Appraisers: Our Analysis

Appraisal is a professional service with none of real estate's exemptions: appraisal fees are fully taxable regardless of whether the property appraised is residential or commercial. The risk that actually bites appraisers is the personal services business rule, because many work through a corporation for a small number of lenders or firms. Where the corporation looks like an employee of one client, the small business deduction and most expense deductions are denied.

Appraisers: Notes From Our Practice

What does a tax services provider actually look for when a appraisers file lands on the desk? Not the totals first — the structure. The sector shapes the return before a single figure is entered.

The first thing worth pinning down is this: Compilation engagements follow CSRS 4200, which requires a basis-of-accounting note describing exactly how the statements were prepared. Lenders read that note, and an omitted one is the fastest way to have a financing package sent back.

There is a second layer to this. The CRA expects the trial balance behind a T2 to reconcile to the GIFI schedules filed with it. A statement set that does not tie to the return is the first thing a reviewer notices.

We would rather earn the Appraisers engagement than pitch it. So the structure removes your risk: the fixed fee is settled first, the review is yours before payment, and the sector experience shows up in the work itself.

Appraisers: the tax rules that actually apply

What Appraisers need from an accountant is not what a generic small business needs. The real estate sector carries its own CRA scrutiny, its own deduction profile and its own filing calendar, and a file prepared without that context leaves money and defensibility on the table.

What the CRA looks at

Whether a property sale is income or capital turns on intention at purchase, and the CRA infers intention from the pattern of activity, financing and holding period.

Agents incorporating a personal real estate corporation must follow provincial rules on who may hold shares, and commissions must be paid to the corporation, not assigned after the fact.

What you can actually claim

Capital cost allowance on a rental cannot create or increase a rental loss, and claiming it costs the property part of its future principal residence protection.

Long-term residential rent is GST/HST-exempt, so tax paid on maintenance and management is unrecoverable — a cost that has to be built into the yield calculation.

The filing calendar that applies

Every disposition of a principal residence must be reported on Schedule 3 and Form T2091, even where the entire gain is exempt; failing to report can cost the exemption.

Non-resident owners face 25% withholding on gross rent unless a Section 216 election is filed, which taxes the net instead and usually produces a refund.

The Benefits of Professional Real Estate Tax Specialists

The lifetime capital gains exemption does not apply to rental real estate, which is why succession planning for a property portfolio looks nothing like a business sale.

Holding rentals personally keeps losses usable against other income; holding them corporately defers tax on profit but taxes rental income at high passive rates.

None of this is charged as extra advice. It is simply what a properly prepared file for Appraisers includes, at the fixed fee agreed up front.

Case Study 1

Scaled To 35 Staff With $85,000 Of Working Capital Freed — Mortgage Brokerage, Regina

Growth at a mortgage brokerage in Regina, Saskatchewan had outrun the back office. Industry-specific reporting obligations nobody had flagged broke first. Headcount reached 35 with $85,000 of cash freed.

A mortgage brokerage in Regina, Saskatchewan was growing fast, with headcount reaching 35 in eighteen months. The back office had not kept up. Industry-specific reporting obligations nobody had flagged was the first thing to break. We rebuilt the chart of accounts around how an appraisers business actually earns and spends. We built the compliance calendar for the size the business was becoming rather than the size it had been. The business reached 35 staff with no missed remittance and no late filing. $85,000 of working capital was freed in the process.

Case Study 2

$139,000 Credit Claim Filed And Accepted Without Adjustment — Condo Corporation Manager, Victoria

A condo corporation manager in Victoria, British Columbia had never tested its work against the eligibility rules. The resulting $139,000 claim was accepted without adjustment.

A condo corporation manager in Victoria, British Columbia assumed the credits did not apply to a business its size. Sector incentives that had never been tested against appraisers activity meant they had applied all along. We identified the qualifying activity and built the documentation to support it. Then we reviewed every sector-specific deduction against the current rules and claimed the ones that had been missed. $139,000 recovered. Because the eligibility analysis is on file, the same claim can be repeated each year with a fraction of the effort.

Case Study 3

$80,000 Of Arbitrary Assessments Vacated After 6 Years — Real Estate Investment Partnership, Barrie

The CRA had assessed a real estate investment partnership in Barrie, Ontario on estimates across 6 unfiled years. Real filings vacated $80,000 of that tax.

