The Vocabulary Behind Small Business Bookkeeping

T1 General
The personal income tax return individuals file with the CRA each year.
T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Small Business Bookkeeping: Our Analysis

Owner-managers get the most value from the salary-versus-dividend decision, which moves real dollars once the corporation earns more than its owner draws. Monthly reconciliation is what keeps input tax credits claimable — unmatched receipts are the first thing disallowed in a GST/HST review. We quote small business bookkeeping as one low-cost fixed price — the budget-friendly alternative to hourly billing.

Practitioner’s Notes on Small Business Bookkeeping

What follows is the working view of a tax services provider who prepares small business bookkeeping week in, week out — the points that decide real files.

The starting point is not a strategy but a constraint: Bank feeds are not a bookkeeping system. Auto-categorised transactions still need reconciliation to statements, because a duplicated feed entry is indistinguishable from a real expense on the face of the ledger.

The detail that surprises most owners comes next. Cash-basis records are not acceptable for a corporation. Income must be reported on the accrual basis, with receivables and payables recognised when they arise rather than when the money moves. A file is only as strong as what backs it up, which brings us to the next rule: Personal expenses run through a corporate account are shareholder benefits, taxable to the shareholder personally whether or not they were ever labelled as such.

What this means for you depends entirely on facts we have not seen yet — which is the honest answer, and the reason a tax services provider starts every small business bookkeeping engagement with questions rather than conclusions. The engagement goes fastest when last year’s filings and the current ledger arrive together.

We keep the commercial side simple. The fee is fixed and agreed in advance, the file is reviewed with you before filing, and you pay after the service — in that order, every time.

Small Business Bookkeeping Tax & Accounting Case Studies

See how our expert Small Business Bookkeeping tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

$64,000 Cut From The Annual Tax Bill — Dental Hygiene Clinic, London

A dental hygiene clinic in London, Ontario was filing correctly and still overpaying. The reason was input tax credits claimed on receipts that had already been claimed once. Restructuring the position cut $64,000 from the annual bill.

A dental hygiene clinic in London, Ontario was compliant but paying more than it needed to. The prior year had been filed correctly. It still left input tax credits claimed on receipts that had already been claimed once on the table. We modelled the current position against the alternatives before changing anything. Then we set up a documented chart of accounts, a receipt-capture workflow and a monthly reconciliation that closes within ten days of month-end. The change saved $64,000 in the first year and repeats annually. Nothing about the filings became more aggressive. The position is simply the one the rules already allowed.

Case Study 2

Instalments Rebased, $61,000 Of Cash Returned To The Business — Two-Location Cafe, Calgary

A two-location cafe in Calgary, Alberta was overpaying instalments. The cause was a receivables list that included invoices collected eleven months earlier. Rebasing them returned $61,000 to the business.

A two-location cafe in Calgary, Alberta was paying instalments calculated on a prior year. That year no longer reflected the business. A receivables list that included invoices collected eleven months earlier was tying up $61,000 of cash. We rebased the instalments on the current-year estimate rather than the prior-year default. Alongside that, we converted the foreign-currency purchases at transaction-date rates and recorded the exchange difference at settlement instead of burying it in cost of sales. $61,000 of cash stayed in the business, the penalty cycle ended, and the instalment position is reviewed each quarter against actual results.

Case Study 3

Month-End Close Cut From 8 Weeks To 6 Days — Mobile Pet-Grooming Company, Kitchener

Closing the books at a mobile pet-grooming company in Kitchener, Ontario took 8 weeks. The cause was a payroll clearing account that had never been brought to zero, carrying a balance nobody could explain. It now takes 6 days.

The accounting file at a mobile pet-grooming company in Kitchener, Ontario had a weak foundation. It was built on a payroll clearing account that had never been brought to zero, carrying a balance nobody could explain. The year-end had taken 8 weeks each of the last three years. We reconciled receivables and payables to source documents and wrote off the balances that were genuinely uncollectible, with support. We also moved the reconciliations into the monthly cycle, so the year-end stopped being a rebuild. The file reconciles. Month-end closes in 6 days instead of 8 weeks, and the year-end is a review rather than a reconstruction.

