The Vocabulary Behind Bookkeeping for Professional Corporations

T1 General
The personal income tax return individuals file with the CRA each year.
T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Bookkeeping for Professional Corporations: Our Analysis

The CRA requires business records to be kept for six years from the end of the last tax year they relate to. Because the fee is fixed and affordable, the economics stay predictable whether your file is simple or messy.

Observations From Our Bookkeeping for Professional Corporations Files

Good bookkeeping for professional corporations work is mostly about sequencing: which questions to settle before which. These notes lay out the sequence a tax advisor follows on Bookkeeping for Professional Corporations engagements.

There is no way around the opening fact, so it may as well come first. An expense is deductible where it was incurred to earn income and is reasonable in the circumstances. The business-use portion must be supported, which for vehicles means a logbook. The CRA rarely argues that an expense category is wrong; it argues that the proportion claimed was never substantiated.

That rule rarely travels alone; alongside it sits another: Inventory is valued at the lower of cost and net realisable value, applied consistently. Changing method without CRA consent reopens prior years. Obsolete stock carried at cost overstates income, and the write-down is usually taken years after it was justified. Calendars matter more than most people expect in bookkeeping for professional corporations, and this is the rule that proves it: A small corporation still carries the full compliance set: T2, GST/HST, payroll, and the annual return with the incorporating jurisdiction. The annual corporate return is separate from the T2 and is the one most often forgotten, which can lead to administrative dissolution.

You do not need to hold all of this in your head. You need someone who does — and a tax practitioner handling bookkeeping for professional corporations week after week keeps these rules current so you do not have to. Gather whatever records touch the numbers — statements, ledgers, prior-year filings — and we take it from there.

Our terms are the same for every engagement: a fixed fee agreed before work begins, a full review with you before filing, and payment only after the service is complete.

Case Study 1

Month-End Close Cut From 5 Weeks To 10 Days — Specialty Coffee Roaster, Saskatoon

Closing the books at a specialty coffee roaster in Saskatoon, Saskatchewan took 5 weeks. The cause was eighteen months of unreconciled transactions and a shoebox of receipts. It now takes 10 days.

The accounting file at a specialty coffee roaster in Saskatoon, Saskatchewan had a weak foundation. It was built on eighteen months of unreconciled transactions and a shoebox of receipts. The year-end had taken 5 weeks each of the last three years. We rebuilt the ledger from bank and card statements and matched every receipt to a transaction. We removed duplicated input tax credits before they became a review. We also moved the reconciliations into the monthly cycle, so the year-end stopped being a rebuild. The file reconciles. Month-end closes in 10 days instead of 5 weeks, and the year-end is a review rather than a reconstruction.

Case Study 2

$42,000 Saved By Correcting What Prior Filings Had Missed — Wedding Photography Studio, Surrey

A second opinion for a wedding photography studio in Surrey, British Columbia recovered $42,000 a year. It found a payroll clearing account that had never been brought to zero, carrying a balance nobody could explain in prior filings.

A wedding photography studio in Surrey, British Columbia asked for a second opinion on bookkeeping for professional corporations. That followed three years of rising tax. The review found a payroll clearing account that had never been brought to zero, carrying a balance nobody could explain. We built the comparison first: current structure against two alternatives. Then we separated the owner’s personal spending out of the corporate accounts and cleared the resulting shareholder loan properly. First-year saving of $42,000, with the same benefit recurring. Every position taken is documented and supported in the file.

Case Study 3

$23,000 Reassessment Reduced To Nil On Review — Equipment Rental Yard, Winnipeg

A $23,000 reassessment was proposed against an equipment rental yard in Winnipeg, Manitoba. It followed meals and entertainment coded at full cost with the input tax credit claimed on the whole amount. The documented response reduced it to nil.

A review notice arrived at an equipment rental yard in Winnipeg, Manitoba, covering bookkeeping for professional corporations for two tax years. The auditor's working position was an adjustment of $23,000. It was driven by meals and entertainment coded at full cost with the input tax credit claimed on the whole amount. Rather than negotiate, we rebuilt the record. We rebuilt sales from the processor settlement reports so gross sales, fees and refunds each landed in an account of their own. We then submitted a point-by-point response that answered each proposed adjustment with the document behind it. The auditor accepted the documented position and closed the review without adjustment, protecting $23,000 and leaving the prior filings undisturbed.

