A Short Glossary for Property Developers Clients

T1 General
The personal income tax return individuals file with the CRA each year.
T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Property Developers: Our Analysis

Development is where GST/HST becomes a cash-flow event rather than a filing. New residential housing is taxable, and the self-supply rule treats a builder who rents out a completed unit rather than selling it as having sold it to themselves at fair market value, creating a tax liability with no sale proceeds behind it. Meanwhile soft costs and interest during construction generally must be capitalized into inventory rather than expensed, deferring the deduction to the year of sale.

What a Tax Professional Checks First in Property Developers

Before we quote a fee or open a file, we ask property developers owners the same first question: who prepared this last, and did they work the sector regularly? The answer usually predicts what we will find.

The foundation is simple to state and easy to trip over: The CRA expects the trial balance behind a T2 to reconcile to the GIFI schedules filed with it. A statement set that does not tie to the return is the first thing a reviewer notices.

Just as important, though far less discussed: Compilation engagements follow CSRS 4200, which requires a basis-of-accounting note describing exactly how the statements were prepared. Lenders read that note, and an omitted one is the fastest way to have a financing package sent back.

What should you expect from us? A fee that does not move after quoting, a completed file you inspect before paying anything, and answers that come from sector repetition rather than a manual opened for the occasion.

Property Developers: the tax rules that actually apply

Every engagement we run for Property Developers starts from the same question: which real estate rules apply to this file, and which of them is the client currently getting wrong? These are the ones that come up most.

What the CRA looks at

Agents incorporating a personal real estate corporation must follow provincial rules on who may hold shares, and commissions must be paid to the corporation, not assigned after the fact.

Whether a property sale is income or capital turns on intention at purchase, and the CRA infers intention from the pattern of activity, financing and holding period.

What you can actually claim

Long-term residential rent is GST/HST-exempt, so tax paid on maintenance and management is unrecoverable — a cost that has to be built into the yield calculation.

Capital cost allowance on a rental cannot create or increase a rental loss, and claiming it costs the property part of its future principal residence protection.

The filing calendar that applies

Non-resident owners face 25% withholding on gross rent unless a Section 216 election is filed, which taxes the net instead and usually produces a refund.

Where the planning value sits

Holding rentals personally keeps losses usable against other income; holding them corporately defers tax on profit but taxes rental income at high passive rates.

This is the level of sector detail built into every fixed-fee engagement we run for Property Developers, with payment due only after you have approved the work.

Case Study 1

Collections Halted And $34,000 Cut From A 6-Year Backlog — Land Development Company, Brampton

Collections had begun against a land development company in Brampton, Ontario over 6 years of unfiled returns. Bringing them current cut $34,000 from the balance.

By the time a land development company in Brampton, Ontario called, 6 years were outstanding. The CRA had assessed on estimates. Underneath it sat seasonal revenue reported without matching the costs that produced it. We reconstructed the records year by year. We documented the positions to the standard the CRA applies to this sector specifically. Each filing replaced an arbitrary assessment with a real one. The account is current. Filing on real numbers rather than CRA estimates reduced the balance by $34,000, and a relief application addressed part of the accumulated interest.

Case Study 2

Month-End Close Cut From 11 Weeks To 5 Days — Condo Corporation Manager, Ottawa

Closing the books at a condo corporation manager in Ottawa, Ontario took 11 weeks. The cause was equipment and asset classes assigned by guesswork rather than the CCA schedule. It now takes 5 days.

The accounting file at a condo corporation manager in Ottawa, Ontario had a weak foundation. It was built on equipment and asset classes assigned by guesswork rather than the CCA schedule. The year-end had taken 11 weeks each of the last three years. We reviewed every sector-specific deduction against the current rules and claimed the ones that had been missed. We also moved the reconciliations into the monthly cycle, so the year-end stopped being a rebuild. The file reconciles. Month-end closes in 5 days instead of 11 weeks, and the year-end is a review rather than a reconstruction.

Case Study 3

Audit Defence Closed In 7 Weeks, $136,000 Cleared — House-Flipping Operation, Kelowna

A house-flipping operation in Kelowna, British Columbia was under review. The issue was sector deductions claimed on a general-business basis rather than the property developers rules. The file closed in 7 weeks with $136,000 of proposed tax cleared.

