges and card processing fees on a business account are deductible in the year incurred, along with merchant discount rates, monthly service charges and interest on business borrowing. Fees on a personal chequing account are not deductible, and neither are the interest and fees on a personal credit card, even where you occasionally put work costs on it. Keep the statements, because the CRA asks for them on review of an expense claim.

Two different taxes are in play. GST/HST is not charged on long-term residential rent, which is an exempt supply, so the landlord adds no tax and cannot claim input tax credits on those costs. Commercial rent and most short-term accommodation are taxable once the landlord is registered, at 13% HST in Ontario or 5% GST in Alberta. Separately, the rent received is income to the landlord, reported on the T1 or T2 after deductible expenses.

The CRA charges compound daily interest on an unpaid balance starting the day after the payment deadline, at the prescribed arrears rate it sets each quarter. Because that rate is reset quarterly, check the current figure on the CRA site rather than relying on one you saw last year. The same interest applies to late instalments and to penalties already charged. Paying part of the balance now reduces the interest accruing on the rest.
