Terms You'll Hear During Online Marketplace Sellers Filing

T1 General
The personal income tax return individuals file with the CRA each year.
T2 Corporate Return
The corporate income tax return every incorporated Canadian business must file.
GST/HST Return
The sales-tax return businesses file to remit GST/HST collected, net of input tax credits.
Online Marketplace Sellers: Our Analysis

For online marketplace sellers, the difference between an adequate and a strong filing is sector knowledge. Selling into BC, Saskatchewan, Manitoba and Quebec can create separate provincial sales tax registrations on top of GST/HST. Everything is handled at a pocket-friendly fixed price — the economical alternative to hourly billing.

What We Notice Preparing Online Marketplace Sellers Files

A online marketplace sellers business rarely gets into tax trouble through a dramatic mistake. It drifts there through small classification calls made without sector context — the kind of calls an accounting firm makes differently after years of sector work.

There is no way around the opening fact, so it may as well come first. A small corporation still carries the full compliance set: T2, GST/HST, payroll, and the annual return with the incorporating jurisdiction. The annual corporate return is separate from the T2 and is the one most often forgotten, which can lead to administrative dissolution.

From there, the file turns on a second question, and the rule behind it reads as follows. The CRA requires business records to be kept for six years from the end of the tax year they relate to, in a form that allows the return to be verified. Where records cannot support the return, the CRA is entitled to assess on its own estimate — and the burden of disproving that estimate falls on the taxpayer.

Our engagement terms are built for skeptical owners: the fee is fixed before work begins, and payment comes only after you have reviewed the completed file. What you are really buying is the sector mileage behind it.

Online Marketplace Sellers: the tax rules that actually apply

What Online Marketplace Sellers need from an accountant is not what a generic small business needs. The e-commerce sector carries its own CRA scrutiny, its own deduction profile and its own filing calendar, and a file prepared without that context leaves money and defensibility on the table.

What the CRA looks at

Marketplace facilitator rules make platforms collect GST/HST on many sales, but a seller still needs its own registration where it holds inventory or exceeds the small-supplier threshold.

Inventory stored in a fulfilment warehouse can create a permanent establishment in that province, pulling the seller into provincial filing obligations it never intended.

What you can actually claim

Landed cost — freight, duty and brokerage — belongs in inventory rather than expensed on arrival, which shifts the deduction to the period the goods actually sell.

GST paid at the border on imported goods is recoverable as an input tax credit, but only by the importer of record. The customs paperwork therefore has to name the right party.

The filing calendar that applies

A seller crossing $30,000 in taxable supplies over four consecutive quarters must register for GST/HST effective almost immediately, not at the next year-end.

Foreign currency sales are translated at the transaction date, and the CRA expects a consistent method rather than a year-end average applied retroactively.

Where the planning value sits

US sales can create state-level economic nexus with no Canadian equivalent, so growth south of the border is a compliance decision before it is a tax one.

Writing down obsolete or unsellable stock to net realisable value is a legitimate deduction that most sellers take far too late.

None of this is charged as extra advice. It is simply what a properly prepared file for Online Marketplace Sellers includes, at the fixed fee agreed up front.

Case Study 1

Audit Defence Closed In 4 Weeks, $53,000 Cleared — Shopify Store Shipping Nationwide, Windsor

A Shopify store shipping nationwide in Windsor, Ontario was under review. The issue was a previous accountant with no experience of this sector. The file closed in 4 weeks with $53,000 of proposed tax cleared.

A Shopify store shipping nationwide in Windsor, Ontario was selected for review. A previous accountant with no experience of this sector had shown up in the CRA's automated matching. The proposed adjustment on online marketplace sellers accounting and tax came to $53,000. We reassigned the asset classes on the CCA schedule and corrected the opening balances. Every figure in the response traced to a source record the auditor could verify without asking a second question. The review closed with no change. $53,000 of proposed tax came off the table, and the documentation now in place makes the next review a short one.

Case Study 2

3-Week Turnaround Beat The Deadline And Saved $47,000 — Subscription Box Company, Brampton

A 3-week rebuild at a subscription box company in Brampton, Ontario got the filing in with 7 days to spare. That avoided $47,000 in penalties.

