GST/HST and Sales Tax Services: Our Analysis

Input tax credits can generally be claimed up to four years back for smaller registrants, but the documentation the CRA demands scales with invoice size. Because the fee is fixed and pocket-friendly, the economics stay predictable whether your file is simple or messy.

A Tax Consultant's Notes on GST/HST and Sales Tax Services

These notes are written the way a tax consultant would explain GST/HST and Sales Tax Services across a desk: no theory, just the points that decide real files.

Everything in gst/hst and sales tax services hangs off a single anchor. Input tax credits generally have a four-year claim window for smaller registrants, but the documentation the CRA requires scales with the invoice amount.

There is a second layer to this. Place-of-supply rules decide the rate: for most services it follows the customer’s address on file. A supplier in a 5% GST province can therefore owe 15% HST on a sale to Atlantic Canada. On the record-keeping side, one rule governs what must be kept and what must be shown: Registration becomes mandatory once taxable supplies exceed $30,000 in a single calendar quarter or over four consecutive quarters. Exceeding it in one quarter makes the sale that crossed it taxable. Over four quarters, you stop being a small supplier at the end of the month after the fourth quarter.

The practical upshot is simple: every one of these rules has a version that helps you and a version that costs you, and which one applies depends on choices made before filing. That is precisely the ground a tax consultant covers. Gather whatever records touch the numbers — statements, ledgers, prior-year filings — and we take it from there.

Start whenever suits you; the structure is already set. You will know the fixed fee before work begins, approve the file before it is filed, and pay only once the service is delivered.

GST/HST and Sales Tax Services Tax & Accounting Case Studies

See how our expert GST/HST and Sales Tax Services tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

Collections Halted And $19,500 Cut From A 4-Year Backlog — Used-Equipment Dealer, Moncton

Collections had begun against a used-equipment dealer in Moncton, New Brunswick over 4 years of unfiled returns. Bringing them current cut $19,500 from the balance.

By the time a used-equipment dealer in Moncton, New Brunswick called, 4 years were outstanding. The CRA had assessed on estimates. Underneath it sat a registration threshold crossed nine months before anyone registered. We reconstructed the records year by year. We backdated the registration to the date the business stopped being a small supplier, remitted the tax owing, and applied for relief on the penalty portion. Each filing replaced an arbitrary assessment with a real one. The account is current. Filing on real numbers rather than CRA estimates reduced the balance by $19,500, and a relief application addressed part of the accumulated interest.

Case Study 2

11-Week Turnaround Beat The Deadline And Saved $35,500 — Restaurant Group, Regina

An 11-week rebuild at a restaurant group in Regina, Saskatchewan got the filing in with 7 days to spare. That avoided $35,500 in penalties.

A restaurant group in Regina, Saskatchewan was weeks away from the deadline for GST/HST and sales tax services. Behind that sat management fees between two related registrants carrying tax that only ever went out and came back. The exposure if the date slipped was around $35,500. We tested the quick method against the account’s actual input tax credit history and stayed on the regular method where the credits were worth more. The filing went in complete rather than provisional, so there was no amended return to follow. Filed with 7 days to spare. $35,500 in late-filing penalties avoided, and the working papers are ready for the following year.

Case Study 3

$9,000 Saved By Correcting What Prior Filings Had Missed — Freight Brokerage, Halifax

A second opinion for a freight brokerage in Halifax, Nova Scotia recovered $9,000 a year. It found input tax credits claimed on the exempt side of a mixed-supply business in prior filings.

A freight brokerage in Halifax, Nova Scotia asked for a second opinion on GST/HST and sales tax services. That followed three years of rising tax. The review found input tax credits claimed on the exempt side of a mixed-supply business. We built the comparison first: current structure against two alternatives. Then we self-assessed the tax on the real property acquisition in the correct reporting period and claimed the offsetting input tax credit in the same return. First-year saving of $9,000, with the same benefit recurring. Every position taken is documented and supported in the file.

