Decoding T4 Slip Preparation Filing Jargon

T1 General

T2 Corporate Return

GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
T4 Slip Preparation: Our Analysis

T4 slips and the T4 Summary are due the last day of February; each missed slip carries its own penalty, scaled to how many are late. Remitter frequency follows average monthly withholding — new employers generally remit monthly by the 15th of the following month. Because the fee is fixed and low-cost, the economics stay predictable whether your file is simple or messy.

Practitioner Notes on T4 Slip Preparation

Clients often arrive treating t4 slip preparation as a form-filling exercise. In practice, a tax specialist spends more time on judgment calls than on data entry — and those calls are what these notes cover.

Here is where every serious conversation about T4 Slip Preparation begins: Each employer withholds CPP and EI up to the annual maximum on its own account. An employee who changes employers mid-year, including a move between two related payroll accounts, is over-deducted. The excess comes back only through the personal return.

From there, the file turns on a second question, and the rule behind it reads as follows. Taxable benefits including employer-paid parking, personal use of a company vehicle and most gift cards must be reported on the T4. They carry CPP and, in some cases, EI. On the record-keeping side, one rule governs what must be kept and what must be shown: A worker’s status as employee or contractor turns on control, ownership of tools, chance of profit and risk of loss. It does not turn on what the contract calls them.

So where does that leave you? In most cases, with a decision about whether to work through t4 slip preparation alone or hand the moving parts to a tax professional who tracks them for a living. What you bring to the table determines how quickly the t4 slip preparation work proceeds — start with the items below.

Start whenever suits you; the structure is already set. You will know the fixed fee before work begins, approve the file before it is filed, and pay only once the service is delivered.

T4 Slip Preparation Tax & Accounting Case Studies

See how our expert T4 Slip Preparation tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

Remuneration Review Saved $61,000 Across Corporate And Personal Returns — Higher-Frequency Remitter, Hamilton

A remuneration review at an employer whose remittance frequency moved up a threshold in Hamilton, Ontario saved $61,000 across the corporate and personal returns. It found a bonus accrued to bring the year-end tax bill down and still unpaid more than a year later.

Nothing was wrong at an employer whose remittance frequency moved up a threshold in Hamilton, Ontario. The filings were on time and accurate. What they were not was planned. A bonus accrued to bring the year-end tax bill down and still unpaid more than a year later had never been reviewed. We corrected the CPP and EI withholding for the balance of the year. We set the employee up to recover the over-deduction on the personal return. We ran the numbers across both the corporate and personal returns, so the saving was real rather than deferred into someone else's hands. $61,000 came off the combined corporate and personal tax bill, and the structure holds for future years without further work.

Case Study 2

Month-End Close Cut From 9 Weeks To 10 Days — Mixed-Crew Construction Firm, Victoria

Closing the books at a construction firm with union and non-union crews in Victoria, British Columbia took 9 weeks. The cause was remittances still going out monthly after the business had moved to the accelerated threshold. It now takes 10 days.

The accounting file at a construction firm with union and non-union crews in Victoria, British Columbia had a weak foundation. It was built on remittances still going out monthly after the business had moved to the accelerated threshold. The year-end had taken 9 weeks each of the last three years. We reconstructed vehicle logbooks, calculated the standby charge and operating benefit properly, and amended the affected T4s. We also moved the reconciliations into the monthly cycle, so the year-end stopped being a rebuild. The file reconciles. Month-end closes in 10 days instead of 9 weeks, and the year-end is a review rather than a reconstruction.

Case Study 3

Desk-Review Assessment Of $42,000 Vacated — Multi-Province Driver Fleet, Mississauga

A desk review assessed a logistics operator with drivers in three provinces in Mississauga, Ontario $42,000. The dispute was over T4s that did not agree to the payroll register or the general ledger. Producing the records vacated the assessment.