A subscription box company in Brampton, Ontario was weeks away from the deadline for online marketplace sellers accounting and tax. Behind that sat a chart of accounts that told the owner nothing about online marketplace sellers margin. The exposure if the date slipped was around $47,000. We rebuilt the chart of accounts around how an online marketplace sellers business actually earns and spends. The filing went in complete rather than provisional, so there was no amended return to follow. Filed with 7 days to spare. $47,000 in late-filing penalties avoided, and the working papers are ready for the following year.

Case Study 3

$12,500 In Credits Claimed That Prior Filings Had Missed — Print-On-Demand Business, Surrey

5 years of filings at a print-on-demand business in Surrey, British Columbia had never claimed the incentives the work qualified for. The review recovered $12,500.

A print-on-demand business in Surrey, British Columbia had been filing for 5 years. In that time, the incentives its activity qualified for were never claimed. Behind that sat provincial credits left unclaimed alongside every federal filing. We tested each activity against the eligibility criteria rather than the description on the invoice. Then we reviewed every sector-specific deduction against the current rules and claimed the ones that had been missed. $12,500 in credits claimed, with the open prior years adjusted as well. The claim passed review without adjustment.

Case Study 4

11 Months Reconciled And $18,500 Of Input Tax Recovered — Cross-Border Dropshipper, Mississauga

11 months of records at a cross-border dropshipper in Mississauga, Ontario had never been reconciled. That left seasonal revenue reported without matching the costs that produced it. Rebuilding recovered $18,500.

Nothing reconciled at a cross-border dropshipper in Mississauga, Ontario. Every filing started with 11 months of cleanup. The file was carrying seasonal revenue reported without matching the costs that produced it. We rebuilt from source rather than correcting on top of the existing file. We documented the positions to the standard the CRA applies to this sector specifically. Then we set the routine that keeps it clean. 11 months reconciled to the bank. The close now takes 4 days, and $18,500 of previously unclaimable input tax was recovered in the process.

Case Study 5

$570,000 Sheltered By The Lifetime Capital Gains Exemption — Handmade Goods Marketplace Seller, Guelph

A handmade goods marketplace seller in Guelph, Ontario was preparing to sell. However, no valuation on file to support the price the parties had agreed disqualified the shares. Purification sheltered $570,000 under the exemption.

A handmade goods marketplace seller in Guelph, Ontario had an offer on the table and 34 months to close. The shares did not qualify for the capital gains exemption. No valuation on file to support the price the parties had agreed was part of the reason. We purified the corporation so the shares met the qualifying tests. We aligned the reporting calendar with the sector’s own seasonal cycle rather than a generic year-end. All of it was done well ahead of the closing date. The sale closed on schedule with $570,000 sheltered by the lifetime capital gains exemption across the shareholders.

Case Study 6

Remittance Schedule Corrected, $119,000 Refunded — Supplements Brand, Victoria

Remittances at a supplements brand in Victoria, British Columbia were chronically late. It came down to equipment and asset classes assigned by guesswork rather than the CCA schedule. Fixing the schedule refunded $119,000.

Remittances at a supplements brand in Victoria, British Columbia were consistently late by a few days. That was enough to trigger penalties every quarter. Behind it sat equipment and asset classes assigned by guesswork rather than the CCA schedule. We reassigned the asset classes on the CCA schedule and corrected the opening balances. Then we moved the remittance dates into a scheduled process rather than a monthly decision. Penalties stopped from the following remittance onwards, and $119,000 of overpaid instalments was refunded.

Online Marketplace Sellers Frequently Asked Questions

Direct answers to what Canadian business owners actually ask before hiring an accountant.

When should a online marketplace sellers business register for GST/HST?

Registration becomes mandatory once taxable supplies pass $30,000 over four consecutive calendar quarters, and the obligation starts almost immediately rather than at the next year-end. Registering voluntarily below that threshold is often worthwhile when you are buying equipment, because it makes the tax on those purchases recoverable.

How long does the CRA expect a online marketplace sellers business to keep records?

Six years from the end of the tax year the records relate to. That covers invoices, receipts, bank statements, payroll records and the working papers behind the return. Records supporting the purchase of a capital asset must be kept six years past the year the asset is finally sold.

What happens if a online marketplace sellers business files late?

The late-filing penalty is 5% of the balance owing plus 1% for each full month the return is late, to a maximum of twelve months. A second late filing within three years doubles those figures. Interest compounds daily from the balance-due date regardless of when the return is filed.

Can a online marketplace sellers business deduct vehicle costs?