Case Study 4

Filed On Time From A Standing Start, $70,000 Penalty Avoided — Equipment Rental Yard, Ottawa

An equipment rental yard in Ottawa, Ontario was 7 weeks from a deadline. The file also carried a bookkeeping file where owner draws, payroll and supplier payments all landed in the same account. Filing complete and on time avoided roughly $70,000 in penalties.

An equipment rental yard in Ottawa, Ontario came to us 7 weeks before its filing deadline. The file came with a bookkeeping file where owner draws, payroll and supplier payments all landed in the same account. A late filing would have triggered a penalty of roughly $70,000 before interest. We worked backwards from the deadline. We rebuilt the ledger from bank and card statements and matched every receipt to a transaction. We removed duplicated input tax credits before they became a review. We prioritised the items that actually gated the filing and deferred everything that did not. The return was filed on time and complete. The $70,000 penalty never arose, and the compliance calendar we set means the next deadline is scheduled rather than discovered.

Case Study 5

Desk-Review Assessment Of $20,500 Vacated — Home-Renovation Contractor, Moncton

A desk review assessed a home-renovation contractor in Moncton, New Brunswick $20,500. The dispute was over sales recorded from bank deposits, so processor fees, chargebacks and refunds appeared nowhere in the ledger. Producing the records vacated the assessment.

A home-renovation contractor in Moncton, New Brunswick was carrying $20,500 of penalties and interest. The charges arose from sales recorded from bank deposits, so processor fees, chargebacks and refunds appeared nowhere in the ledger. Much of that amount accumulated during a period the CRA itself had delayed. We recoded the meals and entertainment accounts to the statutory limit and reversed the over-claimed input tax credits before the next return went in. We framed the relief application on the specific grounds the CRA guidelines recognise rather than on general hardship. The assessment was vacated. $20,500 came off the account, and the documentation now on file makes the same position straightforward to defend next time.

Case Study 6

Corporate Structure Rebuilt For $30,000 Of Annual Savings — Courier Subcontractor, Halifax

The structure at a courier subcontractor paid by the drop in Halifax, Nova Scotia no longer fitted the business. Eighteen months of unreconciled transactions and a shoebox of receipts showed it. Rebuilding it saves $30,000 a year.

The structure at a courier subcontractor paid by the drop in Halifax, Nova Scotia dated from years earlier. It had been set up for a business that no longer existed. Eighteen months of unreconciled transactions and a shoebox of receipts had become expensive. We separated the owner’s personal spending out of the corporate accounts and cleared the resulting shareholder loan properly. The reorganisation used the rollover provisions rather than a taxable transfer, so no tax fell due on the restructuring itself. $30,000 of annual saving, achieved on a tax-deferred basis. The minute book, elections and valuations are all in the file.

Common Questions Before Starting Small Business Bookkeeping Work

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Small Business Bookkeeping cost in Canada?

Small Business Bookkeeping starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Small Business Bookkeeping?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Small Business Bookkeeping take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Small Business Bookkeeping?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Small Business Bookkeeping different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Small Business Bookkeeping services?

Our small business bookkeeping services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Small Business Bookkeeping services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What information will you ask me for once the small business bookkeeping work is underway?

The short answer comes straight from our working notes: For the 2025 tax year, an invoice of $100 or more must show the supplier’s GST/HST registration number to support an input tax credit. From $500 it also needs the buyer’s name, a description of the supply and the payment terms. How that plays out on your file depends on the specifics, which is exactly what the engagement is for.

What should I look for when choosing a provider for small business bookkeeping?

In our files, this is the deciding factor: Business records must be kept for six years from the end of the last tax year they relate to. The CRA can require them in electronic form that it can actually read. An income tax specialist applies it to your numbers before submission.

Searched Questions About Small Business Bookkeeping

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Income tax is tax charged on the income you earn in a year, levied by both the federal government and your province or territory. Rates are graduated, so successive slices of taxable income are taxed at higher rates, and credits such as the basic personal amount reduce the tax calculated. Employment income is taxed through payroll withholding and settled on your T1 return. Quebec residents also file a separate provincial return with Revenu Quebec.

