Quick-Service Restaurants & Fast Food: Our Analysis

For quick-service restaurants & fast food, the difference between an adequate and a strong filing is sector knowledge. Food cost percentage is the number the CRA benchmarks against industry norms, so inventory counts and COGS discipline double as audit protection. Everything is handled at a low-cost fixed price — the economical alternative to hourly billing.

Practitioner’s Notes on Quick-Service Restaurants & Fast Food

Think of these notes as the briefing a tax specialist would give a colleague taking over a quick-service restaurants & fast food file: not the rules themselves, which you can look up, but where the sector hides its traps and its openings.

Start with the rule that decides most files: Accrued but unbilled revenue belongs in income in the year the work was performed. Deferring it to the invoice date understates taxable income and is a standard reassessment adjustment.

The second point follows directly from the first. Shareholder loan balances must be repaid within one year of the corporation’s following year-end or the amount is included in the shareholder’s personal income under subsection 15(2).

What should you expect from us? A fee that does not move after quoting, a completed file you inspect before paying anything, and answers that come from sector repetition rather than a manual opened for the occasion.

Quick-Service Restaurants & Fast Food: the tax rules that actually apply

What Quick-Service Restaurants & Fast Food need from an accountant is not what a generic small business needs. The restaurants sector carries its own CRA scrutiny, its own deduction profile and its own filing calendar, and a file prepared without that context leaves money and defensibility on the table.

What the CRA looks at

Food cost percentage is benchmarked against industry norms, so inventory counts and cost-of-goods discipline double as audit protection.

Cash-heavy operations attract net-worth assessments, where the CRA estimates income from lifestyle and assets — reliable point-of-sale records are the defence.

What you can actually claim

Kitchen equipment sits in Class 8 at 20%; leasehold improvements to the dining room are Class 13 and amortised over the lease term.

Basic groceries are zero-rated while prepared food is taxable, so a restaurant with a retail or catering line must apply the right rate to each stream.

The filing calendar that applies

GST/HST filing frequency follows revenue: past $6 million a restaurant files monthly, and the quick method available to smaller operators is often the cheaper choice.

Payroll remittance frequency tightens as average monthly withholdings grow, which happens quickly when a second location opens.

Where the planning value sits

Franchise fees are eligible capital property recovered through Class 14.1 at 5%, not an immediate deduction — a frequent surprise in the first year.

Each location in its own corporation limits liability but shares one small business limit across the associated group, so the structure should follow the risk, not the tax.

We apply all of this as part of the standard engagement for Quick-Service Restaurants & Fast Food — there is no separate advisory fee, and the quote is fixed before any work begins.

What Clients Ask Us About Quick-Service Restaurants & Fast Food

Direct answers to what Canadian business owners actually ask before hiring an accountant.

What tax deductions are quick-service restaurants & fast food businesses most likely to miss?

The recurring ones are capital cost allowance on equipment placed in service late in the year, the business-use portion of vehicle and home-office costs, and professional development. Each is defensible when documented at the time and difficult to defend when reconstructed later.

How much does accounting for quick-service restaurants & fast food businesses cost?

Corporate tax filing starts at $90 and bookkeeping at $10 per month, quoted as a fixed fee before work begins. Sector complexity does not trigger a surcharge. Review the full price list.

Do quick-service restaurants & fast food businesses need to register for GST/HST?

Registration is mandatory once taxable revenue exceeds $30,000 over four consecutive quarters. Registering voluntarily below that threshold is often worthwhile, because it lets you recover input tax credits on startup and equipment purchases.

Should I incorporate my quick-service restaurants & fast food business?

Incorporation usually pays off once profit consistently exceeds what you draw personally, because retained earnings are taxed at the small business rate rather than your marginal rate. Below that point the added compliance cost often outweighs the benefit. We model both before you decide.

What records do quick-service restaurants & fast food businesses need to keep?

The CRA requires six years of books and records from the end of the tax year they relate to: invoices, receipts, bank statements, payroll records and contracts. Digital copies are acceptable provided they are legible and complete.

How do you handle payroll for quick-service restaurants & fast food businesses?

