Startup Bookkeeping Setup: Our Analysis

The choices made in year one — year-end date, share structure, GST/HST registration timing — set the tone for every filing that follows. Federal corporations file an annual return with Corporations Canada that is separate from the T2 — missing it can lead to administrative dissolution. Because the fee is fixed and budget-friendly, the economics stay predictable whether your file is simple or messy.

What a Accountant Checks First in Startup Bookkeeping Setup

Before you hand startup bookkeeping setup to anyone, it is worth knowing what the work actually turns on.

One rule does most of the work here. Foreign-currency amounts have to be converted at the exchange rate for the day the transaction occurred. Applying one year-end rate to twelve months of purchases distorts the recorded cost and hides the exchange gain or loss on settlement.

That rule rarely travels alone; alongside it sits another: Meals and entertainment are deductible at 50 percent of the lesser of the amount paid and a reasonable amount under subsection 67.1, and the recoverable share of the GST/HST on those costs is restricted in the same proportion, with the excess recaptured. Coding them at full value overstates both the deduction and the credit. Ask what a reviewer will want to see, and the answer sits in this rule: Personal expenses run through a corporate account are shareholder benefits, taxable to the shareholder personally whether or not they were ever labelled as such.

What this means in practice: the rules themselves are public, but applying them to your situation is where an accountant earns the fee. Two files can read the same rules and land in very different places. Before the first meeting, it helps to pull together the records that let an accountant see your situation whole.

When you are ready, the process is straightforward — we agree a fixed fee up front, prepare the work, walk you through it before filing, and you pay once the service is delivered.

Common Questions Before Starting Startup Bookkeeping Setup Work

Direct answers to what Canadian business owners actually ask before hiring an accountant.

How much does Startup Bookkeeping Setup cost in Canada?

Startup Bookkeeping Setup starts at a fixed fee quoted before any work begins. The quote is locked at the outset and does not change mid-engagement, and you pay only after you have reviewed and approved the deliverable. Compare every plan on our transparent pricing page.

What documents do I need for Startup Bookkeeping Setup?

At minimum: prior-year returns and notices of assessment, your bank and credit-card statements for the fiscal period, payroll records if you have employees, and GST/HST filings. We send a checklist tailored to your situation after the free 15-minute call.

How long does Startup Bookkeeping Setup take?

Most engagements are completed within 3 to 5 business days once your documents are complete. Catch-up work covering multiple years takes longer, and we tell you the realistic timeline before you commit rather than after.

What happens if the CRA reviews or audits my filing?

We respond on your behalf at no extra charge for any return we prepared. Every figure we file is supported by documentation retained in your file, which is what turns a CRA review from a crisis into correspondence. See how our CRA audit representation works.

Can you handle late or missed filings?

Yes. Late filing penalties compound at 5% of the balance owing plus 1% per month, so the cost of waiting is real. We prioritise catch-up work and, where eligible, file under the CRA's Voluntary Disclosures Program to reduce penalties.

Do you work with businesses outside major cities?

Yes. We are a cloud-based practice serving every province and territory, so your location does not change the price or the service. Browse our coverage across Canada to find your city.

Which industries do you specialise in for Startup Bookkeeping Setup?

We work across construction, healthcare, e-commerce, professional services, restaurants, real estate, transportation, technology and non-profits, each with its own deduction profile and CRA scrutiny patterns. See all industries we serve.

What makes Startup Bookkeeping Setup different from filing it myself?

Software applies the rules you already know about. An experienced tax accountant finds the ones you do not: capital cost allowance timing, the small business deduction threshold, shareholder loan repayment rules, and TOSI exposure on family dividends. The fee is usually smaller than the deductions it surfaces.

What is included in Startup Bookkeeping Setup services?

Our startup bookkeeping setup services include complete filing, compliance management, and strategic advice customized to Canadian tax laws.

How do I start with Startup Bookkeeping Setup services?

You can start by booking a free 15-minute call. We will review your files, provide a fixed quote, and start working immediately.

Is startup bookkeeping setup something I can catch up on if I have fallen behind?

Let us give you the substance first and the caveats second. A small corporation still carries the full compliance set: T2, GST/HST, payroll, and the annual return with the incorporating jurisdiction. The annual corporate return is separate from the T2 and is the one most often forgotten, which can lead to administrative dissolution. The caveat is simply that facts on your file can shift the outcome, so treat this as the baseline rather than the final word.

What information will you ask me for once the startup bookkeeping setup work is underway?