A logistics operator with drivers in three provinces in Mississauga, Ontario was carrying $42,000 of penalties and interest. The charges arose from T4s that did not agree to the payroll register or the general ledger. Much of that amount accumulated during a period the CRA itself had delayed. We wrote each pay code against its income tax, CPP and EI treatment. That way, a new benefit could not reach the payroll without a decision on how it was withheld. We framed the relief application on the specific grounds the CRA guidelines recognise rather than on general hardship. The assessment was vacated. $42,000 came off the account, and the documentation now on file makes the same position straightforward to defend next time.

Case Study 4

Collections Halted And $111,000 Cut From A 7-Year Backlog — High-Turnover Restaurant, Brampton

Collections had begun against a restaurant with heavy seasonal turnover in Brampton, Ontario over 7 years of unfiled returns. Bringing them current cut $111,000 from the balance.

By the time a restaurant with heavy seasonal turnover in Brampton, Ontario called, 7 years were outstanding. The CRA had assessed on estimates. Underneath it sat an employee over-deducted for CPP and EI after being moved between two related payroll accounts mid-year. We reconstructed the records year by year. We paid the accrued bonus inside the 180-day window and kept the deduction in the year it was accrued. Each filing replaced an arbitrary assessment with a real one. The account is current. Filing on real numbers rather than CRA estimates reduced the balance by $111,000, and a relief application addressed part of the accumulated interest.

Case Study 5

Incentive Review Recovered $24,000 Across 4 Open Years — Seasonal Landscaping Employer, Lethbridge

An incentive review at a landscaping company with seasonal staff in Lethbridge, Alberta recovered $24,000 across 4 open years. It found a bonus accrued to bring the year-end tax bill down and still unpaid more than a year later.

An incentive review at a landscaping company with seasonal staff in Lethbridge, Alberta started from a simple question: what has never been claimed? The answer ran to 4 years. It was driven by a bonus accrued to bring the year-end tax bill down and still unpaid more than a year later. We reviewed each contractor against the CRA’s control and integration tests and converted those who met the employment tests. We priced the transition before it was forced by a ruling. We documented eligibility to the standard a reviewer would apply rather than the standard a claim form requires. The credits produced $24,000 across the open years. The tracking now in place means the following year's claim is documented as the work happens rather than reconstructed afterwards.

Case Study 6

Scaled To 72 Staff With $39,500 Of Working Capital Freed — Part-Time Program Employer, Halifax

Growth at a charity with part-time program staff in Halifax, Nova Scotia had outrun the back office. A director facing a personal assessment for unremitted source deductions broke first. Headcount reached 72 with $39,500 of cash freed.

A charity with part-time program staff in Halifax, Nova Scotia was growing fast, with headcount reaching 72 in eighteen months. The back office had not kept up. A director facing a personal assessment for unremitted source deductions was the first thing to break. We filed the outstanding slips and summary and requested relief on the per-slip penalty with the reasons documented in writing. We built the compliance calendar for the size the business was becoming rather than the size it had been. The business reached 72 staff with no missed remittance and no late filing. $39,500 of working capital was freed in the process.

T4 Slip Preparation Questions We Hear Most Often

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does T4 Slip Preparation cost in Canada?

T4 Slip Preparation starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for T4 Slip Preparation?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does T4 Slip Preparation take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for T4 Slip Preparation?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes T4 Slip Preparation different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in T4 Slip Preparation services?

Our t4 slip preparation services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with T4 Slip Preparation services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What goes wrong most often with t4 slip preparation?

We get this one a lot, and the answer is more concrete than people expect. A worker’s status as employee or contractor turns on control, ownership of tools, chance of profit and risk of loss. It does not turn on what the contract calls them. Bring your documents and we will show you where it lands in your numbers.

What records do I need before starting t4 slip preparation?

Here is what the rules actually say, stripped of the folklore: Taxable benefits including employer-paid parking, personal use of a company vehicle and most gift cards must be reported on the T4. They carry CPP and, in some cases, EI. Our role as your tax advisor is to apply that cleanly to your situation rather than to a hypothetical one.

More T4 Slip Preparation Questions Canadians Ask

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

For 2026 employees outside Quebec pay Employment Insurance premiums at 1.63% of insurable earnings, up to maximum insurable earnings of $68,900, giving a maximum employee premium of $1,123.07. Quebec employees pay a reduced 1.30%, capped at $895.70, because the province runs its own parental insurance plan. Employers pay 1.4 times the employee amount unless they qualify for a reduced rate. Premiums stop once the annual cap is reached.

