Terms You'll Hear During Flooring & Tiling Contractors Filing

T1 General

Flooring & Tiling Contractors: Our Analysis

The tax file of flooring & tiling contractors looks nothing like a generic small business return. Holdbacks are generally not income until they become receivable under the lien period, a timing rule that moves real tax between years. Our sector team files flooring & tiling contractors at low-cost flat rates with pay-after-service.

Practitioner Notes on Flooring & Tiling Contractors

Before we quote a fee or open a file, we ask flooring & tiling contractors owners the same first question: who prepared this last, and did they work the sector regularly? The answer usually predicts what we will find.

The starting point is not a strategy but a constraint: The CRA expects the trial balance behind a T2 to reconcile to the GIFI schedules filed with it. A statement set that does not tie to the return is the first thing a reviewer notices.

Right behind it comes a rule owners rarely hear about until it bites: Accrued but unbilled revenue belongs in income in the year the work was performed. Deferring it to the invoice date understates taxable income and is a standard reassessment adjustment.

If any of this maps onto your situation, the next step is deliberately low-stakes: we quote a fixed fee up front, prepare the work, and you review everything before you pay. Sector files are what we do all week — bring us yours.

Flooring & Tiling Contractors: the tax rules that actually apply

Every engagement we run for Flooring & Tiling Contractors starts from the same question: which construction rules apply to this file, and which of them is the client currently getting wrong? These are the ones that come up most.

What the CRA looks at

Holdbacks are not income until they become receivable under the applicable lien legislation, a timing rule that moves real tax between years when applied correctly.

T5018 subcontractor slips are matched by the CRA against what those subcontractors report, which makes accurate payment records a defence rather than paperwork.

What you can actually claim

GST/HST on materials is recoverable through input tax credits. A contractor building residential housing for rental, however, faces the self-supply rules and owes tax on fair market value at first occupancy.

Heavy equipment generally falls in Class 38 or Class 10, while small tools under the prescribed threshold can be expensed outright in the year purchased.

The filing calendar that applies

Progress billings follow the percentage-of-completion method for accounting, and the tax treatment tracks it, so month-end job costing feeds directly into the return.

The Benefits of Professional Construction Accounting

Incorporating the equipment side separately from the contracting side limits liability and can move depreciation to where the income is, but the associated-corporation rules share one small business limit.

Our team works these rules year-round for Flooring & Tiling Contractors, so the planning happens before year-end rather than being explained afterwards.

Case Study 1

Intergenerational Transfer Completed With $800,000 Deferred — Custom Home Builder, Lethbridge

A family transfer at a custom home builder in Lethbridge, Alberta would have been fully taxable. The reason was a single shareholder holding every share, with no room to multiply the exemption. Restructuring deferred $800,000.

A generational transfer at a custom home builder in Lethbridge, Alberta had been discussed for years without a plan. A single shareholder holding every share, with no room to multiply the exemption meant the transfer as contemplated would have been fully taxable. We documented the positions to the standard the CRA applies to this sector specifically. We sequenced the steps so each one was complete and documented before the next depended on it. $800,000 of tax was deferred through the transfer, and the successor generation took over a corporation whose records stood up to review.

Case Study 2

6-Week Turnaround Beat The Deadline And Saved $106,000 — Commercial General Contractor, Toronto

A 6-week rebuild at a commercial general contractor in Toronto, Ontario got the filing in with 11 days to spare. That avoided $106,000 in penalties.

A commercial general contractor in Toronto, Ontario was weeks away from the deadline for flooring & tiling contractors accounting and tax. Behind that sat seasonal revenue reported without matching the costs that produced it. The exposure if the date slipped was around $106,000. We reassigned the asset classes on the CCA schedule and corrected the opening balances. The filing went in complete rather than provisional, so there was no amended return to follow. Filed with 11 days to spare. $106,000 in late-filing penalties avoided, and the working papers are ready for the following year.

Case Study 3

Scaled To 45 Staff With $141,000 Of Working Capital Freed — Concrete and Forming Crew, Calgary

Growth at a concrete and forming crew in Calgary, Alberta had outrun the back office. Equipment and asset classes assigned by guesswork rather than the CCA schedule broke first. Headcount reached 45 with $141,000 of cash freed.

