Inventory Bookkeeping: Tax Filings Canada vs. a Typical Firm

The Language of Inventory Bookkeeping, Explained

T1 General
The personal income tax return individuals file with the CRA each year.
T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Inventory Bookkeeping: Our Analysis

Monthly reconciliation is what keeps input tax credits claimable — unmatched receipts are the first thing disallowed in a GST/HST review. We quote inventory bookkeeping as one low-cost fixed price — the budget-friendly alternative to hourly billing.

Practitioner’s Notes on Inventory Bookkeeping

What follows is the working view of a tax specialist who prepares inventory bookkeeping week in, week out — the points that decide real files.

If you remember one thing from this page, make it this: Foreign-currency amounts have to be converted at the exchange rate for the day the transaction occurred. Applying one year-end rate to twelve months of purchases distorts the recorded cost and hides the exchange gain or loss on settlement.

Once that is settled, the next question answers itself less often than clients expect. Meals and entertainment are deductible at 50 percent of the lesser of the amount paid and a reasonable amount under subsection 67.1, and the recoverable share of the GST/HST on those costs is restricted in the same proportion, with the excess recaptured. Coding them at full value overstates both the deduction and the credit. Then there is the matter of timing, which forgives very little: Personal expenses run through a corporate account are shareholder benefits, taxable to the shareholder personally whether or not they were ever labelled as such.

None of this requires you to become an expert — that is what engaging a tax professional is for. What it does require is recognizing that inventory bookkeeping will reward preparation over improvisation. A productive inventory bookkeeping engagement starts with paperwork, and the list below covers what to gather.

Whatever the file involves, the terms do not change: fixed fee agreed up front, review together before filing, payment after the service.

Case Study 2

$134,000 In Credits Claimed That Prior Filings Had Missed — Courier Subcontractor, Ottawa

Case Study 3

Growth Handled Without A Missed Filing, $105,000 Freed — Mobile Pet-Grooming Company, Hamilton

Scaling exposed sales recorded from bank deposits, so processor fees, chargebacks and refunds appeared nowhere in the ledger at a mobile pet-grooming company in Hamilton, Ontario. The back office was rebuilt to match, freeing $105,000.

Case Study 4

$35,500 Of Working Capital Freed From The Tax Cycle — Specialty Coffee Roaster, Halifax

A specialty coffee roaster in Halifax, Nova Scotia was profitable and permanently short of cash, with three years of returns filed off numbers nobody could trace back to a bank statement behind the gap. Restructuring the tax cycle freed $35,500.

Case Study 5

5-Week Turnaround Beat The Deadline And Saved $113,000 — Multi-Processor Online Seller, London

A 5-week rebuild at an online seller reconciling three payment processors in London, Ontario got the filing in with 18 days to spare, avoiding $113,000 in penalties.

Case Study 6

Corporate Structure Rebuilt For $55,000 Of Annual Savings — Small Law Practice, Brampton

The structure at a small law practice in Brampton, Ontario no longer fitted the business, and eighteen months of unreconciled transactions and a shoebox of receipts showed it. Rebuilding it saves $55,000 a year.

Questions Inventory Bookkeeping Clients Ask, With Our Answers

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Inventory Bookkeeping cost in Canada?

Inventory Bookkeeping starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Inventory Bookkeeping?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Inventory Bookkeeping take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We are a cloud-based practice serving every province and territory, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Inventory Bookkeeping?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Inventory Bookkeeping different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Inventory Bookkeeping services?

Our inventory bookkeeping services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Inventory Bookkeeping services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What information will you ask me for once the inventory bookkeeping work is underway?

The honest answer comes down to one rule. That is the part we verify before anything is filed.

Is inventory bookkeeping something I can catch up on if I have fallen behind?

Our answer starts where the legislation starts. Foreign-currency amounts have to be converted at the exchange rate for the day the transaction occurred. Applying one year-end rate to twelve months of purchases distorts the recorded cost and hides the exchange gain or loss on settlement. From there it is a matter of applying it to your year — and that application, not the rule itself, is where a tax preparation specialist earns the fee.

