The Vocabulary Behind Payroll Setup Services

T1 General
The personal income tax return individuals file with the CRA each year.
T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Payroll Setup Services: Our Analysis

Late payroll remittances draw penalties of 3% to 10%, doubling to 20% for a repeat failure with gross negligence in the same calendar year. We quote payroll setup services as one budget-friendly fixed price — the budget-friendly alternative to hourly billing.

What the Paperwork Teaches Us About Payroll Setup Services

There is a version of payroll setup services that runs smoothly and a version that turns into correspondence. The difference is rarely luck; it comes down to details any tax professional handling these files weekly learns to check first.

One rule does most of the work here. Taxable benefits including employer-paid parking, personal use of a company vehicle and most gift cards must be reported on the T4 and carry CPP and, in some cases, EI.

Right behind it comes a rule owners rarely hear about until it bites: Each employer withholds CPP and EI up to the annual maximum on its own account. An employee who changes employers mid-year, including a move between two related payroll accounts, is over-deducted, and the excess comes back only through the personal return. Then there is the matter of timing, which forgives very little: Salary or a bonus accrued at year-end but not paid within 180 days of the corporation’s year-end is denied as a deduction until the year it is actually paid, under subsection 78(4). An accrual booked to reduce a tax bill and then left unpaid moves the deduction rather than creating one.

What this means in practice: the rules themselves are public, but applying them to your situation is where a tax professional earns the fee. Two files can read the same rules and land in very different places. Think of this list as the raw material a tax professional works from on payroll setup services.

Every file we prepare is reviewed with you before anything is filed, the fee is fixed and agreed up front, and you pay only after the service is delivered. If payroll setup services is on your list, the conversation costs nothing to start.

Straight Answers on Payroll Setup Services

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Payroll Setup Services cost in Canada?

Payroll Setup Services starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Payroll Setup Services?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Payroll Setup Services take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We are a cloud-based practice serving every province and territory, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Payroll Setup Services?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Payroll Setup Services different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Payroll Setup Services?

Our payroll setup services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Payroll Setup Services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

What information will you ask me for once the payroll setup services work is underway?

There is a widespread assumption here, and the actual position is worth stating plainly. Source deductions are held in trust for the Crown from the moment they are withheld, which is why directors can be personally liable for unremitted amounts under section 227.1. Unlike most corporate debts, this one can follow the directors personally after the company is gone. If your current setup was built on the assumption instead of the rule, that is fixable — but sooner is better than later.

What should I look for when choosing a provider for payroll setup services?

A tax specialist answers this differently than a search engine, because the rule has edges. Employers withhold CPP, EI and income tax and remit on a schedule set by their average monthly withholding. Late remittance carries a penalty of 3% to 10%, rising to 20% for a repeat failure with gross negligence in the same year. Payroll penalties compound quietly. An employer that drifts one cycle late each quarter can owe more in penalties than in the tax it was late paying. Where your business sits relative to those edges is what we establish in the first meeting.

Commonly Searched Payroll Setup Services Questions

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

Fill in your name, address, social insurance number and date of birth, then claim the amounts that apply to you: the basic personal amount, tuition if you are a student, the age amount, a spouse or dependant amount, disability and the others listed on the form. Total them, sign, date, and give the form to your employer or payer rather than to the CRA. Complete both the federal and the provincial version. With two jobs, claim the basic personal amount on only one.

Yes, in the year it is received, but the form matters. Salary continuance is ordinary employment income in box 14 of your T4, with regular payroll withholding plus CPP and EI. A lump-sum retiring allowance is reported in box 66 or 67, is not employment income, creates no RRSP room and carries no CPP or EI; tax on it is withheld at the flat lump-sum rates, which rarely match the tax finally owed, so a refund or balance shows up at filing.

Report the amount shown on the slip from the school or granting body, then claim the scholarship exemption. For a student enrolled in a program that qualifies for the full-time education amount, scholarships, fellowships and bursaries connected to that program are usually fully exempt, so nothing remains in taxable income. Part-time students get a narrower exemption, and research grants are handled separately, net of eligible expenses. Check the CRA's page on scholarships, fellowships and bursaries for the year involved.

Three different calculations go by that name. For sales tax, multiply the price by the harmonised rate that applies to the province of supply. For income tax, apply the federal brackets and then the Ontario brackets to taxable income and subtract your credits. For payroll, the CRA payroll deductions calculator handles income tax withholding along with CPP and EI for each pay period. Look up the rates and brackets published for the year you are calculating, since they change annually.

Those are American terms. The Canadian equivalent is the personal tax credits return you complete for an employer, claiming the federal and provincial basic personal amount plus any other credits you qualify for, such as tuition or the disability amount. Your employer uses it to set the tax withheld from each paycheque. The federal basic personal amount for 2026 is $16,452, tapering to $14,829 as net income runs from $181,440 to $258,482.

Interest compounds daily on an unpaid balance from the day after the payment due date, at a prescribed rate the CRA sets each quarter and publishes on canada.ca, so check the current quarter rather than an older figure. A separate late-filing penalty applies if the return itself is late, calculated on the balance owing and growing for each month it stays outstanding. Paying part of the balance reduces the interest that keeps accruing.

Federally, no. Employer contributions to a private health services plan covering medical, dental and hospital care are not a taxable benefit, so they do not show up in your income. Quebec taxes them provincially, which is why a Quebec slip can show an amount the federal one does not. Premiums you pay yourself, including the employee share deducted from pay, can count as medical expenses on your T1. Group life and some wage-loss plans are treated differently.

Something in the mix changed. A raise or bonus can lift income into a higher bracket while withholding lags behind, a second job or contract work adds income with nothing held back, a credit or deduction claimed last year may no longer apply, and pension or investment income usually arrives with little tax withheld. Compare this year's slips against last year's return line by line, then ask your employer to withhold extra or budget for instalments.

No. Money you borrow is not income, so a student loan does not go on your return and changes nothing about your tax bill when you receive it or when you repay it. Grants, bursaries and scholarships are different: those arrive on a tax slip and may need to be reported, although full-time students often find the scholarship exemption covers them. The only tax benefit tied to the loan itself is the credit for interest paid on a government student loan.

Yes. Once eligibility is established the CRA pays the Canada child benefit retroactively, so a late application or a return filed years behind can produce a lump-sum catch-up, though retroactive periods reach back only so far and the oldest months need a written request for relief. Entitlement is recalculated each July from the prior year's returns, and both parents must file for payments to continue. The benefit itself is not taxable, but any overpayment is recovered from future payments.

Canada has no single low-income rebate, but several income-tested payments do that job. The GST/HST credit is paid quarterly, the Canada Workers Benefit tops up income from working, and the Canada child benefit supports families with children. Most provinces add their own credits, usually paid alongside the federal ones. Every one of them is calculated from your assessed return, so file a T1 each year even with little or no income.

Either of you can claim it, or you can split it between you, but the total claimed for one qualifying home cannot exceed the maximum allowed for that home, so there is no doubling up. It is usually simplest for the spouse with enough tax payable to claim the whole amount. You also must not have lived in a home you or your spouse owned during a defined look-back period; the window and the current amount are on CRA's home buyers' amount page.
