Biweekly Payroll Services: Our Analysis

Remitter frequency follows average monthly withholding — new employers generally remit monthly by the 15th of the following month. We quote biweekly payroll services as one pocket-friendly fixed price — the budget-friendly alternative to hourly billing.

Field Notes: Biweekly Payroll Services

These notes are written the way a tax consultant would explain Biweekly Payroll Services across a desk: no theory, just the points that decide real files.

One rule does most of the work here. Source deductions are held in trust for the Crown from the moment they are withheld, which is why directors can be personally liable for unremitted amounts under section 227.1. Unlike most corporate debts, this one can follow the directors personally after the company is gone.

From there, the file turns on a second question, and the rule behind it reads as follows. Late payroll remittances draw a penalty of 3% to 10% depending on how late, doubling to 20% for a repeat failure with gross negligence in the same calendar year. And on timing: Remitter frequency follows average monthly withholding. A business that grows into the accelerated threshold keeps remitting monthly at its peril — the deadline moves before the CRA writes to say so.

None of this is exotic — but each point has to be applied to your facts, which is exactly what you are paying a tax filing specialist to do. Gather whatever records touch the numbers — statements, ledgers, prior-year filings — and we take it from there.

When you are ready, the process is straightforward — we agree a fixed fee up front, prepare the work, walk you through it before filing, and you pay once the service is delivered.

What Clients Ask Us About Biweekly Payroll Services

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Biweekly Payroll Services cost in Canada?

Biweekly Payroll Services starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Biweekly Payroll Services?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Biweekly Payroll Services take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We are a cloud-based practice serving every province and territory, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Biweekly Payroll Services?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Biweekly Payroll Services different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Biweekly Payroll Services?

Our biweekly payroll services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Biweekly Payroll Services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What records should I gather before starting biweekly payroll services?

The short answer comes straight from our working notes: Employers withhold CPP, EI and income tax and remit on a schedule set by their average monthly withholding. Late remittance carries a penalty of 3% to 10%, rising to 20% for a repeat failure with gross negligence in the same year. Payroll penalties compound quietly. An employer that drifts one cycle late each quarter can owe more in penalties than in the tax it was late paying. How that plays out on your file depends on the specifics, which is exactly what the engagement is for.

What does a tax advisor actually check during biweekly payroll services?

Source deductions are held in trust for the Crown from the moment they are withheld, which is why directors can be personally liable for unremitted amounts under section 227.1. Unlike most corporate debts, this one can follow the directors personally after the company is gone. That is the part most owners have not heard before they sit down with us, and it usually changes what they do next.

More Biweekly Payroll Services Questions Canadians Ask

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Start with the basic personal amount, which is already printed on the form, then add only the credits you genuinely expect to claim, such as tuition you will pay this year, an eligible dependant, the age amount or an amount transferred from a spouse. Total them, sign and date, and give the form to your employer rather than the CRA. With two jobs, claim the amounts at one only. You can also ask for extra tax to be withheld.

GIS is tested on the income you report on your return, leaving out your OAS pension and the GIS itself. Employment and self-employment earnings count only above an annual earnings exemption, with a further partial exemption above that. CPP, workplace and foreign pensions, RRSP and RRIF withdrawals and investment income all count; TFSA withdrawals do not. Service Canada sets the exemption and income limits and updates them quarterly, so check its GIS eligibility page for current figures.

The claim code is the number payroll uses to turn the credits you claimed on your federal and provincial personal tax credits returns into the tax withheld from each pay. A higher code means larger credits claimed and less tax deducted; the lowest code means no credits, so tax comes off every dollar. Most people sit at the code matching the basic personal amount, which is $16,452 federally for 2026. File a fresh return when your situation changes.

No. Age creates no exemption. Income tax is withheld from a young worker’s pay in the usual way, though many earn less than the basic personal amount and recover the withheld tax by filing a return. EI premiums apply at any age. CPP contributions begin with the month after the worker turns 18, so no CPP comes off before then. Filing anyway is worth it, because earned income builds RRSP room for later.

Federally, no. Employer contributions to a private health services plan covering medical, dental and hospital care are not a taxable benefit, so they do not show up in your income. Quebec taxes them provincially, which is why a Quebec slip can show an amount the federal one does not. Premiums you pay yourself, including the employee share deducted from pay, can count as medical expenses on your T1. Group life and some wage-loss plans are treated differently.

Yes. Either spouse can claim the family's eligible medical expenses for a 12-month period ending in the tax year, and you can divide the total between the two returns, but the same expense cannot be claimed twice. Because only the amount above a threshold tied to net income counts, pooling everything on the lower-income spouse's return usually produces the bigger credit. Run it both ways before you file. The CRA medical expenses page lists what qualifies.

Yes. Toilet paper is an ordinary household product, not a basic grocery, so GST/HST applies at the rate for the province of purchase: 5% GST in Alberta, 13% HST in Ontario, 15% in New Brunswick, Newfoundland and Labrador and Prince Edward Island, and 14% in Nova Scotia from 1 April 2025. Provincial sales tax may apply on top in British Columbia, Saskatchewan, Manitoba and Quebec.

GST/HST is designed as a broad-based tax on consumption, so the default is that a sale is taxable and the exceptions are deliberately narrow. Each business in a chain charges tax and recovers the tax it paid, so only the final buyer really bears it. GST is 5% for 2025 and 2026, and most provinces add an HST, PST, RST or QST layer on top of that.

Yes. Cash tips are taxable income even when no employer records them and no slip is issued, and they are reported as other employment income on your T1 for the year received. Keep a simple daily log, because the CRA can estimate tips from sales, hours and industry patterns if it reviews your return. Reporting tips also builds CPP contributions, which raises the pension you eventually collect.

There is no fixed student refund. A refund is simply the tax withheld from your pay minus the tax you actually owe, so a student with modest earnings and some withholding often gets most of it back. Tuition amounts are a non-refundable credit: they reduce tax owing but do not create a refund on their own, and unused amounts carry forward to later years or can be transferred to a parent, grandparent or spouse within limits.

Land transfer tax is not a deductible expense. On a home you live in it simply adds to what the property cost you. On a rental or business property it is a capital outlay added to the adjusted cost base, so it reduces the capital gain when you sell rather than being claimed against rent in the year of purchase. Legal fees on the purchase are treated the same way.

No. A salary paid to a spouse is employment income in their hands, so it must be reported, payroll deductions withheld and a T4 issued. The payment is deductible to the business only where it is reasonable for work actually performed, which means keeping a record of duties, hours and the rate you would pay a stranger. Paying a spouse who does no work invites reassessment, and dividends instead run into the tax on split income rules.
