Decoding Monthly Financial Statement Preparation Filing Jargon

T1 General
The personal income tax return individuals file with the CRA each year.
T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Monthly Financial Statement Preparation: Our Analysis

Clean, reconciled books are what turn a T2 filing into a review rather than a scramble — and what stands up when the CRA asks for support. Because the fee is fixed and cheap, the economics stay predictable whether your file is simple or messy.

Observations From Our Monthly Financial Statement Preparation Files

Most write-ups of monthly financial statement preparation describe the form. These notes describe the file — what a tax consultant checks first and why.

Before anything else, one rule sets the frame. Under CSRS 4200 the practitioner has to consider whether the compiled information is misleading and cannot issue it where it is. An unusual revenue or inventory policy has to be described plainly in the basis-of-accounting note rather than left for the reader to infer.

The next point is the one a tax consultant checks before quoting any timeline: A CCPC files its T2 within six months of year-end, with the balance due two months after (three where the small business deduction is claimed). The 9% federal small business rate applies to the first $500,000 of active business income. The filing and payment deadlines differ, and interest runs from the payment date. Filing on time while paying late still costs money. On the record-keeping side, one rule governs what must be kept and what must be shown: The CRA requires business records to be kept for six years from the end of the tax year they relate to, in a form that allows the return to be verified. Where records cannot support the return, the CRA is entitled to assess on its own estimate — and the burden of disproving that estimate falls on the taxpayer.

Taken together, these rules explain why monthly financial statement preparation can rarely be treated as a do-it-once-and-forget exercise. A tax consultant watches how they interact across your specific facts, which is something no checklist can do. Gathering the following ahead of time turns the first monthly financial statement preparation conversation from fact-finding into decision-making.

Whatever the file involves, the terms do not change: fixed fee agreed up front, review together before filing, payment after the service.

Case Study 1

Holding Structure Added, $29,000 Saved Annually — Business Preparing for Sale, Halifax

A business preparing for sale in Halifax, Nova Scotia needed a holding structure. It had to deal with an insurer asking for statements from an independent practitioner who had also been writing the bookkeeping entries. The reorganisation was tax-neutral and removed $29,000 of annual exposure.

The structure at a business preparing for sale in Halifax, Nova Scotia needed fixing. The file was carrying an insurer asking for statements from an independent practitioner who had also been writing the bookkeeping entries. Every option for fixing it ran through a reorganisation that had to be done without triggering tax. We worked with the client's lawyer. Together, we prepared the supporting schedule for every material balance in advance, which cut the queries the engagement had to raise. We also prepared the elections, resolutions and valuations the structure needed to stand up. The structure now matches the business. Annual saving of $29,000, and the reorganisation itself was tax-neutral.

Case Study 2

Books Rebuilt From Source, $15,000 In Unclaimed Input Tax Found — Government Funding Applicant, Hamilton

The ledger at a business applying for government funding in Hamilton, Ontario could not support its own filings. The reason was an unusual revenue recognition policy that appeared nowhere in the basis-of-accounting note. Rebuilding it surfaced $15,000 in unclaimed input tax.

A business applying for government funding in Hamilton, Ontario could not answer basic questions about its own numbers. An unusual revenue recognition policy that appeared nowhere in the basis-of-accounting note sat between the bank statements and the ledger. We converted the records to the accrual basis, restated the comparative year with proper disclosure, and rebuilt the statement package around the bonding company’s requirements. We then documented the process so the work does not depend on any one person remembering how it was done. Records rebuilt and reconciled, $15,000 recovered in input tax credits that the old file could not support, and a documented monthly process now in place.

Case Study 3

Scaled To 42 Staff With $64,000 Of Working Capital Freed — Restating Corporation, Ottawa

Growth at a corporation restating a prior year in Ottawa, Ontario had outrun the back office. A shareholder agreement calling for audited statements that had been satisfied with a compilation for years broke first. Headcount reached 42 with $64,000 of cash freed.