The CRA charges compound daily interest on an unpaid balance from the day after the payment deadline until the balance is cleared. The charge uses the prescribed rate, which the CRA resets every calendar quarter, so it moves with market rates rather than staying fixed. Arrears interest is not deductible. Look up the current quarter on the CRA's prescribed interest rates page, and pay something against the balance to slow the daily charge.

Service Canada issues the T4E, not your employer. The quickest route is My Service Canada Account, where the slip sits under tax information and can be printed. A paper copy also goes to the address on file, and the slip is loaded into CRA My Account, so tax software using Auto-fill my return can pull it in directly. If nothing appears, call Service Canada, and report the benefits on your return even while waiting for the slip.

Most people say tax preparer or accountant. In Canada the work is not reserved to a single title: preparers, bookkeepers, accountants and tax agents all prepare and file returns, and anyone filing more than a set number of returns for payment must use an electronic filer number from the CRA. Some designations are protected titles, so check what a person actually holds. Ask who reviews the return, how the fee is set, and whether CRA follow-up is included.

Usually yes. A cash allowance for clothing is employment income and goes on the T4, because the employee decides how to spend it. The exception is distinctive protective clothing or a uniform the employer provides, or reimburses on receipts, that is required for the job and is not suitable for everyday wear; that is not taxable. Reimbursing ordinary business attire is taxable. Check the CRA's employers' guide to taxable benefits and allowances for your category.

They tell an employer or pension payer how much tax to hold back from each payment. You list the credits you expect to claim for the year on one federal return and one for your province, payroll converts that total into a claim code, and the deduction follows. The federal amount everyone starts from is the basic personal amount, $16,452 for 2026, tapering once net income is high. Claim with one employer only if you have several jobs.

The CRA's online filing service for 2025 returns opened on 23 February 2026 and closes 29 January 2027, so that is the earliest a 2025 return could be transmitted. You can gather documents and prepare the return before then, but issuers generally have until the end of February to give you T4, T4A and T5 slips, so filing very early risks missing one and needing a T1-ADJ afterwards. Filing early does not move the 30 April payment deadline.

In Canada they are usually called tax preparers, tax accountants, tax specialists or bookkeepers, depending on the work involved. Preparers who file electronically for clients are registered with the CRA under its EFILE program, and each return they send carries their identifier. On the government side, the CRA employs assessors, auditors and collections officers. Some professional titles are protected by provincial law, so ask what a person is authorised to do before you engage them.

The tax-free savings account began in the 2009 calendar year, so an adult resident of Canada has been accumulating room every year since then, and unused room carries forward indefinitely. Cumulative room reached $102,000 at 1 January 2025 and $109,000 at 1 January 2026, with the annual limit $7,000 for both 2025 and 2026. Check My Account for your own number, since it also reflects past contributions and withdrawals.

For the 2025 tax year the payment deadline is 30 April 2026, and that date applies even to self-employed filers who have until 15 June 2026 to file the return itself. Pay by online banking, the CRA's payment service, pre-authorised debit or through a financial institution. Corporations run on their own fiscal year: the T2 is due six months after year end, with the balance due two months after year end, or three months for an eligible CCPC claiming the small business deduction.

Yes. EI benefits stack on top of any other income for the year, so they can shrink a refund or create a balance owing, because the tax Service Canada withholds is usually less than the rate that applies once the benefits sit above your employment income. Benefits also count in the net income that income-tested credits and benefits are based on. Where the T4E shows a benefit repayment rate, part of the regular benefits must be paid back.

Yes. Most Canadian municipalities, Toronto included, accept payment through your bank's online bill payment service: add the city as a payee and use the roll or account number printed on your tax bill. Cities also run their own payment portal, pre-authorised instalment plans, and credit card payment through a third party that charges a service fee. Allow several business days for a bank payment to reach the city, since the municipality charges interest on a late instalment.