Case Study 4

$400,000 Sheltered By The Lifetime Capital Gains Exemption — Residential Cleaning Franchise, Edmonton

A residential cleaning franchise in Edmonton, Alberta was preparing to sell. However, retained cash well above what the business needed to operate disqualified the shares. Purification sheltered $400,000 under the exemption.

A residential cleaning franchise in Edmonton, Alberta had an offer on the table and 15 months to close. The shares did not qualify for the capital gains exemption. Retained cash well above what the business needed to operate was part of the reason. We purified the corporation so the shares met the qualifying tests. We converted the foreign-currency purchases at transaction-date rates and recorded the exchange difference at settlement instead of burying it in cost of sales. All of it was done well ahead of the closing date. The sale closed on schedule with $400,000 sheltered by the lifetime capital gains exemption across the shareholders.

Case Study 5

Corporate Structure Rebuilt For $61,000 Of Annual Savings — Small Law Practice, Vancouver

The structure at a small law practice in Vancouver, British Columbia no longer fitted the business. A receivables list that included invoices collected eleven months earlier showed it. Rebuilding it saves $61,000 a year.

The structure at a small law practice in Vancouver, British Columbia dated from years earlier. It had been set up for a business that no longer existed. A receivables list that included invoices collected eleven months earlier had become expensive. We set up a documented chart of accounts, a receipt-capture workflow and a monthly reconciliation that closes within ten days of month-end. The reorganisation used the rollover provisions rather than a taxable transfer, so no tax fell due on the restructuring itself. $61,000 of annual saving, achieved on a tax-deferred basis. The minute book, elections and valuations are all in the file.

Case Study 6

Filed On Time From A Standing Start, $47,000 Penalty Avoided — Mobile Pet-Grooming Company, Toronto

A mobile pet-grooming company in Toronto, Ontario was 4 weeks from a deadline. The file also carried three years of returns filed off numbers nobody could trace back to a bank statement. Filing complete and on time avoided roughly $47,000 in penalties.

A mobile pet-grooming company in Toronto, Ontario came to us 4 weeks before its filing deadline. The file came with three years of returns filed off numbers nobody could trace back to a bank statement. A late filing would have triggered a penalty of roughly $47,000 before interest. We worked backwards from the deadline. We reconciled receivables and payables to source documents and wrote off the balances that were genuinely uncollectible, with support. We prioritised the items that actually gated the filing and deferred everything that did not. The return was filed on time and complete. The $47,000 penalty never arose, and the compliance calendar we set means the next deadline is scheduled rather than discovered.

Straight Answers on Bookkeeping for Professional Corporations Filing

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Bookkeeping for Professional Corporations cost in Canada?

Bookkeeping for Professional Corporations starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Bookkeeping for Professional Corporations?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Bookkeeping for Professional Corporations take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Bookkeeping for Professional Corporations?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Bookkeeping for Professional Corporations different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Bookkeeping for Professional Corporations services?

Our bookkeeping for professional corporations services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Bookkeeping for Professional Corporations services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What information will you ask me for once the bookkeeping for professional corporations work is underway?

In our files, this is the deciding factor: An expense is deductible where it was incurred to earn income and is reasonable in the circumstances. The business-use portion must be supported, which for vehicles means a logbook. The CRA rarely argues that an expense category is wrong; it argues that the proportion claimed was never substantiated. A tax services provider applies it to your numbers before submission.

Is bookkeeping for professional corporations something I can catch up on if I have fallen behind?

The honest answer comes down to one rule. Inventory is valued at the lower of cost and net realisable value, applied consistently. Changing method without CRA consent reopens prior years. Obsolete stock carried at cost overstates income, and the write-down is usually taken years after it was justified. That is the part we verify before anything is filed.