Case Study 4

$128,000 Credit Claim Filed And Accepted Without Adjustment — US-Bound Exporter, Edmonton

A manufacturer exporting to the US in Edmonton, Alberta had never tested its work against the eligibility rules. The resulting $128,000 claim was accepted without adjustment.

A manufacturer exporting to the US in Edmonton, Alberta assumed the credits did not apply to a business its size. HST charged at the home-province rate on sales into four different provinces meant they had applied all along. We identified the qualifying activity and built the documentation to support it. Then we assembled the export documentation, restored zero-rating on the qualifying sales, and reduced the proposed assessment. $128,000 recovered. Because the eligibility analysis is on file, the same claim can be repeated each year with a fraction of the effort.

Case Study 5

Holding Structure Added, $59,000 Saved Annually — Mixed-Supply Practice, Lethbridge

A professional practice with exempt and taxable supplies in Lethbridge, Alberta needed a holding structure. It had to deal with export sales zero-rated with no shipping documentation behind them. The reorganisation was tax-neutral and removed $59,000 of annual exposure.

The structure at a professional practice with exempt and taxable supplies in Lethbridge, Alberta needed fixing. The file was carrying export sales zero-rated with no shipping documentation behind them. Every option for fixing it ran through a reorganisation that had to be done without triggering tax. We worked with the client's lawyer. Together, we set a defensible input tax credit allocation between taxable and exempt supplies and documented the method for future filings. We also prepared the elections, resolutions and valuations the structure needed to stand up. The structure now matches the business. Annual saving of $59,000, and the reorganisation itself was tax-neutral.

Case Study 6

Month-End Close Cut From 9 Weeks To 6 Days — Mixed-Use Landlord, Windsor

Closing the books at a residential landlord also renting commercial space in Windsor, Ontario took 9 weeks. The cause was nil periods left unfiled, which held up the refund on the one period that mattered. It now takes 6 days.

The accounting file at a residential landlord also renting commercial space in Windsor, Ontario had a weak foundation. It was built on nil periods left unfiled, which held up the refund on the one period that mattered. The year-end had taken 9 weeks each of the last three years. We rebuilt the sales ledger by customer province and applied the correct place-of-supply rate to each stream. We filed corrected returns before the CRA opened a review. We also moved the reconciliations into the monthly cycle, so the year-end stopped being a rebuild. The file reconciles. Month-end closes in 6 days instead of 9 weeks, and the year-end is a review rather than a reconstruction.

Straight Answers on GST/HST and Sales Tax Services

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does GST/HST and Sales Tax Services cost in Canada?

GST/HST and Sales Tax Services starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for GST/HST and Sales Tax Services?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does GST/HST and Sales Tax Services take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for GST/HST and Sales Tax Services?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes GST/HST and Sales Tax Services different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in GST/HST and Sales Tax Services?

Our gst/hst and sales tax services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with GST/HST and Sales Tax Services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What does an accountant actually check during gst/hst and sales tax services?

The rate charged follows the customer's province, not the seller's: 13% into Ontario, 15% into New Brunswick, Newfoundland and Labrador and PEI, 14% into Nova Scotia (since 1 April 2025), 5% plus provincial tax elsewhere. A seller charging its own province's rate nationally is under-collecting on some sales and over-collecting on others, and owes the difference on the under-collected ones. We flag this early with every client it touches, because finding it out at filing time leaves you far fewer options than finding it out now.

What records should I gather before starting gst/hst and sales tax services?

The honest starting point is this: Registration is mandatory once taxable supplies pass $30,000 over four consecutive calendar quarters. Input tax credits require documentation that scales with invoice size. Unmatched input tax credits are the first thing disallowed in a sales-tax review, and the assessment covers every period reviewed. Everything else we would tell you is tailoring, and tailoring requires seeing your file.

More GST/HST and Sales Tax Services Questions Canadians Ask

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Sales tax in British Columbia totals 12% for 2026: the 5% federal GST plus 7% provincial sales tax. BC is not harmonised, so the two run separately, with GST registered and filed with the CRA and PST with the province. A $100 taxable sale carries $5 GST and $7 PST. PST has its own exemptions, including most food for human consumption, so some sales take the 5% GST only.

