Payroll Bookkeeping: Our Analysis

The CRA requires business records to be kept for six years from the end of the last tax year they relate to. We quote payroll bookkeeping as one economical fixed price — the budget-friendly alternative to hourly billing.

What Our Small Company Payroll Services Service Includes

What actually separates a clean payroll bookkeeping file from a messy one? A working income tax specialist would point to a short list of rules, and these notes walk through it.

If you remember one thing from this page, make it this: Remitter frequency follows average monthly withholding. A business that grows into the accelerated threshold keeps remitting monthly at its peril — the deadline moves before the CRA writes to say so.

Just as important, though far less discussed: Source deductions are held in trust for the Crown. Directors can be assessed personally for unremitted amounts, and that liability survives the corporation. The third rule is where the real exposure hides. A worker’s status as employee or contractor turns on control, ownership of tools, chance of profit and risk of loss — not on what the contract calls them.

What this means for you: the value in payroll bookkeeping is not the filing itself, it is having an income tax specialist apply these rules to your numbers before anything is submitted. A productive payroll bookkeeping engagement starts with paperwork, and the list below covers what to gather.

Our terms are the same for every engagement: a fixed fee agreed before work begins, a full review with you before filing, and payment only after the service is complete.

Straight Answers on Payroll Bookkeeping

Direct answers to what Canadian business owners actually ask before hiring an accountant.

Get Payroll Pricing and Fees

Payroll Bookkeeping starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Payroll Bookkeeping?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Payroll Bookkeeping take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We are a cloud-based practice serving every province and territory, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Payroll Bookkeeping?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Payroll Bookkeeping different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Payroll Bookkeeping services?

Our payroll bookkeeping services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Payroll Bookkeeping services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

How is your approach to payroll bookkeeping different from doing it through software?

Here is what the rules actually say, stripped of the folklore: A worker’s status as employee or contractor turns on control, ownership of tools, chance of profit and risk of loss — not on what the contract calls them. Our role as your tax consultant is to apply that cleanly to your situation rather than to a hypothetical one.

What records should I gather before starting payroll bookkeeping?

It depends less on opinion than owners assume. Taxable benefits including employer-paid parking, personal use of a company vehicle and most gift cards must be reported on the T4 and carry CPP and, in some cases, EI. Once you know that, the practical question becomes timing and documentation — both of which we handle inside the engagement.

What Canadians Search About Payroll Bookkeeping

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Fill in your name, address, social insurance number and date of birth, then claim the amounts that apply to you: the basic personal amount, tuition if you are a student, the age amount, a spouse or dependant amount, disability and the others listed on the form. Total them, sign, date, and give the form to your employer or payer rather than to the CRA. Complete both the federal and the provincial version. With two jobs, claim the basic personal amount on only one.

Three different calculations go by that name. For sales tax, multiply the price by the harmonised rate that applies to the province of supply. For income tax, apply the federal brackets and then the Ontario brackets to taxable income and subtract your credits. For payroll, the CRA payroll deductions calculator handles income tax withholding along with CPP and EI for each pay period. Look up the rates and brackets published for the year you are calculating, since they change annually.

Service Canada issues the T4E, not your employer. The quickest route is My Service Canada Account, where the slip sits under tax information and can be printed. A paper copy also goes to the address on file, and the slip is loaded into CRA My Account, so tax software using Auto-fill my return can pull it in directly. If nothing appears, call Service Canada, and report the benefits on your return even while waiting for the slip.

Only against rental income. If you rent the unit out, condo or strata fees are a deductible operating expense for the period it was rented, apportioned if you rented only part of the unit or part of the year. Fees on a home you live in are a personal cost with no deduction. A special assessment for a major improvement is usually capital, added to the unit's cost base rather than deducted in the year.

Usually because the pay for that period is low enough that the basic personal amount covers it. Payroll annualises each cheque, so part-time or irregular hours can produce zero income tax while CPP and EI still come off. Other causes are a TD1 claiming large credits, a claim of exemption from withholding, or being paid as a contractor rather than an employee, in which case nothing is withheld and the tax is yours to set aside and remit.

Your employer projects your pay over the full year, applies the federal brackets to that annualised figure, subtracts the credits you claimed on your TD1 forms, and withholds a proportional share each pay period. The same is done for your province, so one deduction line reflects both. Employers use the CRA payroll deductions calculator or its published tables. Where large deductions mean too much is being withheld, Form T1213 can reduce it; processing takes several weeks, so the request should go in during the autumn before the year it is meant to apply to.

CRA My Account holds the slips payers filed under your name, your notices of assessment, RRSP and TFSA room, benefit payments and instalment history. Slips such as T4, T4A and T5 generally appear there by late winter for the previous year. Employers and financial institutions also send copies directly. If a slip never arrives, report the income from your own records rather than waiting, and adjust later if the slip differs.

Usually yes. Termination pay and pay in lieu of notice sit on your T4 with the rest of your employment income. A retiring allowance is reported separately, either in its own box on the T4 or on a T4A depending on how the employer runs it, with eligible and non-eligible portions shown apart. Legal fees you recovered may appear too. Compare the slips with your settlement letter and file the slip figures, not your own estimate.

The CRA applies its prescribed arrears interest rate, which is reset each quarter and compounded daily, to any balance left unpaid after the deadline. There is no fixed annual figure to quote, so check the current quarter's rate on canada.ca before estimating what you owe. Interest on personal income tax arrears is not deductible, and paying part of the balance immediately reduces the amount interest is calculated on for the rest of the period.

Your employer withholds income tax using the federal and provincial tables for your pay period and the claims on your TD1 forms, plus CPP or QPP and EI premiums until the annual maximums are reached. What comes off each payday is an estimate, so filing produces a refund or a balance owing. If too much is withheld all year, Form T1213 asks the CRA to authorise lower deductions; the CRA publishes no service standard for this, so allow several weeks and file before the tax year it applies to.

The Income Tax Act is the federal statute that sets out how income tax works in Canada: who is taxable, how income, deductions and credits are computed, and what powers the CRA has to assess and collect. It is amended most years by budget legislation, and the consolidated text is published free on the Justice Laws website. Regulations, CRA guidance and court decisions sit alongside it. Provinces have their own income tax statutes, and Quebec administers its own.

A bonus is employment income and is taxed at your marginal rate, the same as salary. Your employer withholds tax when it is paid, and that withholding can be more or less than the tax actually owing, so the difference settles on your return. The usual way to cut the tax legally is to have the bonus paid straight into your RRSP where you have room, which lets the employer reduce the withholding. Form T1213 can also lower withholding; the CRA takes several weeks to process one, so file it in the autumn before the year you want it to apply to.
