Business Expense Audit Support: Our Analysis

CRA reviews are won on documentation: every figure filed should trace to a source document, and deadlines — 90 days for an objection — are unforgiving. The Voluntary Disclosures Program can waive gross-negligence penalties and part of the interest — but only while the CRA has not yet contacted you. Because the fee is fixed and pocket-friendly, the economics stay predictable whether your file is simple or messy.

Practitioner’s Notes on Business Expense Audit Support

Most write-ups of business expense audit support describe the form. These notes describe the file — what a tax practitioner checks first and why.

One rule does more work than the rest combined, so it goes first. A notice of objection is generally due 90 days from the date of the notice of assessment. Individuals can instead object up to one year after the filing due date if that is later; corporations have only the 90 days. Any taxpayer who misses the deadline can apply for an extension within the following year.

A related rule tends to get overlooked precisely because the first one draws all the attention: The late-filing penalty is 5% of the balance owing plus 1% for each full month late, to a maximum of twelve months. A second late filing within three years doubles both figures. The penalty is calculated on the balance owing, so a late return with nothing owing costs nothing — which is why filing on time matters even when you cannot pay. The documentation side matters just as much. The VDP can waive gross-negligence penalties and part of the interest on unreported income or unfiled returns — but only while the disclosure is genuinely voluntary. The window closes the moment the CRA makes contact about the issue. Acting before that letter arrives is worth real money.

If the rules above feel like they might interact in your situation, that instinct is usually right. Sorting out how is the core of what a tax practitioner does on a business expense audit support engagement. The engagement goes fastest when last year’s filings and the current ledger arrive together.

As with everything we file: fixed fee agreed first, your review before submission, payment after service.

Business Expense Audit Support Tax & Accounting Case Studies

See how our expert Business Expense Audit Support tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

Corporate Structure Rebuilt For $51,000 Of Annual Savings — Voluntary Disclosure Applicant, Victoria

The structure at a business owner considering a voluntary disclosure in Victoria, British Columbia no longer fitted the business. A confirmation letter left in a drawer until the appeal window had closed showed it. Rebuilding it saves $51,000 a year.

The structure at a business owner considering a voluntary disclosure in Victoria, British Columbia dated from years earlier. It had been set up for a business that no longer existed. A confirmation letter left in a drawer until the appeal window had closed had become expensive. We requested the auditor’s working papers and report to see how the assessment had been built before answering any of it. The reorganisation used the rollover provisions rather than a taxable transfer, so no tax fell due on the restructuring itself. $51,000 of annual saving, achieved on a tax-deferred basis. The minute book, elections and valuations are all in the file.

Case Study 2

$38,500 Cut From The Annual Tax Bill — Late-Objection Taxpayer, Brampton

A taxpayer whose objection window has closed in Brampton, Ontario was filing correctly and still overpaying. The reason was a net-worth assessment built on unexplained deposits that were actually loan proceeds. Restructuring the position cut $38,500 from the annual bill.

A taxpayer whose objection window has closed in Brampton, Ontario was compliant but paying more than it needed to. The prior year had been filed correctly. It still left a net-worth assessment built on unexplained deposits that were actually loan proceeds on the table. We modelled the current position against the alternatives before changing anything. Then we answered each query in writing with an indexed document package, so the file showed exactly what the auditor had received and on what date. The change saved $38,500 in the first year and repeats annually. Nothing about the filings became more aggressive. The position is simply the one the rules already allowed.

Case Study 3

4 Years Filed, $117,000 Removed From The Assessed Balance — Importer Under Audit, Halifax

4 years of returns were outstanding at an importer under a customs and GST audit in Halifax, Nova Scotia. That came on top of a waiver signed at the counter that kept an otherwise closed year open with no end date. Filing on real numbers removed $117,000 of assessed tax.

