Monthly Payroll Services: Our Analysis

Late payroll remittances draw penalties of 3% to 10%, doubling to 20% for a repeat failure with gross negligence in the same calendar year. Our monthly payroll services engagement is priced as a budget-friendly flat fee, so the cost is known before the work starts.

Reading Between the Lines on Monthly Payroll Services

There is a version of monthly payroll services that runs smoothly and a version that turns into correspondence. The difference is rarely luck; it comes down to details any tax expert handling these files weekly learns to check first.

Here is where every serious conversation about Monthly Payroll Services begins: Taxable benefits including employer-paid parking, personal use of a company vehicle and most gift cards must be reported on the T4. They carry CPP and, in some cases, EI.

Right behind it comes a rule owners rarely hear about until it bites: Each employer withholds CPP and EI up to the annual maximum on its own account. An employee who changes employers mid-year, including a move between two related payroll accounts, is over-deducted. The excess comes back only through the personal return. On the record-keeping side, one rule governs what must be kept and what must be shown: Subsection 78(4) applies to salary or a bonus accrued at year-end but not paid within 180 days of the corporation’s year-end. The deduction is denied until the year it is actually paid. An accrual booked to reduce a tax bill and then left unpaid moves the deduction rather than creating one.

So where does that leave you? In most cases, with a decision about whether to work through monthly payroll services alone or hand the moving parts to a tax practitioner who tracks them for a living. Here is what to have on hand so the monthly payroll services work starts moving on day one.

Whatever the file involves, the terms do not change: fixed fee agreed up front, review together before filing, payment after the service.

Monthly Payroll Services Tax & Accounting Case Studies

See how our expert Monthly Payroll Services tax and accounting services have helped Canadian businesses save money and stay compliant.

Case Study 1

3-Week Turnaround Beat The Deadline And Saved $41,000 — Home-Care Agency, Barrie

A 3-week rebuild at a home-care agency in Barrie, Ontario got the filing in with 7 days to spare. That avoided $41,000 in penalties.

A home-care agency in Barrie, Ontario was weeks away from the deadline for monthly payroll services. Behind that sat company vehicles used personally with no logbook and no taxable benefit reported. The exposure if the date slipped was around $41,000. We reconstructed vehicle logbooks, calculated the standby charge and operating benefit properly, and amended the affected T4s. The filing went in complete rather than provisional, so there was no amended return to follow. Filed with 7 days to spare. $41,000 in late-filing penalties avoided, and the working papers are ready for the following year.

Case Study 2

Incentive Review Recovered $76,000 Across 6 Open Years — Security Services Contractor, Lethbridge

An incentive review at a security services contractor in Lethbridge, Alberta recovered $76,000 across 6 open years. It found T4s that did not agree to the payroll register or the general ledger.

An incentive review at a security services contractor in Lethbridge, Alberta started from a simple question: what has never been claimed? The answer ran to 6 years. It was driven by T4s that did not agree to the payroll register or the general ledger. We corrected the CPP and EI withholding for the balance of the year. We set the employee up to recover the over-deduction on the personal return. We documented eligibility to the standard a reviewer would apply rather than the standard a claim form requires. The credits produced $76,000 across the open years. The tracking now in place means the following year's claim is documented as the work happens rather than reconstructed afterwards.

Case Study 3

Month-End Close Cut From 9 Weeks To 6 Days — Contractor-Paid Clinic, Vancouver

Closing the books at a clinic paying its associates as contractors in Vancouver, British Columbia took 9 weeks. The cause was a director facing a personal assessment for unremitted source deductions. It now takes 6 days.

The accounting file at a clinic paying its associates as contractors in Vancouver, British Columbia had a weak foundation. It was built on a director facing a personal assessment for unremitted source deductions. The year-end had taken 9 weeks each of the last three years. We moved the account to the correct remitter frequency and caught up the arrears. We filed a taxpayer relief request that cancelled the bulk of the penalty. We also moved the reconciliations into the monthly cycle, so the year-end stopped being a rebuild. The file reconciles. Month-end closes in 6 days instead of 9 weeks, and the year-end is a review rather than a reconstruction.

