Moving Companies: Our Analysis

For moving companies, the difference between an adequate and a strong filing is sector knowledge. IFTA reporting reconciles fuel tax across every jurisdiction driven, and mismatches with logbooks are a standard audit trigger. Everything is handled at a pocket-friendly fixed price — the economical alternative to hourly billing.

Observations From Our Moving Companies Files

Owners in the moving companies sector tend to ask us the same handful of questions, in roughly the same order. That repetition is useful: it tells a tax services provider exactly where the sector's confusion lives, and these notes start there.

Before anything else, one rule sets the frame. Related-party transactions have to be recorded at fair market value. A below-market charge between connected companies invites an adjustment on both sides of the transaction.

From there, the file turns on a second question, and the rule behind it reads as follows. Shareholder loan balances must be repaid within one year of the corporation’s following year-end. If they are not, the amount is included in the shareholder’s personal income under subsection 15(2).

If any of this maps onto your situation, the next step is deliberately low-stakes: we quote a fixed fee up front, prepare the work, and you review everything before you pay. Sector files are what we do all week — bring us yours.

Moving Companies: the tax rules that actually apply

What Moving Companies need from an accountant is not what a generic small business needs. The transportation sector carries its own CRA scrutiny, its own deduction profile and its own filing calendar, and a file prepared without that context leaves money and defensibility on the table.

What the CRA looks at

Long-haul drivers claim meals at 80% rather than the standard 50%, and the simplified method still requires a travel log the CRA will ask to see.

IFTA fuel tax reporting reconciles distance and fuel across every jurisdiction driven, and mismatches against logbooks are a standard audit trigger.

What you can actually claim

A tractor is Class 16 at 40% where used in a highway transport business, a materially faster write-off than the Class 10 most operators assume.

Meal and lodging claims for eligible travel periods are supported by Form TL2, which the employer must certify for employed drivers.

The filing calendar that applies

IFTA returns are quarterly and due at the end of the month following each quarter, independently of the GST/HST cycle.

Interprovincial operations require income allocation across provinces on Schedule 5 of the T2, based on gross revenue and salaries in each.

Where the planning value sits

Fleet financing structured as a capital lease produces a different deduction profile than an operating lease; the choice should be modelled before signing.

Timing a truck purchase before year-end accelerates capital cost allowance, though the half-year rule limits the first-year claim unless immediate expensing applies.

We apply all of this as part of the standard engagement for Moving Companies — there is no separate advisory fee, and the quote is fixed before any work begins.

Case Study 1

$500,000 Sheltered By The Lifetime Capital Gains Exemption — Bus and Coach Operator, Regina

A bus and coach operator in Regina, Saskatchewan was preparing to sell. However, no valuation on file to support the price the parties had agreed disqualified the shares. Purification sheltered $500,000 under the exemption.

A bus and coach operator in Regina, Saskatchewan had an offer on the table and 10 months to close. The shares did not qualify for the capital gains exemption. No valuation on file to support the price the parties had agreed was part of the reason. We purified the corporation so the shares met the qualifying tests. We reviewed every sector-specific deduction against the current rules and claimed the ones that had been missed. All of it was done well ahead of the closing date. The sale closed on schedule with $500,000 sheltered by the lifetime capital gains exemption across the shareholders.

Case Study 2

Collections Halted And $53,000 Cut From A 5-Year Backlog — Owner-Operator Trucking Corporation, Red Deer

Collections had begun against an owner-operator trucking corporation in Red Deer, Alberta over 5 years of unfiled returns. Bringing them current cut $53,000 from the balance.

By the time an owner-operator trucking corporation in Red Deer, Alberta called, 5 years were outstanding. The CRA had assessed on estimates. Underneath it sat equipment and asset classes assigned by guesswork rather than the CCA schedule. We reconstructed the records year by year. We documented the positions to the standard the CRA applies to this sector specifically. Each filing replaced an arbitrary assessment with a real one. The account is current. Filing on real numbers rather than CRA estimates reduced the balance by $53,000, and a relief application addressed part of the accumulated interest.

Case Study 3

Holding Structure Added, $59,000 Saved Annually — Logistics Brokerage, Windsor

A logistics brokerage in Windsor, Ontario needed a holding structure. It had to deal with a chart of accounts that told the owner nothing about moving companies margin. The reorganisation was tax-neutral and removed $59,000 of annual exposure.