An importer under a customs and GST audit in Halifax, Nova Scotia had not filed for 4 years. The CRA had issued arbitrary assessments. The business was carrying a waiver signed at the counter that kept an otherwise closed year open with no end date. That came on top of a growing interest balance. We started with the oldest year and worked forward so each year's closing balances fed the next. We brought every outstanding return current, then negotiated a payment arrangement that stopped the collections action. We filed the years in sequence rather than all at once. Every year is now filed and assessed on actual figures. The notional assessments were vacated and $117,000 of the estimated balance came off, with a payment arrangement covering the rest.

Case Study 4

$46,000 Of Working Capital Freed From The Tax Cycle — Family Business Under Review, Ottawa

A family business under a related-party review in Ottawa, Ontario was profitable and permanently short of cash. Behind the gap sat a proposal letter with a 30-day response window and no supporting records assembled. Restructuring the tax cycle freed $46,000.

A family business under a related-party review in Ottawa, Ontario was profitable on paper and short of cash every month. A proposal letter with a 30-day response window and no supporting records assembled explained most of the gap. We filed the Tax Court appeal inside the window and resolved the remaining adjustments before a hearing date was needed. We also built a thirteen-week cash view so tax payments stopped competing with payroll for the same dollars. $46,000 was released back into working capital. Remittances have been on time every period since, and the forecast shows the tax outflow before it lands.

Case Study 5

Share Sale Restructured, $390,000 Less Tax On Closing — Taxpayer Facing Collections, Calgary

Due diligence at a taxpayer with frozen bank accounts in Calgary, Alberta surfaced no valuation on file to support the price the parties had agreed. Restructuring the sale saved $390,000 against the original terms.

A taxpayer with frozen bank accounts in Calgary, Alberta was preparing to sell. Due diligence surfaced no valuation on file to support the price the parties had agreed. That would have reduced the price or killed the deal outright. We cleaned up the historical file. We filed the disclosure through the Voluntary Disclosures Program before contact, which removed the gross-negligence penalty entirely. Then we prepared the due-diligence package the buyer's advisers actually asked for. The deal closed at the agreed price. $390,000 of tax was saved against the structure originally proposed, with no post-closing adjustment.

Case Study 6

28 Months Reconciled And $15,500 Of Input Tax Recovered — Employer Under Payroll Review, Kelowna

28 months of records at a company facing a payroll trust examination in Kelowna, British Columbia had never been reconciled. That left an audit conducted over the phone, with nothing on file showing what had been provided or when. Rebuilding recovered $15,500.

Nothing reconciled at a company facing a payroll trust examination in Kelowna, British Columbia. Every filing started with 28 months of cleanup. The file was carrying an audit conducted over the phone, with nothing on file showing what had been provided or when. We rebuilt from source rather than correcting on top of the existing file. We assembled the contemporaneous records, filed a structured response to each proposed adjustment with the supporting documents indexed, and had the proposal withdrawn. Then we set the routine that keeps it clean. 28 months reconciled to the bank. The close now takes 7 days, and $15,500 of previously unclaimable input tax was recovered in the process.

Straight Answers on Business Expense Audit Support

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Business Expense Audit Support cost in Canada?

Business Expense Audit Support starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Business Expense Audit Support?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Business Expense Audit Support take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Business Expense Audit Support?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Business Expense Audit Support different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Business Expense Audit Support services?

Our business expense audit support services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Business Expense Audit Support services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

How do you price business expense audit support for a small business?

The short answer comes straight from our working notes: Taxpayer relief applications can cancel penalties and interest arising from CRA delay, serious illness or a natural disaster. The CRA is limited to the ten prior calendar years. How that plays out on your file depends on the specifics, which is exactly what the engagement is for.

What happens during the first meeting about business expense audit support?

Collections action can proceed while an objection is outstanding for GST/HST and payroll amounts. That is why a filed objection is not by itself protection against a bank freeze. That is the part most owners have not heard before they sit down with us, and it usually changes what they do next.

Searched Questions About Business Expense Audit Support

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

CRA online filing for 2025 returns opened 23 February 2026 and closes 29 January 2027. Most people file between late February and the 30 April 2026 deadline, and that stretch is what tax season refers to. You can gather documents and prepare a return earlier, but it cannot be sent electronically before the system opens. Employment and investment slips such as T4 and T5 are issued by payers early in the year, and the CRA's Auto-fill service can pull the ones it already holds once you have set up My Account.