6 years of unfiled returns had turned into notional assessments at a real estate investment partnership in Barrie, Ontario. Underneath lay a previous accountant with no experience of this sector. Collections had already started. We documented the positions to the standard the CRA applies to this sector specifically. We then filed every outstanding year in chronological order so the CRA could vacate the notional assessments cleanly. All 6 years were accepted as filed. $80,000 of arbitrarily assessed tax was vacated, collections action stopped, and the account is current for the first time in 6 years.

Case Study 4

Desk-Review Assessment Of $144,000 Vacated — Land Development Company, Lethbridge

A desk review assessed a land development company in Lethbridge, Alberta $144,000. The dispute was over sector deductions claimed on a general-business basis rather than the appraisers rules. Producing the records vacated the assessment.

A land development company in Lethbridge, Alberta was carrying $144,000 of penalties and interest. The charges arose from sector deductions claimed on a general-business basis rather than the appraisers rules. Much of that amount accumulated during a period the CRA itself had delayed. We aligned the reporting calendar with the sector’s own seasonal cycle rather than a generic year-end. We framed the relief application on the specific grounds the CRA guidelines recognise rather than on general hardship. The assessment was vacated. $144,000 came off the account, and the documentation now on file makes the same position straightforward to defend next time.

Case Study 5

Books Rebuilt From Source, $14,500 In Unclaimed Input Tax Found — Short-Term Rental Operator, Vancouver

The ledger at a short-term rental operator in Vancouver, British Columbia could not support its own filings. The reason was a chart of accounts that told the owner nothing about appraisers margin. Rebuilding it surfaced $14,500 in unclaimed input tax.

A short-term rental operator in Vancouver, British Columbia could not answer basic questions about its own numbers. A chart of accounts that told the owner nothing about appraisers margin sat between the bank statements and the ledger. We reassigned the asset classes on the CCA schedule and corrected the opening balances. We then documented the process so the work does not depend on any one person remembering how it was done. Records rebuilt and reconciled, $14,500 recovered in input tax credits that the old file could not support, and a documented monthly process now in place.

Case Study 6

$36,500 Cut From The Annual Tax Bill — Commercial Landlord, Ottawa

A commercial landlord in Ottawa, Ontario was filing correctly and still overpaying. The reason was equipment and asset classes assigned by guesswork rather than the CCA schedule. Restructuring the position cut $36,500 from the annual bill.

A commercial landlord in Ottawa, Ontario was compliant but paying more than it needed to. The prior year had been filed correctly. It still left equipment and asset classes assigned by guesswork rather than the CCA schedule on the table. We modelled the current position against the alternatives before changing anything. Then we rebuilt the chart of accounts around how an appraisers business actually earns and spends. The change saved $36,500 in the first year and repeats annually. Nothing about the filings became more aggressive. The position is simply the one the rules already allowed.

Appraisers Questions We Hear Most Often

Direct answers to what Canadian business owners actually ask before hiring an accountant.

Should a appraisers business incorporate?

Incorporation usually pays once profit consistently exceeds what the owner draws personally, because the retained amount is taxed at small business rates rather than personal rates. Where the entire profit is withdrawn each year, incorporation often costs more in filing and compliance than it saves.

What triggers a CRA audit for a appraisers business?

Ratios that sit outside sector norms, repeated losses, large or round-numbered expense claims, and mismatches between filed slips and reported income. Most reviews are resolved on documentation alone, which is why contemporaneous records matter more than the size of any single claim.

How are employees and subcontractors treated differently for a appraisers business?

The CRA looks at control, ownership of tools, chance of profit and risk of loss rather than what the contract is titled. Where a worker is reclassified as an employee, the unremitted CPP, EI and withholding land on the payer, together with penalties and interest.

What instalments does a appraisers business have to pay?

Individuals pay quarterly instalments once net tax owing passes $3,000 in the current year and either of the two preceding years. Corporations generally pay monthly, with many small CCPCs eligible for quarterly instalments instead. Basing them on a current-year estimate avoids overpaying after a strong year.

What tax deductions are appraisers businesses most likely to miss?