The structure at a logistics brokerage in Windsor, Ontario needed fixing. The file was carrying a chart of accounts that told the owner nothing about moving companies margin. Every option for fixing it ran through a reorganisation that had to be done without triggering tax. We worked with the client's lawyer. Together, we aligned the reporting calendar with the sector’s own seasonal cycle rather than a generic year-end. We also prepared the elections, resolutions and valuations the structure needed to stand up. The structure now matches the business. Annual saving of $59,000, and the reorganisation itself was tax-neutral.

Case Study 4

$37,000 Of Penalties And Interest Cancelled On Relief — Last-Mile Delivery Company, Barrie

A last-mile delivery company in Barrie, Ontario was carrying $37,000 of penalties and interest. The charges arose from sector deductions claimed on a general-business basis rather than the moving companies rules. A relief application cancelled that amount.

An assessment of $37,000 landed at a last-mile delivery company in Barrie, Ontario following a desk review. It turned on sector deductions claimed on a general-business basis rather than the moving companies rules. The auditor had not seen the records behind it. We reassigned the asset classes on the CCA schedule and corrected the opening balances. We then set out the legislative basis for the position alongside the documents supporting it. $37,000 of penalties and interest was cancelled under the taxpayer relief provisions, and the underlying assessment was adjusted to match the filed position.

Case Study 5

$106,000 Late-Filing Penalty Cancelled On Relief Application — Heavy-Haul Specialist, Guelph

A heavy-haul specialist in Guelph, Ontario had already been penalised. The issue was a previous accountant with no experience of this sector. A relief application cancelled $106,000 of that penalty.

A heavy-haul specialist in Guelph, Ontario had already missed one deadline and was about to miss a second. Behind it sat a previous accountant with no experience of this sector. A penalty of $106,000 was accruing. We split the work into what had to happen before the deadline and what could follow it. Then we rebuilt the chart of accounts around how a moving companies business actually earns and spends. The outstanding return was accepted as filed, and the taxpayer relief application cancelled $106,000 of the penalty already assessed on the earlier year.

Case Study 6

17 Months Reconciled And $19,000 Of Input Tax Recovered — Courier Fleet, Toronto

17 months of records at a courier fleet in Toronto, Ontario had never been reconciled. That left seasonal revenue reported without matching the costs that produced it. Rebuilding recovered $19,000.

Nothing reconciled at a courier fleet in Toronto, Ontario. Every filing started with 17 months of cleanup. The file was carrying seasonal revenue reported without matching the costs that produced it. We rebuilt from source rather than correcting on top of the existing file. We reviewed every sector-specific deduction against the current rules and claimed the ones that had been missed. Then we set the routine that keeps it clean. 17 months reconciled to the bank. The close now takes 6 days, and $19,000 of previously unclaimable input tax was recovered in the process.

Answers to Frequent Moving Companies Questions

Direct answers to what Canadian business owners actually ask before hiring an accountant.

What records do moving companies businesses need to keep?

The CRA requires six years of books and records from the end of the tax year they relate to: invoices, receipts, bank statements, payroll records and contracts. Digital copies are acceptable provided they are legible and complete.

How do you handle payroll for moving companies businesses?

We run the cycle, remit source deductions on schedule, and issue T4s ahead of the February deadline. Late remittances draw a penalty of up to 10% and repeat lateness raises it to 20%, so timing is the whole game. See our payroll service.

Can you work with my existing bookkeeping software?

Yes. We work in QuickBooks, Xero, Wave, Sage, spreadsheets, and plain scanned documents. You are not required to migrate systems to become a client, and we never charge a conversion fee.

What if my moving companies business operates in more than one province?

Multi-province operations allocate taxable income by permanent establishment and payroll, and sales tax rules differ by jurisdiction. We handle the allocation schedules and the differing GST, HST, PST and QST obligations in one engagement.

When should a moving companies business register for GST/HST?

Registration becomes mandatory once taxable supplies pass $30,000 over four consecutive calendar quarters, and the obligation starts almost immediately rather than at the next year-end. Registering voluntarily below that threshold is often worthwhile when you are buying equipment, because it makes the tax on those purchases recoverable.