Current and prior-year forms and publications are free to download from canada.ca, and tax software builds most of them for you as you enter your information. You can also order a paper package by phone or pick one up at participating postal and service outlets during filing season. Which forms apply depends on your situation: a T1 with your slips for employment income, T2125 for self-employment, a T2 for a corporation, T1-ADJ to change a return already filed.

Canada has no single tax compliance certificate, so the right route depends on why you need one. An executor or trustee asks the CRA for a clearance certificate before distributing an estate. A non-resident selling Canadian property applies for a certificate of compliance. For tendering or lending, you usually authorise the CRA to confirm your account standing instead. Each route requires every return filed and every balance settled first, and clearance requests commonly take months.

HST stands for harmonized sales tax: the federal 5% GST blended with a participating province's sales tax into one rate the CRA administers. For 2026 that is 13% in Ontario, 14% in Nova Scotia since 1 April 2025, and 15% in New Brunswick, Newfoundland and Labrador, and Prince Edward Island. Provinces that did not harmonise keep a separate provincial tax on top of the 5% GST, and Alberta, Yukon, the Northwest Territories and Nunavut charge 5% only.

For your own tax information, ask for a personal information request through the federal ATIP online portal, or submit the government's request form to the CRA's access to information office. Name the years and the type of record - notices of assessment, audit working papers, collections notes - because a narrow request is answered faster. Check CRA My Account first: slips, notices and account balances are already there at no cost.

The individual and business enquiry numbers, along with their hours, are listed on the CRA contact page. Have your social insurance number or business number and a figure from a recent return ready, because the agent must verify you before discussing anything. Many tasks never need a call: CRA My Account and My Business Account show balances, assessments, slips and instalments, and let you file a dispute, change a return or set up a payment arrangement.

For a personal return the late-filing penalty is 5% of the balance owing plus 1% for each full month the return is late, to twelve months. It rises to 10% plus 2% a month, to twenty months, only where the CRA served a demand to file and a late-filing penalty was charged in one of the three preceding years. Interest also runs on the unpaid balance. A corporate T2 follows the same structure.

Income tax on a business is charged on net profit, meaning revenue less reasonable business expenses, not on gross sales. A sole proprietor reports that on the T2125 and a corporation on its T2. Other taxes do not work that way: GST/HST applies to your taxable sales whatever the profit, and payroll remittances follow wages paid. A business loss can usually be applied against other income or carried forward to a later year.

You remain responsible for what your return says, even when someone else prepared it, so the CRA assesses the tax, interest and penalties against you. A preparer who makes or participates in a false statement can face third-party penalties of their own, and may be liable to you for negligence, which is why engagement terms and professional insurance matter. Keep your source documents for six years from the end of the tax year they relate to.

Taxable profit is accounting profit adjusted to the rules in the tax law. Start from net income in the financial statements, add back amounts that are not deductible, such as accounting depreciation, reserves and the non-deductible portion of meals and entertainment, then deduct tax-specific claims such as capital cost allowance and losses carried forward. The result is the figure the rates apply to: for 2026, 9% federally on the first $500,000 of active business income for a small corporation.

A reimbursement of actual travel costs you paid, supported by receipts, is not income. A flat travel allowance is generally taxable unless it is a reasonable per-kilometre allowance for business driving; for 2026 the CRA's reasonable rate is 73 cents per kilometre for the first 5,000 kilometres and 67 cents after that, four cents more in the territories. Allowances above a reasonable amount, or paid without a distance record, are added to your T4 income.

Payments from a registered source, such as an annuity bought with RRSP or pension money, are fully taxable as income in the year received. A non-registered annuity is taxed only on its interest element, because the rest of each payment returns your own capital: a prescribed annuity spreads that interest evenly across the payments, while a non-prescribed one reports more of it in the early years. Slips report the taxable portion annually.