A house-flipping operation in Kelowna, British Columbia was selected for review. Sector deductions claimed on a general-business basis rather than the property developers rules had shown up in the CRA's automated matching. The proposed adjustment on property developers accounting and tax came to $136,000. We rebuilt the chart of accounts around how a property developers business actually earns and spends. Every figure in the response traced to a source record the auditor could verify without asking a second question. The review closed with no change. $136,000 of proposed tax came off the table, and the documentation now in place makes the next review a short one.

Case Study 4

Reorganisation Completed Tax-Deferred, $20,500 Saved Each Year — Property Management Company, Regina

A property management company in Regina, Saskatchewan had outgrown its structure. The visible cost was industry-specific reporting obligations nobody had flagged. The reorganisation completed tax-deferred and saves $20,500 a year.

A property management company in Regina, Saskatchewan had outgrown the structure it started with. Industry-specific reporting obligations nobody had flagged was the immediate problem. The longer-term one was that the structure blocked the next step. We mapped the current structure and modelled the target. Then we reassigned the asset classes on the CCA schedule and corrected the opening balances. The tax-deferred elections were filed on time and the supporting valuations documented. The reorganisation completed without triggering tax, and the new structure saves approximately $20,500 a year while removing the exposure the old one carried.

Case Study 5

$68,000 Of Working Capital Freed From The Tax Cycle — Commercial Landlord, Winnipeg

A commercial landlord in Winnipeg, Manitoba was profitable and permanently short of cash. Behind the gap sat a chart of accounts that told the owner nothing about property developers margin. Restructuring the tax cycle freed $68,000.

A commercial landlord in Winnipeg, Manitoba was profitable on paper and short of cash every month. A chart of accounts that told the owner nothing about property developers margin explained most of the gap. We aligned the reporting calendar with the sector’s own seasonal cycle rather than a generic year-end. We also built a thirteen-week cash view so tax payments stopped competing with payroll for the same dollars. $68,000 was released back into working capital. Remittances have been on time every period since, and the forecast shows the tax outflow before it lands.

Case Study 6

Incentive Review Recovered $65,000 Across 5 Open Years — Real Estate Investment Partnership, Guelph

An incentive review at a real estate investment partnership in Guelph, Ontario recovered $65,000 across 5 open years. It found provincial credits left unclaimed alongside every federal filing.

An incentive review at a real estate investment partnership in Guelph, Ontario started from a simple question: what has never been claimed? The answer ran to 5 years. It was driven by provincial credits left unclaimed alongside every federal filing. We documented the positions to the standard the CRA applies to this sector specifically. We documented eligibility to the standard a reviewer would apply rather than the standard a claim form requires. The credits produced $65,000 across the open years. The tracking now in place means the following year's claim is documented as the work happens rather than reconstructed afterwards.

Questions Owners Ask About Property Developers

Direct answers to what Canadian business owners actually ask before hiring an accountant.

What instalments does a property developers business have to pay?

Individuals pay quarterly instalments once net tax owing passes $3,000 in the current year and either of the two preceding years. Corporations generally pay monthly, with many small CCPCs eligible for quarterly instalments instead. Basing them on a current-year estimate avoids overpaying after a strong year.

What tax deductions are property developers businesses most likely to miss?

The recurring ones are capital cost allowance on equipment placed in service late in the year, the business-use portion of vehicle and home-office costs, and professional development. Each is defensible when documented at the time and difficult to defend when reconstructed later.

How much does accounting for property developers businesses cost?

Corporate tax filing starts at $90 and bookkeeping at $10 per month, quoted as a fixed fee before work begins. Sector complexity does not trigger a surcharge. Review the full price list.

Do property developers businesses need to register for GST/HST?

Registration is mandatory once taxable revenue exceeds $30,000 over four consecutive quarters. Registering voluntarily below that threshold is often worthwhile, because it lets you recover input tax credits on startup and equipment purchases.

Should I incorporate my property developers business?

