Key Personal Accounting Terms Explained

T1 General
The personal income tax return individuals file with the CRA each year.
T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Nail Salons & Estheticians: Our Analysis

Nail Salons & Estheticians carry their own CRA profile, and generic bookkeeping misses it. Chair-rental and booth-rental models split income between self-employment and rent, and each side carries different GST/HST treatment. We price the whole engagement as one affordable fixed fee, quoted before work begins.

Things We've Learned Doing Nail Salons & Estheticians Work

Owners in the nail salons & estheticians sector tend to ask us the same handful of questions, in roughly the same order. That repetition is useful: it tells a tax practitioner exactly where the sector's confusion lives, and these notes start there.

First, the rule that sorts straightforward files from complicated ones: A small corporation still carries the full compliance set: T2, GST/HST, payroll, and the annual return with the incorporating jurisdiction. The annual corporate return is separate from the T2 and is the one most often forgotten, which can lead to administrative dissolution.

There is a second layer to this. The CRA requires business records to be kept for six years from the end of the tax year they relate to, in a form that allows the return to be verified. Where records cannot support the return, the CRA is entitled to assess on its own estimate — and the burden of disproving that estimate falls on the taxpayer.

You do not have to take the sector expertise on faith. The fee is agreed in advance, the finished work goes to you for review first, and payment follows your sign-off — an arrangement we can offer because nail salons & estheticians files hold few surprises for us anymore.

Nail Salons & Estheticians: the tax rules that actually apply

What Nail Salons & Estheticians need from an accountant is not what a generic small business needs. The personal care, creative & media sector carries its own CRA scrutiny, its own deduction profile and its own filing calendar, and a file prepared without that context leaves money and defensibility on the table.

What the CRA looks at

Grants, prizes and residuals arrive on T4A slips and are taxable; creators routinely omit them because no tax was withheld at source.

Barter and gifted product received for promotion is income at fair market value, a rule that catches influencer arrangements almost universally.

What you can actually claim

Wardrobe and grooming are deductible only where they have no personal use — the bar is high and rarely met outside genuine costume and stage work.

A studio in the home follows the same exclusive-use test as any home office, and the deduction cannot create a loss.

The filing calendar that applies

Crossing $30,000 in revenue over four consecutive quarters forces GST/HST registration mid-contract, which is why growing creators should register before the threshold arrives.

Self-employed filers have until June 15 to file but still owe any balance by April 30, with interest running from that date.

The Benefits of Professional Personal Accounting

Registering a trademark or holding copyright in a separate entity can separate the asset from the operating risk as a personal brand grows.

Income from a breakout year can be smoothed with an RRSP contribution and instalment planning so the following quiet year is not funded by a tax bill.

This is the level of sector detail built into every fixed-fee engagement we run for Nail Salons & Estheticians, with payment due only after you have approved the work.

Case Study 1

Scaled To 28 Staff With $90,000 Of Working Capital Freed — Hair Salon Group, Barrie

Growth at a hair salon group in Barrie, Ontario had outrun the back office. Industry-specific reporting obligations nobody had flagged broke first. Headcount reached 28 with $90,000 of cash freed.

A hair salon group in Barrie, Ontario was growing fast, with headcount reaching 28 in eighteen months. The back office had not kept up. Industry-specific reporting obligations nobody had flagged was the first thing to break. We documented the positions to the standard the CRA applies to this sector specifically. We built the compliance calendar for the size the business was becoming rather than the size it had been. The business reached 28 staff with no missed remittance and no late filing. $90,000 of working capital was freed in the process.

Case Study 2

Month-End Close Cut From 10 Weeks To 8 Days — Nail and Beauty Bar, London

Closing the books at a nail and beauty bar in London, Ontario took 10 weeks. The cause was a chart of accounts that told the owner nothing about nail salons & estheticians margin. It now takes 8 days.

The accounting file at a nail and beauty bar in London, Ontario had a weak foundation. It was built on a chart of accounts that told the owner nothing about nail salons & estheticians margin. The year-end had taken 10 weeks each of the last three years. We rebuilt the chart of accounts around how a nail salons & estheticians business actually earns and spends. We also moved the reconciliations into the monthly cycle, so the year-end stopped being a rebuild. The file reconciles. Month-end closes in 8 days instead of 10 weeks, and the year-end is a review rather than a reconstruction.