Case Study 4

Share Sale Restructured, $705,000 Less Tax On Closing — Manufacturing Employer, Ottawa

Due diligence at a 30-employee manufacturer in Ottawa, Ontario surfaced a single shareholder holding every share, with no room to multiply the exemption. Restructuring the sale saved $705,000 against the original terms.

A 30-employee manufacturer in Ottawa, Ontario was preparing to sell. Due diligence surfaced a single shareholder holding every share, with no room to multiply the exemption. That would have reduced the price or killed the deal outright. We cleaned up the historical file. We reconciled the payroll register, general ledger and T4 summary to the cent, then filed the amended slips. Then we prepared the due-diligence package the buyer's advisers actually asked for. The deal closed at the agreed price. $705,000 of tax was saved against the structure originally proposed, with no post-closing adjustment.

Case Study 5

Remittance Schedule Corrected, $79,000 Refunded — Two-Province Retail Chain, Surrey

Remittances at a retail chain across two provinces in Surrey, British Columbia were chronically late. It came down to an employee over-deducted for CPP and EI after being moved between two related payroll accounts mid-year. Fixing the schedule refunded $79,000.

Remittances at a retail chain across two provinces in Surrey, British Columbia were consistently late by a few days. That was enough to trigger penalties every quarter. Behind it sat an employee over-deducted for CPP and EI after being moved between two related payroll accounts mid-year. We filed the outstanding slips and summary and requested relief on the per-slip penalty with the reasons documented in writing. Then we moved the remittance dates into a scheduled process rather than a monthly decision. Penalties stopped from the following remittance onwards, and $79,000 of overpaid instalments was refunded.

Case Study 6

$52,000 Of Arbitrary Assessments Vacated After 6 Years — Dental Practice, London

The CRA had assessed a dental practice in London, Ontario on estimates across 6 unfiled years. Real filings vacated $52,000 of that tax.

6 years of unfiled returns had turned into notional assessments at a dental practice in London, Ontario. Underneath lay T4 slips filed weeks after the deadline with no relief request made on the per-slip penalty. Collections had already started. We reviewed each contractor against the CRA’s control and integration tests and converted those who met the employment tests. We priced the transition before it was forced by a ruling. We then filed every outstanding year in chronological order so the CRA could vacate the notional assessments cleanly. All 6 years were accepted as filed. $52,000 of arbitrarily assessed tax was vacated, collections action stopped, and the account is current for the first time in 6 years.

What Clients Ask Us About Monthly Payroll Services

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Monthly Payroll Services cost in Canada?

Monthly Payroll Services starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Monthly Payroll Services?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Monthly Payroll Services take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We serve clients in every province and territory at the same fixed fees, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Monthly Payroll Services?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Monthly Payroll Services different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Monthly Payroll Services?

Our monthly payroll services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Monthly Payroll Services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What does a tax consultant actually check during monthly payroll services?

Let us give you the substance first and the caveats second. A worker’s status as employee or contractor turns on control, ownership of tools, chance of profit and risk of loss. It does not turn on what the contract calls them. The caveat is simply that facts on your file can shift the outcome, so treat this as the baseline rather than the final word.

What records should I gather before starting monthly payroll services?

You are asking the right question, and it has a real answer. Source deductions are held in trust for the Crown. Directors can be assessed personally for unremitted amounts, and that liability survives the corporation. What we add on top of that is the paperwork discipline that makes the answer stand up if anyone ever asks you to prove it.

What Canadians Search About Monthly Payroll Services

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Not in the way a US employee can. Canadian employers must withhold based on the personal tax credits return you complete when hired, and claiming the credits you are entitled to there lowers the deduction. Where withholding will still exceed your real tax because of large RRSP contributions, support payments or deductible expenses, you can ask the CRA in writing to authorise reduced deductions at source. Otherwise the excess comes back as a refund after filing.

