Corporate Address Service: Our Analysis

Federal corporations file an annual return with Corporations Canada that is separate from the T2 — missing it can lead to administrative dissolution. Because the fee is fixed and affordable, the economics stay predictable whether your file is simple or messy.

Corporate Address Service: Notes From Our Practice

Good corporate address service work is mostly about sequencing: which questions to settle before which. These notes lay out the sequence an income tax specialist follows on Corporate Address Service engagements.

Here is where every serious conversation about Corporate Address Service begins: A federal corporation must file an annual return with Corporations Canada that is entirely separate from its T2. Missing it repeatedly leads to administrative dissolution.

It would be simpler if the story ended there, but a second rule enters almost immediately. The first fiscal year-end must fall within 53 weeks of incorporation and sets every future filing deadline. It is worth choosing deliberately rather than defaulting to December 31. Calendars matter more than most people expect in corporate address service, and this is the rule that proves it: A corporation needs its own CRA program accounts: RC for corporate income tax, RT for GST/HST, RP for payroll. Each has its own registration and filing obligations.

If the rules above feel like they might interact in your situation, that instinct is usually right. Sorting out how is the core of what an income tax specialist does on a corporate address service engagement. Here is what to have on hand so the corporate address service work starts moving on day one.

Our terms are the same for every engagement: a fixed fee agreed before work begins, a full review with you before filing, and payment only after the service is complete.

Corporate Address Service Tax & Accounting Case Studies

See how our expert Corporate Address Service tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

Intergenerational Transfer Completed With $750,000 Deferred — Newly Formed Corporation, Barrie

A family transfer at a corporation choosing its first fiscal year-end in Barrie, Ontario would have been fully taxable. The reason was no valuation on file to support the price the parties had agreed. Restructuring deferred $750,000.

A generational transfer at a corporation choosing its first fiscal year-end in Barrie, Ontario had been discussed for years without a plan. No valuation on file to support the price the parties had agreed meant the transfer as contemplated would have been fully taxable. We reconstructed the minute book with resolutions for each historical dividend and share transaction. We sequenced the steps so each one was complete and documented before the next depended on it. $750,000 of tax was deferred through the transfer, and the successor generation took over a corporation whose records stood up to review.

Case Study 2

Collections Halted And $54,000 Cut From A 5-Year Backlog — Incorporating Contractor, Calgary

Collections had begun against a contractor incorporating for liability reasons in Calgary, Alberta over 5 years of unfiled returns. Bringing them current cut $54,000 from the balance.

By the time a contractor incorporating for liability reasons in Calgary, Alberta called, 5 years were outstanding. The CRA had assessed on estimates. Underneath it sat GST/HST collected for eight months before the RT account was ever opened. We reconstructed the records year by year. We filed the change of registered office and the director changes, so registry correspondence reached someone who read it. Each filing replaced an arbitrary assessment with a real one. The account is current. Filing on real numbers rather than CRA estimates reduced the balance by $54,000, and a relief application addressed part of the accumulated interest.

Case Study 3

Holding Structure Added, $29,500 Saved Annually — Family Business Adding Shares, Winnipeg

A family business adding a second class of shares in Winnipeg, Manitoba needed a holding structure. It had to deal with a register of individuals with significant control that had never been opened, let alone updated. The reorganisation was tax-neutral and removed $29,500 of annual exposure.

The structure at a family business adding a second class of shares in Winnipeg, Manitoba needed fixing. The file was carrying a register of individuals with significant control that had never been opened, let alone updated. Every option for fixing it ran through a reorganisation that had to be done without triggering tax. We worked with the client's lawyer. Together, we restructured the share capital so dividends could be directed deliberately, respecting the TOSI rules. We also prepared the elections, resolutions and valuations the structure needed to stand up. The structure now matches the business. Annual saving of $29,500, and the reorganisation itself was tax-neutral.

Case Study 4

Desk-Review Assessment Of $119,000 Vacated — Federally Incorporating Seller, London

A desk review assessed an e-commerce seller incorporating federally in London, Ontario $119,000. The dispute was over a corporation dissolved administratively for missed annual returns while still operating. Producing the records vacated the assessment.

An e-commerce seller incorporating federally in London, Ontario was carrying $119,000 of penalties and interest. The charges arose from a corporation dissolved administratively for missed annual returns while still operating. Much of that amount accumulated during a period the CRA itself had delayed. We separated the corporate registry deadlines from the CRA deadlines on one calendar, with a named person responsible for each. We framed the relief application on the specific grounds the CRA guidelines recognise rather than on general hardship. The assessment was vacated. $119,000 came off the account, and the documentation now on file makes the same position straightforward to defend next time.

Case Study 5

5-Week Turnaround Beat The Deadline And Saved $124,000 — Holding Structure Founder, Red Deer

A 5-week rebuild at a founder setting up a holding structure in Red Deer, Alberta got the filing in with 6 days to spare. That avoided $124,000 in penalties.

A founder setting up a holding structure in Red Deer, Alberta was weeks away from the deadline for corporate address service. Behind that sat a single class of common shares that made income splitting impossible. The exposure if the date slipped was around $124,000. We tested each intended dividend recipient against the excluded-amount tests before any dividend was declared, and recorded which test was being relied on. The filing went in complete rather than provisional, so there was no amended return to follow. Filed with 6 days to spare. $124,000 in late-filing penalties avoided, and the working papers are ready for the following year.

Case Study 6

Month-End Close Cut From 10 Weeks To 7 Days — Newly Incorporating Consultant, Kelowna

Closing the books at a consultant incorporating after two years of self-employment in Kelowna, British Columbia took 10 weeks. The cause was a spouse added as a shareholder on the assumption dividends could simply be split between two returns. It now takes 7 days.