A corporation restating a prior year in Ottawa, Ontario was growing fast, with headcount reaching 42 in eighteen months. The back office had not kept up. A shareholder agreement calling for audited statements that had been satisfied with a compilation for years was the first thing to break. We prepared a due-diligence-ready statement set with supporting schedules for each material balance. We built the compliance calendar for the size the business was becoming rather than the size it had been. The business reached 42 staff with no missed remittance and no late filing. $64,000 of working capital was freed in the process.

Case Study 4

$505,000 Sheltered By The Lifetime Capital Gains Exemption — Bylaw-Audit Non-Profit, Mississauga

A not-for-profit with a bylaw audit requirement in Mississauga, Ontario was preparing to sell. However, passive assets sitting inside the operating company, disqualifying the shares disqualified the shares. Purification sheltered $505,000 under the exemption.

A not-for-profit with a bylaw audit requirement in Mississauga, Ontario had an offer on the table and 30 months to close. The shares did not qualify for the capital gains exemption. Passive assets sitting inside the operating company, disqualifying the shares was part of the reason. We purified the corporation so the shares met the qualifying tests. We described the revenue and inventory policies in the basis-of-accounting note in terms a lender could follow without asking a question. All of it was done well ahead of the closing date. The sale closed on schedule with $505,000 sheltered by the lifetime capital gains exemption across the shareholders.

Case Study 5

Notice Of Objection Allowed In Full, $142,000 Reversed — Covenant-Bound Borrower, Calgary

A $142,000 reassessment landed at a company under a bank covenant in Calgary, Alberta. It rested on a prior-year restatement with no note explaining what changed. The objection was allowed in full.

A company under a bank covenant in Calgary, Alberta had been reassessed for $142,000. 12 days were left on the objection deadline. The reassessment rested on a prior-year restatement with no note explaining what changed. We filed the objection inside the deadline with a complete submission rather than a placeholder. Alongside it, we upgraded the engagement to a CSRE 2400 review, completed the additional procedures, and delivered a package the lender accepted without conditions. The appeals officer allowed the objection in full. $142,000 was reversed and the account returned to a nil balance.

Case Study 6

$88,000 Of Working Capital Freed From The Tax Cycle — Late-Statement Business, Lethbridge

A business whose statements arrive late every year in Lethbridge, Alberta was profitable and permanently short of cash. Behind the gap sat a bonding limit capped because the last statements were prepared on a cash basis. Restructuring the tax cycle freed $88,000.

A business whose statements arrive late every year in Lethbridge, Alberta was profitable on paper and short of cash every month. A bonding limit capped because the last statements were prepared on a cash basis explained most of the gap. We compressed the close to 45 days by moving reconciliations into the monthly cycle, so the covenant deadline stopped being a scramble. We also built a thirteen-week cash view so tax payments stopped competing with payroll for the same dollars. $88,000 was released back into working capital. Remittances have been on time every period since, and the forecast shows the tax outflow before it lands.

Questions Monthly Financial Statement Preparation Clients Ask, With Our Answers

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Monthly Financial Statement Preparation cost in Canada?

Monthly Financial Statement Preparation starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Monthly Financial Statement Preparation?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Monthly Financial Statement Preparation take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Monthly Financial Statement Preparation?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Monthly Financial Statement Preparation different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Monthly Financial Statement Preparation services?

Our monthly financial statement preparation services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Monthly Financial Statement Preparation services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What records should I gather before starting monthly financial statement preparation?

The honest answer comes down to one rule. Only an audit gives an opinion on whether the statements are free of material misstatement. A review provides limited assurance and a compilation provides none. The user of the statements, not whoever prepares them, sets which one is needed. That is the part we verify before anything is filed.

How is your approach to monthly financial statement preparation different from doing it through software?

Our answer starts where the legislation starts. Bonding companies and lenders typically want statements within 90 to 120 days of year-end. Late statements cost capacity even when the numbers are good. From there it is a matter of applying it to your year — and that application, not the rule itself, is where a tax practitioner earns the fee.

People Also Ask About Monthly Financial Statement Preparation

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Canadian income tax is built up in layers. You total your income for the year, subtract the deductions you qualify for to arrive at taxable income, then apply the federal brackets and your province's brackets to that figure. Each bracket rate applies only to the income sitting inside it, so earning more never retaxes the dollars below. Non-refundable credits, starting with the basic personal amount, come off the tax afterwards. Look up the CRA bracket table for the tax year you are filing.

