The Vocabulary Behind Online Payroll Services

T1 General
The personal income tax return individuals file with the CRA each year.
T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Online Payroll Services: Our Analysis

Everything runs through a secure client portal with e-signatures, so the engagement works identically from any province or time zone. Late payroll remittances draw penalties of 3% to 10%, doubling to 20% for a repeat failure with gross negligence in the same calendar year. Because the fee is fixed and budget-friendly, the economics stay predictable whether your file is simple or messy.

Things We've Learned Doing Online Payroll Services Work

Before you hand online payroll services to anyone, it is worth knowing what the work actually turns on.

If you remember one thing from this page, make it this: A worker’s status as employee or contractor turns on control, ownership of tools, chance of profit and risk of loss — not on what the contract calls them.

There is a companion rule that changes how the first one plays out in practice: Taxable benefits including employer-paid parking, personal use of a company vehicle and most gift cards must be reported on the T4 and carry CPP and, in some cases, EI. Then there is the matter of timing, which forgives very little: Each employer withholds CPP and EI up to the annual maximum on its own account. An employee who changes employers mid-year, including a move between two related payroll accounts, is over-deducted, and the excess comes back only through the personal return.

None of this requires you to become an expert — that is what engaging a tax services provider is for. What it does require is recognizing that online payroll services will reward preparation over improvisation. The smoothest files are the ones where the client arrives with these records already assembled.

We keep the commercial side simple. The fee is fixed and agreed in advance, the file is reviewed with you before filing, and you pay after the service — in that order, every time.

Case Study 1

Corporate Structure Rebuilt For $16,000 Of Annual Savings — Contractor-Paid Clinic, Toronto

The structure at a clinic paying its associates as contractors in Toronto, Ontario no longer fitted the business, and an employee over-deducted for CPP and EI after being moved between two related payroll accounts mid-year showed it. Rebuilding it saves $16,000 a year.

Case Study 2

Notice Of Objection Allowed In Full, $121,000 Reversed — Mixed-Crew Construction Firm, Mississauga

A $121,000 reassessment landed at a construction firm with union and non-union crews in Mississauga, Ontario, resting on remittances still going out monthly after the business had moved to the accelerated threshold. The objection was allowed in full.

Case Study 3

Filed On Time From A Standing Start, $107,000 Penalty Avoided — Higher-Frequency Remitter, Winnipeg

An employer whose remittance frequency moved up a threshold in Winnipeg, Manitoba was 7 weeks from a deadline while carrying company vehicles used personally with no logbook and no taxable benefit reported. Filing complete and on time avoided roughly $107,000 in penalties.

Case Study 4

Month-End Close Cut From 12 Weeks To 6 Days — Two-Province Retail Chain, Halifax

Closing the books at a retail chain across two provinces in Halifax, Nova Scotia took 12 weeks because of a director facing a personal assessment for unremitted source deductions. It now takes 6 days.

Case Study 5

Instalments Rebased, $24,000 Of Cash Returned To The Business — Company-Vehicle Employer, Burnaby

An employer providing company vehicles in Burnaby, British Columbia was overpaying instalments because of T4 slips filed weeks after the deadline with no relief request made on the per-slip penalty. Rebasing them returned $24,000 to the business.

Case Study 6

$64,000 Cut From The Annual Tax Bill — Stock-Option Tech Team, Kitchener

A growing tech team with stock options in Kitchener, Ontario was filing correctly and still overpaying because of long-term contractors who met every test for employment. Restructuring the position cut $64,000 from the annual bill.

Answers to Frequent Online Payroll Services Questions

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Online Payroll Services cost in Canada?

Online Payroll Services starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Online Payroll Services?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Online Payroll Services take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We are a cloud-based practice serving every province and territory, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Online Payroll Services?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Online Payroll Services different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Online Payroll Services?

Our online payroll services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Online Payroll Services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

How long does online payroll services usually take from start to finish?

Here is what the rules actually say, stripped of the folklore: Salary or a bonus accrued at year-end but not paid within 180 days of the corporation’s year-end is denied as a deduction until the year it is actually paid, under subsection 78(4). An accrual booked to reduce a tax bill and then left unpaid moves the deduction rather than creating one. Our role as your tax preparation specialist is to apply that cleanly to your situation rather than to a hypothetical one.

What records do I need before starting online payroll services?

It depends less on opinion than owners assume. Each employer withholds CPP and EI up to the annual maximum on its own account. An employee who changes employers mid-year, including a move between two related payroll accounts, is over-deducted, and the excess comes back only through the personal return. Once you know that, the practical question becomes timing and documentation — both of which we handle inside the engagement.