The accounting file at a consultant incorporating after two years of self-employment in Kelowna, British Columbia had a weak foundation. It was built on a spouse added as a shareholder on the assumption dividends could simply be split between two returns. The year-end had taken 10 weeks each of the last three years. We revived the corporation, filed the outstanding annual returns, and set a compliance calendar covering both the corporate registry and the CRA. We also moved the reconciliations into the monthly cycle, so the year-end stopped being a rebuild. The file reconciles. Month-end closes in 7 days instead of 10 weeks, and the year-end is a review rather than a reconstruction.

Before You Call: Corporate Address Service FAQs

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Corporate Address Service cost in Canada?

Corporate Address Service starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Corporate Address Service?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Corporate Address Service take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Corporate Address Service?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Corporate Address Service different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Corporate Address Service services?

Our corporate address service services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Corporate Address Service services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

How do you price corporate address service for a small business?

The honest starting point is this: A corporation needs its own CRA program accounts: RC for corporate income tax, RT for GST/HST, RP for payroll. Each has its own registration and filing obligations. Everything else we would tell you is tailoring, and tailoring requires seeing your file.

What goes wrong most often when owners handle corporate address service themselves?

It depends less on opinion than owners assume. Share structure decided at incorporation determines who can receive dividends later. Adding a class after the fact can trigger tax that a deliberate structure at day one would have avoided. Once you know that, the practical question becomes timing and documentation — both of which we handle inside the engagement.

Commonly Searched Corporate Address Service Questions

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

For the 2025 tax year the filing and payment deadline is 30 April 2026. If you or your spouse were self-employed, the filing deadline moves to 15 June 2026, but any balance owing is still due 30 April 2026. Interest starts the day after the payment deadline, and a late-filing penalty applies on top when a return with a balance owing is filed late. File on time even with nothing owing, because income-tested benefits are recalculated from the filed return.

CRA online filing for 2025 returns opened 23 February 2026 and closes 29 January 2027. Most people file between late February and the 30 April 2026 deadline, and that stretch is what tax season refers to. You can gather documents and prepare a return earlier, but it cannot be sent electronically before the system opens. Employment and investment slips such as T4 and T5 are issued by payers early in the year, and the CRA's Auto-fill service can pull the ones it already holds once you have set up My Account.

Current and prior-year forms and publications are free to download from canada.ca, and tax software builds most of them for you as you enter your information. You can also order a paper package by phone or pick one up at participating postal and service outlets during filing season. Which forms apply depends on your situation: a T1 with your slips for employment income, T2125 for self-employment, a T2 for a corporation, T1-ADJ to change a return already filed.

Taxation is the compulsory collection of money by government to pay for public services. In Canada it operates at three levels: federal and provincial income and sales taxes, and municipal property taxes. Income tax is self-assessed, meaning you report your own income and claim your own deductions, and the CRA verifies afterwards through assessment and review. Rates are progressive, so later slices of income are taxed more heavily while the earlier slices stay at lower rates.

From the federal and provincial personal tax credits return you fill in when you start a job, which tells payroll which credits you claim, combined with the CRA's withholding tables for your pay frequency and your province of employment. Hand in an updated form when your situation changes, and ask for extra tax to be withheld if you have other income that is not taxed at source. Your T4 reports the year's totals.

Canada runs a self-assessment system: you report your own income, deductions and credits, and the CRA checks the return afterwards. The agency receives your slips but not your rent, medical costs, childcare, donations, tuition or business expenses, so a return prepared for you from slips alone would miss deductions. The CRA does help part way, filling slip data into approved tax software automatically and inviting some filers with simple, lower-income situations to file by phone or online.

No single figure fits, because your province and your credits move the result as much as the salary does. Canada taxes in brackets, so only the income above each threshold attracts the next rate up; federal rates for 2026 begin at 14% and top out at 33%, with provincial rates added on. CPP and EI also come off employment pay. Enter the exact salary and province in the CRA's payroll deductions online calculator for a dependable number.

Your business number appears on every CRA notice, statement of account and remittance voucher, on GST/HST and payroll correspondence, and in My Business Account once you sign in. It is also on the confirmation issued when the account was opened, and on incorporation paperwork if the number came with registration. If nothing is to hand, the CRA business enquiries line can confirm it once it verifies that you are authorised to ask.

A refund is only the difference between tax already withheld and the tax you actually owe, so a small refund usually means your payroll deductions were close to correct. Income with no tax withheld, such as self-employment, gig work or investment income, absorbs the rest. Non-refundable credits cut tax to zero but pay nothing beyond that. Compare your notice of assessment with the return you filed to see which lines the CRA changed.

Rental income earned by a corporation is usually passive investment income, taxed at a high corporate rate with part of it refundable when the company pays taxable dividends out to shareholders. The small business rate generally does not apply, because a rental operation counts as active business income only once it is large enough on the full-time employee test. Significant passive income can also grind an associated group's small business limit, and taking the money out adds a second layer of tax.

CRA My Account is the record for individuals: notices of assessment, balances, instalment reminders, RRSP and TFSA room, benefit payments and most slips your employer or bank filed, such as T4 and T5. Businesses use My Business Account for GST/HST and payroll accounts. Registration needs your social insurance number, date of birth and an amount from a recently assessed return. A representative you authorise can view the same information.

Start with complete expense claims: the business share of vehicle costs backed by a mileage log, home office space, supplies, subcontractors, insurance and professional fees. Business meals and entertainment are only partly deductible, and the restriction applies to the whole bill including tax and tip — record the full amount and apply the limit on the return. Register for GST/HST when the rules require it so input tax credits can be recovered on purchases. Then use RRSP room to level out a strong year, and look at incorporating once profits sit well above what you draw for living costs.