A flat monthly cash allowance for a phone is taxable employment income and appears on the T4. If the employer instead pays the carrier directly, or reimburses the business portion of a bill on receipts, and the plan is reasonable and mainly for work, there is normally no taxable benefit; personal use of a basic plan the employer already pays for is generally accepted. Keep records showing the business purpose.

Yes. Tips and gratuities are taxable income in Canada, whether paid in cash, added to a card payment or shared through a tip pool. Amounts your employer controls and distributes usually run through payroll and appear on your T4 with CPP and EI withheld. Tips you receive directly are still reportable even though nobody reports them for you, so keep a daily record. Leaving them out is a common reason a server's return is reassessed.

Withhold three things from each pay: income tax, CPP and EI. For 2026, CPP is 5.95% from the employee and 5.95% from the employer on pensionable earnings between the $3,500 basic exemption and the $74,600 ceiling, plus CPP2 at 4% up to $85,000. EI is $1.63 per $100 of insurable earnings for the employee, and the employer pays 1.4 times that. Use the CRA payroll deductions online calculator, then remit by your assigned due date.

Yes. Severance is employment income, so your employer withholds income tax before paying you. Lump sums are withheld at flat lump-sum rates that are often below your real marginal rate, so a large payout can still leave a balance owing at filing time. If part of the payment is a retiring allowance, some of it may be transferred directly to an RRSP and taxed later. Check the CRA's payroll deductions and lump-sum withholding pages.

In Canada, tax revenue funds public services rather than a single account. Federal revenue pays for elderly benefits, the Canada child benefit, health and social transfers to the provinces, defence, debt interest and federal operations; employment insurance is funded separately by premiums. Provincial and municipal taxes fund health care delivery, schools, roads, policing and waste collection. Actual amounts appear each year in the federal budget and the Public Accounts of Canada, and in each province's budget.

It means asking your employer not to deduct income tax from your pay. In Canada you do this on the personal tax credits return your employer gives you at hiring, where you confirm that total income for the year will be below your total claim amount. It covers income tax only, never CPP or EI. If you end up earning more than expected, the tax is still owed at filing with interest, so update the form when things change.

The Canada child benefit follows whoever is primarily responsible for the child's daily care, so the change is made by updating that with the CRA, not by signing the benefit over. The parent who should receive it applies for child benefits and both parents confirm the date care changed; the CRA may ask for supporting letters. Where custody is shared roughly equally, the CRA splits the payments. Provincial and territorial amounts follow the same determination.

Ontario's Employment Standards Act lists the public holidays and gives most employees public holiday pay whether or not they work that day. Eligibility turns on the last-and-first rule: the employee must work the scheduled shift before and the one after the holiday unless there is reasonable cause. Public holiday pay is set by a formula in the Act using regular wages earned in the weeks before the holiday, and an employee who works the day receives premium pay or a substitute day off.

No. Property tax is set by your municipality from the assessed value of the property and the annual tax rate, and neither changes because a mortgage was discharged. What changes is who pays it. Many lenders collect tax along with the mortgage payment and remit it for you, so once the loan is gone the municipality bills you directly and the full amount appears as its own instalment. Enrol in the municipality's payment plan so a bill is not missed.

A T4E is the slip Service Canada issues for Employment Insurance and certain related benefits. It shows the total benefits paid, income tax already withheld, any benefits you had to repay and any benefit repayment required because of your income level. Report the amounts on your personal return on the line for Employment Insurance and other benefits, not on the employment income line — EI benefits are taxable but they are not employment income. Keep the slip even where no tax was withheld, because the benefits remain taxable and the CRA already holds a copy.

Short-term disability benefits are taxable when the employer paid any part of the premiums for the wage-loss replacement plan, and the insurer reports them much like employment income. If the employee paid all of the premiums, the benefits arrive tax free. Where a plan is only partly employee funded, premiums the employee paid in earlier years can reduce the taxable amount. EI sickness benefits are taxable and appear on the slip the government issues.