We run the cycle, remit source deductions on schedule, and issue T4s ahead of the February deadline. Late remittances draw a penalty of up to 10% and repeat lateness raises it to 20%, so timing is the whole game. See our payroll service.

Can you work with my existing bookkeeping software?

Yes. We work in QuickBooks, Xero, Wave, Sage, spreadsheets, and plain scanned documents. You are not required to migrate systems to become a client, and we never charge a conversion fee.

What if my quick-service restaurants & fast food business operates in more than one province?

Multi-province operations allocate taxable income by permanent establishment and payroll, and sales tax rules differ by jurisdiction. We handle the allocation schedules and the differing GST, HST, PST and QST obligations in one engagement.

What does "Pay After Service" mean?

Our Pay After Service model means you review and approve all deliverables before making any payment. We prepare your returns or financial files, you review them, and only then do you pay. This ensures 100% satisfaction.

How does price matching work?

If you find a lower verified quote from another Accounting Firm in Canada for the same scope of services, we will match it immediately. Simply provide a verified quote.

How do I submit my tax documents?

We support completely secure digital uploads via our client portal, or you can email them to us. We support files from QuickBooks, Xero, Excel, and scan/photo documents.

How much of your work is with quick-service restaurants & fast food clients specifically?

You are asking the right question, and it has a real answer. Compilation engagements follow CSRS 4200, which requires a basis-of-accounting note describing exactly how the statements were prepared. Lenders read that note, and an omitted one is the fastest way to have a financing package sent back. What we add on top of that is the paperwork discipline that makes the answer stand up if anyone ever asks you to prove it.

What do new quick-service restaurants & fast food owners tend to get wrong in their first year?

Our answer starts where the legislation starts. An expense is deductible where it was incurred to earn income and is reasonable in the circumstances. The business-use portion must be supported, which for vehicles means a logbook. The CRA rarely argues that an expense category is wrong; it argues that the proportion claimed was never substantiated. From there it is a matter of applying it to your year — and that application, not the rule itself, is where a tax specialist earns the fee.

What Canadians Search About Quick-Service Restaurants & Fast Food

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Yes. Rent you receive is taxable income. You report the gross rents, subtract deductible expenses such as mortgage interest, property tax, insurance, utilities you pay, repairs, condominium fees and advertising, and the net rental profit is added to your other income and taxed at your marginal rate. There is no separate rental tax rate. A rental loss can generally offset other income where the property is genuinely rented at fair market value.

Basic groceries are zero-rated, so no GST or HST is charged on staples such as bread, milk, vegetables, meat and eggs. Tax does apply to restaurant meals, most prepared or heated food, catering, carbonated drinks, candy and snack foods. Provinces that run their own sales tax set separate food exemptions, so an identical item can be treated differently from one province to the next. A business selling both categories has to code its items correctly at the till.

Your purchase price does not set your property tax directly, but it becomes part of the sales evidence assessment authorities use to value comparable homes, so paying well above market can pull your assessment up at the next valuation. A private appraisal done for a mortgage or refinancing is not shared with the assessor and changes nothing on its own. The assessed value on your notice, times the municipal rate, is what drives the bill.

Property tax on a new build starts once the property is assessed as complete and occupiable, not at closing. Until then you are billed on the land alone, and a supplementary or omitted assessment later covers the building, often arriving months afterwards and back-dated to the occupancy or completion date, so budget for a catch-up bill. Separately, a newly built home is generally subject to GST or HST, with a new housing rebate available in some cases.

The lowest federal bracket applies to the first band of taxable income. Its upper limit is indexed to inflation each year, while the rate itself changes only when Parliament legislates a change, so check the CRA rate table for the year you are filing. Each province and territory adds its own lowest bracket on top, so the combined rate depends on where you lived on 31 December. The basic personal amount, a non-refundable credit, eliminates federal tax only for someone whose income is at or under that amount.

Yes. When wait times are long the CRA phone system offers an automated callback: you enter a number, hang up, and an agent calls when your place in the queue comes up. The option only appears while the queue is long, so a quiet line will simply connect you. An agent working an open file can also arrange a return call. Keep the number you gave free, and expect the call from a CRA line rather than the one you dialled.