Multiply the pre-tax price by the combined sales tax rate for the province where the sale takes place, then add that amount to the price. In HST provinces it is one rate; elsewhere GST and the provincial tax are applied separately, and in Quebec the QST is calculated on the price before GST rather than on a GST-included amount. Zero-rated and exempt items get nothing added. The place of supply decides the rate, not where your business is based.

Two different categories carry no tax. Zero-rated supplies are taxed at nil, including basic groceries, prescription drugs, medical devices and most agricultural products, and the seller can still claim input tax credits. Exempt supplies, such as most residential rent, health and dental care and financial services, carry no tax and no input tax credits. Small suppliers below the $30,000 threshold, unchanged for 2025 and 2026, also charge nothing until they register. The CRA lists both categories.

HST in New Brunswick is 15% in 2026 - the 5% federal GST plus a 10% provincial component. New Brunswick raised its provincial component from 8% to 10% effective 1 July 2016, taking the combined rate from 13% to 15%; for an invoice that straddles that date, check the dated table on the CRA GST/HST rates and place-of-supply rules page. It applies to most goods and services supplied in the province, whoever the seller is.

Report it for the year you earned it, on the return covering that year; there is no minimum below which business income can be left off. A sole proprietor reports on a T2125 filed with the T1: for the 2025 tax year the self-employed filing deadline was 15 June 2026, but any balance owing was still due 30 April 2026. A corporation files a T2 within six months of its fiscal year end.

Yes. GST/HST you charge customers is collected on the government's behalf, so it sits as a liability until you remit it. Input tax credits on your purchases reduce that balance, and the net amount is what the GST/HST return reports. Record the tax in its own account at the point of sale; treating collected tax as revenue overstates sales and hides what you owe. Reconcile the account every filing period against the return.

An exempt supply is a sale that GST/HST does not apply to at all, and the supplier cannot claim input tax credits on the costs of making it. Typical examples are long-term residential rent, most financial services including interest and insurance, many health and dental services, child care, and most services provided by public sector bodies. Exempt sales also stay outside the $30,000 small-supplier threshold test, which for 2026 counts taxable revenue only.

Yes. Zero-rated supplies are taxable supplies charged at 0%, so making them is commercial activity and the GST/HST you pay on related purchases is recoverable as input tax credits. That is why exporters, farmers and grocery wholesalers often file refund returns instead of remitting. Exempt supplies work the other way: no tax charged and no credits on the costs of making them. Register even when every sale is zero-rated, since registration is what lets the credits come back.

Yes. Gross income includes tips, so add them to your wages whenever you state earnings for a return, a loan application or a benefit calculation. Tips your employer controls and pays out are already in the employment income shown on your T4, while tips customers give you directly are not, so you add those on your return. Reporting them raises the income the CRA sees and can increase the CPP contributions payable on that income.

Sometimes. Taxpayer relief can cancel penalties and interest where the delay came from circumstances beyond your control, a serious illness or death in the family, a CRA error or processing delay, or an inability to pay. Inconvenience is not enough. You apply in writing on form RC4288, with dates, documents and a reason for each period claimed. There is a limit on how far back a request can reach, so apply early. The tax itself is never cancelled.

A real CRA agent will ask you to confirm identifying details, including your social insurance number, once you have called them or after they reach you about a known file. What the CRA does not do is demand your SIN, banking details or a payment over a call you were not expecting, threaten arrest, or ask for gift cards or crypto. If a call feels wrong, hang up and phone the CRA back on a number from canada.ca.

The participating provinces that use the HST are Ontario, New Brunswick, Nova Scotia, Prince Edward Island, and Newfoundland and Labrador. Quebec charges the federal GST plus its own QST, administered by Revenu Quebec. British Columbia, Saskatchewan and Manitoba charge the federal tax plus a separate provincial sales tax. Alberta and the territories charge the federal tax only. The tax you bill follows the place of supply, not the province your business operates from.
