SR&ED Claim Preparation: Our Analysis

Things We've Learned Doing SR&ED Claim Preparation Work

What actually separates a clean sr&ed claim preparation file from a messy one? A working income tax specialist would point to a short list of rules, and these notes walk through it.

Everything in sr&ed claim preparation hangs off a single anchor. The claim has to identify each project on the prescribed form by the reporting deadline. An amended claim that adds a project the original did not mention is not accepted, even where the original claim itself was filed on time.

Then comes the detail that separates a clean file from an expensive one: Planning has to be in place before the transaction. The salary-versus-dividend mix, the timing of a capital purchase and the choice of year-end all change the outcome, but only prospectively. Almost every planning opportunity we see missed was available and simply not taken in time; very few are recoverable after year-end. The final point is less about opportunity and more about what happens when a file is challenged: Depreciable property is written off through capital cost allowance at a rate set by its class, and the half-year rule limits the first-year claim unless immediate expensing applies. Class selection is where the money is. The same asset placed in the wrong class can delay the deduction by years, and the error repeats every year until corrected.

Taken together, these rules explain why sr&ed claim preparation can rarely be treated as a do-it-once-and-forget exercise. An income tax specialist watches how they interact across your specific facts, which is something no checklist can do. Gather whatever records touch the numbers — statements, ledgers, prior-year filings — and we take it from there.

When you are ready, the process is straightforward — we agree a fixed fee up front, prepare the work, walk you through it before filing, and you pay once the service is delivered.

Case Study 1

$19,000 Reassessment Reduced To Nil On Review — Late-Documented Claimant, Barrie

A $19,000 reassessment was proposed against a claimant whose project records were written after the work in Barrie, Ontario. It followed a claim filed at the 15% non-refundable rate when CCPC status supported 35% refundable. The documented response reduced it to nil.

A review notice arrived at a claimant whose project records were written after the work in Barrie, Ontario, covering SR&ED claim preparation for two tax years. The auditor's working position was an adjustment of $19,000. It was driven by a claim filed at the 15% non-refundable rate when CCPC status supported 35% refundable. Rather than negotiate, we rebuilt the record. We confirmed CCPC status and refiled at the enhanced 35% refundable rate. We then submitted a point-by-point response that answered each proposed adjustment with the document behind it. The auditor accepted the documented position and closed the review without adjustment, protecting $19,000 and leaving the prior filings undisturbed.

Case Study 2

Books Rebuilt From Source, $6,900 In Unclaimed Input Tax Found — Medical Device Developer, Surrey

The ledger at a medical device developer in Surrey, British Columbia could not support its own filings. The reason was an amended claim adding two projects after the reporting deadline had already passed. Rebuilding it surfaced $6,900 in unclaimed input tax.

A medical device developer in Surrey, British Columbia could not answer basic questions about its own numbers. An amended claim adding two projects after the reporting deadline had already passed sat between the bank statements and the ledger. We identified the eligible projects, documented the technological uncertainty and systematic investigation for each, and filed a claim that survived review without adjustment. We then documented the process so the work does not depend on any one person remembering how it was done. Records rebuilt and reconciled, $6,900 recovered in input tax credits that the old file could not support, and a documented monthly process now in place.

Case Study 3

$25,000 Of Arbitrary Assessments Vacated After 5 Years — Provincial Credit Claimant, Kelowna

The CRA had assessed a corporation stacking a provincial credit on a federal claim in Kelowna, British Columbia on estimates across 5 unfiled years. Real filings vacated $25,000 of that tax.

5 years of unfiled returns had turned into notional assessments at a corporation stacking a provincial credit on a federal claim in Kelowna, British Columbia. Underneath lay a provincial credit left unclaimed alongside a successful federal SR&ED claim. Collections had already started. We sat with the technical staff to write each project description around the uncertainty they actually faced and the tests they ran. We then filed every outstanding year in chronological order so the CRA could vacate the notional assessments cleanly. All 5 years were accepted as filed. $25,000 of arbitrarily assessed tax was vacated, collections action stopped, and the account is current for the first time in 5 years.