An accounting firm answers this differently than a search engine, because the rule has edges. Inventory is valued at the lower of cost and net realisable value, applied consistently. Changing method without CRA consent reopens prior years. Obsolete stock carried at cost overstates income, and the write-down is usually taken years after it was justified. Where your business sits relative to those edges is what we establish in the first meeting.

What Canadians Search About Startup Bookkeeping Setup

The questions Canadians actually search on this topic, answered plainly. Browse every question in the Canadian tax answers directory.

A tax deduction is an amount subtracted from your income before tax is worked out, so it reduces the income being taxed rather than the tax bill directly. Its worth depends on your marginal rate: the higher the rate, the more the deduction saves. Common examples are RRSP contributions, child care costs, union dues, moving expenses and business expenses. Credits work the other way, reducing the tax calculated on that income.

Car insurance is claimable only for the business or employment use of a vehicle, never for personal driving. Keep a log of business kilometres and total kilometres for the year, then claim that share of insurance along with fuel, repairs, licence fees and loan interest. Employees need their employer to certify in writing that the vehicle was required for the job. Driving between home and a regular workplace counts as personal use.

A tax specialist prepares and files returns, works out how the rules apply to your particular facts, and deals with the CRA on reviews, audits and objections. On the planning side that covers timing income, choosing between salary and dividends, structuring a sale of a business, or correcting a filed year through an adjustment request. Fees vary with complexity, so get the price in writing before work starts and confirm whether CRA follow-up is included.

Yes. Annual dues you must pay to keep the professional status your job requires, a nursing college registration for example, are deductible whether you are employed or self-employed. Deduct only the amount you paid yourself: any part your employer reimbursed, and charges beyond the regulator's ordinary operating costs, come out. Employed nurses claim the dues as an employment expense; self-employed nurses put them on the T2125. Keep the receipt from the regulator.

No. The GST, HST, PST or QST you charge is not your revenue. You collect it as an agent and remit it, so it belongs in a liability account and revenue is recorded net of tax. Including it overstates sales and distorts every margin you calculate. Input tax credits work the same way in reverse, against that liability rather than as an expense. Payment processors deposit tax-included amounts, which is why bank totals never equal revenue.

No. QST is a separate Quebec tax administered by Revenu Quebec, and it cannot be recovered on your federal GST/HST return. Only a business registered for QST can claim input tax refunds for the 9.975% QST it pays, and registration normally follows from making taxable supplies in Quebec. An Ontario business with no QST registration treats the QST on a Quebec invoice as part of the cost of the expense. Check Revenu Quebec for the registration rules.

Usually yes, if you are not registered. Non-resident digital suppliers such as ad networks and software subscriptions must register under CRA's digital economy rules and charge GST/HST to Canadian customers who are not registered themselves. If you give the platform a valid GST/HST number, it generally stops charging the tax and you account for it yourself where the rules require. Tax charged on genuine business purchases is normally recoverable as an input tax credit once you are registered.

Because the first slice of income is sheltered. For 2026 the federal basic personal amount is $16,452, tapering to $14,829 as net income runs from $181,440 to $258,482, and other credits sit on top of it. Someone whose income falls under the amount they can claim has no federal tax payable, though CPP and EI are still deducted from wages. Filing is still worth it, since benefits and refundable credits are calculated from the return.

Yes, indirectly. Provincial assessment authorities value a home from its characteristics, including lot size, living area, age, construction quality, bedrooms and bathrooms, and recent sales of comparable homes nearby. Your municipality then multiplies that assessed value by its rate. So a bigger lot or more finished square footage generally means a higher assessment and a higher bill, while bedroom count alone matters less than total area. Your assessment notice lists the details on record.

All of it. Tips are fully taxable, so there is no percentage a server is allowed to declare instead of the full amount, whether it arrived by card, in cash, or through a tip pool. There is no special rate either: tips are added to your other income and taxed at your marginal rate. Controlled tips paid out by the employer appear on your T4; direct and pooled tips usually do not, so keep a daily record.

HST is one tax with two components: the 5% federal GST part plus a provincial part. Ontario's 13% is 5% federal and 8% provincial. New Brunswick, Newfoundland and Labrador, and Prince Edward Island are 15%, being 5% plus 10%. Nova Scotia is 14% from 1 April 2025, being 5% plus 9%. You charge and report the single combined rate on one GST/HST return, and the CRA shares the revenue with the province.

Most financial services are exempt from GST/HST, so ordinary bank charges such as monthly account fees, interest and transaction charges carry no tax. Administrative and non-financial services a bank sells, such as safety deposit box rental or certain reports, can be taxable. Check the statement, which shows any GST/HST charged. For a business, exempt fees generate no input tax credit, so they are recorded at full cost.
