Accounts Payable Services: Our Analysis

Compilation engagements now follow CSRS 4200, which sets out the basis-of-accounting note every lender expects to see attached to the statements. Our accounts payable services engagement is priced as a budget-friendly flat fee, so the cost is known before the work starts.

An Accountant's Notes on Accounts Payable Services

Good accounts payable services work is mostly about sequencing: which questions to settle before which. These notes lay out the sequence an accountant follows on Accounts Payable Services engagements.

If you remember one thing from this page, make it this: The CRA requires business records to be kept for six years from the end of the tax year they relate to, in a form that allows the return to be verified. Where records cannot support the return, the CRA is entitled to assess on its own estimate — and the burden of disproving that estimate falls on the taxpayer.

There is a companion rule that changes how the first one plays out in practice: A small corporation still carries the full compliance set: T2, GST/HST, payroll, and the annual return with the incorporating jurisdiction. The annual corporate return is separate from the T2 and is the one most often forgotten, which can lead to administrative dissolution. The documentation side matters just as much. An expense is deductible where it was incurred to earn income and is reasonable in the circumstances. The business-use portion must be supported, which for vehicles means a logbook. The CRA rarely argues that an expense category is wrong; it argues that the proportion claimed was never substantiated.

None of this requires you to become an expert — that is what engaging an accounting firm is for. What it does require is recognizing that accounts payable services will reward preparation over improvisation. A productive accounts payable services engagement starts with paperwork, and the list below covers what to gather.

Every file we prepare is reviewed with you before anything is filed, the fee is fixed and agreed up front, and you pay only after the service is delivered. If accounts payable services is on your list, the conversation costs nothing to start.

Case Study 1

Month-End Close Cut From 9 Weeks To 7 Days — Regional Courier Operator, Guelph

Closing the books at a regional courier operator in Guelph, Ontario took 9 weeks. The cause was inter-company balances between two related corporations that had never been reconciled. It now takes 7 days.

The accounting file at a regional courier operator in Guelph, Ontario had a weak foundation. It was built on inter-company balances between two related corporations that had never been reconciled. The year-end had taken 9 weeks each of the last three years. We built a fixed-asset continuity schedule from the purchase invoices. We set the capital cost allowance claim class by class rather than claiming the maximum by default. We also moved the reconciliations into the monthly cycle, so the year-end stopped being a rebuild. The file reconciles. Month-end closes in 7 days instead of 9 weeks, and the year-end is a review rather than a reconstruction.

Case Study 2

6 Years Filed, $42,000 Removed From The Assessed Balance — Machine-Shop Owner-Operator, Barrie

6 years of returns were outstanding at a machine-shop owner-operator in Barrie, Ontario. That came on top of a bank that refused to renew an operating line without compliant statements. Filing on real numbers removed $42,000 of assessed tax.

A machine-shop owner-operator in Barrie, Ontario had not filed for 6 years. The CRA had issued arbitrary assessments. The business was carrying a bank that refused to renew an operating line without compliant statements. That came on top of a growing interest balance. We started with the oldest year and worked forward so each year's closing balances fed the next. We reconciled the inter-company accounts, papered the arrangement with a written agreement, and aligned both corporations’ year-ends. We filed the years in sequence rather than all at once. Every year is now filed and assessed on actual figures. The notional assessments were vacated and $42,000 of the estimated balance came off, with a payment arrangement covering the rest.

Case Study 3

Second-Province Expansion Handled, $137,000 Of Cash Released — Quarterly-Close Practice, Windsor

A professional practice that closes its books quarterly in Windsor, Ontario expanded into a second province. The file already carried work in progress carried at billing value one year and at cost the next, so neither year was comparable. Every obligation was set up in advance and $137,000 of cash released.

Revenue at a professional practice that closes its books quarterly in Windsor, Ontario was up sharply and cash was tighter than ever. Underneath it sat work in progress carried at billing value one year and at cost the next, so neither year was comparable. We set a monthly close calendar with a fixed cut-off, so the year-end became a review of work already done rather than a twelve-month rebuild. Every new obligation was set up before it was triggered, not after. That covered registration, remittance frequency and provincial filing. $137,000 of cash was released from the working capital cycle. The expansion completed with every registration and filing obligation covered from day one.