The recurring ones are capital cost allowance on equipment placed in service late in the year, the business-use portion of vehicle and home-office costs, and professional development. Each is defensible when documented at the time and difficult to defend when reconstructed later.

How much does accounting for appraisers businesses cost?

Corporate tax filing starts at $90 and bookkeeping at $10 per month, quoted as a fixed fee before work begins. Sector complexity does not trigger a surcharge. Review the full price list.

Do appraisers businesses need to register for GST/HST?

Registration is mandatory once taxable revenue exceeds $30,000 over four consecutive quarters. Registering voluntarily below that threshold is often worthwhile, because it lets you recover input tax credits on startup and equipment purchases.

Should I incorporate my appraisers business?

Incorporation usually pays off once profit consistently exceeds what you draw personally, because retained earnings are taxed at the small business rate rather than your marginal rate. Below that point the added compliance cost often outweighs the benefit. We model both before you decide.

What does "Pay After Service" mean?

Our Pay After Service model means you review and approve all deliverables before making any payment. We prepare your returns or financial files, you review them, and only then do you pay. This ensures 100% satisfaction.

How does price matching work?

If you find a lower verified quote from another accounting firm in Canada for the same scope of services, we will match it immediately. Simply provide a verified quote.

How do I submit my tax documents?

We support completely secure digital uploads via our client portal, or you can email them to us. We support files from QuickBooks, Xero, Excel, and scan/photo documents.

What tax issues come up most often in the appraisers sector?

The honest answer comes down to one rule. Accrued but unbilled revenue belongs in income in the year the work was performed. Deferring it to the invoice date understates taxable income and is a standard reassessment adjustment. That is the part we verify before anything is filed.

Do businesses in appraisers need a different kind of bookkeeping setup?

Our answer starts where the legislation starts. Shareholder loan balances must be repaid within one year of the corporation’s following year-end. If they are not, the amount is included in the shareholder’s personal income under subsection 15(2). From there it is a matter of applying it to your year — and that application, not the rule itself, is where a tax services provider earns the fee.

Commonly Searched Appraisers Questions

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

A write-off is simply a deductible expense. You subtract it from the income it helped earn, so the saving equals the expense multiplied by your marginal tax rate, not the full amount spent. To qualify, the cost must be incurred to earn business or employment income, be reasonable in amount, and be backed by a receipt. Purely personal costs never qualify, and mixed-use items such as a vehicle or a home office are split by business-use proportion.

Payroll treats each cheque as though you earned that amount every period, so a bonus, overtime, retroactive raise or an extra shift makes the cheque look like a higher annual income and more tax comes off it. A change in pay frequency, a new TD1, or a taxable benefit added mid-year does the same. CPP and EI stop for the year once their maximums are reached, so take-home often rises later on. Your return reconciles the total.

Report it on the real estate rental statement filed with your T1, listing gross rents and each category of expense, then carry the net figure into the return. Co-owners each report their own share in proportion to ownership. Claiming capital cost allowance on the building is optional and can trigger recapture when you sell, so decide deliberately. Keep leases, receipts and bank records six years from the end of the tax year they relate to.

Rent paid is not deductible on the federal return. Relief comes instead through provincial credits claimed on the provincial form filed with your T1, such as Ontario's energy and property tax credit, Manitoba's renters credit and Quebec's solidarity tax credit, each with its own residency and income tests. Rent is deductible only as a business or employment cost: the work-space-in-the-home share on a T2125, or with an employer-signed form where an employee is required to work from home.

Property tax is municipal. Your city, town or rural municipality sets the annual rate and issues the bill, inside a framework the province sets: provinces create municipalities, run the assessment bodies that value properties, and add the education or school-support levy that appears on the same bill. The federal government has no role in property tax at all, so neither the CRA nor your income tax return is where a property tax dispute is settled. The municipality is.

Exemption depends on what the property is, not on who owns it. Provincial legislation typically exempts Crown and municipal land, places of worship, public schools and hospitals, cemeteries and certain registered charity or non-profit property, and municipalities can grant limited exemptions of their own. Residential owners rarely qualify, so the realistic relief is a deferral, rebate or lower tax class. Apply to the municipality, and expect to reapply on a set cycle.