Case Study 3

Reorganisation Completed Tax-Deferred, $51,000 Saved Each Year — Photography Studio, Vancouver

A photography studio in Vancouver, British Columbia had outgrown its structure. The visible cost was a previous accountant with no experience of this sector. The reorganisation completed tax-deferred and saves $51,000 a year.

A photography studio in Vancouver, British Columbia had outgrown the structure it started with. A previous accountant with no experience of this sector was the immediate problem. The longer-term one was that the structure blocked the next step. We mapped the current structure and modelled the target. Then we aligned the reporting calendar with the sector’s own seasonal cycle rather than a generic year-end. The tax-deferred elections were filed on time and the supporting valuations documented. The reorganisation completed without triggering tax, and the new structure saves approximately $51,000 a year while removing the exposure the old one carried.

Case Study 4

$39,500 In Credits Claimed That Prior Filings Had Missed — Graphic Design Studio, Victoria

4 years of filings at a graphic design studio in Victoria, British Columbia had never claimed the incentives the work qualified for. The review recovered $39,500.

A graphic design studio in Victoria, British Columbia had been filing for 4 years. In that time, the incentives its activity qualified for were never claimed. Behind that sat provincial credits left unclaimed alongside every federal filing. We tested each activity against the eligibility criteria rather than the description on the invoice. Then we reviewed every sector-specific deduction against the current rules and claimed the ones that had been missed. $39,500 in credits claimed, with the open prior years adjusted as well. The claim passed review without adjustment.

Case Study 5

$67,000 Cut From The Annual Tax Bill — Fitness Studio, Surrey

A fitness studio in Surrey, British Columbia was filing correctly and still overpaying. The reason was sector deductions claimed on a general-business basis rather than the nail salons & estheticians rules. Restructuring the position cut $67,000 from the annual bill.

A fitness studio in Surrey, British Columbia was compliant but paying more than it needed to. The prior year had been filed correctly. It still left sector deductions claimed on a general-business basis rather than the nail salons & estheticians rules on the table. We modelled the current position against the alternatives before changing anything. Then we reassigned the asset classes on the CCA schedule and corrected the opening balances. The change saved $67,000 in the first year and repeats annually. Nothing about the filings became more aggressive. The position is simply the one the rules already allowed.

Case Study 6

5-Week Turnaround Beat The Deadline And Saved $23,000 — Medical Spa, Lethbridge

A 5-week rebuild at a medical spa in Lethbridge, Alberta got the filing in with 23 days to spare. That avoided $23,000 in penalties.

A medical spa in Lethbridge, Alberta was weeks away from the deadline for nail salons & estheticians accounting and tax. Behind that sat seasonal revenue reported without matching the costs that produced it. The exposure if the date slipped was around $23,000. We documented the positions to the standard the CRA applies to this sector specifically. The filing went in complete rather than provisional, so there was no amended return to follow. Filed with 23 days to spare. $23,000 in late-filing penalties avoided, and the working papers are ready for the following year.

Before You Call: Nail Salons & Estheticians FAQs

Direct answers to what Canadian business owners actually ask before hiring an accountant.

When should a nail salons & estheticians business register for GST/HST?

Registration becomes mandatory once taxable supplies pass $30,000 over four consecutive calendar quarters, and the obligation starts almost immediately rather than at the next year-end. Registering voluntarily below that threshold is often worthwhile when you are buying equipment, because it makes the tax on those purchases recoverable.

How long does the CRA expect a nail salons & estheticians business to keep records?

Six years from the end of the tax year the records relate to. That covers invoices, receipts, bank statements, payroll records and the working papers behind the return. Records supporting the purchase of a capital asset must be kept six years past the year the asset is finally sold.

What happens if a nail salons & estheticians business files late?

The late-filing penalty is 5% of the balance owing plus 1% for each full month the return is late, to a maximum of twelve months. A second late filing within three years doubles those figures. Interest compounds daily from the balance-due date regardless of when the return is filed.

Can a nail salons & estheticians business deduct vehicle costs?

Yes, in proportion to business use, and the logbook is what supports it. The CRA accepts a full-year log, or a three-month sample backed by a complete prior-year log. Travel between home and a regular place of work is personal; travel between work locations is business.