Case Study 4

Filed On Time From A Standing Start, $50,000 Penalty Avoided — Family Wholesale Distributor, Red Deer

A family-owned wholesale distributor in Red Deer, Alberta was 11 weeks from a deadline. The file also carried a shareholder loan account that had drifted for three years with no supporting entries. Filing complete and on time avoided roughly $50,000 in penalties.

A family-owned wholesale distributor in Red Deer, Alberta came to us 11 weeks before its filing deadline. The file came with a shareholder loan account that had drifted for three years with no supporting entries. A late filing would have triggered a penalty of roughly $50,000 before interest. We worked backwards from the deadline. We separated personal and corporate spending, cleared the shareholder loan through a documented salary and dividend mix, and restated the comparative year. We prioritised the items that actually gated the filing and deferred everything that did not. The return was filed on time and complete. The $50,000 penalty never arose, and the compliance calendar we set means the next deadline is scheduled rather than discovered.

Case Study 5

Share Sale Restructured, $630,000 Less Tax On Closing — Independent Pharmacy, Regina

Due diligence at an independent pharmacy in Regina, Saskatchewan surfaced a minute book with no resolutions behind a decade of dividends. Restructuring the sale saved $630,000 against the original terms.

An independent pharmacy in Regina, Saskatchewan was preparing to sell. Due diligence surfaced a minute book with no resolutions behind a decade of dividends. That would have reduced the price or killed the deal outright. We cleaned up the historical file. We rebuilt the trial balance from source documents, reconciled every bank and credit-card account, and issued a CSRS 4200 compilation with a proper basis-of-accounting note. Then we prepared the due-diligence package the buyer's advisers actually asked for. The deal closed at the agreed price. $630,000 of tax was saved against the structure originally proposed, with no post-closing adjustment.

Case Study 6

Remuneration Review Saved $50,000 Across Corporate And Personal Returns — Fitness Studio Group, Burnaby

A remuneration review at a boutique fitness studio group in Burnaby, British Columbia saved $50,000 across the corporate and personal returns. It found capital assets written off in full in the year of purchase, with no fixed-asset schedule behind the deduction.

Nothing was wrong at a boutique fitness studio group in Burnaby, British Columbia. The filings were on time and accurate. What they were not was planned. Capital assets written off in full in the year of purchase, with no fixed-asset schedule behind the deduction had never been reviewed. We moved accruals, prepaids and depreciation into a documented month-end checklist, so they stopped being year-end discoveries. We ran the numbers across both the corporate and personal returns, so the saving was real rather than deferred into someone else's hands. $50,000 came off the combined corporate and personal tax bill, and the structure holds for future years without further work.

Accounts Payable Services Frequently Asked Questions

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Accounts Payable Services cost in Canada?

Accounts Payable Services starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Accounts Payable Services?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Accounts Payable Services take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Accounts Payable Services?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Accounts Payable Services different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Accounts Payable Services?

Our accounts payable services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Accounts Payable Services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What does a tax specialist actually check during accounts payable services?

Here is what the rules actually say, stripped of the folklore: Shareholder loan balances must be repaid within one year of the corporation’s following year-end. If they are not, the amount is included in the shareholder’s personal income under subsection 15(2). Our role as your tax specialist is to apply that cleanly to your situation rather than to a hypothetical one.

What records should I gather before starting accounts payable services?

It depends less on opinion than owners assume. Accrued but unbilled revenue belongs in income in the year the work was performed. Deferring it to the invoice date understates taxable income and is a standard reassessment adjustment. Once you know that, the practical question becomes timing and documentation — both of which we handle inside the engagement.

What Canadians Search About Accounts Payable Services

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

For the 2025 tax year the filing and payment deadline is 30 April 2026. If you or your spouse were self-employed, the filing deadline moves to 15 June 2026, but any balance owing is still due 30 April 2026. Interest starts the day after the payment deadline, and a late-filing penalty applies on top when a return with a balance owing is filed late. File on time even with nothing owing, because income-tested benefits are recalculated from the filed return.