A concrete and forming crew in Calgary, Alberta was growing fast, with headcount reaching 45 in eighteen months. The back office had not kept up. Equipment and asset classes assigned by guesswork rather than the CCA schedule was the first thing to break. We reviewed every sector-specific deduction against the current rules and claimed the ones that had been missed. We built the compliance calendar for the size the business was becoming rather than the size it had been. The business reached 45 staff with no missed remittance and no late filing. $141,000 of working capital was freed in the process.

Case Study 4

3 Years Filed, $95,000 Removed From The Assessed Balance — Mechanical and HVAC Contractor, Vancouver

3 years of returns were outstanding at a mechanical and HVAC contractor in Vancouver, British Columbia. That came on top of a previous accountant with no experience of this sector. Filing on real numbers removed $95,000 of assessed tax.

A mechanical and HVAC contractor in Vancouver, British Columbia had not filed for 3 years. The CRA had issued arbitrary assessments. The business was carrying a previous accountant with no experience of this sector. That came on top of a growing interest balance. We started with the oldest year and worked forward so each year's closing balances fed the next. We aligned the reporting calendar with the sector’s own seasonal cycle rather than a generic year-end. We filed the years in sequence rather than all at once. Every year is now filed and assessed on actual figures. The notional assessments were vacated and $95,000 of the estimated balance came off, with a payment arrangement covering the rest.

Case Study 5

Month-End Close Cut From 10 Weeks To 6 Days — Civil Works Company, Mississauga

Closing the books at a civil works company in Mississauga, Ontario took 10 weeks. The cause was industry-specific reporting obligations nobody had flagged. It now takes 6 days.

The accounting file at a civil works company in Mississauga, Ontario had a weak foundation. It was built on industry-specific reporting obligations nobody had flagged. The year-end had taken 10 weeks each of the last three years. We rebuilt the chart of accounts around how a flooring & tiling contractors business actually earns and spends. We also moved the reconciliations into the monthly cycle, so the year-end stopped being a rebuild. The file reconciles. Month-end closes in 6 days instead of 10 weeks, and the year-end is a review rather than a reconstruction.

Case Study 6

$95,000 Proposed Adjustment Withdrawn In Full — Electrical Contractor, Edmonton

An electrical contractor in Edmonton, Alberta faced a $95,000 proposed reassessment. It came after a chart of accounts that told the owner nothing about flooring & tiling contractors margin. We rebuilt the documentation and the adjustment was withdrawn in full.

An electrical contractor in Edmonton, Alberta received a proposal letter opening a review of flooring & tiling contractors accounting and tax. The CRA had identified a chart of accounts that told the owner nothing about flooring & tiling contractors margin. It proposed an adjustment of $95,000, with 30 days to respond. We treated the response as an evidence exercise rather than an argument. We documented the positions to the standard the CRA applies to this sector specifically. We then indexed every supporting document against the specific line the auditor had questioned. The proposed adjustment was withdrawn in full — all $95,000 of it. The file closed in 10 weeks with no change to the assessed amounts and no penalty.

What Clients Ask Us About Flooring & Tiling Contractors

Direct answers to what Canadian business owners actually ask before hiring an accountant.

Should I incorporate my flooring & tiling contractors business?

Incorporation usually pays off once profit consistently exceeds what you draw personally, because retained earnings are taxed at the small business rate rather than your marginal rate. Below that point the added compliance cost often outweighs the benefit. We model both before you decide.

What records do flooring & tiling contractors businesses need to keep?

The CRA requires six years of books and records from the end of the tax year they relate to: invoices, receipts, bank statements, payroll records and contracts. Digital copies are acceptable provided they are legible and complete.

How do you handle payroll for flooring & tiling contractors businesses?

We run the cycle, remit source deductions on schedule, and issue T4s ahead of the February deadline. Late remittances draw a penalty of up to 10% and repeat lateness raises it to 20%, so timing is the whole game. See our payroll service.

Can you work with my existing bookkeeping software?

Yes. We work in QuickBooks, Xero, Wave, Sage, spreadsheets, and plain scanned documents. You are not required to migrate systems to become a client, and we never charge a conversion fee.

What if my flooring & tiling contractors business operates in more than one province?