Bookkeeping for Professional Corporations: The Questions People Search

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

A tax deduction is an amount subtracted from your income before tax is worked out, so it reduces the income being taxed rather than the tax bill directly. Its worth depends on your marginal rate: the higher the rate, the more the deduction saves. Common examples are RRSP contributions, child care costs, union dues, moving expenses and business expenses. Credits work the other way, reducing the tax calculated on that income.

A TD1 Personal Tax Credits Return tells your employer which personal credits to build into your income tax withholding, so the right amount comes off each pay. You normally complete a federal TD1 and a provincial or territorial TD1 when you start a job. File a fresh pair whenever your situation changes, for instance a new dependant, tuition, or a second employer, where you should not claim the basic personal amount twice.

Those are American terms. The Canadian equivalent is the personal tax credits return you complete for an employer, claiming the federal and provincial basic personal amount plus any other credits you qualify for, such as tuition or the disability amount. Your employer uses it to set the tax withheld from each paycheque. The federal basic personal amount for 2026 is $16,452, tapering to $14,829 as net income runs from $181,440 to $258,482.

No. GST/HST you charge is tax you collect for the government, so a registrant keeps it out of revenue and reports it on the GST/HST return, claiming input tax credits against it. Report your sales net of the tax on your T2125 or T2. If you are not registered you charge no GST/HST, and the tax you pay on your own purchases is simply part of the cost of each deductible expense.

Yes. In bookkeeping terms rent received is revenue, recognised as it is earned; on a personal return it is reported as gross rental income before expenses, and in a corporation it sits in revenue on the income statement. The distinction that matters for tax is property income versus business income: a straightforward rental with few services is property income, while substantial services can make it business income, which changes how CPP and the small business deduction apply.

Income tax on individuals, corporations and trusts; consumption taxes, where GST is 5% and provinces add HST, PST, QST or RST; payroll levies such as CPP and EI; property tax charged by municipalities; and targeted charges including excise duties and land transfer tax. Capital gains sit inside income tax, with one-half of the gain included for 2025 and 2026. Federal, provincial and municipal governments each levy their own, which is why rates differ by province.

No. Age creates no exemption. Income tax is withheld from a young worker’s pay in the usual way, though many earn less than the basic personal amount and recover the withheld tax by filing a return. EI premiums apply at any age. CPP contributions begin with the month after the worker turns 18, so no CPP comes off before then. Filing anyway is worth it, because earned income builds RRSP room for later.

Employer-paid premiums for a private health or dental plan are generally not a taxable benefit for federal income tax, so they stay out of the employee's income. Quebec treats them as a taxable benefit for provincial purposes. Employer-paid life insurance premiums are taxable everywhere. If the employer simply reimburses dental bills outside a qualifying plan, the treatment can change, so check the CRA's employers' guide to benefits and allowances before setting the plan up.

No. QST is a separate Quebec tax administered by Revenu Quebec, and it cannot be recovered on your federal GST/HST return. Only a business registered for QST can claim input tax refunds for the 9.975% QST it pays, and registration normally follows from making taxable supplies in Quebec. An Ontario business with no QST registration treats the QST on a Quebec invoice as part of the cost of the expense. Check Revenu Quebec for the registration rules.

Usually not. Most financial services, including account maintenance, interest, loan arrangement and transfers of money, are exempt supplies, so no GST/HST is charged and the bank claims no credits on them. Some charges billed on the same statement are taxable: safety deposit box rental, certain administrative or advisory services, equipment rental and merchant processing hardware. Read the statement, since taxable lines show the tax separately, and claim input tax credits only on those.

By 31 December of the year the annuitant turns 71, which is still the rule for 2026. Before that date you convert the RRSP to a RRIF, buy an annuity, or take the money out as taxable income, and most people choose a RRIF. Contributions to your own RRSP stop at the same deadline, but you can keep contributing to a spousal RRSP until 31 December of the year your spouse or common-law partner turns 71.

Most lottery and casual gambling winnings, gifts and inheritances, GST/HST credit and Canada Child Benefit payments, TFSA growth and withdrawals, and life insurance death benefits are not taxable. Some non-taxable items still need a line on the return: the sale of a principal residence must be reported even when the whole gain is exempt, and workers' compensation and social assistance are reported and then deducted. When you are unsure, report the amount and claim the offset.