Should a nail salons & estheticians business incorporate?

Incorporation usually pays once profit consistently exceeds what the owner draws personally, because the retained amount is taxed at small business rates rather than personal rates. Where the entire profit is withdrawn each year, incorporation often costs more in filing and compliance than it saves.

What triggers a CRA audit for a nail salons & estheticians business?

Ratios that sit outside sector norms, repeated losses, large or round-numbered expense claims, and mismatches between filed slips and reported income. Most reviews are resolved on documentation alone, which is why contemporaneous records matter more than the size of any single claim.

How are employees and subcontractors treated differently for a nail salons & estheticians business?

The CRA looks at control, ownership of tools, chance of profit and risk of loss rather than what the contract is titled. Where a worker is reclassified as an employee, the unremitted CPP, EI and withholding land on the payer, together with penalties and interest.

What instalments does a nail salons & estheticians business have to pay?

Individuals pay quarterly instalments once net tax owing passes $3,000 in the current year and either of the two preceding years. Corporations generally pay monthly, with many small CCPCs eligible for quarterly instalments instead. Basing them on a current-year estimate avoids overpaying after a strong year.

What does "Pay After Service" mean?

Our Pay After Service model means you review and approve all deliverables before making any payment. We prepare your returns or financial files, you review them, and only then do you pay. This ensures 100% satisfaction.

How does price matching work?

If you find a lower verified quote from another accounting firm in Canada for the same scope of services, we will match it immediately. Simply provide a verified quote.

How do I submit my tax documents?

We support completely secure digital uploads via our client portal, or you can email them to us. We support files from QuickBooks, Xero, Excel, and scan/photo documents.

How do you stay current on the rules that affect the nail salons & estheticians sector?

A tax filing specialist answers this differently than a search engine, because the rule has edges. Accrued but unbilled revenue belongs in income in the year the work was performed. Deferring it to the invoice date understates taxable income and is a standard reassessment adjustment. Where your business sits relative to those edges is what we establish in the first meeting.

My business is in nail salons & estheticians — what would you review first if you took over my file?

There is a widespread assumption here, and the actual position is worth stating plainly. Shareholder loan balances must be repaid within one year of the corporation’s following year-end. If they are not, the amount is included in the shareholder’s personal income under subsection 15(2). If your current setup was built on the assumption instead of the rule, that is fixable — but sooner is better than later.

Commonly Searched Nail Salons & Estheticians Questions

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

First Nations, Inuit and Métis individuals pay the same federal and provincial taxes as everyone else, with one narrow exception. Under the Indian Act, a registered status Indian is exempt on income situated on a reserve, judged by connecting factors such as where the work is performed and where the employer is based. Off-reserve employment income is taxable. Related rules can relieve GST/HST on goods delivered to a reserve. Métis and non-status individuals do not get the exemption.

Not everyone owes income tax, though almost everyone touches the system. Income tax starts once taxable income passes your personal credits; the federal basic personal amount for 2026 is $16,452, tapering to $14,829 at higher net income. Filing still matters with nothing owing, because benefits and credits are calculated from the return. Sales tax, payroll contributions and fuel or tobacco taxes reach people who pay no income tax at all.

Federal income tax, GST/HST and excise duties flow into general revenue, which funds transfers to the provinces for health care and social programmes, benefits such as the Canada child benefit and old age security, defence, federal departments and interest on the public debt. Provincial income and sales taxes fund schools, hospitals and municipal transfers. Canada Pension Plan and Employment Insurance premiums sit in separate accounts and are not part of general revenue. The federal budget publishes the yearly split.

It can. Property tax follows assessed value, and a shed, deck, finished basement or addition that adds usable space or quality usually raises the assessment at the next valuation. Provincial assessment authorities pick up permitted work through building permit data, then your municipality applies its own rate to the new value. Property tax is municipal, not a CRA matter, so ask your municipality and read your assessment notice before you build.

Instalments are prepayments toward the current year's tax, not next year's. The CRA asks for them when too little tax is withheld at source and your net tax owing passes a set amount in the current year and in one of the two previous years, which is common for self-employed people, landlords, investors and pensioners. Reminders arrive with suggested amounts, or you can pay on your own estimate. Underpaying attracts instalment interest, so follow the reminder if unsure.