Searched Questions About Inventory Bookkeeping

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

For 2025 returns filed in 2026, most online returns are processed in about two weeks, and a non-resident return can take up to sixteen weeks. A paper return runs on a considerably longer standard because it is handled manually. Those timeframes assume a complete return that is not pulled for review. Register direct deposit and track progress in CRA My Account rather than waiting on a posted cheque.

Multiply the pre-tax price by the combined sales tax rate for the province where the sale takes place, then add that amount to the price. In HST provinces it is one rate; elsewhere GST and the provincial tax are applied separately, and in Quebec the QST is calculated on the price before GST rather than on a GST-included amount. Zero-rated and exempt items get nothing added. The place of supply decides the rate, not where your business is based.

Car insurance is claimable only for the business or employment use of a vehicle, never for personal driving. Keep a log of business kilometres and total kilometres for the year, then claim that share of insurance along with fuel, repairs, licence fees and loan interest. Employees need their employer to certify in writing that the vehicle was required for the job. Driving between home and a regular workplace counts as personal use.

A write-off is simply a deductible expense. You subtract it from the income it helped earn, so the saving equals the expense multiplied by your marginal tax rate, not the full amount spent. To qualify, the cost must be incurred to earn business or employment income, be reasonable in amount, and be backed by a receipt. Purely personal costs never qualify, and mixed-use items such as a vehicle or a home office are split by business-use proportion.

Yes. Canada's value-added tax is GST/HST. GST is 5% federally in 2025 and 2026. In participating provinces it is combined into HST: 13% in Ontario, 15% in New Brunswick, Newfoundland and Labrador and Prince Edward Island, and 14% in Nova Scotia since 1 April 2025. Registered businesses charge it on taxable sales and claim input tax credits on what they pay, so the tax lands on the final consumer.

Make it routine rather than an April scramble. Record income and expenses monthly, keep receipts and statements for six years from the end of the tax year they relate to, and check CRA My Account for slips, notices, balances and instalment reminders. Pay instalments when the CRA asks for them. Set aside a share of self-employment income as it arrives, and register for direct deposit. A mid-year review is when planning can still change the result.

No. QST is a separate Quebec tax administered by Revenu Quebec, and it cannot be recovered on your federal GST/HST return. Only a business registered for QST can claim input tax refunds for the 9.975% QST it pays, and registration normally follows from making taxable supplies in Quebec. An Ontario business with no QST registration treats the QST on a Quebec invoice as part of the cost of the expense. Check Revenu Quebec for the registration rules.

If you are registered for GST/HST, record expenses net of the tax and claim the tax portion as an input tax credit on your GST/HST return. Deducting it as an expense as well would claim the same amount twice. If you are not registered, the tax you paid is simply part of the cost and is deducted with it. Keep supplier invoices showing the tax and the supplier's registration number, because the CRA can ask for them.

Most bank service charges are exempt financial services, so no GST/HST is added to them. Monthly account fees, overdraft interest, transfer fees and transaction charges normally carry no tax at all. Some items billed by a bank are taxable, such as safe deposit box rental or certain administrative and safekeeping services. Your statement itemises any tax charged, and only tax actually shown there can be claimed as an input tax credit on a GST/HST return.

No. Filing is triggered by circumstances, not by an income floor. You must file if you owe tax, if the CRA asks you to, if you had self-employment income, if you disposed of property, or if benefits have to be repaid. Even with no income at all, filing is usually worth it: the GST/HST credit, Canada child benefit, provincial benefits and your RRSP room all depend on an assessed return for that year.

No. Drugs dispensed on a prescription are zero-rated, so no HST applies to the medication or to the dispensing fee in Ontario. Products bought without a prescription are usually taxable, even those kept behind the pharmacy counter, though a short list of non-prescription drugs is zero-rated. Many medical devices and mobility aids are zero-rated as well, while vitamins and supplements are taxable. Your pharmacy receipt separates the taxable items from the untaxed ones.

Rent paid on your own home is not deductible on the federal return, so most tenants report nothing. Rent does belong on the return in three cases: you are claiming a provincial benefit that is based on rent, such as the Ontario energy and property tax credit or the Manitoba renters tax credit; you are deducting a work-space-in-the-home share as an employee or a self-employed person; or you received rent as a landlord, which is taxable income.