A tax credit reduces the tax you owe, whereas a deduction reduces the income the tax is calculated on. Non-refundable credits, such as the basic personal amount or tuition, can bring tax down to nil but pay nothing beyond that. Refundable credits, such as the GST/HST credit, are paid out even when no tax is owing. Almost every credit is claimed on the return, so filing is what releases the money.

For personal income tax, your account number is your social insurance number. For a business it is the nine-digit business number plus the two-letter program identifier and four-digit reference, so corporation tax, GST/HST and payroll each have their own account. Select the matching payment type and the correct tax year or period as well: a payment posted to the wrong program or year leaves the balance you meant to clear still outstanding and still accruing interest.

No. GST/HST you collect is not revenue: you hold it on the CRA's behalf and remit it. Report sales net of the tax on your T2125 or corporate financial statements, and post the tax collected to a liability account rather than income. Including it overstates both revenue and profit. If you are not registered and charge no tax, gross sales are simply the amounts you billed your customers.

A write-off is an expense deducted from income so that tax applies to a smaller amount. It is not a refund of what you spent: the saving equals the expense multiplied by your marginal rate. Employees may deduct very little, while a business or self-employed person can deduct reasonable costs incurred to earn income, though categories such as meals and entertainment, vehicles and home office are restricted. Keep receipts, because the CRA can ask for them years later.

No. Insurance premiums are an exempt financial service, so no GST/HST appears on them and there is no input tax credit to claim. Provinces levy their own taxes on certain premiums, and Ontario applies retail sales tax to some group benefit and insurance premiums, which is why an invoice can still show a tax line. The premium itself stays deductible as a business expense where the coverage relates to earning income.

Because you remit the tax you charged customers, less the GST/HST you paid on business purchases. Tax you collect was never your money, so when collections exceed your input tax credits, the difference is payable. The usual reasons a bill feels large are missed input tax credits, receipts too thin to support a claim, the quick method applying to your sales, or the collected tax having been spent as working capital. Bank it separately.

Usually yes, if you are not registered. Non-resident digital suppliers such as ad networks and software subscriptions must register under CRA's digital economy rules and charge GST/HST to Canadian customers who are not registered themselves. If you give the platform a valid GST/HST number, it generally stops charging the tax and you account for it yourself where the rules require. Tax charged on genuine business purchases is normally recoverable as an input tax credit once you are registered.

It stays out of taxable income but often counts elsewhere. Amounts such as most lottery winnings and income earned inside a TFSA are not taxed at all. Some other receipts are exempt from tax yet still have to be reported, because the CRA uses net income and family net income to test benefits and credits. So an amount that costs you no tax can still reduce a benefit. Lenders and landlords apply their own definitions again.

A true operating lease is deducted as a current expense over the period it covers. An arrangement that is really a financed purchase is capitalised instead, and you claim capital cost allowance on the asset plus the interest portion of the payments. Passenger vehicle and some equipment leases face separate deduction limits. Accounting standards may put a lease on the balance sheet even where tax still treats it as rent, so the two figures differ. Check the CRA's business expense guidance.

All of it. No threshold lets cash go unreported: tips, side jobs, weekend work and cash sales are income the moment you earn them, and the CRA can reassess unreported amounts with penalties and interest. Keep a log of dates, amounts and payers, and deposit takings so records reconcile. Self-employed cash earnings go on Form T2125 with your T1 return; cash tips earned as an employee are employment income, not business income, and belong on the other-employment-income line of the T1 instead.

Students cannot deduct residence fees or apartment rent from income, and rent earns no federal credit. What a student can claim is tuition, the interest paid on an eligible government student loan, and moving costs in some situations. Where the province pays a rent-based benefit, Ontario and Manitoba among them, the rent goes on that provincial schedule instead. Filing a return with little or no income still preserves unused tuition amounts and keeps benefit payments flowing.