Canada uses a basic personal amount rather than an exemption. For 2026 it is $16,452, tapering to $14,829 as net income runs from $181,440 to $258,482. It works as a non-refundable credit, so income up to that level attracts no federal tax, and each province sets its own equivalent amount. Separately, CPP contributions for 2026 ignore the first $3,500 of pensionable earnings; that basic exemption belongs to payroll, not to income tax.

The lowest federal rate is 14% for 2026 and later years, down from 15%. The cut took effect 1 July 2025, so the 2025 tax year uses a blended 14.5% on the first $57,375 of taxable income. Because non-refundable credits such as the basic personal amount are claimed at the lowest rate, each credit is worth slightly less per dollar than before, which offsets part of the saving.

HST applies to most goods and services supplied in a participating province: retail goods, restaurant meals, professional and personal services, commercial rent, admissions, telecom and new housing. It does not apply to zero-rated items such as basic groceries, prescription drugs and most exports, or to exempt supplies such as residential rent, most health and dental care, tuition and municipal transit. The rate follows the province of supply, 13% in Ontario and 14% in Nova Scotia from 1 April 2025.

There is no general tax exemption card. A certificate of Indian status held by a person registered under the Indian Act supports GST/HST relief on qualifying purchases and Ontario point-of-sale relief. Foreign diplomats and certain international organisations carry their own federal relief documents. Charities and non-profits register with the CRA rather than hold a card, and businesses buying for resale use registration numbers and exemption certificates. The vendor decides on the document shown, so verify the rules first.

Most are. Physician and dentist services, hospital and nursing home care, and the services of practitioners in professions that meet the regulatory test in the legislation are exempt, so no tax is charged and the provider claims no input tax credits on its costs. Purely cosmetic procedures, and reports or examinations prepared for a third party such as an insurer or employer, are usually taxable. The CRA's health care services guidance runs through each category and its conditions.

If you filed online, the CRA usually issues a refund in about two weeks once the return is assessed. A non-resident return can take up to 16 weeks. Direct deposit lands faster than a cheque. Timing slips if the CRA reviews a claim and asks for receipts, or if you owe other federal or provincial debts, which are offset against the refund first. Track the status in My Account.

Both happen, and the tax result differs. Canada Pension Plan and Old Age Security are paid monthly and taxed as received. A defined-benefit pension usually pays monthly, though some plans offer a commuted value instead; a lump sum paid to you is taxable in that year unless part of it transfers directly into a registered plan. Money in an RRSP can be withdrawn as a lump sum or converted to periodic retirement income.

Tax law is the body of statutes, regulations and court decisions that set who pays tax, on what, and when. In Canada the main pieces are the federal Income Tax Act and the Excise Tax Act, which covers GST/HST, plus each province's own tax statutes. The CRA administers these rules and publishes guides, folios and interpretations explaining its view, while the Tax Court and higher courts settle disputes over what the wording means.

Your business number appears on every CRA notice, statement of account and remittance voucher, on GST/HST and payroll correspondence, and in My Business Account once you sign in. It is also on the confirmation issued when the account was opened, and on incorporation paperwork if the number came with registration. If nothing is to hand, the CRA business enquiries line can confirm it once it verifies that you are authorised to ask.

Give your accountant your business number so they can request access through CRA's Represent a Client service, then approve that request in My Business Account, which is the quickest route. A signed AUT-01 sent to the CRA is the route when online approval is not possible, but note what it gives: offline access only, so your accountant can deal with the CRA by phone and mail while online access to the account still has to be granted through Represent a Client and confirmed by you. Repeated failed sign-in attempts can lock the account until CRA verifies your identity by phone. A first-time filer with no assessed return can still register, using CRA's document verification option instead of an amount from a past return.

Bank charges and card processing fees on a business account are deductible in the year incurred, along with merchant discount rates, monthly service charges and interest on business borrowing. Fees on a personal chequing account are not deductible, and neither are the interest and fees on a personal credit card, even where you occasionally put work costs on it. Keep the statements, because the CRA asks for them on review of an expense claim.