Multi-province operations allocate taxable income by permanent establishment and payroll, and sales tax rules differ by jurisdiction. We handle the allocation schedules and the differing GST, HST, PST and QST obligations in one engagement.

When should a flooring & tiling contractors business register for GST/HST?

Registration becomes mandatory once taxable supplies pass $30,000 over four consecutive calendar quarters, and the obligation starts almost immediately rather than at the next year-end. Registering voluntarily below that threshold is often worthwhile when you are buying equipment, because it makes the tax on those purchases recoverable.

How long does the CRA expect a flooring & tiling contractors business to keep records?

Six years from the end of the tax year the records relate to. That covers invoices, receipts, bank statements, payroll records and the working papers behind the return. Records supporting the purchase of a capital asset must be kept six years past the year the asset is finally sold.

What happens if a flooring & tiling contractors business files late?

The late-filing penalty is 5% of the balance owing plus 1% for each full month the return is late, to a maximum of twelve months. A second late filing within three years doubles those figures. Interest compounds daily from the balance-due date regardless of when the return is filed.

What does "Pay After Service" mean?

Our Pay After Service model means you review and approve all deliverables before making any payment. We prepare your returns or financial files, you review them, and only then do you pay. This ensures 100% satisfaction.

How does price matching work?

If you find a lower verified quote from another accounting firm in Canada for the same scope of services, we will match it immediately. Simply provide a verified quote.

How do I submit my tax documents?

We support completely secure digital uploads via our client portal, or you can email them to us. We support files from QuickBooks, Xero, Excel, and scan/photo documents.

Are there deductions or credits that flooring & tiling contractors businesses commonly overlook?

In our files, this is the deciding factor: Shareholder loan balances must be repaid within one year of the corporation’s following year-end. If they are not, the amount is included in the shareholder’s personal income under subsection 15(2). An accounting firm applies it to your numbers before submission.

When should a flooring & tiling contractors business bring in a specialist instead of a generalist?

The honest answer comes down to one rule. Related-party transactions have to be recorded at fair market value. A below-market charge between connected companies invites an adjustment on both sides of the transaction. That is the part we verify before anything is filed.

Yes. Rent you receive is taxable income. You report the gross rents, subtract deductible expenses such as mortgage interest, property tax, insurance, utilities you pay, repairs, condominium fees and advertising, and the net rental profit is added to your other income and taxed at your marginal rate. There is no separate rental tax rate. A rental loss can generally offset other income where the property is genuinely rented at fair market value.

Usually because the pay for that period is low enough that the basic personal amount covers it. Payroll annualises each cheque, so part-time or irregular hours can produce zero income tax while CPP and EI still come off. Other causes are a TD1 claiming large credits, a claim of exemption from withholding, or being paid as a contractor rather than an employee, in which case nothing is withheld and the tax is yours to set aside and remit.

Start in My Account, My Business Account or Represent a Client, where balances, slips, returns, mail and secure messages already sit. For anything the portals cannot do, use the enquiries lines on the CRA's Contact the CRA page, which are toll-free within Canada, or write to the tax centre named on your notice. When the lines are busy the phone system sometimes offers an automated call-back instead of holding.

No. The fuel charge applies to fuels, not tobacco. Cigarettes carry federal excise duty, a provincial or territorial tobacco tax, and GST or HST on the shelf price, which is why tax makes up most of what you pay. Duty and tobacco tax rates move with budgets and some federal rates are adjusted annually, so check the CRA excise duty rates page and your province's tobacco tax page rather than an older figure.

It can. Property tax follows assessed value, and a shed, deck, finished basement or addition that adds usable space or quality usually raises the assessment at the next valuation. Provincial assessment authorities pick up permitted work through building permit data, then your municipality applies its own rate to the new value. Property tax is municipal, not a CRA matter, so ask your municipality and read your assessment notice before you build.

Taxes fund public services at three levels of government. Federal revenue pays for transfers to the provinces, benefit programmes for families and seniors, defence, debt interest and federal departments. Provincial revenue pays mainly for health care, education and social services. Municipal property tax pays for local services such as roads, water, waste collection, policing, fire and libraries. CPP contributions and EI premiums are separate contributory programmes with their own accounts rather than general tax revenue.