Incorporation usually pays off once profit consistently exceeds what you draw personally, because retained earnings are taxed at the small business rate rather than your marginal rate. Below that point the added compliance cost often outweighs the benefit. We model both before you decide.

What records do property developers businesses need to keep?

The CRA requires six years of books and records from the end of the tax year they relate to: invoices, receipts, bank statements, payroll records and contracts. Digital copies are acceptable provided they are legible and complete.

How do you handle payroll for property developers businesses?

We run the cycle, remit source deductions on schedule, and issue T4s ahead of the February deadline. Late remittances draw a penalty of up to 10% and repeat lateness raises it to 20%, so timing is the whole game. See our payroll service.

Can you work with my existing bookkeeping software?

Yes. We work in QuickBooks, Xero, Wave, Sage, spreadsheets, and plain scanned documents. You are not required to migrate systems to become a client, and we never charge a conversion fee.

What does "Pay After Service" mean?

Our Pay After Service model means you review and approve all deliverables before making any payment. We prepare your returns or financial files, you review them, and only then do you pay. This ensures 100% satisfaction.

How does price matching work?

If you find a lower verified quote from another accounting firm in Canada for the same scope of services, we will match it immediately. Simply provide a verified quote.

How do I submit my tax documents?

We support completely secure digital uploads via our client portal, or you can email them to us. We support files from QuickBooks, Xero, Excel, and scan/photo documents.

Are there deductions or credits that property developers businesses commonly overlook?

There is a widespread assumption here, and the actual position is worth stating plainly. Shareholder loan balances must be repaid within one year of the corporation’s following year-end. If they are not, the amount is included in the shareholder’s personal income under subsection 15(2). If your current setup was built on the assumption instead of the rule, that is fixable — but sooner is better than later.

How much of your work is with property developers clients specifically?

A tax services provider answers this differently than a search engine, because the rule has edges. Accrued but unbilled revenue belongs in income in the year the work was performed. Deferring it to the invoice date understates taxable income and is a standard reassessment adjustment. Where your business sits relative to those edges is what we establish in the first meeting.

People Also Ask About Property Developers

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

First Nations, Inuit and Métis individuals pay the same federal and provincial taxes as everyone else, with one narrow exception. Under the Indian Act, a registered status Indian is exempt on income situated on a reserve, judged by connecting factors such as where the work is performed and where the employer is based. Off-reserve employment income is taxable. Related rules can relieve GST/HST on goods delivered to a reserve. Métis and non-status individuals do not get the exemption.

Service Canada issues the T4E, not your employer. The quickest route is My Service Canada Account, where the slip sits under tax information and can be printed. A paper copy also goes to the address on file, and the slip is loaded into CRA My Account, so tax software using Auto-fill my return can pull it in directly. If nothing appears, call Service Canada, and report the benefits on your return even while waiting for the slip.

A new assessed value or municipal rate applies for the tax year the municipality sets it for, not from the day you receive the notice. Provincial assessment bodies value properties as at a fixed valuation date and phase increases in over a cycle, then councils set the annual rates, which appear on the final bill rather than the interim one. A reassessment after a renovation or a change in use can be billed back to its effective date.

There is no single figure, because the amount depends on your income, your province and which taxes are counted. Studies that quote an average usually bundle income tax, payroll contributions, sales tax and property tax together, which is why published numbers differ so widely. For your own position, divide the total tax shown on your notice of assessment by your total income to get your effective rate, then compare that with later years rather than with a national average.

First-time buyers do pay land transfer tax and then claim a rebate or exemption where the province offers one. Ontario, British Columbia and Prince Edward Island are among the provinces with first-time buyer relief, and the City of Toronto has its own rebate on the municipal tax, while Alberta and Saskatchewan charge registration fees instead. Conditions usually include never having owned a home anywhere, occupying the property as your principal residence, and applying within a set period. Your lawyer normally claims it on closing.

Yes. When wait times are long the CRA phone system offers an automated callback: you enter a number, hang up, and an agent calls when your place in the queue comes up. The option only appears while the queue is long, so a quiet line will simply connect you. An agent working an open file can also arrange a return call. Keep the number you gave free, and expect the call from a CRA line rather than the one you dialled.