Case Study 4

Second-Province Expansion Handled, $129,000 Of Cash Released — Digital Media Game Studio, Halifax

A game studio claiming digital media credits in Halifax, Nova Scotia expanded into a second province. The file already carried technical narratives written by the finance team with no input from the people who ran the experiments. Every obligation was set up in advance and $129,000 of cash released.

Revenue at a game studio claiming digital media credits in Halifax, Nova Scotia was up sharply and cash was tighter than ever. Underneath it sat technical narratives written by the finance team with no input from the people who ran the experiments. We netted the government assistance against the qualified expenditure pool, so the claim matched what would survive a review. Every new obligation was set up before it was triggered, not after. That covered registration, remittance frequency and provincial filing. $129,000 of cash was released from the working capital cycle. The expansion completed with every registration and filing obligation covered from day one.

Case Study 5

Filed On Time From A Standing Start, $60,000 Penalty Avoided — Platform Software Company, Guelph

A software company building a new platform in Guelph, Ontario was 8 weeks from a deadline. The file also carried a filing deadline missed by three weeks, extinguishing the entire claim. Filing complete and on time avoided roughly $60,000 in penalties.

A software company building a new platform in Guelph, Ontario came to us 8 weeks before its filing deadline. The file came with a filing deadline missed by three weeks, extinguishing the entire claim. A late filing would have triggered a penalty of roughly $60,000 before interest. We worked backwards from the deadline. We layered the applicable provincial credit onto the federal claim in the same filing. We prioritised the items that actually gated the filing and deferred everything that did not. The return was filed on time and complete. The $60,000 penalty never arose, and the compliance calendar we set means the next deadline is scheduled rather than discovered.

Case Study 6

Intergenerational Transfer Completed With $290,000 Deferred — Agri-Tech Company, Saskatoon

A family transfer at an agri-tech company in Saskatoon, Saskatchewan would have been fully taxable. The reason was a single shareholder holding every share, with no room to multiply the exemption. Restructuring deferred $290,000.

A generational transfer at an agri-tech company in Saskatoon, Saskatchewan had been discussed for years without a plan. A single shareholder holding every share, with no room to multiply the exemption meant the transfer as contemplated would have been fully taxable. We put contemporaneous tracking in place — project logs tied to time records — so the following year’s claim was defensible by construction. We sequenced the steps so each one was complete and documented before the next depended on it. $290,000 of tax was deferred through the transfer, and the successor generation took over a corporation whose records stood up to review.

SR&ED Claim Preparation: Straight Answers to Common Questions

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does SR&ED Claim Preparation cost in Canada?

SR&ED Claim Preparation starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for SR&ED Claim Preparation?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does SR&ED Claim Preparation take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for SR&ED Claim Preparation?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes SR&ED Claim Preparation different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in SR&ED Claim Preparation services?

Our sr&ed claim preparation services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with SR&ED Claim Preparation services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What goes wrong most often with sr&ed claim preparation?

In our files, this is the deciding factor: A SR&ED claim must be filed within twelve months of the T2 filing due date. The deadline is absolute — there is no relief provision for a late claim, however strong the underlying work. A tax consultant applies it to your numbers before submission.

What records do I need before starting sr&ed claim preparation?

The short answer comes straight from our working notes: SR&ED eligibility turns on technological uncertainty and systematic investigation, not on novelty or commercial success. Routine engineering is excluded no matter how difficult it was. How that plays out on your file depends on the specifics, which is exactly what the engagement is for.

Commonly Searched SR&ED Claim Preparation Questions

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

For the 2025 tax year the filing and payment deadline is 30 April 2026. If you or your spouse carried on a business, the return itself is due 15 June 2026, but any balance owing is still due 30 April 2026. Interest runs on unpaid amounts after the payment deadline, and a late-filed return with a balance owing also attracts a late-filing penalty. Filing on time keeps benefit and credit payments flowing.