Yes, in proportion to business use, and the logbook is what supports it. The CRA accepts a full-year log, or a three-month sample backed by a complete prior-year log. Travel between home and a regular place of work is personal; travel between work locations is business.

Should a online marketplace sellers business incorporate?

Incorporation usually pays once profit consistently exceeds what the owner draws personally, because the retained amount is taxed at small business rates rather than personal rates. Where the entire profit is withdrawn each year, incorporation often costs more in filing and compliance than it saves.

What triggers a CRA audit for a online marketplace sellers business?

Ratios that sit outside sector norms, repeated losses, large or round-numbered expense claims, and mismatches between filed slips and reported income. Most reviews are resolved on documentation alone, which is why contemporaneous records matter more than the size of any single claim.

How are employees and subcontractors treated differently for a online marketplace sellers business?

The CRA looks at control, ownership of tools, chance of profit and risk of loss rather than what the contract is titled. Where a worker is reclassified as an employee, the unremitted CPP, EI and withholding land on the payer, together with penalties and interest.

What instalments does a online marketplace sellers business have to pay?

Individuals pay quarterly instalments once net tax owing passes $3,000 in the current year and either of the two preceding years. Corporations generally pay monthly, with many small CCPCs eligible for quarterly instalments instead. Basing them on a current-year estimate avoids overpaying after a strong year.

What does "Pay After Service" mean?

Our Pay After Service model means you review and approve all deliverables before making any payment. We prepare your returns or financial files, you review them, and only then do you pay. This ensures 100% satisfaction.

How does price matching work?

If you find a lower verified quote from another accounting firm in Canada for the same scope of services, we will match it immediately. Simply provide a verified quote.

How do I submit my tax documents?

How do you stay current on the rules that affect the online marketplace sellers sector?

A tax expert answers this differently than a search engine, because the rule has edges. Accrued but unbilled revenue belongs in income in the year the work was performed. Deferring it to the invoice date understates taxable income and is a standard reassessment adjustment. Where your business sits relative to those edges is what we establish in the first meeting.

What records should a online marketplace sellers operation be keeping through the year?

There is a widespread assumption here, and the actual position is worth stating plainly. The CRA expects the trial balance behind a T2 to reconcile to the GIFI schedules filed with it. A statement set that does not tie to the return is the first thing a reviewer notices. If your current setup was built on the assumption instead of the rule, that is fixable — but sooner is better than later.

Most municipalities do not take credit cards for property tax directly. They accept pre-authorised debit, online or telephone banking, cheque, and in-person payment. Third-party payment processors will charge a property tax bill to a card for a service fee, which normally costs more than the rewards earned. The CRA works the same way for income tax and GST/HST: no direct card payment, but authorised third-party providers accept cards for a fee.

Property tax is an annual charge a municipality levies on real estate to fund local services such as roads, water, policing, fire and schools. A provincial assessment authority values the property, council sets a tax rate in its budget, and the bill is the assessed value multiplied by the rate for your property class. Unpaid amounts stay attached to the property itself. It is separate from income tax, so the city bills it, not the CRA.

Rent paid is not deductible on the federal return. Relief comes instead through provincial credits claimed on the provincial form filed with your T1, such as Ontario's energy and property tax credit, Manitoba's renters credit and Quebec's solidarity tax credit, each with its own residency and income tests. Rent is deductible only as a business or employment cost: the work-space-in-the-home share on a T2125, or with an employer-signed form where an employee is required to work from home.

Yes. Property tax is a municipal charge on the property rather than an income tax, and it does not stop at any age. Relief does exist in places: several provinces and municipalities run deferral programs that let older or lower-income owners postpone payment until the property is sold, usually with interest, and some offer a grant or rebate. These are applied for each year through the province or municipality, not on your T1. Check your municipality's tax page for what is offered.

It stays out of taxable income but often counts elsewhere. Amounts such as most lottery winnings and income earned inside a TFSA are not taxed at all. Some other receipts are exempt from tax yet still have to be reported, because the CRA uses net income and family net income to test benefits and credits. So an amount that costs you no tax can still reduce a benefit. Lenders and landlords apply their own definitions again.

Property tax on a new build starts once the property is assessed as complete and occupiable, not at closing. Until then you are billed on the land alone, and a supplementary or omitted assessment later covers the building, often arriving months afterwards and back-dated to the occupancy or completion date, so budget for a catch-up bill. Separately, a newly built home is generally subject to GST or HST, with a new housing rebate available in some cases.