What Canadians Search About Online Payroll Services

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Sign in to CRA My Account and open the tax returns section, which lists your assessed returns, notices of assessment and reassessment, and carry-forward amounts for earlier years. You can also download a proof of income statement, request a copy by phone, or ask whoever prepared the return for you. Keep your own copy and the supporting records for six years from the end of the tax year they relate to.

There is no single percentage. Your employer applies the federal withholding table plus the table for your province or territory, using pay frequency, your annual rate of pay and the amounts claimed on your federal and provincial TD1 forms, then adds CPP contributions and EI premiums until the annual maximums are met. Pension contributions, union dues and benefit premiums come off separately. The CRA's Payroll Deductions Online Calculator reproduces the exact figures shown on your stub.

No. A refund is your own overpaid tax coming back, so it is not reported as income and does not reduce your income-tested benefits. Interest the CRA pays when a refund is late is treated differently: that interest is taxable and belongs on the return for the year you receive it. A corporate refund works the same way, though refund interest is income to the corporation. Keep the notice of assessment with your records.

There is no fixed percentage. Your employer withholds federal income tax, where 2026 brackets start at 14%, plus provincial tax, CPP at 5.95% on earnings between the $3,500 exemption and the $74,600 ceiling, and EI at $1.63 per $100 of insurable earnings up to $68,900. Credits claimed on your TD1 reduce the income tax part. Higher earners also pay CPP2 at 4% on earnings between the ceiling and $85,000 for 2026.

A flat monthly cash allowance for a phone is taxable employment income and appears on the T4. If the employer instead pays the carrier directly, or reimburses the business portion of a bill on receipts, and the plan is reasonable and mainly for work, there is normally no taxable benefit; personal use of a basic plan the employer already pays for is generally accepted. Keep records showing the business purpose.

Yes. Employers withhold federal and provincial income tax from every pay, along with CPP and EI. The tax amount depends on your gross pay, how often you are paid, and the personal tax credits return you filled in for your employer, so it is only an estimate of your yearly bill. For 2026, CPP is 5.95% on earnings between the $3,500 exemption and the $74,600 ceiling, and EI is $1.63 per $100 of insurable earnings.

Pay it the same way you remit payroll source deductions, using your payroll program account number so the money lands on the right account. Options are online banking through your bank's CRA payment option, My Business Account or the CRA's online payment service, pre-authorized debit, or a payment at a Canadian financial institution. Interest keeps accruing until the balance is cleared, so pay first and dispute afterwards if you plan to object.

The cause is usually mechanical rather than a rate change. A bonus, retroactive raise, overtime or a second job paid in the same period pushes that cheque into a higher withholding band. Early in the year CPP and EI restart after the previous year's maximums were reached, so deductions jump in January. A change to your claim amounts, a credit that ended, or CRA instructions to your employer after a reassessment also lift withholding. Compare two pay stubs line by line to see which deduction moved.

Divide income tax expense by profit before tax to get the effective rate. It differs from the statutory rate because of permanently non-deductible items, credits and timing differences between accounting and tax treatment. Income tax payable is a current liability and income tax receivable a current asset, so a refund is recorded against that receivable rather than as revenue. Internet is normally an operating expense under utilities or office costs, and property taxes are expensed unless properly capitalised to a project under construction.

Canada has no single payroll tax. The term covers the statutory amounts tied to employment income: federal and provincial income tax withheld at source, Canada Pension Plan or Quebec Pension Plan contributions, and Employment Insurance premiums, with Quebec Parental Insurance Plan premiums added in Quebec. Employers match CPP or QPP and pay a larger share of EI, and several provinces charge employers a separate health or payroll levy on total remuneration. Remittances go to the CRA, or to Revenu Quebec for Quebec employees.

Proceeds for damage to a personal vehicle are not taxable, since the payment restores a loss rather than producing income. Where the car was a business asset, the payout counts as proceeds of disposition: it reduces the capital cost allowance pool and can create a recapture, or a capital gain if it exceeds the original cost. Interest the insurer pays on a delayed settlement is taxable, and replacement property rules may defer a gain if you reinvest.

Generally no for a salaried employee, because preparing a straightforward personal return is a personal expense. Accounting and bookkeeping fees are deductible when they are incurred to earn income, so fees tied to self-employment, a rental property or professional income go against that income. Fees paid to object to or appeal an assessment are also deductible. Split invoices between personal and income-earning work, and check the CRA guidance on carrying charges and interest expenses.