How long does the CRA expect a moving companies business to keep records?

Six years from the end of the tax year the records relate to. That covers invoices, receipts, bank statements, payroll records and the working papers behind the return. Records supporting the purchase of a capital asset must be kept six years past the year the asset is finally sold.

What happens if a moving companies business files late?

The late-filing penalty is 5% of the balance owing plus 1% for each full month the return is late, to a maximum of twelve months. A second late filing within three years doubles those figures. Interest compounds daily from the balance-due date regardless of when the return is filed.

Can a moving companies business deduct vehicle costs?

Yes, in proportion to business use, and the logbook is what supports it. The CRA accepts a full-year log, or a three-month sample backed by a complete prior-year log. Travel between home and a regular place of work is personal; travel between work locations is business.

What does "Pay After Service" mean?

Our Pay After Service model means you review and approve all deliverables before making any payment. We prepare your returns or financial files, you review them, and only then do you pay. This ensures 100% satisfaction.

How does price matching work?

If you find a lower verified quote from another accounting firm in Canada for the same scope of services, we will match it immediately. Simply provide a verified quote.

How do I submit my tax documents?

We support completely secure digital uploads via our client portal, or you can email them to us. We support files from QuickBooks, Xero, Excel, and scan/photo documents.

What tax issues come up most often in the moving companies sector?

A tax professional answers this differently than a search engine, because the rule has edges. Compilation engagements follow CSRS 4200, which requires a basis-of-accounting note describing exactly how the statements were prepared. Lenders read that note, and an omitted one is the fastest way to have a financing package sent back. Where your business sits relative to those edges is what we establish in the first meeting.

What does the CRA look at most closely in moving companies?

There is a widespread assumption here, and the actual position is worth stating plainly. An expense is deductible where it was incurred to earn income and is reasonable in the circumstances. The business-use portion must be supported, which for vehicles means a logbook. The CRA rarely argues that an expense category is wrong; it argues that the proportion claimed was never substantiated. If your current setup was built on the assumption instead of the rule, that is fixable — but sooner is better than later.

Car insurance is claimable only for the business or employment use of a vehicle, never for personal driving. Keep a log of business kilometres and total kilometres for the year, then claim that share of insurance along with fuel, repairs, licence fees and loan interest. Employees need their employer to certify in writing that the vehicle was required for the job. Driving between home and a regular workplace counts as personal use.

No federal carbon charge is added at the pump any more. The consumer fuel charge has been removed and the rate on gasoline and other fuels set to zero, so pump prices no longer carry that amount. Carbon pricing on large industrial emitters continues, and some provinces run systems of their own, so obligations there are unchanged. Businesses that used fuel charge exemption certificates or claimed rebates should confirm with their supplier what remains in place.

Payroll treats each cheque as though you earned that amount every period, so a bonus, overtime, retroactive raise or an extra shift makes the cheque look like a higher annual income and more tax comes off it. A change in pay frequency, a new TD1, or a taxable benefit added mid-year does the same. CPP and EI stop for the year once their maximums are reached, so take-home often rises later on. Your return reconciles the total.

Property tax is an annual charge a municipality levies on real estate to fund local services such as roads, water, policing, fire and schools. A provincial assessment authority values the property, council sets a tax rate in its budget, and the bill is the assessed value multiplied by the rate for your property class. Unpaid amounts stay attached to the property itself. It is separate from income tax, so the city bills it, not the CRA.

Yes. The CRA does telephone individuals and businesses about balances owing, missing returns, audits and benefit reviews, and an agent may leave a voicemail asking you to call back. It will not threaten arrest or deportation, demand payment by gift card, e-transfer or crypto, or pressure you to stay on the line. Check My Account for the same message before acting, and call the CRA back on a number from canada.ca.

Rent paid is not deductible on the federal return. Relief comes instead through provincial credits claimed on the provincial form filed with your T1, such as Ontario's energy and property tax credit, Manitoba's renters credit and Quebec's solidarity tax credit, each with its own residency and income tests. Rent is deductible only as a business or employment cost: the work-space-in-the-home share on a T2125, or with an employer-signed form where an employee is required to work from home.