CRA online filing for 2025 returns opened 23 February 2026 and closes 29 January 2027. Most people file between late February and the 30 April 2026 deadline, and that stretch is what tax season refers to. You can gather documents and prepare a return earlier, but it cannot be sent electronically before the system opens. Employment and investment slips such as T4 and T5 are issued by payers early in the year, and the CRA's Auto-fill service can pull the ones it already holds once you have set up My Account.

Your marginal tax rate is the rate on your next dollar of income, not on your income as a whole. Federally for 2026 that is 14%, 20.5%, 26%, 29% or 33% depending on the bracket you have reached, and your province's rate stacks on top, so an Ontario earner in the 26% federal band adds the Ontario rate for their own band. The two sets of thresholds rarely line up, so add the two rates together.

Yes. Severance is employment income, so your employer withholds income tax before paying you. Lump sums are withheld at flat lump-sum rates that are often below your real marginal rate, so a large payout can still leave a balance owing at filing time. If part of the payment is a retiring allowance, some of it may be transferred directly to an RRSP and taxed later. Check the CRA's payroll deductions and lump-sum withholding pages.

There is no single rate. On purchases, GST is 5%, with HST of 13% in Ontario, 15% in New Brunswick, Newfoundland and Labrador and Prince Edward Island, and 14% in Nova Scotia since 1 April 2025; Quebec adds 9.975% QST, British Columbia 7% PST, Saskatchewan 6% PST and Manitoba 7% RST. On income, the 2026 federal brackets begin at 14% and rise through 20.5%, 26% and 29% to 33%, with provincial tax charged on top.

Two things drive the bill: the assessed value of that specific property and the rate the municipality sets. Assessment reflects size, age, lot, condition, renovations and recent comparable sales, so neighbouring houses rarely match. Rates differ because each council raises what its own budget needs from its own assessment base, and property class matters, with residential, multi-residential and commercial treated differently. A local education levy and area charges for services such as water or transit widen the gap.

Yes, as a deduction rather than a credit. Child care costs you paid so you could work, run a business or attend school are deducted on your T1, usually by the lower-income spouse, with limits set by each child's age and status and capped by a share of earned income. Keep receipts showing the provider's name and, for an individual caregiver, their social insurance number. Day camps can qualify; recreational lessons do not.

For account-specific questions, the CRA will discuss your own file once you have verified your identity, and its individual and business enquiry lines cover balances, slips and deadlines. For advice on what to claim or how to structure something, speak to a tax preparer. If you want the filing handled for you, taxfilings.ca agrees a fixed fee before any work starts, and you pay after the service. Call +1 (416) 619-0068.

Add every source of income for the year: employment income from T4 slips, self-employment profit from a T2125, investment income from T5 slips, pensions and other taxable amounts. That gives total income. Subtract deductions such as RRSP contributions, union dues, child care and carrying charges to reach net income, then the remaining deductions that apply to you for taxable income. Tax is then calculated on that figure at federal and provincial rates, and credits reduce the tax itself.

Interest on an ordinary savings account is fully taxable in the year it is credited, and the bank normally reports it on a T5, though no slip is issued for small amounts of interest — the income is reportable either way. No exemption exists to claim against it. The only real answer is to hold the money in a registered account instead: a TFSA, where the interest is never taxed, or an RRSP or FHSA, where it is sheltered until withdrawal. Interest in a joint account is taxed to whoever supplied the funds.

Most grants are taxable. A grant received by a business is normally included in income, or applied against the cost of the asset or expense it funded, which reduces future deductions instead of creating income now. Grants tied to study can differ, because a student may be able to use the scholarship exemption. The payer usually issues an information slip, and the treatment follows what the grant was for, so keep the funding agreement with your records.

A criminal record check you pay for to get or keep a job is not deductible, because an employee may only claim the narrow set of employment expenses the tax rules allow and this is not among them. A business that pays for checks on staff or contractors may deduct the cost as an ordinary operating expense, and so may a self-employed person who must hold a current check to do the work being billed. Keep the receipt either way.