If you owe nothing, no penalty applies, but a refund and benefit payments such as the Canada child benefit and the GST/HST credit are held up until the return is processed. If you owe, a late-filing penalty is charged and interest runs on the balance and compounds daily from the day after the due date. For the 2025 tax year the deadline was 30 April 2026. File even if you cannot pay, because the penalty is driven by filing, not payment.

Sign in to CRA My Account and open the tax returns section, which lists your assessed returns, notices of assessment and reassessment, and carry-forward amounts for earlier years. You can also download a proof of income statement, request a copy by phone, or ask whoever prepared the return for you. Keep your own copy and the supporting records for six years from the end of the tax year they relate to.

A tax credit reduces the tax you owe, whereas a deduction reduces the income the tax is calculated on. Non-refundable credits, such as the basic personal amount or tuition, can bring tax down to nil but pay nothing beyond that. Refundable credits, such as the GST/HST credit, are paid out even when no tax is owing. Almost every credit is claimed on the return, so filing is what releases the money.

Work it from your own figures rather than a rule of thumb. A corporation on active business income pays 9% federally on the first $500,000 for 2026, plus the provincial small business rate — 3.2% in Ontario, falling to 2.2% on 1 July 2026 — so reserve that share of profit as you earn it. A sole proprietor should set aside at their marginal personal rate plus CPP. Keep GST/HST collected in a separate account; that money was never yours.

A refund grows only two ways: more tax paid during the year, or every deduction and credit you are entitled to actually being claimed. Practical items are RRSP contributions, unused tuition, moving costs, medical expenses pooled on one spouse, donations carried forward, child care, employment expenses your employer certifies, and spousal or pension transfers. Claims missed in earlier years can still be recovered with a T1 adjustment request rather than written off.

Divide income tax expense by profit before tax to get the effective rate. It differs from the statutory rate because of permanently non-deductible items, credits and timing differences between accounting and tax treatment. Income tax payable is a current liability and income tax receivable a current asset, so a refund is recorded against that receivable rather than as revenue. Internet is normally an operating expense under utilities or office costs, and property taxes are expensed unless properly capitalised to a project under construction.

A new assessed value or municipal rate applies for the tax year the municipality sets it for, not from the day you receive the notice. Provincial assessment bodies value properties as at a fixed valuation date and phase increases in over a cycle, then councils set the annual rates, which appear on the final bill rather than the interim one. A reassessment after a renovation or a change in use can be billed back to its effective date.

Usually not. Unbottled water supplied by a municipality or water utility is exempt, and basic unbottled water sold other than as a single serving is zero-rated, so no GST or HST is charged. Bottled water and single servings are taxable at the rate where it is delivered, meaning 5% GST or 13% HST in Ontario for 2026. Carbonated and flavoured water is taxable. The CRA's basic groceries memorandum sets out the line.

No. A tax refund is not earnings, so it does not belong on your EI report, which covers work, wages, tips, commissions and other money earned in the period. EI works the other way at tax time: the benefits you received are taxable income, arrive on a T4E slip, and must be reported on your return for the year you got them.

Ontario's HST is 13% for 2026, 5% federal and 8% provincial, and relief for a Status Indian purchaser turns on delivery rather than where the shop sits. Goods bought off reserve are taxable unless the vendor delivers them to the reserve, and a service is relieved only when performed on reserve. Eligible First Nations purchasers can claim point-of-sale relief for the 8% provincial part on qualifying off-reserve purchases by presenting a Certificate of Indian Status; the 5% federal part still applies.

The return can be corrected. An adjustment request, filed on Form T1-ADJ or through My Account, reopens the year for reassessment. You remain legally responsible for what was filed, so interest and any penalty are assessed to you. Relief on Form RC4288 is granted for extraordinary circumstances, CRA error or delay, or genuine inability to pay; the CRA's stated position is that it will generally not cancel interest or penalties because a preparer you hired made the mistake, so pay the balance while you pursue the preparer separately.
